1 INTRODUCTION

This report summarises the activities of WP44 – External Communications and Awareness Raising, Stream 4 – Spreading Excellence and of all the APARSEN partners in communicating the activities and achievements of the Network of Excellence during the third year of its existence (January to December 2013). It is the third annual report on communication activities of the network.The communication activities are viewed in the context of deliverable D44.1 – Communications Plan. This plan sets out stakeholder groups and strategies for reaching them covering work packages in Stream 4 of APARSEN – Spreading Excellence:

WP41 External Workshops, symposia and events; WP42 Formal qualifications; WP43 Training courses; WP44 External communications and awareness raising; WP45 Liaison with other stakeholders;

The specific activities in these work packages are covered by separate deliverables, and so this annual report gives updates of general communications activities. In practice this is realised in the form of dissemination work, including presence at conferences and publications, whether scientific or aimed at broader audiences.A factor that is difficult to track, but is still very relevant for getting a feeling of success of webinars, events, presentations, and so on, is the personal communication that is not visible to the public. That can either be face-to-face communication at a conference, at project meetings, etc. as well as emails sent to individuals or a small group of people that reflect personal impressions.

2 PROJECT INTERNAL COMMUNICATION

This chapter deals with internal communication between project partners in year 3 of APARSEN. The project has established a number of mechanisms for internal communication and exchange with the goal to discuss and exchange relevant topics and outcomes.

APARSEN general mailing listThere is just one mailing list in the APARSEN project and all communication takes place through this list. A clear indication of the concerned WPs in the subject line makes it easy for partners to identify which mails are relevant to them. This approach helps to make activities in the project transparent to all partners.

APARSEN TWikiThe APARSEN TWiki (http://aparsen.digitalpreservation.eu/) is the collaborative online workspace and the central communication tool in the project. Partners find here all information about the project and the consortium and are able to work collaboratively on texts and documents. It is the APARSEN repository for all kind of project documents. Each work package has its own pages where relevant documents and information, such as meeting minutes, latest deliverables is stored. Those also offer the possibility of planning specific actions and next steps.

Virtual MeetingsThe APARSEN project team holds various regular meetings through Megameeting (http://www.megameeting.com), where a dedicated conferencing room for APARSEN has been set up. These meetings include:

o Weekly Megameetings with the whole APARSEN Consortiumo Regular WP and stream Megameetingso Weekly Project Management Board Megameetings

All these meetings serve to monitor the progress in the project, to report on the state in all the tasks, to identify risks and to discuss the next steps and further plans of work.The weekly Megameetings with the APARSEN Consortium are announced via the APARSEN mailing list, the agenda and the meeting minutes can be found on APARSEN TWiki, available to all partners. Those virtual meetings are also used to present project deliverables or results to partners not involved in creating them. Examples would be a WP27 report on “Recommendations about scalability” that was held on September 12th 2013 by Orit Edelstein or a WP31 presentation on D31.1 “Report on DRM preservation” on November 28th 2013 by Stefan Hein.

APARSEN Personal MeetingsThe All Hands Meeting and the General Assembly offer the possibility of having face-to-face meetings with all consortium partners. The All Hands Meetings held in May 2013 in London and in December 2013 in The Hague gave APARSEN project partners the opportunity to enter into a deeper discussion and exchange of findings and results within project streams and beyond. Each was followed by a General Assembly the day after.

The day after the General Assembly in December the website working group came together to discuss further steps in person and to allocate tasks.

3 DISSEMINATION MATERIAL

In the third year of the APARSEN project a brochure on “Sustainability – Securing the value of our digital assets” was produced.

It is produced to underline the work on the topic “Sustainability” in WP21, WP23, WP32 and WP36 within the project and copies were disseminated to APARSEN members. Material that was produced within the scope of APARSEN, is part of the information pack of various conferences and meetings. Those events go also beyond events organised by APARSEN. Thus the material is available to different stakeholders. The advantage hereby is that material is also handed to people who are not aware of the project and its objectives and topics yet. Through APA it will be distributed also after the end of the project. The brochure has been sent to project partners for further distribution and was also disseminated during the training event on Sustainability in December 2013.The brochure also exists as electronic version, available on the APARSEN website (http://www.alliancepermanentaccess.org/index.php/aparsen/) and on websites of APARSEN partners.

