Chapter Name

Finding library furniture projects is very similar to fi nding other school or commercial furniture projects. Schools will be purchasing library furniture as part of bond funding or directly from the general funding and in some rare cases from a parent/teacher organization.

Projects can be found via: • Construction Lead Services (such as CMD/Reed, Dodge, Builder’s Exchange, Onvia, and others) • Architecture/Design Organizations • State Government and School Websites • Advertisements in Local Media (such as the newspaper)

K-12 Library Furniture Projects: • In Construction bid packages under Casework package (either Division 11 or 12) • In furniture bid packages put together by Architect or Design organizations • In furniture bid packages by the purchasing or facilities offi ce within a particular school district • In non-bid situations via purchasing or facilities offi ce within a school district • Via State Contract (if applicable)

College/University and Public Library Furniture Projects: • In furniture bid packages put together by Architect or Design organizations • In non-bid situations via library director (this would occur on smaller sized projects) • Via State Contract (if applicable)

Table Projects: • In furniture bid packages put together by Architect or Design organizations • In furniture bid packages by the purchasing or facilities offi ce within a particular school district • In non-bid situations via purchasing or facilities offi ce within a school district • Via State Contract (if applicable)

How to Find Projects Introduction

How to Sell Projects

The typical library project will have the following processes; • Initial meeting with customer • Proposed design/specifi cations (if not done by architect) • Make Revisions/Corrections • Project goes out to bid/quote* (if necessary) • Project is awarded • Select fi nishes if not already selected • Visit Site to make fi eld measurements • Make appropriate changes prior to manufacturing based on fi eld measurements • Installation of project • Walk through the project and create a punch list of items to complete (if necessary) • Install/Complete any punch list items

Please note that fi eld measuring is very crucial and will allow you to recognize and correct any potential problems such as window sill heights being too short, wall lengths being too short, electrical and thermostat locations are different than originally planned for, etc. This will save your organization and your customer time, money and headaches. The project should be completed as seamless as possible so that your customer is pleased.

Typical Library Project Breakdown

For library furniture, typically the librarian, as well as the principal, will be making some decisions but may not be the fi nal decision maker. It will be important to have a relationship with the librarian and principal.

If the library furniture is part of the construction phase or if the library furniture is packaged in an architectural bid for loose furnishings, than the architect or designer working on the project will most likely be decision maker. Typically the school will approve the recommendation of the architect or designer. Typically there will be a listing of approved manufacturers and the lowest approved bidder will be awarded the project. If the library furniture is part of a package derived from the district’s purchasing or facilities offi ce the purchasing agent for facilities manager will be the fi nal decision maker. Their will always be exceptions. Price may not be the fi nal decision maker. If purchasing agents are not familiar with the product of the low bid or if he/she has a favored product that is more expensive and has reason to qualify another package, than the low bidder may not receive the package.

When selling tables there may be a number of individuals that will be part of the decision making process. They include but are not limited to instructors, tech directors, principals, purchasing agents and superintendents. If the designer or architect is putting the package together it will still be worthwhile to contact the owner because they will have a say what products are selected.

Identifying the Decision Maker Introduction

In the K-12 market, typical products required for elementary school, middle school and high school level library projects will differ.

Elementary School • Perimeter is usually no higher than 60”, unless there are windows • Double Faced units are typically 42”high • Picture Book Shelving is typically desired in some portion of the library • Tables are typically 27”high • Seat height for chairs is typically 16”high • Circulation Desk height is typically no higher than 32”high • Design is usually bright in terms of fi nish selections • Typically uses Bookmark and “Non-Detailed” Products • Some Computers will be located within the media center

Middle School • Perimeter ranges from 60-84”high, unless there are windows • Double Faced units range from 42-48”high and some are typically mobile • Tables are typically 29”high • Seat Heights are typically 18”high • Projects tend to have some design fl air • Some projects will include lounge areas • There will be increase in the number of computer used in the media center, possibly enough for one class High School • Perimeter is typically 72-90”high, unless there are windows • Double faced units can range from 48”-90”high, lower shelving is typically mobile • Tables are typically 29”high • Seat Heights are typically 18”high • Projects tend to have more design fl air and there is typically more money available • There will be a number of computers used in the media center, most likely enough for one class. A number

of times there will be a computer lab off the library dedicated for library use. • Most projects will include lounge areas

College/University and Public Library • Shelving will almost always be cantilevered steel shelving with wood end panels and canopy tops (canopy

tops can also be steel) • Typically there will be “non-standard” designs. The owners will want to have a “unique” library and will

want it to be tailored to their taste • Smaller projects will tend to be traditional, whereas larger projects will tend to be contemporary • Projects will typically be bid complete, however in some circumstances the desks, end panels and canopy

tops will be bid as a millwork package and the “loose” furniture will be bid separately.

