About KeyWin 5

Development of KeyWin 5

Creone AB

Flexible KeyWin 5 makes it easy to manage anything from around

10 keys up to several thousand keys. You can use one cabinet or

100 cabinets in the same system and at different locations. The

system can be managed by a single administrator, or shared with

other administrators.

Users, groups and keys are simple and quick to register. You

determine which users and groups get which keys by connecting

them in the system. Every use of the key is registered, and a simple

search lets you find out who has had what key and when. As a user,

you log in to the cabinet with your personal code. The strips indicate

which keys you have access to and you simply take out the ones

you want to use. Therefore, if a key has already been taken out, the

convenient display shows you who has it..

A Keycontrol cabinet can be connected directly to a local PC or

through a network. A cabinet can also be used as a standalone sys-

tem. When installing via the network, one or more cabinets can be

connected to the same KeyWin 5 software. When using a network

connection it is possible to work on multiple clients of the administra-

tion program.

A KeyWin 5 system consists of:

• One or more Keycontrol key cabinets

• One KeyWin 5 server (database)

• One or several administration clients

Actors in the system are:

• One supervisor

• One or more administrators

• One or more users

SUPERVISOR

A supervisor is the person who is ultimately responsible for the

KeyWin 5 system. The supervisor has full access to the KeyWin

5 program and may add cabinets and other administrators to the

system. The supervisor determines the rights for each administrator

in the system.

ADMINISTRATOR

An administrator is responsible for administering one or more

cabinets in a system. The administrator’s rights may be limited by

the supervisor. Administrators register users, groups, and the keys

of their cabinets and also have the ability to grant access to groups

and keys.

USER

Users are the people who have a PIN-Code and access to the keys

and cabinets in the system.

SYSTEM

The “system” is defined as the complete system including a central

server (database), computers with administrator clients and all cabi-

nets connected to the central server

KEYWIN 5 SERVER

The KeyWin 5 server is the database where all data is saved and

which communicates with clients and cabinets in the system.

KEYWIN 5 CLIENT

The KeyWin 5 client is the software that the administrator uses to

configure the cabinets, add users, groups and keys as well as grant

access. KeyWin 5 logs all events from the cabinets and administra-

tion programs.

KEYCONTROL KEY CABINET

The Keycontrol key cabinet is used for controlled storage of keys. A

keycontrol cabinet contains strips and pegs. A cabinet can have one

or more strips depending on the cabinet model. The cabinet can be

extended with an extension cabinet. (Read more about the different

cabinet models at the end of the manual).

MASTER CABINET

The master cabinet is the cabinet which is directly related to the

administration program. It includes the display and keypad for logging

and retrieving keys.

EXPANSION CABINET

An expansion cabinet is always linked to a master cabinet and con-

trolled using the keypad and display on the master cabinet.

KEYCONTROL STRIP

Strips are mounted in cabinets with a total of 14 key locations (pegs)

on each strip. The KeyWin 5 software registers all events involving

keys in the strips.

KEYCONTROL PEGS

Pegs are the contacts that one or several keys are attached to. Each

peg is unique and has its own identity and name within the system.

“Peg” is the shorthand term for “control key”.

KEYS

Keys are assembled with pegs; each set of keys is associated with a

specific peg. These are configured when installing the system.

DISPLAY

The display is a screen on the cabinet where you can see the cabinet

name and log in to the cabinet. After login, you can search for the

keys to which you are granted access.

SERVICE MENU

The cabinet has a service menu where you can configure the cabinet

and change the settings and language of the display.

KEYPAD

The Keypad is located on the cabinet and is used to enter the PIN

code and search for keys..

ADMIN CODE

Each cabinet has an \administrative code. The admin code gives

full access to all keys in the cabinet and is also used to put in the

first keys when starting up the system. The default admin code is

“301042”.

SERVICE CODE

Each cabinet has a service code. The service code provides access to

the cabinet’s service menu. The default service code is “1234”.

SUPERVISOR CODE

The supervisor code grants full jurisdiction in the KeyWin 5 adminis-

trator program. The supervisor code, which is “301042” by default,

is used to enter the program the first time and to add cabinets and

administrators.

