Any member who would typically be required to attend the IEP team meeting is required to attend IEP team meetings virtually. This includes interpreters. The same procedures using the excusal form apply to virtual IEP team meetings.

1. Parent must verify student name, date of birth, and student address when they enter the Zoom meeting.

2. IEP team meeting introductions. Announce name and role in meeting.

Review these phone/web meeting norms:• Go to a space where you have privacy and there is no activity

that would distract the IEP team members or violate the confidentiality of the meeting.

• Consider turning off video, blurring your background, or adding a background image.

• Familiarize yourself with the mute/unmute button and mute your microphone when you are not speaking.

• Speak clearly and slowly.• Do not interrupt when another participant is speaking.• Be aware of your surroundings. Individuals who are not

participants should not be able to overhear the meeting. Remember that this meeting is confidential.

• Wear headphones if possible.• Demonstrate respect, support, and patience for individuals not

familiar with web/phone conferencing technology.

This statement must be included with the IEP notification:

If the parent/guardian would like to audio record the IEP meeting, the parent or guardian shall notify the members of the IEP team of their intent to audio record an IEP meeting at least 24 hours prior to the meeting. If this notification is received, the parent and the District may audio record the IEP meeting. If the parent or guardian does not consent to the District audio recording the IEP meeting, the IEP meeting will not be recorded.

signature through Zoom. This process will temporarily give

parents remote control of your computer, similar to allowing

parents to use your computer in a physical IEP meeting to

provide their e-signature.

Before you begin this process, take these measures to prevent accidental privacy violations:✓ Close your email and all other programs except Zoom and

How do families without computer/internet access receive and

respond to documents that require signature?

• Families who cannot provide an electronic signature or email

signed documents will go to their Local District office to

obtain, sign, and return IEP documents.

• Special Education Service Centers are not providing this

service.

be notified of those hours by your LRE specialist, APEIS, or

• Due to the public health restrictions, verbal IEP notification

consent is temporarily adequate to hold an IEP team meeting.

• Verbal consent details must be documented on the IEP

meeting notes.

• If a parent provides e-signature during a Zoom meeting, but a

signed meeting notification is not on file, you cannot activate

the IEP.

• You must have a signed meeting notification and signed

consent page 10 to activate an IEP.

• E-signatures on meeting notifications are in development and

will be available by the end of April.