4 PRESENTATION FOR DISSEMINATION OF PROJECT ACTIVITIES

A Master presentation file has been created – including key facts and essential information about APARSEN, such as the duration of the project, the composition of the consortium, the project’s objectives and on a more granular level, the WP objectives and achievements along the four topics Trust, Sustainability, Usability and Access. It can be re-used by all partners for their own presentations of the project and it can be adapted as necessary for particular events. The file is available on the project’s internal APARSEN TWiki for all partners. It is regularly updated as soon as new deliverables are completed.

5 SOCIAL MEDIA

From January to December 2013 APARSEN has made a considerable use of social media channels. Advanced uses of social media expand social sharing of cultural dimensions with large virtual communities, outside the organizations’ wishes and management. That includes sharing digital objects, news, events, activities, attracting more people to participate; all this is possible because social media allow information, communication and entertainment features that have a decisive role, which has captivated millions of people. In APARSEN, dissemination is a crucial activity. To reinforce and enlarge the APARSEN Network of Excellence and to guarantee the circulation of information and communication, in Year 3 APARSEN has considered social media as a two way street by first, focussing on what users of the digital preservation communities say and are interested in, and second, disseminating information about the project results and activities.

1) In order to enlarge the NoE, APARSEN has made a considerable use of the social media chan-nels, and a significant effort has been made to investigate what is going on in different DP communities, sharing the most interesting news and results with the users, opportunities of work /recruiting, EU calls and funds, keeping them informed about events and activities, gen-erating discussions, working to elicit feedback about the topics proposed.

2) APARSEN has regularly kept its users informed about events organised by the project, the re-lease of deliverables, APARSEN main conferences and training events in the field, including webinars, and any other information about the state of advancement of the project.

Twitter has been a relevant source of information for APARSEN and a high potential channel of external communication for APARSEN. The project has one dedicated resource and all the partners contributed to stimulate the discussion. Twitter has been used extensively both for sharing information on digital preservation topics and for APARSEN related communications activities. Statistics from the beginning of the project to the: end of 2012: 218 tweets, 151 followers; end of 2013: 931 tweets, 388 followers. A 4 fold increase in the figures for last year, with more than double the number of followersLinkedIn: a LinkedIn group has been established as institutional presence of APARSEN. Currently counting 190 members, 104 discussions started (152 members and 57 discussions started at the end of 2012). It is used to announce upcoming activities, to generate discussions, to post and promote latest findings. Facebook: it has been used mainly for posting achievements in the project, announcements of upcoming events like training courses, conferences and webinars. Events have been organised and posted on this platform to increase visibility and participation. Facebook is still a secondary social media channel for APARSEN, due to the fact that many people use this channel mainly privately. But it still offers the possibility to reach out to wider communities and thus is still seen as important. Current statistics: 110 likes (40 at the end of 2012).Social media are highly demanding and require external support from a spontaneous community of interacting entities. In 2013 the APARSEN project has registered a significant growth of Social Media coverage and a corresponding increase of feedback and number of followers. This was possible thanks to the collaboration of all the APARSEN partners that agreed on the importance of dissemination and communication actions and gave their full support to circulate information pervasively through their own personal and professional social account; indeed the project has defined a set of workflow guidelines to help all the partners understand the flow of information and how to obtain the best of social media channels. All the partners involved started implementing the proposed strategies with the support and coordination by the Social media coordinator (FRD).

6 APARSEN NEWSLETTER

APARSEN newsletter concept and design paper are drafted as soon as relevant information is available. The second issue of the APARSEN newsletter was published over several mailing lists in March 2013, the third in November 2013. The newsletter was sent out via a link in an e-mail http://www.alliancepermanentaccess.org/index.php/community/newsletter/aparsennewsletter201303/ and redirects to the APARSEN website to increase its reach amongst the community. The newsletter was sent over the following mailing lists:

7 INTERACTIVE MAP OF STAKEHOLDERS IN DIGITAL PRESERVATION

The Interactive Map (http://map.alliancepermanentaccess.org/imap/) visualises stakeholders in digital preservation as indexed in a register. APARSEN took over the Interactive Map developed in the PARSE.Insight project with the aim of enriching it with further characteristics and enhanced information and functionality. The Interactive Map is intended to be a useful resource for identifying stakeholders in the field of digital preservation across Europe and world-wide by geographical reference. Furthermore, it vividly illustrates the diverse and wide spread landscape of stakeholders in the field. It is aimed to become a permanent online service.The success of the map is measured along the number of stakeholder entries in the register. The APARSEN Year 3 indicator of 750 entries was achieved.In month 30, the Interactive Map was re-launched (D44.3). The map can be publicly accessed via the APARSEN website. The accompanying written report describes the conception of the application service, as well as the way of its implementation. Starting from the PARSE.Insight version, the service was enhanced both with respect to the features of the software and the register data. Improvements comprise, amongst others, multiple categorizations of stakeholders in terms of their role in Digital Preservation which was aligned with WP45 and accurate geocoding. The maintenance of the stakeholder register included determining actual postal addresses, removing virtual organizations like research and development projects and including stakeholders identified in the course of other APARSEN WPs.