ADMINISTRATOR PASSWORD

The administrator password is a unique password for each adminis-

trator to login and administrate KeyWin 5.

PIN

A PIN is a user’s personal code for accessing the cabinets. The PIN

code identifies the user and informs the cabinet which keys that

particular user is entitled to take.

ACCESS

An access (or connection) is a connection between a user and a

key that grants that user access to a certain key. An access can be

made directly or through the group.

ONE TIME LICENSE

A license key is required to use KeyWin 5 PC software. When

purchasing a one time license, the software is freehold but you

will not have access to free updates. Updates can still be bought

separately.

THREE-YEAR LICENSE

A license key is required to use KeyWin 5 PC software. A 3-year

license entitles you to continuous updates for three years. After

three years you can renew the license for three more years and

continue to get updates, or you can continue to use the program

without further updates.

PROBATION TIME

When the program is installed for the first time you have a 30 day

trial period after the installation is done. To continue using the pro-

gram after the trial period you are required to enter a license key.

Installation of cabinets

Installation should be performed by a Creone trained dealer. Before you start the installation, ensure that power outlets and network

connections are available for both the cabinets and the computer.

FOLLOW THE INSTRUCTIONS TO GET STARTED:

1. To open the cabinet: Please use the supplied key to open

the service door. After opening the service door you will

find an emergency release to open the door manually.

2. Mount your cabinet on the wall according to the sketch

and wall mounting template.

3. Connect the power supply to the cabinet and connect it to the

230V mains power.

4. Plug in the TCP/IP cable to the printed circuit board of the

KeyBox and connect it to the network socket.

5. Connect the cable from the battery back-up to the printed

circuit board of the KeyBox. The KeyBox will now startup,

which can take up to 2 minutes. Close the door and service

door and store the key in a safe place. The physical installa-

tion is now complete.

STANDALONE BOX

The cabinets can be used as a standalone box. Then use the

admin code (301042 by default) to open the cabinet and insert and

remove the keys. The admin code provides access to all keys in the

cabinet.

IMPORTANT INFORMATION

Both the admin code and service code can be changed in the

service menu. You can also use the service menu to change

settings like the cabinet name and location. (Note that the codes

can only be changed in the service menu before the cabinet is

connected to the PC program. Once the cabinet is connected to the

PC program, the program must be used to change codes.

Connect the power cable to the power supply of the cabinet.

Setting a fixed IP address for the cabinet

STEP 1

Go into the service menu using the service code (1234 by default).

STEP 2

Select “DHCP” in the service menu and set it to “Off”. (Use arrows

to change the setting and “#” to confirm the change.)

STEP 3

Select “IP address” and enter the IP address you want the cabinet

to have.

STEP 4

Select “Gateway” and enter “255.255.255.0”.

STEP 5

Select “Reboot” to reboot the cabinet. Then wait until CODE: is

displayed.

Installing the server and client

The installation of the server can take between 5 and 20 minutes depending on the PC. You may need to restart the computer. The installation

of KeyWin 5 Client takes a few minutes. Please note that full administrator rights are required to install KeyWin 5. If SQL Server is already

installed on your computer, please check with your network administrator before doing the installation.

To use an existing SQL Server, please go to www.creone.com and then SUPPORT for more information.

STEP 1

Insert the KeyWin 5 USB drive into your computer. Please copy the

KeyWin5 folder to your desktop and run the installation of KeyWin5

from there.

STEP 2

Open the KeyWin5 folder from yourdesktop and run the file: “Install-

Server.exe”

STEP 3

Follow the instructions for installation, finish the installation and run

the file “InstallClient.exe”.

NOTE! If your computer not is connected to the internet, please use

the file “keywin” instead of “Installclient.exe”.

STEP 4

Proceed to the “Start up”.

Registering a KeyWin license

In order to use KeyWin 5 you need to register the program and get a

license key. You can choose between a one-time license and a subscrip-

tion license.

