XSELLERATOR™ Terminology Definit ions

The glossary below will help you become more familiar with XSELLERATOR™ Sales terminology.

XS E L L E R A T O R T M T e rm i n o lo g y D e f in i t i ons

Associate – A generic term used to describe any person, organization, group, or other legal entity that a Dealership has a relationship with. Associates are stored in a central database that is accessible by all Dealership departments for their own relative transactions. There are 5 different types of Associates: Customers, Suppliers, Employees, Manufacturers, and Carriers.

CAT. – Is the Vehicle Category (I.e. New, Used or Demo).

C/Date – Is the Contract Date in a Vehicle Sale (The date that prints on contracts).

CP ID# – Is the Customer Prospect I.D. number. The number is system generated in sequential order and is how the system references a Customer Prospect.

C/Quote – Is the Customer Quote in a Vehicle Sale Worksheet.

C/View – Is the simple On-screen customer quote.

D/Date – Is the Delivery Date in a Vehicle Sale (Does not impact forms).

E/Date – Is the Date a Vehicle Sale was entered into the system. This is system generated.

F/Res – Is the Finance Reserve in a Vehicle Sale Worksheet.

OEM – Is the Original Equipment Manufacturer (I.e. GM, Chrysler or Kia).

Open V/S – If bolded, then there is an open vehicle sale attached to that vehicle.

Posting – This is the final stage of Work Order, Vehicle Sale or Journal transaction. The function sends the appropriate charges to specified accounts, closing the transaction and preventing further editing.

Prospect Color – Is the vehicle color that does not follow the manufacturer’s naming convention. It’s a list of generic colors that is selectable from the drop-down.

Q/Notes – Is the Customer Quote notes (Displays on a printed copy of a quote).

RPO – Is the Regular Production Option from GM. These are the option codes listed on invoices received from the manufacturer.

RT – Is the rooftop in a multi-location dealer.

Sales Planner – A tool that Salespeople and Sales Managers can use as a daily planner. It is where both Showroom and Retention Customer Prospects are managed, along with related Tasks and Deliveries.

Sale ID # – Every Vehicle Sale that is created in XSELLERATOR™ receives an I.D. number. The number is system generated in sequential order and references a Vehicle Sale. The Sale ID# should always be noted on the deal jacket / file for easy reference.

S/Cat – Is the Vehicle Sub Category (Company Vehicle, Fleet etc.).

S/Model – Is the Manufacturer vehicle model code – I.e. TK15753.

S/Type – Is the vehicle type – I.e. Car, Truck, Minivan, Sport Utility, MD Truck, or Van.

*Showroom Customer Prospect – A customer who is interested in purchasing or leasing a New or Used vehicle.

Tasks – The system will automatically generate Tasks for employees to follow up with their customers (Based on a template assigned). The follow up tasks are generated after the status of Vehicle Sale is changed to Sold.

Unit # (or Unit Ref) – Is the Vehicle Stock Number.

V/Sales – Gives you the opportunity to create a vehicle sale with that vehicle if there is a default quote customer assigned to the System Control Tables, depends on the dealership’s requirements.

Vehicle ID – Every vehicle that is input into the system receives an I.D. number. The number is system generated in sequential order and references a vehicle. You may continue to reference the vehicles in your Inventory by their stock number as the Vehicle Id number does not replace the stock numbers.

Showroom / Retention

Navigating the Sales Planner The Sales Planner is the Salesperson’s workstation to manage prospective and existing customers. It is an

ongoing list of potential and current customers as well as follow-up tasks and their vehicles – All in one window.

The Left pane contain the Activities and the Prospects.

The Right pane has the Activity Detail, Prospect Detail and Vehicle Detail.

Activities are your daily “To-do” items such as Sales Appointments, Deliveries, Dealer Promotions Tasks, Service Appointments and Tasks (For both showroom and retention customer prospects). If you want to turn off any of the Activities, you can do so by clicking the color coded activity. This will remove those activities from the Sales Planner.

Completing a Task, Sales Appointment or Delivery Task – To complete a task you need to click on the task. On the right side of your screen, the Activity Details tab will show you information on the task.

<Click> on the task on the Activities tab.

Select an Outcome.

Add some comments about the task.

Sales Appointment – To complete a Sales Appointment, you need to click on the Sales Appointment. On the right side of your screen, the Activity Details tab will show you information on the Appointment.

<Click> on the Sales Appointment on the Activities tab.

Enter Show or No Show on Attendance dropdown.

Deliveries – To complete a Delivery, you need to click on the Delivery. On the right side of your screen, the Activity Details tab will show you information on the Delivery.

