The agenda was approved by consensus as presented
2 Approval of Minutes of Oct 31 2007
Moved by Kathleen Rigsby seconded by Denise Dale to approve the minutes of the Oct31 2007 meeting as presented
MOTION CARRIED
3 Program Review Exemption
a Motion from last meeting
At the Oct 31 07 meeting the following motion was passed
Moved by Kathleen Rigsby seconded by Peter Robbins that the Interior Design programhas met the criteria for the selfstudy and external review portions of Kwantlensprogramreview process for this cycle
Before making a submission in this regard to Education Council the committee needs to beclear on what it is asking of Education Council According to policy B12 Program Review4 a Education Council will monitor the implementation of the recommendations asoutlined in the action plan Submitting the complete final report on the externalaccreditation of the Interior Design program to Education Council would be overwhelming
Program Review CommitteeMinutes of Meeting Nov 28 2007Page 2
Recommendations are not a discreet part of the final report so the action plan will have tobe created by identifying the recommendations that can be acted upon
The action plan would need w address key recommendations in the final report and if itdoes not a rationale would need to be included There was discussion about whether that
would be the same for programs undergoing Kwantlensprocess
There was also discussion about the potential impact of an external accreditation process notresulting in accreditation though that is not a criterion for Kwantlensprogram review
The committee considered changing the terminology exemption front the Kwantlenprocess to something that indicates that a program has undergone an equivalent process Itwill need to be defined in the manual under development
It needs to be determined who is responsible for the action plan and who will eventuallysign off on it on the departmentsdivisionsbehalf
b Step 2 action plan
ACTION Cathy 13ray will develop a draft re action plans and will consider whether theyreflect recommendations for the committeesreview at the next meeting She will includethe following
What is the action plan
Does it address key findingsrecommendations
Who is responsible
End date
Frame it so that one year followup is series of check marks
4 Report of the Chair Carolyn Robertson
Carolyn thanked the members who were able to participate in the AUCC site visit meetingGordon Lee added that he expects to receive a draft report from the site visit team soon andthat the final report is expected in April 2008
5 Updates on Pilot Reviews Colleen McGoff Dean and Cathy Bray
Cathy Bray reported that the Psychology program review is proceeding and thequestionnaires that are being developed are going through the Research Ethics Board forapproval in principle items and process They are planning to collect information fromfaculty and students and also from focus groups starting in late January or early FebruaryResources are still a challenge for the Office of Institutional Analysis and Planning OIAPthe processes must be streamlined in order to be sustainable
For the English Language Studies program review a point person still needs to beappointed
The Fashion department has given a person release time for the Spring semester for theprocess The template will need to be ready for that time
6 External Committee Representation and RemunerationRefer to Malaspina Policy 3115 distributed last meeting 3
Program Review CommitteeMinutes of Meeting Nov 28 2007Page 3
There was general consensus that Kwantlen should follow Malaspinasguidelines reremuneration for extemalexternal reviewers which covers expenses and that forinternalextemal reviewers it could be looked upon as PD and as service to the profession
The committee has Malaspinaspolicy as a resource for planning
A budget request has been submitted to Rob Fleming
ACTION Cathy and Danielle will look into how UBC handles remuneration for externalreviewers
ACTION Carolyn will draft a policy re remuneration for feedback at the January meeting
7 Next Meeting Jan 30 2008 room G 1 1408 Adjournment Moved by Kathleen Bigsby to adjourn the meeting at 453 pm
