WHAT IS PROJECT MANAGEMENT SOFTWARE? Project management software is a term

covering many types of software, including scheduling, cost control and budget management, resource allocation, collaboration software, communication, quality management and documentation or administration systems, which are used to deal with the complexity of large projects.

PROJECT TIMELINE Scheduling One of the most common tasks is to schedule a

series of events, and the complexity of this task can vary considerably depending on how the tool is used. Some common challenges include:

Events which depend on one another in different ways or dependencies

Scheduling people to work on, and resources required by, the various tasks commonly termed resource scheduling

Dealing with uncertainties in the estimates of the duration of each task

Arranging tasks to meet various deadlines Juggling multiple projects simultaneously to meet a

variety of requirements

CRITICAL PATH Calculating critical path

In many complex schedules, there will be a critical path, or series of events that depend on each other, and whose durations directly determine the length of the whole project Some software applications can highlight these tasks, which are often a good candidate for any optimization effort.

PROJECT TERMS - I Project - The word project comes from the Latin word projectum from the

Latin verb proicere, "to throw something forwards" which in turn comes from pro-, which denotes something that precedes the action of the next part of the word in time (paralleling the Greek πρό) and iacere, "to throw". The word "project" thus actually originally meant "something that comes before anything else happens".

Scope - the scope of a project is the sum total of all of its products and their requirements or features.

A Work Breakdown Structure (WBS) -in project management and systems engineering, is a tool that defines a project and groups the project’s discrete work elements in a way that helps organize and define the total work scope of the project.

When the English language initially adopted the word, it referred to a plan of something, not to the act of actually carrying this plan out. Something performed in accordance with a project became known as an "object".

This use of "project" changed in the 1950s with the introduction of several techniques for project management. Use of the word "project" evolved slightly to cover both projects and objects. However, certain projects continue to include so-called objects object leaders

PROJECT TERMS - II Project management - In project management a project consists of a

temporary endeavor undertaken to create a unique product, service or result. An other definition is a management environment that is created for the purpose of delivering one or more business products according to a specified business case.

Resource - A resource is any physical or virtual entity of limited availability, or anything used to help one earn a living.

Resource management - is the efficient and effective deployment of an organization's resources when they are needed. Such resources may include financial resources, inventory, human skills, production resources, or information technology (IT).

A Gantt chart - is a type of bar chart that illustrates a project schedule. Gantt charts illustrate the start and finish dates of the terminal elements and summary elements of a project. Terminal elements and summary elements comprise the work breakdown structure of the project. Some Gantt charts also show the dependency (i.e, precedence network) relationships between activities. Gantt charts can be used to show current schedule status using percent-complete shadings and a vertical "TODAY" line as shown here.

Milestone - a milestone is the end of a stage that marks the completion of a work package or phase, typically marked by a high level event such as completion, endorsement or signing of a deliverable, document or a high level review meeting.

In addition to signaling the completion of a key deliverable, a milestone may also signify an important decision or the derivation of a critical piece of information, which outlines or affects the future of a project. In this sense, a milestone not only signifies distance traveled (key stages in a project) but also indicates direction of travel since key decisions made at milestones may alter the route through the project plan.

PROJECT TERMS III RBS - The RBS (Resource Breakdown Structure)

chart shows your resources in a hierarchical tree that corresponds to the RBS structure you define on the Resource View. If you don't have many resources, you may not bother making a hierarchy, in which case this view is of little interest. Otherwise, you many want to organize your resources by geographic, organizational, or skill hierarchies. An important feature of this view is that the Cost and Budget (baseline cost) values roll up into parent resources. As they are calculated values, there is nothing you can edit on the diagram.

Max Units – The max number of time units to be allocated to this project.

PROJECT OUTLINE – MILE STONES Mile stones are critical points in the

project. Such as approval reviews launches and

such When managing your project you what

to keep your eye on these targets as you manage the prior steps these mile stone should be firmly anchored in time.

TASK WINDOW The Gannett window acts like and excel

worksheet with predefined column headers.

A number of predefined column my be seen by right clicking on the column headers and choosing insert column.

There are also several custom headers that can be changed to suit your needs

CREATING TASKS Work by creating a general outline of

project phases Next look at each phase one at a time

and proceed to fill in each activity that would take place within this phase ** these are not work instructions do not become to detailed it will only may the plan bulky and hard to follow. Be concise but short.

Decide the order that task must be completed in our are the concurrent with each other.
