Do this at least 30 minutes before the webinar. This will ensure your system is ready and working in
advance and leave a small amount of time to resolve issues so that you do not miss out on the webinar.
If you are not confident in your computer skills, get someone who is confident to help you. You can do a
test run days in advance of the webinar date if you need to.
If you want to be able to speak during the Q&A session you can use headphones/earphones that have a
microphone, or you can dial the conference number on your phone and enter the conference ID. It is a
Toronto number, charges from your phone provider may apply. You can just listen with your computer
speakers but your computer or headphones must have a microphone for Skype for business to register
your speakers. Many laptops have a built in mic. If your computer has a mic but you headphones do not
then they may not work with skype unless you connect to the webinar with the headphones unplugged
at first. Once sound is working you can try connecting your headphones.
During the presentation all participants will be muted by the presenter. Questions can be submitted at
any time by using the built in chat, more on that at the end of this document.
1. Click on the link (URL) for the webinar from the email you received when you registered. If
clicking does not work you may need to copy and paste the link into your web browser.
2. Enter you name on the sign-in screen and select Join the meeting. You must enter your full
registered name to ensure you are admited to the webinar.
3. Follow the instructions from your browser install the Skype for Business Web App Plug-in for
your web browser. If it is already installed you will not be prompted to install this.
4. You may find that you are initially directed to the virtual lobby where you will wait until you are
admited by an orgainzer. This means you have succesfully connected to view the webinar,
please be patient wait for someone to allow you into the webinar.

5. From 30 minutes before the webinar a presenter will be able to admit you into the meeting and
then there will be music playing. At this point you can make sure your speakers/headphones are
working.
If you will be using a phone instead of speakers/headphones then you can ignore this skype audio
prompt or click X to close it:
If you see this message and you are using computer speakers or headphones then you will have a
problem hearing the webinar. Please see the troubleshooting section starting on the next page. If you
can’t resolve the issue you will need to use the phone.

If you are using an Android tablet or iPad you will need to install the Microsoft “Skype for Business”
app in advance. This is different to the personal “Skype” App commonly used outside of a business
environment. You do not need to create an account. Instructions included further into this document.

If you are having problems (Mac or Windows Computers):
- If you can join the meeting but can’t get the sound working, you might see this message
Make sure you have a mic. If your computer has a built in mic and speakers (most laptops do)
and you are using headphones unplug them. Log out and then log back in to your computer.
Connect to the Webinar again, see if sound is working now through the built in speakers. If you
are still having problems you may need to call the conference number. If you are an advanced
computer user see advanced audio trouble shooting on page 8 and 9.
- If you can’t join the webinar make sure you have internet access. Try loading a webpage to
confirm it is working
- If that does not help, restart your computer. We have seen some issues connecting resolved by
doing this.
- If that still does not help try a different web browser, you can use Edge, Internet Explorer,
Firefox, Chrome or Safari
- Make sure the plugin was installed. When you are entering your name, if you see “Install Skype
for Business Web App plug-in” make sure it is ticked
- On some web browsers you might get a screen like this where you have to install the plugin by
clicking on the link

- With the Chrome browser you have to click on the SkypeMeetingsApp.msi and open it
- You may get this file security warning for SkypeMeetingsApp.msi, if so you need to click Run
You should then be taken to this screen, enter your full name you registered with

- Look out for the security prompts from your web browser, you need to allow the
SkypeForBusinessPlugin aka SkypeMeetingsApp to run/open. This is what some of the common
security prompts may look like:
If you see this click run
If you see this click on the arrow
If you see this click Allow
If you see this click “Allow and remember”

If you see this click “Launch Application”
If you get a firewall security alert, you can select cancel. You will have to select cancel if you
don’t have administrator privileges on your computer.
- If the security prompts disappear before you can respond, try clicking on the webinar link again
to start over
- If your computer is configured with more than one user account and it won’t work on your user
account, you could try it on one of the other user accounts.

