Welcome to Minfos 3.11.2 This document provides an overview of the enhancements and support issue fixes in this Minfos release.
Highlights of this release:
Track when a customer note was written and by whom, with new date-stamped notes.
Dispense non-compounded extemporaneous items from an NRMC.
Robotics enhancements make dispensing from the robot easier and more efficient for
Gollmann, Rowa and RoboPharma users!
How to update Minfos
1. At any point in the day, download the latest Minfos software.
a. On the Minfos Launch Pad, click the File menu, then click Minfos Net Terminal.
The Minfos Net Terminal window is displayed.
b. Click the Connect menu, then click 1. Internet. The Online Menu is displayed.
c. Check the 1 New Minfos Software check box, then click Okay.
2. When you’re finished trading for the day, ensure there are zero connections to your Minfos server.
Your Minfos software will update automatically, overnight.
3. Check that your Minfos software successfully updated. On the Minfos Launch Pad, click the Help
menu, then click About Minfos Software.
The About Minfos Software window is displayed, and shows your current Minfos version in the
Applications Versions box.
If our support team has migrated your store to the tandem ESE or the ESE-only database, you can still
update Minfos as you normally would.

Enhancements This section provides details about enhancements in this release.
Pharmacists and dispense techs: New date-stamped notes let
you track when a customer note was written and who wrote it
Do you want complete visibility of when a customer note was written, and by whom? You can now add a
date-stamped note to a customer’s record! The note is displayed with the time and date that it was written
and the name of the pharmacist who wrote it.
You can add an unlimited number of date-stamped notes to a customer; the notes are then sorted in the
customer’s record with the most-recent at the top.
Date-stamped notes are limited to 250 characters.
To add a date-stamped note to a selected customer:
1. In the Customer Maintenance window, select a customer, then press [F6]. The Customer Enquiry
window is displayed with the Details tab active.
2. Click the Notes tab. The Notes tab is displayed, and shows the new Date Stamped Notes text box.
3. Click Add Date Stamped Note. The Add Date Stamped Note window is displayed.
4. In the text box, enter the details of the note.
5. In the Pharmacist text box, enter your initials.
You cannot save the note without selecting a pharmacist.

6. Review the note, to make sure it contains all of the relevant information.
Date-stamped notes can’t be edited or deleted after they’ve been saved.
7. Click Save, to save the note to the customer.
The note is displayed in the Date Stamped Notes text box, and shows the date and time that the note
was written along with the name of the pharmacist who wrote it.
If the pharmacist does not have a name assigned to them in Minfos, their initials are displayed.
Check the Display Notes in Dispense check box, so that the notes are displayed when you’re
dispensing to the customer.
Pharmacists and dispense techs: Long drug names now print in
full on repeat forms
Long drug names now print over multiple lines on the repeat form, to ensure they always print in full and
can always be read by your pharmacy staff and customers.

Pharmacists and dispense techs: Family Safety Net report no
longer prints deceased patients that haven’t made Safety Net
contributions during the year
We’ve taken your concerns into consideration; now, to avoid upsetting customers, when a deceased
patient hasn’t made a Safety Net contribution during the year, the patient’s name is no longer printed on
the family Safety Net report, when the report is run for another family member.
If a deceased patient has made a Safety Net contribution during the year they will still appear on the
family report, but will no longer appear on reports for subsequent years.
However, when you run a Safety Net report—standard or family—for the deceased customer, and the
customer hasn’t made a contribution during the year, the deceased customer is still shown on the report.
Pharmacists and dispense techs: New scroll bar lets you view
and action all owing scripts for customers with lots of owings
If you have customers with lots of owing scripts then this enhancement will be useful for your pharmacy.
The new scroll bar on the Owing Script Enquiry window lets you view and action all of a customer’s owing
scripts, no matter how many they have.
We have also removed the Okay button. Now, to close the Owing Script Enquiry window, click Cancel.
Pharmacists and dispense techs: Re-submit prompt removed to
save you time when re-submitting a script
We’ve made re-submitting a script more efficient by removing the Re-Submit prompt, which asked if you
wanted to print a label for the script. This enhancement saves you an unnecessary step in the process as
you’re also prompted to print the script labels when you save and process the script.
Pharmacists and dispense techs: New check box lets you choose
to claim glass bottles for extemporaneous items
You can now control whether or not your pharmacy claims glass bottles when dispensing
extemporaneously prepared eye drops, ear drops or nasal instillations.
When you check the new Claim glass bottle for this medicine check box on the Extemporaneous Pricing
window, the glass bottle indicator is included in the claim that is sent to Medicare via PBS online.