Getting Started Project Pointers

Before you arrive the “Customer” has determined a ‘vision’ for the library. Whether new school construction or renovation, the role of the library has been determined through the development of educational specifi cations. It is our job to help select the furnishings that will compliment the plan, and that requires asking a lot of questions to make sure we both understand and support the goal.

Today’s Library Challenges • Changing role of library in schools: new name, new focus • Fewer print materials and more on-line resources • Collaborative spaces • Integration of technology • Limited funding • Smaller space allocation

Traditional Functional Areas • Circulation and service areas • Collection (books) • Independent reading and study • Storage • Storytelling • Work space for staff

Updated Spaces • Computer workstations and labs • Instructional areas • Group activity areas • Teacher meeting and work areas • Area for student displays and exhibits • Social settings • Business meetings

Questions to Ask • What are the dimensions of the library and is a blueprint/CAD drawing available? • How many students will be attending the school now and at capacity? • What grade levels will utilize the library? • How many classes need to be accommodated in the library at one time and do they need designated areas?

Is the library used as a study hall? • Are staff and other meetings held in the library? • Other than ADA requirements, are there other special needs for the library? • Have they visited other libraries to get ideas? • What do they like, and not like, about their current situation? Are there educational mandates that will alter

the content and focus of the library?

The Library Planning Questionnaire is an important tool for this step of a project.

Shelving, usually referred to as ‘bookstacks’ or ‘stacks’ by librarians, come in two basic types;

Pin-style • construction all wood, wood with steel shelves or steel frame style (31-Series) • variety of shelf styles includes wood, steel, picture book, multi-media or periodical display • optional book supports - clip on back of steel shelves • mobile units - provide fl exibilityCantilever • shelves are easy to adjust in 1” increments • thin line shelves ¾” thick • many heights up to 90” high • many shelving depths • extensive line of accessories • canopy tops and end panels optional

Shelving Design Tips • Arrange the collection into defi ned areas for Reference, Fiction, Non-Fiction, Periodicals and special items

(short stories, foreign language, readers, etc.) • Consider the fl ow: books must be logically arranged. • Minimum aisle space is 36” with 42” recommended by ADA. • Consider sight lines and supervision • Include seating in the stacks to avoid fl oor sitting • Be wary of actual versus nominal dimensions. There is sometimes a big difference. This includes heights as

well as depths. Check actual product dimensions especially if you are installing below window sills or in tight corners.

• Review lighting plans to ensure that aisles are properly illuminated especially in tall stacks.

Questions to Ask • How many volumes are in the current collection? • At student capacity, how many volumes will need to be housed? (Note that most states require a minimum

of 10 books per student.) • What depth shelving works best for the collection: 10” or 12”? • Will paperbacks be stored with the collection or in spinners or separate shelving? • What is the bookcase preference: all wood, steel shelves, laminate top, wood backs? • What additional media types will be stored in the library? Any security requirements? • Is there need to differentiate age levels? • How is the library supporting curriculum?

Shelving Tips Project Pointers

The Bookstack Planning Guide contains more helpful information to consider. A copy can be found in the Reference section of this guide.

Page 8: Sales Training Guide - mediatechnologies€¦ · Custom chairs and nesting tables with custom curved bookcase and 3-form panel detail. 3 ... It is our job to help select the furnishings

6

Reference Design Tips• Reference books are oversized and need a minimun of 12” between shelves

• Select 48”H shelving for best fi t and ease of use • Sloped reading tops facilitate shelving use • Tables and seating should be close to books • Atlas and dictionary stands fi t well in this area • Since considerable research is done in reference, computer workstations or laptop computers may be

available to students

Questions to Ask • How will students use the reference area? • Should it be adjacent to non-fi ction? • Are Readers Guides utilized? • How many encyclopedia sets are used? • Are electronic resources used more than books? • How many computers are needed? • Does the librarian require a separate reference desk on the fl oor?