When you start KeyWin 5, you have a 30 day trial period. You must

register the program and obtain a license key before the end of the trial

period, or you will not be able to continue using the program. When you

start the application you may choose to register the program.

Fill out the information on the form and click “Send”. You will receive

confirmation that your KeyWin 5 client has been registered. Within a few

days you will receive your license key and a message that the program

has been activated.

In case you do not have an internet connection, please send a license

request to [email protected]. You will receive a license file and a

costumer code that you can import manually into the KeyWin 5 soft-

ware.

Installing KeyWin 5 client

Installation of the Client only. You need to have the IP or host name of the computer where the server is installed.

STEP 1

Insert KeyWin 5 into the computer, open the KeyWin 5 folder.

STEP 2

Run the file “InstallClient.exe”.

STEP 3

Follow the installation instructions on-screen.

STEP 4

Run KeyWin 5 from “All Programs”.

STEP 5

Enter the IP address or hostname of the computer where the server

is installed.

STEP 6

Try to make contact with the client server.

STEP 7

Proceed to the “Start up”.

System requirements

Full administrator rights are required to install the program.

The application requires:

. NET 3.5 SP1 (Windows Installer 3.1 is required to install. NET 3.5

SP1)

SQL Server 2008 Express Edition (Windows Installer 4.5 is required

to install SQL Server 2008 Express Edition)

The following ports must be open:

39 164 (Detection of the subnet as the PING protocol)

5432 (PostgreSQL)

TCP 1433 (SQL Server 2008)

1434 UDP (SQL Server 2008)

Minimum requirements for client computer:

At least 2GB RAM. At least a 1 GHz processor and 10MB Hard disk

for client (700MB HDD for server).

Supported Operating Systems:

Windows XP SP2 or later

Windows Server 2003 SP2 or later

Windows Vista

Windows 7

Use existing SQL server

Supported server: Microsoft SQL 2008 R2. At least 2 GB RAM

You can use your SQL server, as long as the server version is newer than 2005. However, you need to set up a new instance of the server

called KeyWin.

STEP 1

Log in as administrator on the computer on which you

want to install KEYWIN server

STEP 2

Uninstall all earlier KeyWin Server instances.

STEP 3

Reboot.

STEP 4

Install a new instance of SQL server and call it KEYWIN.

STEP 5

Activate the integrated security on your SQL Server (this

step is required to install KeyWin Server).

STEP 6

Make sure your SQL Server is running and that the server has the

TCP protocol and the named Pipe protocol is active (i.e. the server

can be accessed using TCP/named pipe).

STEP 7

Install KeyWin Server and follow the instructions.

STEP 8

The installation package will now detect whether there are any SQL

Server instances with the name KeyWin. If detected, the SQL Server

version accompanying the installation package will not be installed.

Adding a cabinet

Adding administrators

STEP 1

Start KeyWin 5.

STEP 2

Log in with the administrator password (301042 by default).

STEP 3

Select “Settings” and then the “Cabinets” tab.

STEP 4

Click the button to add a new cabinet.

STEP 5

Click “Start Search” to search for a new cabinet automatically on

the network (alternatively, specify the IP or DNS).

STEP 6

Select the cabinet from the list and click “Next”.

STEP 7

Enter information for the cabinet and then click “Save”.

STEP 8

Repeat Steps 4-7 to add more cabinets.

STEP 1

Select “Settings” and then the “Administrators” tab.

STEP 2

Click the button to add a new administrator.

STEP 3

Enter the personal information, password and rights for the Admi-

nistrator and click “Save”.

STEP 4

Select the cabinet the administrator will have the right to administer

and click “Save”.

STEP 5

Repeat Steps 2-4 to add more administrators.

Registering keys

STEP 1

Open the cabinet with the admin password (301042).

STEP 2

Put the pegs (keys) in the cabinet. Check that the LEDs light up in

the strips. You will also see the ID number of the peg in the display

of the cabinet.

STEP 3

Start the KeyWin 5 program.

STEP 4

Select «Administration» and go to the key column.

STEP 5

Select a key and click to edit key.

