Accounting Cycle: Home Screen The Accounting Cycle is the processes, or steps, that are repeated each month, or year, when you process a client's data. Accounting Cycle: Home Screen

The Accounting Cycle is the processes, or steps, that are repeated each month, or year, when youprocess a client's data. When you click the Accounting Cycle button on the Home screen, a screen willbe displayed showing the steps that you have setup in your Accounting Cycle.

Accounting Cycle: Defaults

The first time you access the Accounting Cycle screen, if you have not setup any steps, you will beprompted to import some pre-defined steps included with Quick Trial Balance Pro. The pre-definedsteps make it easy to create a starting point for customizing the steps that match your real-worldprocess.

Accounting Cycle: Initial Screen

The Accounting Cycle screen contains the following information for each process or step added:

Description the process or step to be performedWhether the process has been completedDate the process was completedWho completed the process

As you complete each process in your Accounting Cycle, you can double-click the process on theAccounting Cycle screen to mark them completed, enter the date they were completed, and enter theperson’s name who performed the step. This allows you, or other users, to refer to the AccountingCycle to see what steps have been completed and what steps are yet to be completed.

Accounting Cycle: Set Up

The Setup screen for the accounting cycle is accessed by clicking the Setup button on the bottom left ofthe Accounting Cycle screen. On the Setup screen you can you can add additional steps, delete steps,modify the imported steps, re-order the steps, or mark steps that you do not want included in youraccounting cycle. Note that you can delete more than one step by highlighting more than one stepclick and drag the mouse over all steps you want to delete or Ctrl-Click (Cmd-Click on a Mac) to

highlight non-sequential steps that you want to delete, or Ctrl-A (Cmd-A on a Mac) to highlight all rows.You can also re-order the steps so they are in the order that you would normally perform them.

Accounting Cycle: Reset

When you are ready to start a new cycle, there is a Reset button that is used to reset the steps in yourcycle. You can reset one step, multiple steps, or all steps by highlighting the steps you want to reset.

Accounting Cycle: Building your own Accounting Cycle

If you would prefer to add your own steps to the Accounting Cycle because you are unsure of theprocedure that you currently use, you can use the Add Step button. This provides a very quick methodof adding a step to your Accounting Cycle without navigating to the Accounting Cycle screen and thenthe Setup screen where steps are normally added.

Using the Accounting Cycle as a change log

If you find that your accounting cycle varies greatly and trying to create a standard set of steps is notpractical, you can alternatively use the Accounting Cycle as a change log. For example, you canannotate the changes you make to your trial balance data so that you can refer to it later should you

want to recall what has been done in your data file. This is particularly useful if there are multiple usersmaking changes to the data and you need to know who did what and when.

Use the Add Step button on the Home screen to quickly add a step to your accounting cycle. Repeatthis process every time you make a change to your data.

Normally, if you wanted to add an item to the change log, you would have to first access the AccountingCycle screen, then select Setup, then the Add button. The Add Step button allows you to enter theprocess that has been performed, date completed, and who completed the process without navigatingto the Setup screen.