Reference Area Tips

Periodicals Area Tips

General Shelving Information Project Pointers

General Information • Shelving section width 3 feet • Shelving depths 10” Standard 12” (Typical) Reference and Picture Books 15” Multimedia, Specialty, Periodicals • Shelving capacity estimates (approximately 3/4 full) Nonfi ction 8 books/linear ft. Circulation Desk Tips Project Pointers

Circulation Design Tips • Desk height should be designed to accommodate student size • Allow at least 6 ft. of clear space in front of the circ. desk for traffi c • Allow space for book trucks and copiers nearby • Make sure sight lines allow for adequate supervision of students • Include at least one book drop in the desk preferable near the library entrance • Watch placement of computers as they can interact with security systems

Questions to Ask • What functions will be serviced from the desk? • How many people will work at the station? • Will the librarian have a separate offi ce? • How many computers? Other equipment? • Will there be self-check out stations? • Identify all equipment to be housed; determine electrical and data requirements.

Study Area Tips

Study Area Design Tips • It is recommended that seating capacity of a school library range from 12 to 30 percent of student enrollment • Rule of thumb; an elementary school library should accommodate at least one and a half classes and a high

school library sould accommodate three classes • Provide a variety of table sizes for differing study needs. Round talbes invite conversation; square tables are

easy to reconfi gure and provide a good use of space • Allow at least fi ve feet between tables • Avoid placing seat backs along heavily used traffi c lanes • Computer workstations should be a minimum of 36” wide with 42” or 48” preferable

Questions to Ask • How many students will be seated in the library at one time? • What is the preference for shape and size? • In a multi-grade environment does the library require two seating heights? • Should chairs be upholstered or all wood? Side or with arms? Sled base or Post leg? • What supervision is require3d for computer stations?

Recommended Chair and Table Heights • Chair seat height • K-Grade 2 14” • Grades 3-4 16” • Grades 5-6 18” • Grades 7 and up 18” • Table Heights • K-Grade 2 25” • Grades 3-4 27” • Grades 5-12 29” • Computer workstation 27” - 29” • Computer, stand-up height 39” • Wheelchair accessible, adult 28” - 34” • Wheelchair accessible, K-Grade 5 26” - 29”

8

Study Area Tips Project Pointers

More Table Tips • Stretchers or aprons add strength to tables (Stretchers used on tables 60” and longer) • Aprons reduce the clearance space under the tabletop; dimensions may need to be adjusted to allow

suffi cient leg clearance • Tables without aprons or atretchers are more accessible to users in wheelchairs • The barrel and bolt joinery is the best quality • Metal to metal connections offer the most strength • Wheels, or casters, can be added to tables that need to move regularly • If budget is a concern, look at standard utility tables such as SST in upgraded fi nishes

Display Area Tips

Display Design Tips • Be aware that school libraries are also in the business of marketing books • Use entry areas to make a strong, positive and inviting statement • Use mobile shelving to create interesting feature areas or for new book displays • Recommend engaging displays for childrens’ areas

Questions to Ask • What does the library want to communicate to users? • Where will new books or feature items display? • What programs would a display item enhance? • Is there is Storytelling Area?

Technology Furniture Tips

Design Tips • Consider equipment fi rst. The type of computers, sizes of monitors and CPU’s will dictate the table sizes. • Computer workstations can integrate with the library furniture in style and fi nish.

Questions to Ask • Will there be dedicated OPAC stations? Stand up, sit down, in one area or distributed? • How many computer workstations for group work and for what size groups? • Will laptop computers be used in the library and in what setting? • What about projectors, projection screens and other audio/visual equipment?