STEP 6

Repeat Step 2 and 5 to register more keys, or click on the “key

overview” to edit multiple keys at once.

When the keys are first placed in the cabinet, they are visualised in the KeyWin 5 client along with their unique ID number. If you cannot see any

keys in the list after putting your keys in the cabinet, put the cursor in the search field above the keys and press Enter.

Adding users

STEP 1

Select “Administration” and go to the “User” column.

STEP 2

Click the to add a new user.

STEP 3

Fill out the information for the user and click “Save”.

STEP 4

Repeat Steps 2-3 to add more users.

Note that you must fill in the username and PIN, and these must be unique. A user must have access to a key in a cabinet in order to get

into the cabinet with the PIN Code.

ADVANCED SETTINGS

Pressing “Advanced Settings” will give you more fields to fill in to each user. Please note that all information that is entered will be searcha-

ble in the software.

Creating groups

Connecting a key directly to a user

STEP 1

Select “Administration” and go to the column “Groups”.

STEP 2

Click the to add a new Group.

STEP 3

Fill in your name and any time channel for the group and click

“Save”.

STEP 4

Repeat Steps 2-3 to add more groups.

STEP 1

Select “Administration”.

STEP 2

Select the users you want to connect a key to.

STEP 3

Click “To Connect” at the bottom of the page.

STEP 4

Click once on the red icon of the key that you want to connect. The

icon will turn green to let you know the connection has been made.

STEP 5

Repeat Step 4 to connect multiple keys to the same user.

The connections have been made. Click on “Back” at the bottom of

the page.

Note: To give a user access to all of the keys in the system, press “Select all” under the “Key menu”. When all icons to the right of the keys are

green, the connection has been made. If you connect a user to several hundred keys at once, it might take some time for the cabinet to receive

all of the information.

Assign a key to a user through a group

STEP 1

Select “Administration”.

STEP 2

Select the group that you want the user and the key to be linked

through.

STEP 3

Click “To Connect” at the bottom of the page.

STEP 4

Click once on the red icon to connect the user. When the icon turns

green, the connection has been made.

STEP 5

Click once on the red icon for the key you want to connect. When the

icon turns green, the connection is completed.

STEP 6

Repeat Steps 4 and 5 to connect more users or more keys to the

same group.

STEP 7

The connections have been made. Click on “Back” at the bottom of

the page.

STEP 8

Repeat Steps 2-7 to connect more users and multiple keys via Groups.

Supervisor

Administrator

User

The supervisor is the person who is ultimately responsible for the

KeyWin 5 system. The supervisor has full access to the KeyWin 5

program and may add cabinets and administrators to the system.

The Supervisor cannot be deleted from the system. The Supervisor

allocates rights and determines the tasks that each administrator is

entitled to perform.

The administrator is the person responsible for administering one

or more cabinets in a system. How many and which cabinets is

determined by the supervisor or another administrator who is entitled

to create administrators.

An administrator registers users, groups and keys for one or

more cabinets and gives users access to groups and keys. The

administrator can also follow up on who had what keys at a particular

time and the cause of any alarm.

Users are the people who have access to cabinets and keys. Each

user has a PIN Code that they use to gain access to the keys and

cabinets that they have permission for.

Server

Licenses

KeyWin 5 server is the database where all data is saved. It

communicates with clients and cabinets in the system.

The KeyWin 5 Client management program is where you add and

perform daily administration of cabinets, administrators and users.

A license key is required to use KeyWin 5. The license key is valid for

your entire system and you can link as many units and clients as you

like to the same system.

A one-time license entitles you to use the software forever, but you

will have to buy upgrades separately. A three-year license gives you

access to continuous upgrades made to the program. After three

years, you can choose to continue for another three years with

upgrades or continue to use the program as it is without upgrades.

After installing KeyWin 5 for the first time you will have a 30 day

trial period. During that period, you must obtain a license key to

continue using it after the trial period. Please note that if you have

not registered a license key within 30 days, you will need to reinstall

the program and reconfigure all of the information about keys, users,

groups, etc.

Overview

Searching and sorting

The Administration view gives you a quick overview of the system.

