1. Hostel Building Master

IISc Hostel has totally 46 buildings - 22 boys’ hostel, 8 ladies’ hostel, 15 married apartment and 1 Guest

house. In SAP, boys’ hostel (10000000), ladies’ hostel (10000001), married apartment (10000002) & Guest

house (10000003) are called as Business Entity. IISc is configured in SAP as company code 1000. Each

building in the IISc is identified by unique number combination of business entity.

Path: Hostel Master -> Building Master

Click on Building Master

Enter company code as 1000

Sensitivity: Internal & Restricted

Click on Business Entity search option (highlighted with yellow color)

Click on find option (highlighted with yellow color)

Choose any one from the list (Boys Hostel or Ladies Hostel or Married Apartment or Guest House)

After choosing to click on Enter Key, respective description about the selection will appear.

Click on create object (highlighted with yellow color)

Click on continue (highlighted with yellow color)

Enter the Building Name (highlighted with yellow color)

Building inaugurated date (highlighted with yellow color)

Click on Check button on top (highlighted with yellow color) after this “No errors found” Message will

appear at left side bottom.

Click on save button at right side bottom (highlighted with yellow color)

Building number 26 created.

2. Hostel Room Master

IISc has total 3791 rental units which can be allotted to IISc Students. In these rental units, 2656 are for

boys, 962 for ladies, 153 for Married apartment and 20 guest rooms.

Path: Hostel Masters -> Room Master

Enter company code as 1000

Click on Business Entity search option (highlighted with yellow color)

Click on find option (highlighted with yellow color)

Sensitivity: Internal & Restricted

Choose any one from the list (Boys Hostel or Ladies Hostel or Married Apartment or Guest House)

After choosing, click on Enter Key then respective description about the selection will appear.

Click on create object (highlighted with yellow color)

Click on usage type search option (highlighted with yellow color)

Choose usage type (Guest house / Hostel accommodation)

Choose 13 Hostel accommodation and click on continue button. (highlighted with yellow color)

Enter Building Number (highlighted with yellow color)

Enter Name of RO (Rental Object) B-B26-R1-2S-B1 (Boys Hostel – Building Number 26-Room No 1 – Two

sharing -Bed 1) (highlighted with yellow color)

Enter RU No Old (rental unit number old) (highlighted with yellow color)

Valid from (Usage start date) (highlighted with yellow color)

Click on additional data (highlighted with yellow color)

Click on Part of Building search option (highlighted with yellow color)

Double click on 02 Two Sharing

Click on check button (highlighted with yellow color)

Now system display No errors found at left side bottom.

Click on Save button at right side bottom.

3. Business Partner for Self-Guest

In IISc, an individual who joins as Research associate / Project Assistant and can request for Hostel and

Mess facility and has to pay advance to avail these facilities.

Non-Student Addition.

Path: Hostel Master ->Maintain Business Partner

Click on Person (highlighted with yellow color)

Sensitivity: Internal & Restricted

Grouping: Non Student Hostel

Fill the following information

• Title Mr/Mrs.

• First Name

• Last name

• Search Team

• Street/ House No

• Postal code/City

• County

Click on Check button at the top (highlighted with yellow color)

System displays the message as “Data of Business Partner is error -free”

Click on Save button (right side bottom) (highlighted with yellow color)

At the left side bottom system displays below message:

Click on Switch between display and change (highlighted with yellow color)

Change in BP Role as “Master Tenant w. Customer Acct (New)”

Correspondence Language: EN

Click on Company code (highlighted with yellow color)

Reconciliation Acct: 200320

Click on Save

4. Hostel Master Data Reports.

Master Data Report Consist of Hostel Types, Building & Rooms.

Hostel Type.

Path: Hostel Reports -> Hostel Type

Enter: Company code 1000 and click on Execute button at the bottom. (highlighted with yellow color)
