EXECUTIVE SUMMARY

World Archipelago is proposing to plan, design, build and support a new Destinations London website including a brand new property search. We will work with Destinations London to set a new standard in your market and provide an enhanced range of functionality.We will improve the overall site architecture, implement a consistent and intuitive set or property searches and ensure that property feeds are integrated seamlessly into the solution.WAI will work closely with the Destinations London internal teams to ensure the functionality, design and integration requirements are met.

We will engage in a 4-step development process – Rational Unified Process - that maximises results and minimises risks for highly technical projects:Step 1 – Inception. We start by understanding what to build through meetings with the key project stakeholders.Step 2 – Elaboration. We plan the project, develop the information architecture, design skin, and issue detailed functional specifications.Step 3 – Construction. We build the project making full use of our existing search functionality and experience that has been developed and tested over 7+ years.Step 4 – Transition. We test the project and migrate the website to the live environment.

Objectives;• Position your business as the right partner and the one to come to for service excellence• Increase the number of visitors and improve the overall quality and lead generation• To be SEO/SEM friendly• Provide a comprehensive and consistent listing of properties and seamless integration with your property feed• Provide feedback to guide subsequent site development• Continually improve your site inline with digital developments

Our proposed costs for the development of the new site is £8,500, however we are willing to discount the solution by 20% to £6,800. Monthly fees cover hosting and licence fees for the Property Solution Suite. These are £125 for Rackspace hosting and £275 for WAI Property Solution Suite Licence fees. Optional support, at £200, can be added providing 3 hours for the price of 2 hours.

2.1 PROJECT RATIONALEDestinations London (DL) wish to enhance their digital presence to better reflect the nature of the business, to provide a far better user experience, and to effectively market the variety of services the business offers.The renewed Destinations London digital presence must reflect the true nature of the business, it’s brand values, positioning and ensure it promotes the business as a whole.The site should offer a range of services for the wide variety of customer and client needs. In addition it is our responsibility to work with you to develop the digital future of the business and to provide ongoing insight and advice.

3.1 OVERALL VISIONA new Destinations London website offers the opportunity to set a new benchmark in your target marketplace. Our goal is to increase site visits, searches carried out, enquiries generated and overall customer satisfaction to maximise the return on your investment in both your site andin us.

We will look to use the latest version of our core property search technology - plus the services of our award-winning creative and branding team - to set a new standard for your site.We aim to establish a long-lasting relationship with you and fully understand your corporate as well as marketing objectives for the long term. Above all else our aim is to save you money, increase your revenues and better represent your brand - digitally.We will achieve this vision by creating a virtuous circle of continuous improvement as illustrated in figure 1.

The virtuous circle starts with identifying the target audiences and understanding their needs. This knowledge then frames and informs the design of an appealing and engaging website. In order to maximise the effectiveness of the site it is imperative that innovation is at the heart of our solution. As such we have set up an R&D division that specifically focuses its attention on developing leading edge solutions.The supporting infrastructure, in terms of technology, capabilities, reporting and analysis all need to enable the delivery of a leading edge site, ensure full resilience, and facilitate the evolution of the site.The content of the website will need to meet the differing needs of the different audiences, and therefore should be tailored accordingly. The ongoing measurement and evaluation of the site, both quantitatively and qualitatively enables a full assessment of the site, the visitors, their usage and paths through the site, and whether the site meets their needs and improves their brand perceptions. This information will improve the understanding of the target audience and therefore trigger the cycle of continuous improvements.

This section provides detail on how World Archipelago plans to manage the development and delivery of the new website. It includes an overview of our development methodology, an introduction to the project team, the estimated schedule, along with the assumptions we have made, and a budgetary estimate. 5.1 PROJECT METHODOLOGY OVERVIEW/OVERALL APPROACH - THE RATIONAL UNIFIED PROCESSWorld Archipelago’s development methodology is based on the Rational Unified Process (RUP), a leading industry standard that defines a set of processes and procedures for managing the delivery of software products of a highly technical nature.Figure 3 shows the four main stages of our project management methodology together with typical activities and deliverables within each stage. The arrows against the Elaboration and Construction phases indicate that these may consist of more than one iteration.This project management methodology delivers the following benefits;

CONTROLS COSTOur robust quality controls help us to proactively manage costs throughout the project by accurately recording ‘costs to date’ and estimating ‘costs to complete’ for individual units of work.CONTROLS SCHEDULEOur staged approach to software development and formal schedule management controls will enable us to deliver the website within the desired timeframe.MITIGATES RISK We adopt an iterative approach to developing digital solutions allowing the development team and Client to continually verify quality.