- If you are using a Mac, some users have reported they were directed to an application called
“Communicator for Mac” which did not work. Instead they ignored this pop-up and proceed
with downloading the Skype for Business App.
- Make sure you are using a Windows or Mac computer. Mac OS X 10.8 and later, Windows 7 and
later. For a full details of compatible computers please see the further troubleshooting link. If
you are using an Android or Apple tablet, please see the appropriate section later in this
document.

Advanced Audio Troubleshooting for Microsoft Windows
Microsoft windows there are multiple audio settings that can impact on Skype. Do not attempt
advanced audio troubleshooting unless you are comfortable with your computer skills.
First: Make sure you have logged into the web meeting with a microphone connected to your device.
Even if you only want to listen, Skype for Business often won’t register an audio device if it does not also
detect a microphone.
Advanced Audio troubleshooting - Part One
In Skype for Business options check that correct audio device is selected. You may have more than one
audio device. If no audio devices are present and you are sure you have a mic connected go to part two.
Go to meeting options
In meeting options choose the correct audio device (you may need to try each one).
If no audio devices are present go to part two.

Advanced Audio Troubleshooting - Part two
Check that the correct playback and recording devices are present and enabled in Windows.
Right click on the speaker icon in the bottom right hand corner near the clock:
Select “Playback devices” or “Recording devices”
From the list of playback devices you can right click on each one to test the sound. You can set the
appropriate device to the default.
In a similar manner you can test your recording device. Speaking into the mic you should see the level
indicator light up green bars to confirm that it is working.
Right clicking on a device allows you to enable a disabled device, or set a default device.

Connecting to the Webinar with an iPad
Do this well in advance of the Webinar in case you have problems. You need to install the app from the
App Store. It is free to install. It is likely you will need to know the password for your Apple ID account
(aka iTunes account) to complete these steps. Make sure you are connected with WiFi when installing
and using this app (during the webinar) to avoid mobile data charges.
Press on the App Store icon to open it
The app store opens:
Click on “Search” near the bottom right of the screen as shown above.

Search for “Skype for business”. Note that this is not the same as “Skype”, “Skype Personal” or “Skype
WIFI”. Skype for business must be installed to connect to the webinar.

Press the “GET” icon up the top next to “Skype for Business (formerly Lync 2013)”.
Press the green “INSTALL” icon beside “Skype for Business (formerly Lync 2013)”.

You might be prompted to sign into the iTunes Store with the password for your Apple ID (aka iTunes)
account. Do this.

Usually this won’t happen but depending on your settings you might also be prompted for payment
information.
It is free to install skype for business but you may need to update your iTunes payment information or
accept updated Apple terms and conditions. It is beyond the scope of this document to go through these
settings but they may be necessary to install the app.
Once the Skype for business app is installed you are ready to open the link sent to your email to join the
webinar. The app will open automatically. If you open the skype for business app manually you will be
prompted to sign in. For the purposes of the webinar you do not need to create an account for skype for
business or sign in. You can use the app to connect to the webinar for free (requires internet
connection).
The first time Skype for Business opens you will be prompted to allow access to your contacts. You can
click “don’t allow” if you wish.
To Join the Webinar
Click on the link from the email when you registered. It will look similar to this (this link is only to test):

Connecting to the Webinar with an Android tablet

Using Skype for Business
Connect to the web meeting by clicking the link in your email, or copying and pasting the link into your
web browser.
After you have registered and connected to the webinar, you may find yourself waiting in the lobby.
Be patient, when the presenter is ready you will be admitted into the meeting. It is important to use the
name you registered with to ensure you are admitted into the webinar. Your name will be visible to
other participants.

Once connected to the meeting you should expect to see a PowerPoint presentation and to be able to
hear the presenter. Unless you are a presenter then you should expect your microphone to be disabled.
If you need to ask a question use the chat window. This is visible to all participants.
The presenter may open up your microphone for discussion however this will most likely only happen
during the Q&A session at the end of the power point presentation.

This will bring up the conversation window. You will be able to see the questions and answers.
At the bottom of the chat window you can compose your question, pressing enter or clicking on will
send it.
