ROSS COUNTY EXTENSION 4-H HOTLINE Important dates, deadlines, and details SEPT-OCT / 2019 Dear Ross County 4-H Families, Whew! I don’t know about you, but I feel like this year was a straight sprint. As with any fair there were great moments and not so great moments. Some things went well and then there are things we will work to improve. But, along the way our youth were learning and developing life skills. I would even say the adults did too! It takes a tremendous amount of work and dedication to make a fair happen. Thank you to all the 4-H volunteers, parents, grandparents, fair board members, buyers, and people that just step up to make it happen. In the quiet times, ask your kids about the favorite things and see it through their eyes. As we move forward, celebrate the things you did well and make a list of where you want to regroup and work to be better. Focus on some of the moments where people stretched outside of their comfort zones and grew and where they might actually need more coaching to be successful. Next year is rapidly approaching and we are already getting ready! **To gear up we need every club to submit their club contact info and meeting info on the online form so we can keep track of what clubs are active in the county and better connect new members. Dear Ross County 4-H Families,

Whew! I don’t know about you, but I feel like this

year was a straight sprint. As with any fair there were

Most Ohio 4-H’ers must pay for their project

books and entry in to their county fairs. The

generosity of local sponsors allows Ross

County 4-H’ers FREE entry into the Ross

County Fair.

QUALITY THANK YOU NOTESShould include the following components:

State the reason you are writing the note;

(i.e., for a gift or award).

Mention the occasion for the recognition of

the gift; (i.e., member’s 9th Jr. Fair).

Mention the gift specifically; (i.e.,

showmanship trophy, scholarship, pen and

pencil set)

Describe why the gift is important to you;

and share how you will utilize the award or

gift.

With special awards for 4-H or Junior Fair,

many people and organizations support the

program annually. If you can tell the sponsor

why this is important and what their

participation means it is also helpful and

encourages the sponsor to continue their

support.

If you received money, tell the giver how you

expect to use it. (i.e., Purchase an item

you’ve saved for like first car, reinvesting in

project, college, etc.)

Share any special, sentimental or unique

meaning which the gift may have or take-

away lessons from the experience

CLUB ACHIEVEMENT PACKETSHighlight your club members’ accomplishments and say

“Great Job” with the help of items from these awesome

recognition packets! Packets must be ordered by

September 15 and will be available for pick up

October 15. Note: Clubs that do not pick up their

ordered packets by November 1 will not be allowed to

order future packets. A $25.00 restocking fee will be

charged to the club.

Packets contain:

• 1, 5, 8, 10, 13, & 14 year member pins

• Honor Club Awards (if applicable)

NEXT YEAR’S PROJECTSAre your kids already thinking about what they might be

interested in exploring for next year? Do they have

feedback about this year’s project experience?

Encourage them to explore Ohio 4-H’s Project Central!

This website allows kids to share and rate their project

experiences. This can also be a great way for kids to

find out information about future projects before

ADVISOR BACKGROUND CHECKSLetters will be attached to any advisor’s enrollment form who will need to have a background

check completed during the 2019-2020 4-H year. Be sure to bring your receipt into the Extension

Office and we’ll forward it on to Columbus for reimbursement. The following is a list of advisors who

HOW DO I BECOME A

4-H ADVISOR?Adults interested in working with a club or in

starting a club of their own must first go through

the Ohio 4-H Volunteer Process. Ohio State

University Extension does not recognize “parent or

adult helpers” as approved volunteers in the

organization. All individuals who are interested in

volunteering through OSU Extension and working

with a member of a vulnerable population (minors,

elderly or age 65 & up, or individuals with disabilities)

must adhere to the selection procedures. All

individuals interested in becoming a 4-H advisor must

complete the following steps:

1. Acquire a Volunteer Application packet from the

Extension office – Sandy can email if you request

one! [email protected]

2. Read all the information, including: OSU-E

Volunteer Policy & Process Explanation Letter

from the State 4-H Youth Development office and

the Ross County 4-H Volunteer Job Description.

3. Complete, sign, and submit the following forms

in their entirety to the Extension office as soon

as possible: OSU-E Volunteer Application and

the OSU-E Volunteer Standards of Behavior

(keep one copy for yourself). January 15 is the

application deadline to be considered for this

coming program year.

4. Submit and successfully pass a BCI Criminal

Fingerprint Background Check. Cost will be

reimbursed by The Ohio State University. Stop

by the Extension to drop off your receipt and

sign a form in order to receive your

reimbursement.

5. Participate in a personal interview with the

Extension Educator and/or a team of 4-H

Volunteers. The Extension office will arrange the

interview for you.

6. Attend a 4-H Volunteer Orientation within 6

months of official approval as an advisor.

