PARKING

Complimentary self-parking is available on-site.

GUEST COUNT

Your final guarantee of attendance is due 72 business hours

prior to the event. At that point, it is possible to increase

the guest count number but not reduce the number

below your final guaranteed count. If guests exceed the

guarantee, appropriate charges will be incurred.

SERVICE CHARGE AND SALES TAX

A 24% taxable service charge and applicable taxes will be

added to all food and beverage charges as well as any audiovisual

equipment charges and function room set-up/rental fees.

MENU TASTING

Once a contract is signed, we will be delighted to

set a time for a menu tasting. Please consult your

RENAISSANCE SIGNATURE DETAILS


FOOD & BEVERAGE POLICIESAll food must be purchased and served by the hotel. The hotelprohibits any food product to be brought onto or removed fromthe premises. In accordance with North Carolina Liquor Laws, no alcoholic beverages may be brought onto the hotel property by patrons or their guests. A 24% taxable service charge and applicable sales tax, currently 8.25%, will be added to all food & beverage, rental and audio visual charges. Prices are subject to change with market fluctuations and may beconfirmed 90 days prior to your function.

DEPOSITS & GUARANTEED ATTENDANCEA non‐refundable deposit is required to reserve our functionrooms. This deposit is based on 25% of the estimated balance.The amount of the deposit will be determined by the nature ofyour event, function date and space required. The remainingdeposits will be outlined in the contract. The guaranteedattendance of your function must be communicated to yourWedding Planner no later than 11:00AM, three (3) business daysprior to the event. Otherwise, your original number expected oractual number of attendees, whichever is greater, will be usedfor billing. Buffets are designed to remain open for one and a half hours.

FUNCTION SPACE ALLOTMENTThe hotel reserves the right to reassign the room should any changein attendance or type of function occur prior to the time ofyour event. The hotel may assign suitable charges for anyextraordinary room setups, electrical requirements and/orsubstantial room set changes from the original signedBanquet Event Order within 24 hours of the function.Masking tape is the only permissible method of attachingsignage to function room walls or public space areas. Othermethods such as pins, tacks, and/or adhesive materials, maynot be used. Any signs, decorations or other itemsdisplayed must be of professional quality and have priorapproval of your Wedding Planner. The hotel may assesscharges for decorations, banners, dance floor, risers, orother equipment not contained within the equipmentinventory. Additional charges will be assessed if greaterthan reasonable cleanup is required after your function.

LOSS PREVENTIONThe hotel is not responsible for any items left in anymeeting rooms before, during or after any function.

BILLINGYour wedding coordinator will provide you an estimate ofcharges (7) business days prior to your special day minusyour deposits. This estimate will need to be paid in full 7business days prior.

PARKINGComplimentary Self-Parking is available

BANQUET CHECKSThe function sponsor or authorized representative agreesthat by signing the guest check for services rendered at theend of the event, there is no dispute over such services andthe sponsor is solely responsible for the payment of thetotal amount due.

LABOR CHARGESA $100.00 bartender fee will be applicable for each bar andwill cover four hours of service. For cash and hosted bars, ifbars do not exceed $300.00, an additional charge of $30.00per hour will apply. Carvers or station attendants are available at a $100.00 fee, (2 Hour Minimum).

SECURITYThe hotel may require security officers for certain events.Only hotel approved security firms may be used.List available upon request.

DECORATIONSAll decorations must meet with the approval of the CharlotteFire Department, i.e. smoke machine, candles, etc. All taperedcandles must be covered by hurricane glasses. The hotel willnot permit the affixing of any items to the walls or ceiling ofrooms unless written approval is given by the CateringDepartment.

ELECTRICAL CHARGESElectrical needs exceeding existing 120 volt/20amp wall plugservice must be arranged in advance and will be chargedaccordingly. Additionally, installing/labor charges and rental of necessary equipment will be accessed. All equipment must have UL listing. Information outlining power capabilities as wellas appropriate engineering charges is available through your catering contact. All bands and DJ’s require electrical charges for power. All power requirements will be ordered and priced through your event manager.

SIGNAGEIn order to maintain the ambiance of the hotel, all signs must beprofessionally printed; no handwritten signs are allowed.

AUDIO VISUALA complete line of audio visual aids are available through our inhouseaudio visual. Your catering manager can arrange equipment suited to your needs. All audio visual has a 23% service charge and 8.25% tax.

BELLSTAND DELIVERIESA $3.00 per room charge will be applied for deliveries.(subject to change)

GUEST PACKAGESThe Hotel will not accept packages more than three days prior toyour function date and notification of deliveries must be inwriting. Shipments must include: group name, yourrepresentatives name, return address and date of function. TheHotel will not assume any responsibility for the damage or lossof merchandise sent to the Hotel for storage. Handling chargeswill be accessed based on volume.

HOTEL SHUTTLEComplimentary hotel shuttle to/from hotel to Charlotte Douglas International Airport is available 6am to 12am, every half hour.Guests must call 704-357-1414 and ask for pick up. Pick up is outsideof Baggage Claim, Zone D.