THE CORE SOLUTIONINTRODUCTIONAs outlined in the ‘Our Approach’ section, WAI will work with you to ensure the core functionality is fit for purpose and the creative approach and brand interpretation is aligned with the firms vision and core objectives.We have fully reviewed your existing website and functionality and our recommendation is to provide you with a fresh design for the homepage, and lower level templates as well as updating the navigational structure and the property search aspects of the site.We suggest this is achieved by utilising our core property solution suite that we augment with new components/features, and the bespoke requirements for the homepage and some lower level pages.INFORMATION ARCHITECTUREThis section describes the structure of the site content and how users will navigate it.The site will adopt the information architecture defined in the site map that we will agree as part of the inception phase. The user starts typing into a text box and after 3 keystrokes a list of matching locations or property addresses appears underneath, being refined and filtered with each additional keystroke. The list of possible matches numbers over 2.5 million and covers all UK postcodes, towns, villages, counties, train stations, tube stations and regions.By providing an exact match, the user can be given instant feedback as to the number of matching properties BEFORE proceeding. Properties are matched by their proximity to the selected location or postcode so they do not need to contain the location in their address.

SEARCH RESULTS: OVERVIEWThere are many ways to present search results to the end user. Our solution includes as standard four different results views.SEARCH RESULTS: LISTINGDisplays properties in a list with summary details and a thumbnail photo. The list can re-ordered by price, name, number of bedrooms.

SEARCH RESULTS: GALLERYDisplays properties in a Gallery. Controls let the user scale imagery to a preferable viewing size. Users can also sort by price ascending or descending. SEARCH RESULTS: TABLE SUMMARYDisplays properties in a table view which allows users to sort by a variety of categories, postcode, price, location etc.

SEARCH RESULTS: MAPDisplays properties on a map. The map can be dragged around to see adjacent areas, or zoomed in/out. Each time the map view is changed the properties are updated. Filters can be adjusted to change price, property type, number of bedrooms.

DISPLAY OF PHOTOSOur property search solution will display any available photos that are in the Reapit or other front office system. This ensures that photos appear on the site as soon as they are loaded into the backend. For lettings the lag time will depend upon the frequency of the data feed. ENQUIRE ABOUT PROPERTYA user can enquire about a property by clicking on the link. A form takes the user’s details and then emails them directly to the relevant contact. This functionality will appear in a ‘lightbox’.PROPERTY FLOORPLANSA user views floorplans for a property by clicking on the link. This either links to an image file or a PDF of the floorplan depending on what is available. This functionality will appear in a ‘lightbox’.SAVE PROPERTY TO A LISTThe functionality in this section allows a user to save properties to a ‘basket’ where they can then view all of their saved properties and can also email onto a friend. This achieved through the use of cookies meaning that users don’t have to register for their preferences to be stored – although they will only be stored on the computer they are using. ENERGY PERFORMANCE CERTIFICATEThis links to graphs showing the Energy Efficiency Rating and Environmental Impact Rating. This functionality will appear in ‘lightbox’.

PROPERTY FULL DETAILSA printable brochure in PDF format is automatically generated for each property where no PDF has been supplied. The PDF is based upon a template designed to match your branding.EMAIL UPDATESWhen a user saves a search they have the option to receive daily or weekly email updates for any new properties appearing on the system that match their search criteria. A user can sign up for multiple alerts. The emails can be managed either directly from the emails themselves. The property search solution system currently processes and delivers over 200,000 personalised email updates every day.

BUDGETARY ESTIMATESThe figures below are estimates based on the scope of the project as defined by our current understanding. Should the scope of the project change, we would revise our estimate on this basis. Any change in scope may also result in changes to the agreed schedule. STAGE 1: INCEPTIONPLANNINGThis allows for time to identify stakeholder needs, define the vision and objectives for the site and to produce high level requirements. This culminates in a requirements specification and a detailed site map for the new website. This also includes all project management associated with the stage.

STAGE 2: ELABORATIONPROJECT MANAGEMENTTime has been included for client meetings and project management and to provide the client with the necessary consultation throughout this phase.DESIGN DEVELOPMENTThis allows for a design styling for the WAI property solution suite to match your branding. In this stage we specifically create styles, colour ranges, and assets to work seamlessly with the WAI property solution suite. Time has also been allowed for project management.FUNCTIONALITY & TECHNOLOGY WORK STREAMThis allows time to define the key features and functionality based the project requirements. This culminates in a functional specification to be used as a blue print for the development of the site and will include any additional requirements that are out of the scope of the WAI Property Solution Suite.

