Handle all logistics for the Executive and Board Meetings. Be receptionist for the executive and do gatekeeping duties such as the
executive’s mail, telephone inquiries and visitors. Make travel arrangements (prepare Itineraries; Per Diems; Hotel
accommodations; vehicle rentals, etc.) register Executive / staff members as needed for out of town seminars.
Assist other departments as needed. Assure that the department is following Housing & Urban Development
(HUD) Regulations that pertain to Board members. Assure that Board Meetings are following the Open Meetings Act Law. Keep abreast of Governmental Laws. Assist in planning Special Events for staff/ public. Maintain & secure sensitive information (Social Security Numbers,

Job Duties and Responsibilities
Performed administrative functions requiring considerable discretion, confidentiality and specialized knowledge and reports on status of timely submission of housing related financial and statistical information. Prepared reserve for replacement reports and submitted to Housing and Urban Development (HUD) in a timely manner to assure reimbursement is
received for all properties. Assisted in submitting the Housing renewal contracts. Operated basic office machines such as calculator, computer, word processing and data entry, fax machine, and agency copier. Maintained the Housing department filing system for all properties, searched files for any
information requested, assemble information and compile statistics. Compiled, prepared and scrutinized housing departmental payroll and purchase orders and
submits for processing. Assured all housing expenditures were properly classified independently in the absence of
specific instructions or supervision. Prioritized workload effectively and assisted the public by telephone or in person with
questions in reference to housing related issues. Required to keep abreast of Housing and Urban Development (HUD) Policies and