<Click> on the Delivery on the Activities tab.

Enter Yes or No in the Delivered dropdown.

<Click> Update.

Customer Prospect List Your list of customers can be found by clicking on the Prospects tab on the top right of the screen. The first time you go into the Sales Planner – Prospects tab it will be quite plain.

There are two key components of the Prospects tab:

1. Columns 2. Filters Columns – The Column button allows you to add columns of information to your customer prospect list. Right now you can see that we have 4 columns of information: Type, Name, Date Entered and Details.

Click on the Column button and you are given a list of other columns you can use. Just click the check box next to the column you want to see displayed on the Sales Planner. For this example, we are going to add the column Status.

You can now see that there are 5 columns of information including Status. You can add and remove columns at any time. Keep in mind this is YOUR Sales Planner so the columns you add will be there tomorrow and going forward. This is customizable so you can see the information relevant to you. You can also click on the columns to have them sort ascending and descending.

Filters – The Filter button allows you to search for specific criteria within the columns. There are 2 different types of filters

1. Dynamic – These are filters that contain many types of information (Example: Name or Details).

2. Static – These are filters that contain information that doesn’t change (Type = retention or showroom, Status = open or closed).

To add a filter, you need to <Click> on the Filter button and click the checkbox next to the filter you want. In this example, we will use the Details filter.

So now the Prospects tab has a Details filter.

To search for a specific detail, <Click> on the Details filter drop down arrow.

Now, start typing in the detail you are looking for. In this example, we will use the model Corolla. As you type the letters COROLLA in, the Sales Planner filters down the details list.

<Click> the checkbox next to the vehicle you are looking for and then click the check mark next to the details filter. The Sales Planner will now display information for Corollas.

You can add multiple filters at the same time to increase the strength of your search. Example: If you wanted to see all of your Retention customers who bought a 2015 Corolla and the Status of the customer is Open, you can do so by adding the filters for Type, Details and Status.

Now, you can see that there are 3 filters on.

<Click> on the Type filter and select Retention. Then, <Click> the check mark.

<Click> on the Details filter and type 2015 Corolla. Then, <Click> Select All and <Click> the check mark.

<Click> on the Status filter and select Open. Then, <Click> the check mark.

Now, you can see that the only customers that are showing are those that are Retention customers with 2015 Toyota Corolla that are in Open status.

Creating a New Customer Prospect (Salesperson ) The XSELLERATOR™ Sales Planner is an effective tool for salespeople to manage their customer base. They

can add new Showroom Prospects and follow-up with Retention Prospects.

Select Vehicle > Sales Planner.

<Click> on the Gear icon in the Upper Right Hand corner.

<Click> Create A Customer Prospect to open the Customer Prospects window.

Notice that the CP/ID# (Customer Prospect ID#) is automatically generated – In this case, it is 3148.

<Click> in the Channel field to open the drop-down and select the appropriate channel. Channel is HOW the customer came in contact with the Dealership.

<Click> in the Src (Source) field to open the drop-down and select the appropriate source. Source is WHY the customer came in contact with the Dealership. The Source list can be customized based on the Dealership’s marketing sources.

Press Tab to move to the Existing Customer field.

Type in the customer’s Last Name, comma, space, First Name.

Note – This will start searching the dealership’s Customer database.

If the customer is in the database, the Customer’s name will appear in the Existing Cust (Existing Customer) field. Confirm that the correct name is displayed.

<Click> to save changes.

OR

If the customer is NOT in the database, <Double Click> in the Existing Cust (Existing Customer) field. Read the message and <Click> to open the Customer and Vehicle Quick Entry.

Input the Customer’s information. Note – The Address Line 1 and Phone Number are required fields. If the customer’s address is not available, type in 4 dashes or the word “unknown”. If the phone number is not available, use the Dealership's phone number.

<Click> to save changes.

<Click> to return to the Customer Prospect window.

<Click> in the C/Type (Customer Type) field to open the drop-down and select the customer type (if applicable).

<Click> to save changes.

As you progress in the various stages of the Sales Process, check off the steps completed in the process. <Click> in the Actions field and select the complete Actions. If a customer is a Be-Back, click on the Be-Back checkmark. This checkmark is cleared out every day and only applies to today’s date. If a customer comes back tomorrow, the Be-Back checkmark can clicked on again.

Clicking on the Action History radio button shows the Date, Time, the Action and the Name of the user who checked off the Action. The Action History allows the Salesperson and the Sales Manager to confirm the Sales Process has been completed.

<Click> in the New Notes section and add notes about the customer (Optional).

<Click> to save changes. The notes will now move into the Customer Prospect Notes.