To claim glass bottles for extemporaneously prepared items:
1. While dispensing an extemporaneous item, click ADJ.
The Extemporaneous Pricing window is displayed.
2. Check the Claim glass bottle for this medicine check box, then click Okay.
3. Save and process the script.
The glass bottle indicator is included in the claim.
Pharmacists and dispense techs: Include the delivery docket
number in the Hospital Script History report
You can now choose to include the delivery docket number (transaction number) on the Hospital Script
History report.
To include the delivery docket number on the Hospital Script History report:
1. On the Dispense Pro screen, click the Reports menu then click 7. Hospitals.
The Hospital Dispensing Report window is displayed.

2. Select your report settings.
3. Check the new Display Trans # check box, to include the delivery docket number on the report, then
click Okay.
The report is displayed and shows the new Trans # column, which contains the delivery docket
number for each transaction.
The delivery docket number is the same as the transaction number on the Sales Enquiry window.
Robotics pharmacies: Enhancements for Gollmann, Rowa and
RoboPharma users
If your pharmacy uses a Gollmann, Rowa or RoboPharma robotic dispense, update to 3.11.2 to take
advantage of three new, useful features.
Dispense products with alternate barcodes
You can now dispense any product in your robot, not only those with primary barcodes, as Minfos now
sends all of the products’ alternate barcodes to the robot until it finds the barcode for the product in
the robot.
This time-saving feature means whenever there is a barcode change—particularly after importing
Dispense or MNPN updates—you no longer have to change the primary barcode, remove product from
the robotic drugs list, and then add it again, before you can dispense the product.
This feature is already available to Consis users.
Robot stock automatically updates overnight
We’ve made adding products to the robot much more simple and efficient. Instead of having to add each
product individually in Minfos, you can now scan the products into the robot and Minfos updates the
robotic drug list overnight.
When the robotics server is shut down during the EOD process, and then re-opened the next morning,
the products in the robot are updated or added to the Robotic Drugs List Maintenance window.

View the robot’s stock on hand
This feature gives your pharmacy visibility in Minfos of your robot’s stock on hand, so that you can easily
compare it to your Minfos stock on hand.
To view the robot’s stock on hand:
1. On the Dispense Pro screen, click the Dispense menu, then click 1. Robotic Drugs Database.
The Robotic Drugs List Maintenance window is displayed and shows the products in the robot. The
robot’s stock on hand, shown in the SIM (stock in machine) column, is currently “<Unknown>”.
2. Click the Synch button, to view the robot’s stock on hand.

The Robotic Drugs List Maintenance window is updated, and shows the robot’s stock on hand in the
SIM column.
Minfos can only generate the robot’s stock on hand if the product in the robot has the same barcode
as the primary barcode in Minfos, shown on the Robot Drugs List Maintenance window. The SIM
column continues to show “<Unknown>” when the stock in the robot has an alternate barcode.
3. Repeat steps 1 and 2 each time you open the Robotic Drugs List Maintenance window, to view the
robot’s up-to-date stock on hand.
The Synch button only updates the stock on hand for products that are already in your robotic drugs
list. If you want to view the robot’s stock on hand for products added to your robot, that are not in
your robotic drug list, manually add these products before viewing their robot stock on hand.

Meditec pharmacies: No longer enter a past foil start date
Meditec users can no longer request a pack for a past foil start date. This improves efficiency at your
pharmacy, as you don’t have to spend time correcting invalid foil dates.
A valid foil date is today’s date and any other future date.
If you enter a past foil start date, the ERROR prompt is displayed and you will not be able to request the
pack until you enter a valid date.

Dispense
No longer receive a PBS rejection when dispensing non-compounded
extemporaneous items from an NRMC (MedChart)
Previously, when you dispensed a non-compounded extemporaneous item from an NRMC, PBS would
return an R70 rejection: “The glass bottle indicator provided is invalid for paperless prescriptions”. We
fixed this issue so that you no longer receive a rejection.
You cannot dispense compound extemporaneous items from an NRMC. For more information, see

Dispensing a drug with more than one recommended generic no longer prompts
to select the preferred supplier drug
You will no longer be prompted to select a preferred supplier drug when you dispense a drug that has
more than one recommended generic, but you will be still be prompted to select the
recommended generic.
Customer type is no longer updated in the customer’s details when it’s changed in
the dispensing screen
When you change the customer type in the dispensing screen, and then dispense the script to the
customer, the customer type is only changed for the particular script, and is no longer updated in the
customer’s details.
GP% is now calculated correctly for extemporaneous drugs
The GP% for extemporaneous drugs is now correctly calculated using the extemporaneous drug pricing.
When price has not been set in the Extemporaneous Pricing window, the GP% is calculated using the
product’s unit cost.
CTG label and shortcut are now available when dispensing a chemo product
In 3.11.2, when you dispense a chemo product, the CTG text box label and shortcut no longer disappear
from the dispensing screen.