The intelligent search function is a quick way to find the correct user

or key. The Administration view also allows you to add and manage

users, groups and keys, as well as set up connections to allow users

access to keys.

Highlighting a key automatically changes the columns of groups and

users so that only the groups and users that are connected to that

key are displayed. The same principle applies when you select users

or groups. This gives you a quick overview of who has access to

what.

By ticking the check-box “Only show taken keys” you will only see the

keys that currently are out of the system in the list.

For each column (users, groups and keys) there is a search field.

The search bar is intelligent and displays all items, in a column,

containing the letter or number that you typed in the search field. The

best match is always displayed at the top. In order to re-examine all

items in the column, delete what you typed into the search field.

Users can click on the arrow to the left of the search field and even

choose what you want the column to be sorted by. By selecting

“Advanced” you can also choose what you want to be able to search

for in the search field.

Shortcut contact

Placing the cursor over a user will bring up an information box with

the user’s username, email, phone and mobile. This allows you

to get contact information for a user quickly by simply moving the

cursor over them in the list.

Adding, editing and removing users

KeyWin 5 system can, in principle, handle an unlimited number of

users. It is easy to add, edit and delete users. You choose how

much and which information you want to fill in for each user. Every

user must have a unique username and PIN.

Users are added by clicking on the button under the column for

users. Click on to edit a user. Click the button when a user

is selected to remove the user.

USER NAME

Must be defined, be unique and contain 4-25 characters.

PIN

Must be defined and unique. The number of characters is

determined by the Supervisor under Settings. The PIN can be set

manually or randomly generated.

CHANGING THE PIN ON THE CABINET

The administrator can determine if a user is allowed to change

his PIN Code on the cabinets. The PIN code can then be changed

at the cabinet by entering the PIN Code, pressing “#” for about

three seconds and then entering the new PIN code twice (once to

confirm).

The cabinet display will inform the user if this PIN has already been

taken. In the event that two users change their codes to the same

code simultaneously on two different cabinets, only the first change

will be accepted by the server. The change will not be implemented

for the other user, so their old PIN Code will still apply.

CONTACT

Entering all the information for a user makes it easier to find the

user later on.

If you enter their mobile phone number, other users will be able to

see it in the cabinet display if the user has taken a key.

Login via RFID reader

Show all users

An RFID reader can be connected to the cabinet and be activated for

the users. The administrator can choose if users can log in with their

PIN code, an RFID reader or a combination of both.

To find out the correct RFID number you need to enter the service

menu of the cabinet (1234# by default), and go down to “Test

Cardreader”.

Now swipe your badge in front of the RFID reader and the correct

number will appear in the display. Enter this number in the software

for the user.

You can also buy a USB connecting device for this so it can all

be managed from the computer. Contact your dealer for more

information.

More information of how to conenct the RFID reader, please see

appendix 1 at page 57 in the end of this manual.

The administrator can manually enable or disable users. Disabled

users remain in the system, but are not active and have no access

to any keys or cabinets.

The users that appear in the administrator’s list are the users who

are connected to one of the keys (directly or via the group) present in

any of the cabinets that the administrator has access to.

Selecting “Show all users” will display all users throughout the

system.

The administrator can set a time period (date) during which a

user can gain access using his PIN. After the expiry date the user

becomes inactive, but will still remains in the system. You can easily

reactivate users and their rights later.

Time channels

A group is a simple way to connect specific user to specific keys.

For example, you could create a group named “Cleaning”, and link

the group with the keys and the users who will be involved in the

cleaning group. You can create as many groups as you like.

For each group, you can set a ”time channel”. A time channel

means that users in the group only have access to the keys when

time channels are active. You can also enable and disable time

channels manually. An icon () next to the group’s name in the

column shows that there is a time channel linked to the group.

Adding, editing and deleting keys

With keys, their ID is identified by the peg to which one or more keys

are attached to. Each peg has its own unique ID number.

When a peg is first registered, the peg’s ID numbers is visualised in

both the display of the cabinet and the PC program.