GAINING ORG ADVISOR

STATUS OR STARTING A

NEW CLUB If you are already an approved active advisor

and you are interested in starting a new club

or taking over the organizational advisor role

for an existing club – please understand you

must set up an appointment/interview with our

office to review your status and determine if

this role is suitable for you. This is not an

automatic assignment. The organizational

advisor role requires a different skill set that

we may not have considered in your initial

interview.

Please do not initiate meetings with new

members or take on activities of the club via

this role until you have received approval from

our office.

October-November is a great time to set up

these meetings with Katie (4-H Educator).

END-OF-YEAR TREASURY REQ.Your club financial reports for the calendar year January

1, 2019 thru December 31, 2019 must be submitted no

later than January 31, 2020. You will access these forms

online via this address

leaders/finances. Click “yearly club financial summary.”

When you get to this page there will be specific

instructions. Please carefully read the information as it will

assist you in filling out the form correctly. To submit the

form you will be asked for our county submission email

address, [email protected]. This e-mail is for financial

form submission ONLY! Clubs will not be allowed to re-

enroll for the new year until this report is filed. No report –

no club! If you have trouble accessing and filling out the

form you may submit a hard copy. Contact our office if

you find you need to do this. If you have trouble, USE

INTERNET EXPLORER

CLUB AUDIT LETTERSIf your club is one of the 20 clubs randomly selected for

audit, please complete required audit paperwork by

December 29, 2019. Audit information is being mailed out

to the club’s organizational advisor.

CLOVERBUD

SIDEKICKS CLUB

WHO: Ross County youth (4-H and

non-4-H welcome) who are 5-8

years old are encouraged to come

to the countywide Cloverbud Club

meetings!

WHAT: Fun themed meetings to get

our younger youth excited about

4-H and introduce them to creative

activities, enjoy making a healthy

snack, and go home with some

neat project they made! Parents do

not have to stay.

WHEN/WHERE: These meetings

will be held the 2nd Saturday of

every month during the school

year from 9 am – 11 am at the Ross

County Service Center. Come to

one or come to all! No mandatory

requirement.

JR. LEADERS ON THE MOVE!Teens age 14-18 are invited to participate in organized monthly activities that develop leadership,

citizenship, and community service skills and opportunities. The JL’s meet the 2nd Wednesday of

the month for fun, social, and community service activities. They learn to plan events, serve others,

work together, and have a blast! They also get to help run some of the 4-H events throughout the

year, just show up at the next meeting on September 11 at 7:00 pm at Yoctangee Park.

KROGER $$ FOR 4-HA portion of every purchase will go to the Ross County 4-H program! Enrollment is very easy! Over

$301.91 was received last quarter from just 56 families enrollment! Please help by setting up

ROSS COUNTY SHOOTING SPORTSYouth interested in shooting sports are encouraged to take

one of the numerous projects we offer: ARCHERY,

HUNTING AND WILDLIFE, LIVING HISTORY,

MUZZLE LOADING, PISTOL, RIFLE, SHOTGUN, ETC.

Youth taking shooting sport projects attend regular club

meetings and activities with their own club. If taking a 700

Level project, they must also attend special instruction times with certified Ohio 4-H Shooting

Sports Instructors. Most shooting sports projects do require instruction time with certified Shooting

Sports Instructors and the schedule will be coming out in the late Fall for when each discipline

training will be offered and who will be the instructor. Additionally, there currently is a steel pistol

shooting team and there is interest in starting a youth steel rifle shooting team for competitive

shooting. That being said, any participation in one of the competitive shooting teams is in addition to

other 4-H obligations (meetings, community service, projects, etc.). If you have an interest in getting

more involved as a discipline instructor or shooting sports youth exhibitor please contact Katie

4-H CAMP DATES6/11-14- Junior Camp- $130 if attend Camper Roundup, $150 after that – completed grades 6-9

6/20- Cloverbud Camp - $40 – 5 and in Kindergarten – 8 years old

6/26-29- Senior Camp- $130 if attend Camper Roundup, $150 after that – completed grades 3-5

7/5-6- Teen Camp- $50 – completed grades 9 -12

CARVING NEW IDEASCamping opportunity at CAMP OHIO 4-H CAMP that concentrates on the principles of critical

thinking and program facilitation. CNI is open to all 4-H members currently in 8-12 grade.

Neat to meet people from all over Ohio– Nov 15 evening – Nov 17 morning. Cost is $65

JR. FAIR BOARD APPLICATIONS DUE SEPT 3 BY 4:30 PM. •The Ross County Junior Fair Board is comprised of members representing

5 county youth organizations (must have current, active youth group):

4-H, FCCLA, FFA, Boy Scouts, and Girl Scouts

•Members must be 14 - 18 years old by January 1 of the current year.

•Members must be in 9th – 12th grade with the full term falling within your high school years.

•Members will serve one (1) year term.