8 APARSEN WEBSITE

The APARSEN website is embedded within the APA website, which is based on Wordpress to make the transition to the VCoE seamless. This enables relevant APARSEN outputs to be added to appropri -ate sections of the APA website which will eventually evolve into the main portal for the Virtual Centre of Excellence. APARSEN has dedicated pages on the website which clearly outline activities of this project and where outputs are imbedded elsewhere on the website each page is tagged (at the bottom) as either APA or APARSEN. It is a collection of information about digital preservation, so the user gets an overview, from technical and legal aspects. Links to social media channels on each page offer the possibility of immediately getting in contact with the project through those channels as well, or to stay up-to-date with the project. It supports creat-ing visibility for social media accounts used and therefore increasing dissemination. The website supports the promotion of important events or publications on the landing page as well as on subpages. A general contact form is available within the footer of every page, as it is not only important to dis-seminate information, but also to be responsive and to react to visitor responses. A visitor can easily drop a message and as it is required to leave an email address, can be contacted if necessary or reques-ted.The website is housing material that arose from the APARSEN project and that is offering information about the topics dealt within its framework and a wider digital preservation community.

Digital Preservation GlossaryThe Glossary is being developed following the normal pattern within APARSEN by collecting information, in this case of the terminology in use based on a number of available preservation glossaries, and then bringing in some coherence and consistency. This collection started simply as an alphabetical list, collecting terms from many existing glossaries/vocabularies, but as a following step an organisation/grouping based on SKOS (Simple Knowledge Organisation System) has been put in place. This is available on the public website at http://www.alliancepermanentaccess.org/index.php/knowledge-base/dpglossary/.. In addition we will ensure that we work with new developments such as the UNESCO related multi-lingual database at http://www.web-denizen.com/. The origins of the various terms are tracked e.g.:

o OAIS = OAIS glossary (also in http://www.alliancepermanentaccess.org/index.php/knowledge-base/member-resources/digital-preservation-glossary/)

This glossary shows the wording convention within the APARSEN project and network to avoid misinterpretation when it comes to discussing technical terms and concepts within our collaborative work efforts.Using SKOS allows us to do more than simply list terms and their definitions from the various sources. For each term one can indicate other terms which are “broader”, “narrower” or “related”.For example:

10 STAKEHOLDER LIAISON

Stakeholder liaison and networking is an important part of APARSEN with the long-term aim of building a Virtual Centre in Digital Preservation Excellence which assembles all of the important players in this field. In the APARSEN project this activity is distributed over several WPs in Stream 4 – Spreading Excellence and beyond and all partners are called upon to bring in their networks. Getting in contact with institutions outside the APARSEN community for the purpose of surveying them on their DP practices, research or educational programs is equally regarded as a potential for further liaison. WP45 – Liaison with other Stakeholders has set up the External Advisory Committee (see D44.1, p.41) and members have taken part in a number of webinars (see here below). In addition, the project partners in APARSEN have identified important organisations and act themselves as ambassadors for our project towards those organisations. There has been set up an internal list on the APARSEN project TWiki, containing over 50 organisations in most EU countries: This list will be regularly consulted for involving external institutions in different types of APARSEN activities – webinars, workshops, external review of draft deliverables etc. – and it serves as a living document and is open for continuous additions.

Webinars:WP45 has continued initiating a series of webinars, presenting and discussing emerging topics in the project. These webinars all have a similar setting and take place as virtual meetings with APARSEN partners and external stakeholders participating. Their aim is to present some of the results from the APARSEN project, especially when a topic milestone is reached, inviting guests to share their research and therefore fostering discussions and knowledge also with stakeholders from outside of APARSEN. The webinars feature an introduction to the APARSEN network, followed by presentations of APARSEN outcomes, and talks by presenters from outside the consortium, revolving around a determined topic. Each webinar is documented in a report which gives a brief summary of the presentations as well as the discussions taking place in the webinar and is available on the website. It also lists the tweets published during the course of the webinars, disseminating information about the webinar on the APARSEN Twitter channel.

