Teachers of grades Primary to Six create the report card by entering Learner Profile comments and values in
for social development/work habits, subject/strand grades and academic comments into the gradebook.
Depending on the grade and subject, different values must be entered into the Gradebook.

1 ENTERING VALUES INTO THE GRADEBOOK
1. In the Gradebook, select the year or term from the Classes section and the correct Reporting Term for the report card being generated. If the wrong year or

reporting term is selected then the values you enter in the Gradebook will not be displayed on the report card.
2. Click the Scoresheet tab.
3. Click the Final Grades tab. A series of columns are displayed.
ENTERING THE LEARNER PROFILE COMMENT AS THE HOMEROOM TEACHER
Under the Classes section, click on the Homeroom Attendance Only AM PR to 6 class. Enter the Learner Profile comment (up to 450 characters) in the first column: Learner Profile. See Section 4 on How the Score Inspector Works or Section 5 on how to manually input
comments and grades.
After a comment is entered a small blue C is displayed in the Learner Profile Comment column.
ENTERING THE SOCIAL DEVELOPMENT/WORK HABITS VALUES
After a comment has been made for the Learner Profile, the next series of columns contain the Social Development/Work Habits items of the Learner Profile.
Right mouse click and scroll to Grades and select the appropriate code for each student. To use the Score Inspector, please see Section 3 on how to use the Score Inspector or Section 4 on manual input.
The Learner Profile codes are as follows: (Note that the codes appear abbreviated in the Gradebook but will display using the full wording on the report card)

ENTERING SUBJECT COMMENTS AND GRADES FOR INTEGRATED LANGUAGE ARTS
/ LANGUAGE ART STRANDS
Under the Classes section, click on the Integrated Language Arts class for P-3 or Language Arts Class for 4-6.
The first column is for the Comment for the subject. Right mouse click in the column in line with the first student to bring up the Comment
Inspector, enter your comment, See Section 3 on How the Score Inspector Works or Section 4 for manual data entry.
After a comment is entered a small blue C is displayed in the Subject Comment column.
The columns following the Comment column (until you get to the Curriculum Outcome column) are the strands, enter the grades (A,B,C,D or INS) for each strand. See Section 3 on How the Score Inspector Works or Section 4 on Manually Entering Grades.

ENTERING GRADES FOR INTEGRATED MATHEMATICS/ MATHEMATICS
Under the Classes section, click on Integrated Mathematics for P-3 or Mathematics for 4-6. The first column is for the overall letter grade for the subject. Select the appropriate grade

ENTERING GRADES AND COMMENTS FOR MUSIC AND PHYSICAL EDUCATION
Music and Physical Education Teachers will enter the Learner Profile Comments, the subject
comment and grades under the corresponding columns for their respective courses.

1.6.1 ENTERING GRADES FOR REMAINING COURSES
Teachers of grades P-3 do not add grades or comments for any subjects other than Integrated Language
Arts, Integrated Mathematics, Music and Physical Education.
Teachers in grades 4-6 enter grades and comments for all subjects. The first column in the subject area is for
the grade, followed by the subject academic comment. (Note: Letter grades are used for Mathematics and
Language Arts; the Developmental Scale is used for all other subjects).

2 NOTICE OF COMPLETION
When comments and grades for all students are complete for every class, including the Homeroom class,
click on the box that displays the term in progress.
In the window Final Grade Completion Status, check the box to indicate that all final grades are entered. Enter any comments (for Administration only) and click OK. The box will then display Grades Complete for the selected term.
3 HOW THE COMMENT AND SCORE INSPECTOR WORKS
Please see Section 5 for important information on Comments
The Comment and Score Inspector is a tool that allows easy navigation between students and
columns. You are able to move from student to student by using the down arrows or move between columns using the left and right arrows. Depending on the tab you are in, the Inspector will enable teachers to toggle between students in the class or across columns for one student at a time to enter a comment and a score.
• To access the Comment and Score Inspector right click next to the students’ name while in the Comment column or the Grade column for either the Learner Profile or the subject areas for a course.
• Select Show Comment Inspector.

3.1 NAVIGATION IN THE COMMENT AND SCORE INSPECTOR
To move from one column to the next use the right and left set of
arrows in the Inspector; to move between students use the up and
down arrows.
For example, you can either choose to stay within one column and
move between students by clicking the up and down arrows, such
as entering comments for each student in the class; or you can
move between the columns for one student to enter the comment
and grade by clicking on the left and right arrows to move across
the Grade and Comment columns for that student.
When the Comment Inspector changes to the Score Inspector
there are two more navigation arrows. These arrows will allow you
to scroll through the grade values. The highlighted grade is the one that will be the grade
assigned to the student. Use the column or student arrows to move to the next column
or student. Or you can select the grade from the list presented in the Inspector box.
Each time you navigate away from the Scoresheet page you will be asked if you wish to
save your changes.
4 MANUALLY ENTERING GRADES
If you choose NOT to use the score inspector to enter the comments or grades, follow
these steps:
4.1 COMMENTS FOR THE LEARNER PROFILE
1. Select the Homeroom Attendance AM for PR to 3 or for Grades 4-6 select Homeroom
Attendance AM.
2. Right mouse click in the Learner Profile column in line with the first student, select Show
Comment Inspector, enter or select your comment and click Close.
3. Move down to the next student and enter the comment, continue until all the students in the class
are complete.
4.2 COMMENTS FOR SOCIAL DEVELOPMENT/WORK HABITS
1. Select the first Social Development/Work Habits column in the Learner Profile.
2. Right mouse click, scroll down to Grades and select the code applicable to that student.
3. You can then move to the next column to the right OR move down to the next student and select
the grade for the same Development/Work Habits.
4. Continue until all the Development/Work Habits for all students are complete.

5 COMMENTS
The approximate number of characters that will be displayed on the report cards for the comments are:

Make no te of the comment character count underneath the Comment box. The number
of characters available decrease as you start entering a comment. When there are no more characters left an error message is displayed stating the number of characters have exceeded the limit. When using existing comments that exceed the character count limit, a warning message is displayed underneath the comment stating how many characters have exceeded the limit. Characters that exceed the character count limit will not be displayed on the report card.
When writing comments you may use either Start Text or Start Pronouns. (Please see Table 6.1 and 6.2 for a listing). Start Text is converted directly in the gradebook and will provide accurate character counts for comments. However, Smart Pronouns are not converted in the gradebook and are only translated within the coding and printing of the report card. As a result, Smart Pronouns will not provide accurate character counts in the gradebook.

Be aware of the length of your comments because the counter may not be a definitive
number of actual characters that are printed on the report cards depending on the smart
pronouns used in the comment. (i.e. Using the Smart Pronoun ~(he/she) will use 9 characters
in your comment box but will only use either 2 or 3 characters when the comment actually prints
within the report card).
Please note that all existing smart pronouns will still work. You may continue to use the existing functionality or you can use the new functionality.
Benefits of using the new smart text are:
• Presentation and storing of the actual text so that you have more accurate character counts.
• This new feature can be used by all teachers in all grade levels.