Chapter Name

It is important for dealers to recognize product offerings that are unique to mediatechnologies® when specifying and selling library and table products. These unique products will give dealers the upper hand for projects that will be going out to bid and can help to create a “spec-lock”. These products include, but are not limited to;

Tables & Carrels (Library and Computer) • Charleston • Puzzle • Cirrus • WCT Tables (also with optional designer detail on wood end panels) • Trix • Malibu (both Wood and Metal frames) • OTZ • Radius

Circulation Desk • Malibu • Keystone • Metro • Custom

Bookcases • 31 Series Shelving • Lexington • Malibu • Metro • Charleston • Puzzle • Custom Designed End Panel

For the best results try to mix up projects. For instance include the Cirrus tables for the computer tables, use the OTZ for the reading tables with a modifi ed desk and standard shelving. There is an infi nite amount of possibilities when designing and specifying a library. By steering your customer towards products that are unique, you will increase your chance for success.

When working on the design of a project, library or tables, it will be benefi cial for your organization to register projects. mediatechnologies® is an non-exclusive line, although we do not consider this brand to be an open line. Project registration allows us to protect the organization who is working a project. Once a dealer has made contact with a potential customer, the Project Registration Form should be fi lled out and faxed to our main offi ce at 231-861-6678. A copy of this form can be found in the Reference section of this guide and there is a link to the pdf fi le on our website.

mediatechnologies® Diverse Shelving Lines

mediatechnologies® has the broadest group of shelving lines in the market. We offer our Contract line (Bookmark), which includes all Designer lines from Metro to Puzzle designs). The Contract line is our architectural construction and is further described in our Manufacturer Product Comparison chart in this booklet, as well as in our Specifi cation Book.

The next product offering is our 31 Series. This construction is able to compete against Bretford’s Legacy line. No other manufacturer has a line that meets and exceeds the design and specifi cations of the Legacy shelving line. This product line combines wood and metal for a contemporary look. End panels can be detailed to designer lines in a similar fashion as the Contract line.

The third shelving option is our Benchmark™ line. This line is our value-engineered line that can match up with product lines such as Texwood and other “Moderate Grade” product lines (further described in our Manufacturer Product Comparison chart in this booklet). The construction basically varies from our Contract line in our base and top connections to the end panels. This line also has limitations that the Contract line does not have. Bookcases are NOT fi eld-modifi able and the product offering is NOT customizable.

These three types of construction allow you to provide your customer with several options without having to change product lines or limiting their choices. We provide you with the tools to meet all of your customers needs.

There are several library furniture manufacturers throughout the United States. They can be grouped into the following categories:

Contract Grade • Agati (National, typically only public library) • Brodart (National) • mediatechnologies® Contract (Semi-National) • Palmieri (Semi-National) • Worden (National)Moderate Grade • Blanton & Moore (Jasper Library) (Semi-National) • Bretford (National) • Buckstaff (Semi-National) • KI (National) • Library Bureau (Regional) • mediatechnologies® Benchmark (Semi-National) • Paladin (Regional) • Russwood (Regional) • Tesco (Semi-National)Low Grade • Fleetwood (Semi-National) • Paragon (Semi-National) • Texwood (National)

Special Considerations about Competitors’ Products:

• We are priced competitively against all manufacturers listed in the Contract and Moderate Grade groups.

• Manufacturers in the Contract group have the ability to use multiple wood species and architectural materials and can manufacture almost any design. Our advantage is typically price and fl exibility on custom projects.

• Manufacturers in the Moderate group will have are harder time bidding on custom projects and may get hung up with special wood species and other architectural materials. These manufacturers will typically be less expensive on standard products so by adding a custom detail or upgraded product, your ability to be more competitive will greatly increase.

• Another trick of the trade is to offer voluntary alternates. For instance, when computer carrels are specifi ed use our WCT table with wood end panels. Your customer will receive the same functionality and save about 40%. Another idea would be to offer a deduct on projects where continuous canopy tops are specifi ed. Typically canopy tops will add about 10% to the bookcase cost. Canopy tops are merely decorative and are not necessary on wood shelving units.

• Out of the groupings listed above Bretford and mediatechnologies are the only companies that offer a “hybrid” bookcase consisting of wood end panels and tops with steel shelves and center frame support. Our 31 Series is able to bid as equal against Bretford’s Legacy series and we tend to be 10-15% less on projects. We also have the ability to customize end panels, whereas Bretford does not. Another thing to note is that no other manufacturers can bid against these product lines as equals.