Webinar on “Interoperability of Persistent Identifiers”, February 15th, 2013

This webinar featured sustainability and trust issues by means of persistent identifiers (PI) and how to solve the existence of many different PI systems in digital preservation environments. Within APARSEN a demonstrator is being made available for a PI Interoperability Framework to ensure compatibility of several identifier systems. Guest speakers from EUDAT and EUROPEANA explained how their projects deal with persistent identifiers.

Webinar on “Sustainability and Cost Models for Digital Preservation”, June 13th, 2013

The aim of this webinar was to point out the importance of cost models for the sustainability of digital preservation initiatives which Simon Lambert discussed in his introduction. Susan Reilly presented the APARSEN results of the business model (WP36) and mentioned that DP needs further promotion. The results of evaluation and testing of various cost models as well as the results of a survey done were presented by Kirnn Kaur. Neil Grindley gave an overview on the Project 4C: Collaboration to Clarify the Costs of Curation. David Giaretta closed the webinar with stressing the need for better availability and use of cost models.

Webinar on “Interoperability and Intelligibility Strategies” (WP25), November 8th, 2013

A webinar on the topic of “Interoperability and Intelligibility” was held on November 8 th 2013 and fits the topic of work package 25.

The aim of this webinar was to present some key results of the research on Interoperability and Intelligibility within the APARSEN project (especially within the WP25). After an introducing presentation on the APARSEN project, the webinar started with a discussion on the relevance of interoperability and intelligibility for DP. A talk on interoperability objectives and approaches provided an overview about projects and initiatives, scenarios and challenges, services, gap analysis, recommendations and guidelines concerning interoperability in DP. A dependency management approach to model and manage interoperability dependencies and a prototype based on it was the topic of the third presentation. The Webinar included also the presentation of an invited speaker, Johannes Reetz from the Max Planck Institute, who described the approach to interoperability within the EUDAT project. Concluding remarks about possible implications for the VCoE of APARSEN ended the webinar.

A webinar on the topic of “Certification of Digital Preservation Repositories” was held on December 9th 2013.

The aim of this webinar was to explain and compare the most noteworthy approaches in terms of certification of data repositories and digital archives. After an introducing presentation by Simon Lambert on the importance of certification and certification standards for digital preservation Ingrid Dillo explained the history and current state of DSA. Sabine Schrimpf continued discussing about Nestor Seal, based on Din 31644. Barbara Sierman held a presentation on ISO approach for certification and the importance of metrics to make sure that audits of repositories are consistent between each other. David Giaretta was the last speaker in this webinar, talking about APARSEN and how the approaches are put together in the project.

The presentations and overall topics of the webinars provide a wide range of discussions and exchanges. The organisers get in contact with people from outside APARSEN to get an insight also into other projects and benefit from inputs regarding research and approaches to specific topics. The Megameeting tool provides the possibility of asking questions and adding comments not only by

spoken, but also by written words, via chat functionality, and therefore facilitates the discussion and enables a more structured way of exchanging ideas.

Given their interactive nature, the webinars provide a very good means for immediate feedback from the audience. Several of the webinar talks sparked lively discussions which added important perspectives from other stakeholders. Clearly, the webinars have drawn participants that can be regarded as good insiders with a substantial level of expertise on some of the issues, next to newcomers with a wish to become more generally educated on a digital preservation topic. Via the tweets and the chats taking place during the webinar new connections and related work were being identified. Many of the invitations to APARSEN partners to come and speak at other conferences, workshops and seminars in this area (see WP 41 report) may well be traceable back to similar talks during our own APARSEN webinars.The webinars have so far not systematically invited feedback in a structured manner, other than recording discussions, tweets and chats. It is our intention to undertake more effort on systematic feedback during the final series of webinars.