STAGE 3: CONSTRUCTIONENVIRONMENT SET-UPThis elapsed time allows for the set-up of the technology environment.HTML TEMPLATING & PROPERTY SEARCHThis allows time for the HTML build of the site templates across the site and associated HTML programming for relevant functionality within these templates. Templates will be tested to ensure compliance across all major browsers.Property Search element;This elapsed time allows for the build and integration of the property searches, specifically;- Residential Sales Search- Residential Lettings SearchFEED INTEGRATIONThis covers feed integration into the WAI Property Solution Suite.

7.0 Budget guidelines

PROJECT MANAGEMENTThis allows for time to project manage the Construction stage of the project and includes tasks such as reporting, documentation, client liaison, status meetings, internal and client meetings and all other tasks associated with the project management duties for the project.STAGE 4: TRANSITIONINTEGRATION SUPERVISIONThis allows for the full testing of the site, the transfer onto the technology platforms, and for a full UAT test.TOTAL ESTIMATED COST - £8,500TOTAL ESTIMATED COST INCLUDING 20% DISCOUNT - £6,800This estimate excludes VAT (if applicable), all travel and courier costs associated with the project.

ONGOING MONTHLY FEESThe monthly fee covers everything that is required to operate your website on an ongoing basis.HOSTING - £125 PER MONTHIntensive managed hosting solution through Rackspace. Due to the volume of images, floor plans, EPC graphs and PDF brochures, plus the recommendation to archive material for at least 3 months, we will provide hosting on a shared virtual server with 15GB of hard disk space and a monthly inclusive bandwidth allowance of 25GB.Hosting also includes an industry-standard firewall and daily backup of data. World Archipelago manages the hosting on your behalf and performs pro-active maintenance on a monthly basis. Rackspace’s industry leading “Fanatical Support” is also included in your hosting package, ensuring our clients benefit from a rapid response.LICENSING - £275 PER MONTHLicence fees for the use of the WAI Property Solution Suite and the CMS.SUPPORT (OPTIONAL) - £200 PER MONTHAccess to our dedicated 8-person retirement property support team. Includes 3 hours for the price of 2, of site maintenance (small updates) per month plus pro-active fault and data issue resolution.TOTAL ONGOING MONTHLY FEES - £400

This updates 3 time a day.SIGN-UP FOR E-NEWS - £550This figure covers the ability for a user to sign up to receive email news. Their email would be entered into a database and provided to you. It would be your responsibility to set-up e-newsletters for distribution to your client and prospect databases. We can provide you access to our newsletter tool.E-NEWSLETTERS - £900 SET-UP + £150 MONTHLY LICENCE FEEWe have an eCRM tool that will allow you to manage and send e-communications to their database of contacts. A full demonstration can be arranged. WHERE TO FIND US – HEAD OFFICE INTEGRATION ONTO HOMEPAGE - £550This covers the ability to create a small map featuring the head office. This would be integrated into the homepage.PROPERTY TOOLS - £300This feature is free and will be built into the homepage with links out to the various related pages. MOST VIEWED PROPERTIES - £700This figure covers the ability to present most viewed properties on the main homepage taken from your feed. TWITTER ACCOUNT - £300This covers the ability to create a Twitter account on behalf of your business and to style it accordingly. However we recommend that you set this feature up with our assistance as you will be the ones tweeting and should therefore be familiar with the concept. TWITTER INTEGRATION - £450This covers the ability to integrate the Twitter feed into the homepage as a feature.MORTGAGE CALCULATOR - £475This figure covers the integration of our mortgage calculator into the website.AREA GUIDE - £4,500This allows for 5 area guide pages where you can provide additional information about the key areas they operate in. WAI will augment this with key local information such as Council Tax bands, links to School Guides, the display of recently sold properties, featured properties for sale/let. We will also integrate key ‘things to do’ in the areas.

RADIUS SEARCH - £850This covers the ability for customers to search by radius, i.e. to display properties within 1, 5, 10, or 20 miles of a key location.FEATURED CAROUSEL; CONTENT MANAGED - £1,250This covers the ability to swap out the standard featured property function and replace with a feature carousel where you may wish to promote various events, divisions, etc..FEATURED PROPERTY; FED FROM FEED RANDOMLY - £400Our standard property solution suite caters for this function in the main image carousel area of the homepage. However if you wish to swap out the featured property and also have a feature carousel the costs presented here would apply.CAREERS LISTINGS PAGE - £650This covers the ability to display a list of career opportunities following the same template as the News page. Each job would link through to a job details page with an email link to the relevant resource internally.STREET VIEW - £450This allows for the integration of the Street View into the main property search. MICHELLE HILLSITE MAINTENANCE MANAGERMichelle heads up WAI’s Site Maintenance Department and looks after the ongoing maintenance across all sites including media, corporate and property sectors.