A key (peg) is added to the system by inserting a peg into a strip in

a key cabinet. The strip identifies the peg and ID number that will

appear in the keys column. By clicking on the “Edit” button, you can

register the key with the information you want to add. (If keys are not

visible in the key column after you put them in the cabinet, place the

cursor in the search field and hit enter to see the keys.)

NAME

The name of the key which will appear in the column of keys and the

cabinet display.

COLORS

The color for the key can be set (to the same as the color of the key

ring, for example). The color will be displayed when selecting “Key

overview”.

KEY-ID

The Key-ID is hidden, but remains searchable. This ID can be a serial

number, an address where the key goes or similar information that

you do not want to appear in the program or on the cabinet.

Searching for a Key-ID in the KEY VIEW or EVENT LOG you will find

every key with the same KEY-ID.

TIME FRAME FOR KEY

If you have particularly important keys that you do not want to be out

for too long, you can set a time limit for the key. If the key has not

been returned to the cabinet before the end of its allotted time-frame

an alarm will sound and register in the event log.

KEY IN ONE OR MORE CABINETS

When you sign a key in, you can determine if the key should be

allowed to exist in only one or several cabinets. All cabinets are shown

in the list. Click the icon for each cabinet you want the key to be in.

Note that changes are carried out directly and do not have to be

saved.

VARIABLE OR FIXED KEY POSITIONS

The system has variable key locations by default. This means that

you can place a key back anywhere in a cabinet (as long as the key

was registered in that cabinet). It is also possible to give a key a

fixed key position.

For example, a key can be fixed to door one, strip two, and position

eight in the cabinet.

When choosing a fixed key position, it can only be in one cabinet. The

key can be allocated to several cabinets, but can only have a fixed

position in one cabinet. If you put the key back in the wrong place, a

short beep will sound and the display will provide information about

the key’s correct place.

Key overview

The key overview gives you a graphical representation of the keys in

the cabinet. You can also easily edit the keys via the key overview

just by clicking the keys.

To enter the key overview you can highlight a key and press ”Key

Overview” or go to “Settings” and highlight the cabinet you would

like to see and press “Key Overview”.

Connection directly between users and keys

Connections between users and keys via groups

Connecting is the process whereby a user is linked to a key, which

means that the user then has access to that key. A connection can

be made directly between users and keys or via a group.

A direct connection between users and keys is made possible by

selecting the user or the key, clicking on “To Connect” and then

clicking on the red icon of the key or user that you want to connect

it to. Doing so will make the icon turn green and implement the

changes immediately.

To connect all keys to the user, press “Select all”. Now all keys will

turn green after a while depending of the amount of keys.

Creating a group and connecting users and/or keys to the group

allows you to administer the system more efficiently, especially

when you have several people who should have access to the same

keys.

To connect all keys and user to the group, press ”Select all”.

All keys and users will turn green after a while depending of the

amount of keys and users.

Select the group, click on “To Connect” and then click on the red

icon of the keys and users you want to connect to the group.

The icons will then turn green and the changes will be implemented

immediately.

Note: if a user has access to a key through a group, it will be

indicated by a key instead of a green icon. For this connection, you

cannot remove a single key. Instead, you will have to disconnect the

user from the group.

Search function

The Event log records all events involving cabinets and the

administration program. It is possible to configure which events are

logged.

All alarms are indicated in red in the log and a new alarm will

change the color of the tab of the Event Log to red. This makes it

easy to notice the alarm and see who or what caused the alarm.

The intelligent search function lets you quickly get the right

information on the key or the user that you want. The Search Bar is

intelligent and displays all items in the column containing the letter

or number that you typed in the search field. The best matches will

appear at the top. To show all events in the log, delete what was

typed into the search field.

By clicking on the arrow to the left of the search field, you can

choose to search for events within a certain timeframe. There is

also the option to sort by date or event, and to show events from

the cabinet, events from the administration program, or both. By

choosing “Advanced”, you can choose exactly which events you

want to appear in the log.

Export - reports

You can easily export information from event log to reports. You

can either use a .CSV file, which can be imported into Excel, or

export information directly to a PDF file.

