Formatting the Report

Titles, sections, paragraphs and numbering needed because:-

It divides your work up into logical sections – makes it easier to follow

A content page provides reference point, by headings for reader to find what he wants

It is easy to cross reference by referring to paragraphs e.g. ‘further clarification is given on this point (paragraph 2.1)’

Planning can be carried out by constructing an outline from headings

Wording should be succinct and to the point e.g. ‘The committee took into consideration the

adoption of the proposal’. Versus. ‘The committee considered adopting the

proposal’.

Use appropriate language

If you have to include jargon ensure that you explain it Be precise – avoid ‘may’, ‘perhaps’ when describing

findings Keep your sentences short Abbreviations should be written out in full at first use

e.g Data Flow Diagrams (DFD’s) Avoid using 1st person singular e.g. ‘I can see’ use ‘it was

seen’

With reference to both, generate a skeleton for your report: Produce a set of major headings of topics, under each major

heading a set of sub-headings, etc. Once you have done this start writing short description, a few

words about what to be covered under each heading / section and under each sub-heading / sub section.