Creating New Tasks and Appointments (Salespeople) XSELLERATOR™ allows Salespeople to create and generate their own tasks and appointments by attaching them

directly to the customer prospect.

No matter where you are on the Sales Planner, you can create a new Task or new Sales Appointment. Click on the customer that you want to create the task/appointment for and you will see their name show up on the top right of the screen. You can chose a customer in either the Activities or Prospects tab.

Once you have the customer selected, <Click> the Create Activity button. This will display a window that looks like this:

Sales Appointment – To create a Sales Appointment, <Click> on the and fill in the Date, Time and Objectives of Contact. Then, <Click> the Create button.

Tasks – To create a Task, <Click> on the and fill in the Date and Objectives of Contact. Then, <Click> Create.

You will now find this Task or Sales Appointment under the Activities tab for the date you selected.

Sales Appointment Calendar The XSELLERATOR™ Sales Appointment Calendar includes the appointments for a day or range of days. It has a

drag and drop function that allows you to move an appointment to another day and time and the ability to hover

over the appointment to see the detail. This appears in the CRM menu dropdown under Sales Appointments.

Select Associate > My display setting.

<Double Click> on Sales Appointment

This window will appear. This is where you will be able to personalized your calendar defaults

Default Layout – Allows you to display the appointments in a calendar or List view.

Show Calendar Weekend – Allows you to hide the weekends.

Calendar Day Filter – Allows you to specified a particular day of the week.

Type – Allows you to specified New or Used or All Vehicle Sales.

Show – Allows you to appointments that Showed, No Showed or All.

Closing Dead Showroom Prospects XSELLERATOR™ allows you to close dead prospects, rather than deleting them. This means that the prospect

information is kept and can easily be re-opened if the prospect comes back.

Select Vehicle > Sales Planner.

Select the customer from either the Activities or Prospects on the left.

The Customer will now display on the right. <Double Click> on the Customer name on the right column (Under Activity Details, Prospect Detail or Vehicle Detail).

<Click> in the Status field to open the dropdown and select Closed.

<Click> button to save the changes. A Prompt will appear with the message "You have changed the Status of this Customer Prospect to Closed. All tasks and appointments will be set to completed. OK to Continue?". <Click> OK.

You will then be prompted to select an Action. <Click> in the dropdown and select an Action.

<Click> Proceed.

Exercise 2 – Creating a Task using the Sales Planner

1. Select 4 Customer Prospects, create a task due today and assign it to yourself. Complete the task using the outcome of your choice and note the comments.

2. Indicate the customer’s name and ID# in the table below.

Vehicles

Searching for a Vehicle from the Vehicles List Use the following procedure to search for a specific vehicle from the dealership’s database. The user can find a

vehicle regardless of the status (Stock or Sold).

Select Vehicle > Vehicles.

Use any of the following fields to refine the search using specified criteria.

Status – Select ALL from the drop-down, (If it does not default). Then, search criteria from one of either Vehicle ID, Unit #, Last 8 of VIN or Owner.

Vehicle ID – Input a Vehicle ID number to locate a specific vehicle record.

Owner – You can input the Owner’s Last Name or a portion of it to search for vehicles owned by that customer.

Unit # – Input a vehicle’s Unit # (Stock #) to locate a specific vehicle record.

Last 8 VIN – Input the last 8 or 6 digits of a vehicle VIN to locate a specific vehicle record.

<Click> the button to launch the search.

The list can be sorted by the Header field just by clicking on one or more of the Header Names.

<Double Click> on a vehicle record from the list to view specific vehicle information.

Searching the Vehicle Inventory List The Vehicle Inventory List is an on-screen report of all vehicles that are either in Stock, in Transit or on Order. The user can search vehicle records from the dealership’s inventory and provides an easily accessible list to view the information.

Use the following procedure to refine the search for specific vehicle records from the dealership’s inventory.

Select Vehicle > Vehicle Inventory List. All In Stock vehicles will appear.

<Click> Cat. Select from the dropdown to select New, Used, Other, Demo or Co. Veh.

<Click> the button to launch the search.

Use any of the following fields to refine the search for inventory using specified criteria.

Vehicle ID – Input a Vehicle ID number to locate a specific vehicle record.

Status – Select from the drop-down the vehicle Status to be searched I.e. Orders – In Transit, Stock, etc.

Sub Type – Select from the drop-down the vehicle Sub Type to be searched I.e. Car, Truck, Sport Utility, etc.

Unit # – Input a vehicle’s Unit # (Stock #) to locate a specific vehicle record.

Cat – Select from the drop-down a vehicle Category to be searched I.e. New, Used, Demo, etc.