See Competitors’ Specifi cation Comparison Chart in the Reference section for more details.

Portfolio

The portfolio is a great to use when initially meeting with customers to design a library. The portfolio was created to be used as an idea book reviewing all standard product lines, as well as custom projects mediatechnologies® has completed in the past. Quite often the custom projects will get the owner thinking and will come up with a custom design that will help you be viewed as the expert and give you the edge. This is also a great tool to use when meeting after a bid. In most cases the owner will request a post bid meeting and the portfolio will give the owner comfort in knowing that they will be happy with selecting your organization.

Library Planning Questionnaire

The Library Planning Questionnaire allows you to get the necessary information to help plan and design the library space. This again will increase your customer’s comfort level. A copy of the form is in the Reference section of this guide.

Your customers will want to make the library custom in one form or another. This can be as simple as adding a detail on bookcase end panels or as elaborate as a custom circulation desk, shelving and tables throughout the library. It will be likely that your customer has a few ideas of their own. Find out what these ideas may be and how you can incorporate them into the library. Another good idea is to tie in architectural details from the building such as carpet or paint patterns, building details or logos.

mediatechnologies® Sales Tools Making the Sale

For custom projects we can also generate full color renderings. Your customer wants to make sure that what they are getting is what they really want. If you can provide your customer with as much information as possible, your customer will feel comfortable with you and you will also limit the chance of providing the customer with something they do not want.

Drawings and Renderings

We can work with you to provide 2D and 3D drawings for your customers’ projects. Drawings would include the fl oor plan and any custom pieces. This will be an effective tool to allow your organization the opportunity to write the specifi cations and bid package, giving your organization the upper hand. We can also work with you to provide an equipment list for bidding purposes.

• Reference Area is the space allocated to look-up functions including card catalogs, both physical and computerized and periodical indexes. Few libraries still have the periodical reader guides (and index tables). Most all of these functions have been fully computerized.

• Periodicals Area is typically allocated to the current year’s magazines and journals. After one year these are usually relocated to a “back issues” area if kept at all.

• Lounge Seating is typically adjacent to the Periodicals area to allow for comfortable reading. • COM refers to “customer’s own materials” for use on chairs and lounge furniture. This is fabric that is

purchased by the customer and sent to the manufacturer for upholstery. • Display + Storage shelving allow for back issues to be stored behind display shelving. Since fewer back

issues are stored because resources are available on-line, this saves space and keeps the collection under control.

• Circulation Area refers to the area allocated to charging-out and returning materials borrowed. • Reserve materials and Ready Reference materials are housed at the circulation. • Study tables come in a variety of shapes and sizes including rectangular, round and trapezoid. Tabletops

are available in particleboard or veneer core with high pressure laminate (HPL) surfaces. Custom veneers and linoleum tops are also available.

• Study carrels provide some defi nition of space and privacy. • Technology carrels provide workspace delineation and accommodation for cords and cables as well as

computer peripherals. • Sled base chairs add stability and distribute weight more evenly. • 2-position chairs have a sled base with rocker position allowing students to lean back in the chair. • Slatwall end panels provide for hanging displays or signage on the end of shelving ranges. • A Kiosk is any type of small structure that can be used to display products or information. • Big Book, Atlas and Dictionary Stands provide storage for specialty items that are either frequently

referenced or hard to fi t on book shelves. • OPAC stations are online public access catalog computer stations. • Computer tables may vary in style and design but basically provide cord and cable management and

accommodate for computer peripherals. • Computer carrels provide some delineation of space for users and should typically be wider to

accommodate monitors and keyboards along with books and papers.

Laminate Products Care & Maintenance Reference

Cleaning Instructions

Regular Cleaning: • For everyday cleaning, wipe the surface with a clean, damp, nonabrasive cotton cloth or sponge. You may

use a mild liquid detergent or household cleaner. Rinse with clean water using a clean, nonabrasive cotton cloth. Wipe completely dry with a soft, clean, nonabrasive cotton cloth using a straight line motion.

• If residual streaks and smears remain after normal cleaning, use a mild glass cleaner and then dry with a clean, nonabrasive cotton cloth.

