LEAVE APPLICATION – ON LINE SUBMISSION IN PNB PARIVAR (HRMS)
HRMS is available in all branches/offices having CBS connectivity. It is also available on internet at “www.pnbnet.net.in”. User ID for all employees of the bank has been created in the system. As such, all employees can access the system on CBS network/ internet.
In terms of extant guidelines no employee should avail leave without leave application. Even in case of Casual leave, prior intimation, as far as possible, should be given. Under unforeseen circumstances employees availing casual leave for a day or two, must submit leave application immediately on joining the office, failing which pay and allowances for the period of absence should be deducted.
In view of the above, it has been decided that all employees:
In branches/offices having CBS connectivity will submit on line leave application in HRMS
All concurrent auditors/ touring inspectors to submit on-line leave application either on CBS network or internet
All incumbent in-charge to submit on line leave application in branches/offices having CBS connectivity and also where internet connectivity is available.
Designated authority to accord sanction of leave on-line on day to day basis.

Activities for On-line Leave Application/Sanction
Employees will submit leave application on line to Leave Sanctioning Authority under Employee Self Service
Sanctioning Authority will sanction or reject the leave application under “Manager Self Service”, in case of rejection, sanctioning authority will be required to record reasons for rejection of leave,
Individual employee will be able to view the status of leave submitted i.e. sanctioned or rejected,
Employee will have the option of carrying modification in leave type or number of days before it is sanctioned,
Sick leave and Unavailed Leave will be sanctioned only on submission of medical certificate
Controlling office will record leave data in respect of employee of non-CBS branches.
The complete navigation and procedure for on-line leave submission is available in PNB PARIVAR Circular No. 10/07dated 17.10.2007 available at the site of knowledge centre (E-Circular). The leave related activities are to be conducted on day to day basis and annual updation of leave data will be processed centrally in the server in first week of January every year. All concerned are advice to note and ensure compliance.

NAVIGATION FOR ON LINE SUBMISSION OF LEAVE APPLICATION
Click “Employee Self Service “> Leave Details > Add new absence request
Click to add new leave request

Select Leave Requested (Leave Type) > Leave Begin/End date > Select Leave reason, as applicable> Select Address during leave > Click submit
Select the leave type to be applied, leave begin and end date, tick “Half Pay” check box only if sick leave is to be availed on “Half‐Pay”, leave reason, address during leave and reason for leave
Enter brief reason for leave; please note that this field is mandatory

Once leave is submitted, it will appear under “Leave Application History” with status as “Submitted”

NAVIGATION FOR SANCTION OF LEAVE APPLICATION
“Leave Application History” and status of applications submitted are shown in this box
Leave Register before sanction of leaves submitted for sanction i.e. wherever sanction status is “Submitted”

Click “Manager Self Service” > “Review Leave Request” > Search
List of all employees who have submitted leave applications will appear as shown below. Alternatively search can also be restricted on the basis of Designation and/or Scale of the employee’s who have submitted leave application for approval.
Controlling ZO/RO can search leave application of Incumbents by entering their PF Number or designation, Scale and or Branch Distinctive No. Please note that in case of ZO/RO Distinctive No. field should be blank while searching leave applications of Incumbents in the zone/region.
Leave application of the selected employee will appear, to sanction click “Approve” and “Next in list” to sanction leave application of other employee.
By clicking on “search” list of all employees posted in the branch/office who have submitted leave applications will appear.

List of leave applications submitted for sanction can be searched on the basis of designation and/or scale of employee.

Click next to view/sanction/reject leave application of other employees.
Once leave is approved by the designated authority, status of leave application will change to “Approved” in leave application details of the concerned employee under “Employee Self Service”. Further, once leave is approved, it can not be modified/ deleted by the employee concerned. Leave register of the concerned employee also gets updated accordingly.
Click “Approve” to sanction leave and “Deny” to reject leave

However, leave application which has yet not been approved can be modified or deleted by the employee concerned, by clicking either on begin or end date.
DENIAL & EXTENSION OF PRIVILEGE LEAVE
To record extension of PL denied and duly extended by the competent authority, click check box ( In case leave is to be extended, enter date upto which extended PL is to be availed and reasons for extension of leave along with date of order of the competent authority under “Manager
To modify/delete leave which has not yet been approved, click either begin or end date
After modifying the desired changes i.e. Leave type, begin date, end date, and leave reason or number of days, click on submit or in case leave is to be deleted, directly click on delete

Remarks” and click “Deny” as explained in the figure below. However, in case denied leave is not to be extended, do not click the check box for extension of leave.
Details of leave denied and extended will appear in leave register. In future whenever employee avail PL, it will first be reduced from extended PL.

Enter reasons for refusal of PL and date of order of competent authority, click “Deny”

NAVIGATION TO MODIFY/DELETE APPROVED LEAVE BY THE SANCTIONING AUTHORITY
Click “Manager Self Service” > Modify Approved Leave > Enter PF No. > Click Search
APPROVED LEAVE CAN NOT BE MODIFIED OR DELETED AFTER THREE MONTHS