S/Cat – Select from the drop-down a vehicle Sub-Category to be searched I.e. Rental, Other, Fleet, etc.

Year – Input a vehicle Year to be searched.

Last 8 VIN – Input the last 8 digits of a vehicle VIN to locate a specific vehicle record.

G/Mod – Select from the drop-down a Generic Model to be searched, if applicable.

Prospect Color – Select from the drop-down a vehicle Prospect Color to be searched.

<Click> the button to launch the search.

<Double Click> on a vehicle record from the list to view specific vehicle information.

Quoting Creating a Quote with a Stock Vehicle XSELLERATOR™ builds detailed quotes for customers. It can also quickly and efficiently develop a vehicle price

quote for the customer that includes not only the dealership price of the vehicle, but prices that include

accessories and services wanted. Once the customer shows interest in purchasing a vehicle, the salesperson

must generate a quote to present to the customer for approval.

Use the following procedure to generate a quote that the customer can review and accept.

Select Vehicle > Sales Planner.

Select the customer from either the Activities or Prospects on the left.

The Customer will now display on the right. <Double Click> on the Customer name on the right column (under Activity Details, Prospect Detail or Vehicle Detail)

Input the vehicle search criteria

<Click> Unit #, then input Stock# of the vehicle you want to quote on.

<Click> to save the vehicle search criteria.

<Click> the button to locate the vehicle in the Vehicle Inventory List window.

Select the vehicle from the list of vehicles matching the search criteria.

<Click> the (Vehicle Sales) button to create a new vehicle sale.

<Click> in the Sales Amt. field to update the selling price, if necessary.

<Click> to save the vehicle information.

<Click> to return to the Vehicle Sale Worksheet for Vehicle ID window.

Using Build & Price in XSELLERATOR™

XSELLERATOR™ provides the ability to generate a Vehicle Sale for a vehicle not in inventory.

Use the following procedure to Build & Price a vehicle.

Select Vehicle > Sales Planner.

Select the customer from either the Activities or Prospects on the left.

The Customer will now display on the right. <Double Click> on the Customer name on the right column (Under Activity Details, Prospect Detail or Vehicle Detail).

<Click> the button.

Input the Last Name of the Purchaser and XSELLERATORTM will begin to search the Associate database.

Select the name you’re looking for and press <Tab>.

<Click> in the Channel field to open the drop-down and select the appropriate channel the customer used to contact the dealership.

<Click> in the Source field to open the drop-down and select the appropriate Source for how the customer got in contact with the dealership.

<Click> to save changes.

<Click> the button to open the Vehicle Sales Worksheet window.

<Double Click> on the Sales Amount field to open the Vehicle Sales Vehicle Information window.

<Click> on the Vehicle hyperlink to open the Build & Price window.

Select Vehicle, Year and Model.

Adding a Customer’s Vehicle through the Customer Prospect Window Inputting the customer’s vehicle information at the prospect stage streamlines the trade-in process. Once the

vehicle is “attached” to the customer, the trade-in is ready to be added to the ‘Vehicle Sale Worksheet’.

Use the following procedure to input a customer prospect vehicle for trade-in.

<Click> in the V.I.N. (Vehicle Identification Number) field and input the 17-digit V.I.N. Press <Tab>.

The VIN Translate Trim Display window will open.

Entering an Existing Vehicle for Trade-In If a repeat customer has bought or serviced their vehicle from the dealership, XSELLERATOR™ will have the

vehicle information on file. If the customer wishes to trade-in their existing vehicle for a newer vehicle, the

information is readily available and easily accessible.

In the Vehicle Sales Worksheet window.

<Click> in the Trade-In field and input the Trade-In Value.

<Double Click> in the Trade-In field to open the Vehicle Sales Trade-Ins window.

<Click> in the Vehicle ID field. The customer’s existing vehicles will be displayed in the drop-down.

Select the vehicle from the drop-down that the customer wishes to trade-in.

Press <Tab> to move from the Vehicle Id field and to make the drop-down disappear.

Input the Lien Amount and Lien Payee (If applicable).

1. Create 4 new Customer Prospects (choose the name of an existing customer from the Associate database).

2. Input the search criteria for a vehicle. Search the vehicle inventory and choose a vehicle to write-up a deal.

3. Create 4 Vehicle Sales.

4. Input a customer offer in the Sales Amount (if the vehicle is missing an MSRP, enter an MSRP).

5. Input a cash down payment of $1,000 in the Worksheet.

6. Input a Trade-In Value in the Trade In fields.

7. Indicate the customer’s name and Sale ID# in the table below.
