BACKGROUND Dressage Masterclass Pty Ltd was founded in October 2015 by Adam Fawcett and Melissa Cannon as a promotional vehicle for the future of dressage in Australia. For some time we’ve seen a market gap in Australia for equestrian entertainment of the highest calibre which Europeans enjoy on a regular basis. “Saddleworld presents an Evening with Carl Hester” will provide a unique night of entertainment that showcases and lifts the profile of our sport to new heights!

SETTING THE STAGE The event will be held at Werribee Park on Saturday 5 November 2016. Indoor 1 – where the magic happens Indoor 1 will be converted into a 2,400-seat stadium, with a 60x20 metre stage in the middle. With five seating options available, spectators can enjoy an intimate evening close to the action – just like Europe! Ambience from music and tailored footage from two large 4x2m video screens will create a major event atmosphere so that the audience will have a sense of excitement and anticipation before Carl even arrives on stage. Indoor 2 – where the fun begins Indoor 2 will feature a trade show curated to the dressage enthusiast, with a maximum of 20 3x3m trade stalls. Along with the shopping, the L-shaped raised area in Indoor 2 will feature the 300-seat PDS Carl Hester Collection Restaurant and a public bar decorated in the style of a traditional UK pub. During the 2-hour pre-show and 90-minute interval, Indoor 2 will be filled with music, laughter and a lively buzz from patrons, making the evening one to truly remember. The trade village and two public bars in Indoor 2 will open at 3pm, and with allocated seating to the masterclass ensuring patrons can comfortably spend maximum time in Indoor 2 knowing their seat is secure! There will be no entertainment in indoor 1 during the interval, so all patrons will be encouraged into indoor 2. As patrons to the PDS Carl Hester Restaurant will have wrist-bands and as the meal is served buffet style, they will be free to roam in and out of this area throughout the interval.

TRADE STAND INFORMATION

• Dressage Masterclass (“DMC”) aims to offer a variety of shopping options in the trade village and will be curating the selection to achieve this. This means we will be limiting the selection of traders selling the same type of product or service, allowing us to provide the best shopping experience for patrons and give our traders every possible chance for a successful event.

• Because of this our offering to tender and the selection of traders will be at

the sole discretion of DMC. Applications will close on 31 March 2016 and all successful traders will be notified via email on Friday 15 April. Payment is required by Friday 22 April 2016 to secure your position.

• While there are 20 3x3 trade stands, DMC will accept requests for 6x3 trade

stands, bearing in mind this will limit the number of traders we can comfortably accommodate. We will not accept any request for a trade stand larger than this.

• Each trader is required to stay within their allotted 3x3 or 6x3 space, with no

stock allowed outside of these boundaries to ensure ease of foot traffic throughout the trade village.

• Every trade stand will be powered and will be the same in style and fit-out.

No alterations will be made.

• The position of the trade stand will be at the sole discretion of DMC. This will allow DMC the ability to evenly spread the content of the traders offering throughout the trade village.

• We wish every trader success and we will be doing various things

throughout the event to assist you.

BENEFITS

• Limited amount of non-competing traders with a dedicated and captured dressage audience.

• Each trader will have their trade stand listed with their website, logo and

contact information under the trader’s tab on dressagemasterclass.com.au from 25 April onwards. This page will also be promoted via our social media accounts and to our newsletter subscribers and will remain online until 31 December 2016 in preparation for the next show.

• Included in the hire fee is the opportunity for each trader to advertise on

DMC’s social media accounts as follows:

o June to September 2016: 1x advertisement at 8pm Monday (date allocated at discretion of DMC) celebrating your inclusion as a trader and linking to your website.

o June to September 2016: 1x “like and share” competition via the

DMC Facebook page. The prize on offer needs to be approved by DMC. It is the trader’s sole responsibility to ensure the prize is posted to the winner at the cost of the trader within 2 weeks from the winner being announced. Each trader is limited to one competition.

o Late October 2016 to 4 November 2016: 1x advertisement (date

and time allocated at discretion of DMC) for any promotion you wish to offer between the 3-5pm period.

SOCIAL MEDIA DEADLINES:

• Upon acceptance of our offer and receipt of your payment, you will be issued with an information sheet setting out all the deadlines and content, format and image sizes required for DMC to run these social media promotions on your behalf.

RESTRICTION OF TRADE:

• The PDS Carl Hester Collection will be the only saddle brand at the trade village or advertised through DMC. Any trader selling saddles on the evening will be asked to remove that item from their trade stand immediately.

• There will be no pop up tents/marquees or any other form of trading on the

venue.

ACCESS TIMES:

• The trade village will be open to the public from 3pm on Saturday 5 November 2016.

• Set up times for traders will be from:

o 3-8pm on Friday 4 of November; and o 8am-1pm on Saturday 5 of November.

Each trader will be given an allocated time between these set-up periods for the use of a vehicle to ensure there is no vehicle congestion and each trader has equal time to vehicle access. There will be no vehicle access outside of these times.

• Refer to your trade stand site number and have this number available to

discuss with traffic marshals during set-up.

• The trader will be required to park vehicles in the allocated section marked “traders parking” on a map to be provided with your vehicle access times. No parking for traders will be allowed in other areas.

• There will be no vehicle access to the trade village from 1pm to 9pm

Saturday 5 November, with the exception of emergency services vehicles.

• All traders are required to be open for trade from:

o 3pm to 5pm; and o 6.40pm to 8.30pm.

There will be vehicle access from the mansion end of Indoor 2 from 9pm onwards. Indoor 2 will be locked from 11pm Saturday 5 November and reopened on Sunday 6 November from 8am for any final clearance.

INSURANCE & OHS

• All vendors must hold public liability insurance of $10m or more and must include a copy with their application, with the insurance being valid during the period the event is held. If your insurance is due for renewal prior to the event, you will need to provide a current certificate of currency by no later than the 31 of October 2016.

• Traders must provide their own power leads, which must be tagged and

tested. Each trader will have one power outlet. Power leads not tested and tagged, will not be able to be used in the trade village.

• Traders are not to piggy-back or exceed the power availability.

• Although care will be taken and Indoor 2 will be locked overnight, DMC will

not be liable for any damaged, missing or stolen goods.

• For the safety of all traders, high visibility vests are to be worn during pack up and set up times when vehicles will be in motion.

RUBBISH

• Traders are responsible for their own rubbish. Bins will be provided and marked on the map to be provided with your access times.

• Bins will be emptied throughout the night but it is your responsibility to keep

your trade stand site clear and ensure all rubbish is placed in the correct bins throughout and prior to you leaving the event.

• It is your responsibility to ensure your trade stand is left in the same

condition as it was on arrival to the event.

PAYMENT

• All traders will be notified via email on 15 April 2016 of the outcome of their application. Payment of successful applicants will be required in full by the 22 April 2016 to secure your trade stand.

• If you have provided credit card details and your application is successful,

your card will be debited between the 16 and 22 April.

• Any cancellations after 5 October 2016 will incur a 20% cancellation fee.

• There will be no refunds after 28 October 2016.
