LoyolaUniversityChicagostaffstartedusingRMSin2007.In2015theDepartmentofResidenceLifeupgradedtoMercuryandbeganmakingheavyuseoftemplates.
Bythe2017-2018Fallsemester,theteamupdatedtothelatestMercuryoffering,Mercury3.
AccordingtoMarjenka,Mercury3hasofferedmanybenefits,includingsettingupthehousingschedule,communicatinginformationtostudentsandconfiguringavailabilityontemplates.
“We’reusingtheMercury3schedulefunctionforthefirsttimethisyear,anditisphenomenal!”saidMarjenka.

MultipleVacancyViewersPreviously, Loyolawasmakinguseoftworoomselectiontemplatesthatstudentscoulduse:onetemplatethathada‘fillallbeds’requirementforroomsandonethatdidn’thavearequirement. However, theyhadoneVacancyViewerthatcoveredboth templates,whichtended tocauseconfusion forstudents.ThisyeartheDepartmentofResidenceLifeopted tocreateaseparateVacancyViewerforeachtemplatetobetterdemonstratetostudentswhatspaceswereactuallyavailabletothem.
NamedRoommateGroupsTheteamatLoyolaalsoimplementednamedroommategroupstohelpeliminatestudentconfusion.Withenteringanamedroommategroupasastepinaccessingthe‘fillallbeds’VacancyViewer,staffwereabletopreventstudents thatweren’tpartofapre-definedgroup fromaccessingthewrongVacancyViewer.Movingforward,theResidenceLifedepartment isconsideringmakingitarequirementforstudentstoformtheirgroupsbeforemakingtheirroomselectionstofurtherstreamlinetheprocessofwhentoreleaseroomsforselection.

WiththeVacancyViewerstudentscangetasenseofwhatmightbeavailableprior totheir selectiontimesothattheycanchangetheirroomselectionstrategyifnecessary.

ReduceManualUpdatesWithout theupdatesinMercury3,Loyolawassettingup theroomselectionlotterywithacumbersomemanualprocess.First,staffwouldcreatethe roomselectionschedule, thentheywouldexport thelotterynumbers toaspreadsheet,andfinally,theywouldimportthosenumbersbackintothehousingapplicationstatuspage.
Thehousingassignmentcoordinatorsreported latenightswhenupdating thespreadsheetwithlotterydatesandtimesandsignificanttimespentifanindividualstudent’s lotterynumberwaschanged.
WiththefullfeaturesetofMercury 3,Marjenka wasabletoemployamergetokensothatthestudentscouldseetheircorrect informationinreal-timewithoutrequiringadditionalimport stepsfromstaff.

Themergefunctionalityallowsstudentsawaytoseereal-timedata- includinglotteryselectioninformation– ontheirapplicationportals.

SENDREMINDERSUSINGFILTERSMarjenka recallsthecumbersome lotterycommunicationprocessofyears’past.Beforehecouldcommunicatetostudents,he’d firstneedtopullreportson thegroupsheneeded toreach,forexample,thosestudentswhoseselectiontimeswerecomingupbuthadn’tyetmadeaselection.
Thisyear, theResidenceLifestaffcreatedafewfiltersto identify thisstudentgroupandcreatedbatchcorrespondence tosendthemareminder.Theyenhanced eachemailbymergingin theindividual’s selectiondate.
Thesameadvancedfiltersandprocesscouldalsoalertthese studentswhentheselection processwouldbeclosing.
Notonlyisthisfeaturevaluabletolotteryselectionreminders,butwiththecommunicationcapabilitiesofMercury3,changestoindividualstudent’slotteryinformationtookamere30secondstocommunicateversustheprevious5minutesperstudent.