Stains: • Diffi cult stains such as coffee or tea can be removed using a mild household cleaner or detergent. A soft

bristled brush may be used if needed. Repeat as necessary. • Solvents such as denatured alcohol can also be used. Be sure to follow all directions and warnings on the

solvent label as many are extremely fl ammable. • For persistent stains use a paste of baking soda and water applied to the area to draw out the stain. Gentle

scrubbing with a soft bristled brush for 10 to 20 strokes should remove most stains. Although baking soda is a low abrasive, excessive scrubbing or exerting too much force could damage the decorative surface, especially if it has a gloss fi nish. Wipe up the paste with a clean, damp, nonabrasive cotton cloth and then rinse with clean water.

• Stubborn stains that resist any of the above cleaning methods may require the use of undiluted household bleach or nail polish remover. Apply the bleach or nail polish remover to the stain and let stand no longer than two minutes. Rinse thoroughly with warm water and wipe dry. This step may be repeated if the stain appears to be going away and the color of the laminate has not been affected. WARNING: Prolonged exposure of the laminate surface to bleach will cause discoloration.

• Periodic application of a self-cleaning wax can help minimize future staining. • Always rinse laminate surfaces after cleaning! If a small amount of cleaning solution remains on the

surface, moisture can reactivate it and result in permanently etched scars.

Special Care Tips

• Acidic or abrasive cleaners can damage laminate surfaces; do not use them to clean the surface. • Do not allow cleaners containing acid, alkali, or sodium hypochlorite such as drain cleaners, oven cleaners,

toilet bowl cleaners or rust removers to come into contact with the laminate surface. They contain lye and other harsh chemicals that can cause permanent damage. If spills occur, wipe up immediately, wash surface with soapy water and rinse several times with water.

• Do not use steel wool or other abrasive pads for cleaning. Do not store steel wool pads on the laminate surface; the metal can rust and leave stains.

• Hot pans or heat producing appliances, when set directly on the laminate, can mar the product’s surface. Always use a heat shield, hot pad, or trivet.

• Sharp knives can damage the surface of the laminate lowering the wear and stain resistance of the surface. Always use a cutting board if cutting directly on the surface.

• Keep your furniture out of direct sunlight. Prolonged exposure may cause the color to fade over time. Laminates will maintain their normal coloration in indoor use within acceptable limits.

Page 31: Sales Training Guide - mediatechnologies€¦ · Custom chairs and nesting tables with custom curved bookcase and 3-form panel detail. 3 ... It is our job to help select the furnishings

29

Cleaning Instructions

• For everyday cleaning, wipe the surface with a damp (not wet) cloth or sponge. It is important to wipe in the direction of the wood grain. Wipe dry with a clean, lint free cotton cloth.

• A mild glass cleaner can be used to clean the surface of your veneer furniture. This type of cleaner will not harm the fi nish and does not leave a residue. Apply cleaner to the surface and wipe in the direction of the wood grain. Wipe dry with a clean, lint free cotton cloth.

• To remove dirt and fi nger prints, a mild household cleaner may also be used.Dilute the cleaner as recommended by the manufacturer, dampen a soft cloth with the cleaning solution, and wipe in the direction of the wood grain. Wipe dry with a clean, lint free cotton cloth.

• For polishing, use a high quality liquid polish. Apply polish with a soft cloth as directed by the manufacturer. Always polish the unit in the direction of the wood grain.

• Avoid wax based furniture polish or cleaners. The wax and silicone in these products will leave a build up on the surface making it appear cloudy.

Special Care Tips

• Avoid cleaning products that contain oils or are ammonia based. • Keep furniture out of direct sunlight. • Use felt or leather pads and coasters to protect the surface from dents, scratches, and moisture from hot or

cold liquids. • Do not apply tapes or glues to the veneer as these can damage the surface. • Do not pull or slide objects across a veneered surface. To avoid scratching the surface when moving ob-

jects, lift the object up and gently set it back down. • Reposition any equipment and accessories periodically on the veneer surface to ensure even coloration as

the unit ages.

General Cleaning Tips

• Fabric and padding is absorbent. Do not use wet rags or sponges to clean upholstery. Use damp cloths or small amounts of fabric cleaning sprays.

• Use cotton rags or sponges to clean fabrics, never paper. Paper products will leave lint and often disintegrate into the fi bers of the fabric.