Carer type is no longer changed in the customer’s details when the customer is
added in dispense
Previously, when you added a customer in dispense, then assigned them to a carer and saved the
customer, when you then pressed [F3] to view the customers details, the carer type would be different to
the one you originally assigned. Now, the customer’s carer type does not change when they’re added and
saved in dispense.
The Clear button now resets the price of an extemporaneous drug
When you click the Clear button on the Extemporaneous Pricing window, in order to use the standard
extemporaneous pricing, the price is now correctly reset, and then sent to Medicare when the script is
saved and processed.
Premium Free Incentive fee no longer records incorrectly when collecting the
dispense updates.
We’ve fixed a bug that was causing the Premium Free Incentive fee to change to an incorrect value when
some pharmacies collected their dispense updates. If your pharmacy has experienced this issue, you’ll no
longer have to contact Minfos support to fix the value; the correct fee will remain when you collect the
dispense updates.
RACF ID for an NRMC customer is now also sent to Medicare for scripts that are not
eligible for paperless claiming
When dispensing a script to an NRMC customer, the RACF ID is now correctly sent to Medicare via PBS
online for all NRMC scripts dispensed, including those that are ineligible for paperless claiming.
Price is now correct when collecting an owing script after the start of a new year for
a Repat customer who has reached their Safety Net
When you dispense an owing script to a Repat customer who has reached their Safety Net, then collect
and mark off the owing script after 31 December, the price in Minfos is now correct.
Invoicing an under co-payment CTG prescription to an account using Z. Pill Box
now records the correct payment category
When an under co-payment CTG prescription is invoiced to a customer’s account using Z.Pill Box, the sale
is now recorded as “~HIC Scripts”. In previous releases, the sale was incorrectly recorded as “Third
party Debtors – HBF”.
Continued Dispensing report reformatted to clearly display “Repatriation” Rx Type
We have reformatted the Continued Dispensing report slightly to ensure all of the information is clear.
Now, when the Rx Type is “Repatriation”, the word is no longer cut-off by the government code.

Dates are now formatted correctly when the Claim Summary report is exported
to Excel
Previously, when you exported the Claim Summary report to Excel, in some exports the prescription and
the supply dates were displayed in the American format: mm/dd/yyyy. Now, when you export the report,
all of the dates are displayed correctly in the Australian format: dd/mm/yyyy.
Dispensing screen can now be closed when an invalid doctor is selected
Previously, when you selected an invalid doctor in the dispensing screen—that is, a doctor that was not in
your database—then closed the Doctor Search Window, and then pressed [Esc] to close the dispensing
screen, the Doctor Search Window would display again and you would not be able to close the dispensing
screen. Now, you can close the dispensing screen when you have an invalid doctor selected.
Long directions no longer crash the Dispense module
When you enter long directions (more than 100 characters) in the dispensing screen, then save and
process the script, the Dispense module no longer crashes.
Exporting a Customer Details Report to Excel 2007 no longer displays an error
We have fixed an issue that was causing an error notification to display when you exported a Customer
Details Report to Excel 2007. In 3.11.2, you will no longer receive the error when you export the report.
If you’re running Excel 2003 you may still receive the error notification.
Till
Only one authorisation now required when returning or voiding sales
We fixed a bug that was causing Minfos to prompt for authorisation twice when returning or voiding sales
at the till. You now only have to provide authorisation once to process these transactions.
Part cash payments now round the change to the nearest $0.05
When processing a part payment that includes a cash payment, the change is now correctly rounded to
the nearest $0.05 so that you will no longer have a discrepancy between the change calculated in Minfos
and the change that you give to the customer.
Till now shows club customer’s loyalty points when you enable and then disable the
Promotions Wizard
When you have a customer with club loyalty points, and you enable and then disable Promotions Wizard,
the club customer’s loyalty points are now correctly displayed at the till when the customer is selected.

Stock Manager
Product Price Changes report now only displays the most-recent price change for
each product
The Product Price Changes report no longer displays duplicate entries for a product; now the report only
shows the most-recent price changes for each product. Previously, if a product had more than one price
change, the report would display each change for the same product.
Customers
Top Customer Report dispense GP$ is now calculated correctly
The dispense gross profit (GP$) amount on the Top Customer Report is now calculated correctly.
Previously, the amount calculated included the customer’s contribution twice, and did not include the
incentive amount.
Multistore
Dates are now displayed in the Australian format when exporting multistore
reports to Excel
Previously, when you exported any one of the multistore reports to Excel, you may have noticed some of
the dates were in the American format:, mm/dd/yyyy. Now, when you export them, all of the dates are
displayed correctly in the Australian format: dd/mm/yyyy.
The multistore Staff Contribution report now contains the correct information
The multistore Staff Contribution Report, was previously populating with the wrong data. Now when you
run the report, the correct information is displayed.