Involving associate partners:Tessella has brought together Associate Partners from the Pharmaceuticals industry to establish a Common Pharmaceutical File Formats Initiative/Forum. The Associate Partner organisations include, but are not limited to: Abbott, AstraZeneca, GlaxoSmithKline (GSK), Novartis, Merck, Roche & Pfizer. Tessella is assisting these organisations through a series of facilitated digital preservation awareness consultations and virtual meetings. The goals of this series is to identify their emerging common needs and to investigate how to characterise Pharma domain file types for digital objects that they cannot currently identify from their data holdings. This is a necessary precondition for taking further preservation actions to secure long term access for regulatory, legal and business re-use purposes. To date, a number of mainly laboratory equipment based file formats have been identified by the associate partners as containing sensitive commercial R&D information that should be made accessible over the longer term. Tessella has contacted a number of these equipment manufacturing organisations to request details of the file format specifications for those file types that are of specific interest / concern to the Archivists in their host organisations. We are currently waiting to hear back from these manufacturing organisations as to whether they will provide Tessella with the file format specification details, or whether they can suggest viable strategies to enable longer term access to the data that is encapsulated in vendor specific proprietary file format types. These organisations see this as a great opportunity to collaborate in a pre-competitive working group to establish best practices for their industry sector, whilst allowing the results of facilitation process to be shared at a high level with others through the APARSEN project network. This work is part of Task 4420.

11 EVENTS: WORKSHOPS AND SYMPOSIA

The objective of work package 41 is to contribute to the mobilization of stakeholders towards creating the conditions for the existence and sustainability of the Virtual Centre of Excellence in digital preservation (VCoE), which will be the main legacy of the APARSEN project. To address this aim, work package 41 will be focused on sharing APARSEN results and raising the profile of the project with the targeted audiences defined in the APARSEN Communication Plan developed through work package 44. The main communication channel of work package 41 comprises events, mainly workshops and symposia involving participants outside the consortium. The aim will be to spread information and knowledge, and further advance the level of understanding of Digital Preservation (DP) issues. Existing industrial and engineering networks, like for instance aerospace, automotive, and manufacturing industries pertaining to long-term preservation, will be used as part of this. The scope of these workshops and symposia will be to inform stakeholders outside the consortium about DP issues and the foreseen benefits DP practitioners could reap from VCoE services. These stakeholders will then be able to “spread the word” both in academia and in industry to promote that DP becomes a part of the research or information production workflow, as well as provide feedback to the APARSEN project.

During year 3, APARSEN organised or co-organised 13 events and provided coordination input to another 4 events during year 3.

The number of participants at events that have been organised by APARSEN was 571, the co-organised events attracted additional 146 persons.

A number of various roles have been present, e.g.,: students, researchers (whereof some parti-cipating in EU and nationally funded projects), librarians, curators, archivists, engineers, soft-ware developers, IT-professionals, managers from top level to group level, as well as DP users.

Organizational types represented were, e.g.: public organisations governmental/regional/muni-cipality), non-profit organisations, DP interest organisations (such as persistent identity), EU and nationally funded projects, as well as private and public corporations.

Sectors or industry types represented were, e.g.: libraries, universities/research institutes, re-search data archives, manufacturing, aeronautics, media, geodata, commercial data services, banking, medical informatics, consulting, software development.

All APARSEN topics – Trust, Usability, Sustainability, Access – were covered with a good overall distribution.

The progress during 2013 has been very good with events covering various perspectives of digital preservation. The events have supported the creation of conditions for the existence and sustainability of the VCoE, and further engaged a number of stakeholders to concern about DP issues and provide feedback to the APARSEN project. The outlook for 2014 is that there will be slightly less events than during 2013. However the APA/C-DAC Conference, New Delhi, India 5-6 February 2014, will hopefully drive the APARSEN objectives towards the vision.

12 TRAINING COURSES

WP43 aims to develop training based on leading Digital Preservation research both within APARSEN and beyond, building from its initial assessment of current training provision in Digital Preservation. The work package plans to organise 6 training events over the course of the project (3 each in 2013 and 2014), working towards refining the organisation and structure of these courses to developing an ongoing training programme that will be a key service of the VCoE that will be self-funding after the end of APARSEN. The work package will also be gathering and developing online training material in collaboration with WP42 for delivery via the VCoE’s Online Training Portal (OTP).

One ‘Advanced Practitioner’ week-long event with a target audience of 25Two short courses with target audiences of 40

APARSEN has staged three training events in 2013, one iteration of the week-long ‘Advanced Practitioner and two 2-day courses around the topics of ‘Trust’ and ‘Sustainability’. The courses were well attended and participant reactions positive. Extensive feedback was gathered at the events and will be analysed and presented as separate report that will revise and expand on the conclusions of D43.1 (Survey of Training Material/Assessment of Digital Curation Requirements).