Acknowledge all alarms

Once you have checked the alarms, you can acknowledge them.

They will then become a less intense red. This enables you to see

continued emergency events.

Adding a cabinet

Under the settings you can install new cabinets, add new

administrators or change more advanced settings such as the

language, number of valid characters in the code, make a back-up,

change communications settings and more.

The cabinet tab gives you a good overview of the cabinets in the

system. It is easy to add and edit cabinets.

Add a new cabinet by clicking the (the cabinet must be

connected to the network). You will get a dialog box where you can

choose to search for the new cabinet automatically or to enter the IP

or DNS name manually.

Normally the program finds the cabinet directly, but if the cabinet is

in a subnet or if the automatic search does not find it you can search

for it by entering the IP or DNS name.

Note: if you are not able to make contact with the cabinet, check

your network and firewall settings.

When the system finds a new cabinet, press “Next” and enter the

name and location of the cabinet. You can also choose the language

for the cabinet.

Admin code

Alarms

Each cabinet has an admin code. The code is 301042 by default.

The admin code allows you to enter the cabinet and gives you full

access to all of the keys in the cabinet.

You can choose to have the same admin code for all cabinets or

use a different one for each cabinet.

The cabinet will emit an alarm if the door is left open for too long

or when someone takes out a key without proper access. You

can specify how long these alarms will sound for under “Timeout

Alarm”. You can specify how long the door may be open before the

alarm sounds under “open door alarm”.

If the open door alarm is set to 60 seconds and other keys are

removed or inserted while the door is open, the alarm time will be

reset to 60 seconds from the last action taken.

External alarm

It is possible to connect an external alarm to the cabinet. This is

done on the circuit board inside of the service door. Please consult

your dealer before installing an external alarm.

You can set the time interval between the cabinet’s alarm going

off and the external alarm being activated. Please see Appendix 1,

page 57 in the end of this manual, for more information.

External card reader

Restart cabinets

You can connect an external card reader to the cabinet. This is done

on the circuit board inside the service door. Please consult your

dealer before installing an external reader.

An external card reader is connected to a relay which transmits a

signal when a user uses a card that allows the user to enter his PIN

Code. The keypad is “locked” until a valid card is read. Please see

the last page in the manual for more information.

To activate this function in cabinet, enter the service code to enter

the configuration menu. Then go down to ENABLE EXTERNAL LOCK

and activate this by press #, change to YES with the arrows and

confirm with # once more. Please control that the external unit is

connected before you do this. More information of how to connect

the device you will find in Appendix 1, page 57 in the end of this

manual.

Reload the entire list of cabinets and its information. This is a

manual update of your data within the cabinets.

Should only be used if the cabinet encounters an error. Be sure to

press the button only once. Restarting the cabinet first empties the

cabinet of all data and then reloads with all the information. Before

you do this it’s important to know that you have contact with the

cabinet. if you do not, check your IP settings.

Add administrator

The Admin tab provides an overview of the administrators in the system, making it easy to add and edit administrators.

Add a new administrator by clicking the . Fill out the information

and the administrator password. The administrator must use this

password to log into the program.

Next, select which rights the administrator should have. You can

choose if the administrator is able to add and edit keys, users,

cabinets, groups and also if the administrator is allowed to change

settings in the program and add new administrators. If you limit an

administrator’s rights, the information shown when the administrator

logs on will be limited.

Select the cabinet for the administratorto administer

Low level access to KeyWin 5

After saving the information for the administrator you will be

asked to select which cabinets the administrator has the right

to administer. You will be provided with a list of all cabinets in

the system and you can easily select the cabinets you want the

administrator to administer. The administrator will only be able to

see and manage information and keys in the chosen cabinets.

To provide the opportunity for users and other people to enter the

program in order to make changes, find keys, etc., you can create

one administrator without any rights and distribute the password

to the users. They can then log into the program and search for

information, but will not be able to make any changes.

Under the “Back-Up and Restore” section, you can create a back-up, upload an old backup, import lists of users, and import

language files.

IMPORT FROM FILE

Here you can import a previous back-up. Click on “Choose File” and

select the file you want to import.

EXPORT TO FILE – CREATE BACK UP

Here you can make a back-up by exporting a file with the information

contained in the system. The file is named automatically with the

current date. Click to select the file and choose where to save the

exported file.

Creone strongly recommends creating regular back-ups.

IMPORT USERS FROM CSV-FILE

Here you can import users from a CSV-file. Click on “Choose File”

and select the file you want to import.

IMPORT A LANGUAGE FILE FROM XML

Here you can import a language file with a new language or an

update of a previous language. Click on “Choose File” and select the

file you want to import.

IMPORT A LANGUAGE FILE FROM CSV

Here you can import a language file with a new language or an

update of a previous language. Click on “Choose File” and select the

file you want to import.

IMPORT LANGUAGE FILE FROM CREONE SERVER

Select this option to download all languages from the Creone server.

In the advanced settings, you can set how many characters and

which characters will be valid for the administrator codes and user

codes. You can also change the settings for network communications

and email communications. You can also change the code to the

service menu for cabinets and set the language for the KeyWin

program.

NUMBER OF CHARACTERS AND VALID CHARACTERS

FOR PASSWORDS

Here you can set how many characters are used for administrator

and user passwords and which characters are valid. If you change

the settings after a user or administrator has already been given a

password that does not meet the new criteria, their old password

will remain active. However, if the administrator enters their

information into the KeyWin 5 software, it will ask them to enter a

new code.

GENERAL SECURITY SETTINGS

Here you can change the code to the service menu of the cabinets

in your system. Note: the same code will apply to all units.

CHANGE LANGUAGE KEYWIN 5

Here you can change the language used by the KeyWin 5 program.

If you choose a new language, it will change the program instantly

to the new language. To have the new language when you log in

next time, you must save this setting.

If you are missing a language, please go to “Back-up & Restore”

and click ”Import Language File From Creone Server”. Restart the

TIME-OUT FOR CONNECTOR (S)

You can set the maximum time that the server will wait for to

receive answers from the cabinet. This value should not be less

than one (1) second. Normally, the value can be quite high, e.g. 60

seconds. The database can normally respond after 0.5 seconds if it

is connected. If you have a slower network you can reduce the time

taken to obtain a faster communication.

TIME-OUT COMMAND (S)

Here you can set the maximum time that the server will wait before

it cancels a command, writing or reading from the cabinet base.

Should be set to 599 seconds (approx. 10 min).

UPDATE INTERVAL (MS)

Here you can set the time between each synchronization of the

server. When synchronization is complete, all information will be

logged and the process will start again. The system will wait for

the allotted time in milliseconds before the cabinet contacts the

database with an update for the event log.

Setting this to less than 2000 ms may affect the performance of

the computer that the server is installed on. When cabinets are used

infrequently (i.e. once per day) and changes are made to KeyWin only

once or twice a month, you do not need to check the event log often.

The synchronization can be reduced to as low as once every five days

to prevent the server from standing idle and working for no reason.

PORT DETECTION

Here the network supervisor can switch the ports used for network

detection. However, this requires changing the reply port in the

cabinets. In certain networks with high load there can be a particular

port that is busy or blocked by a firewall. You can get around this by

selecting a different port.

The standard port is not normally occupied by another protocol.

However, the network administrator must open the port in their

firewalls (especially physical ones) if they are not already open. If you

are unable to make contact with a cabinet in the network, it may be

blocked by a firewall.

TIME-OUT DETECTION (MS)

This is the maximum time that KeyWin 5 will wait to get a response

from the cabinet at detection. This can be quite low but should not

be below 1000 ms. It does not necessarily need to be a high value.

It takes less than a second on average for an answer to be received.

However, if the network is experiencing heavy load, this process may

take up to 5 seconds.

SEARCH TIME (DAYS)

This is the number of days (positive integer) from the present date

to the logs shown and is a preset search box in the Event Log. The

value of the “From Time” frame is preset to “TODAY” to “X” number

of days. You can then adjust that in the search box. Changes in the

search cabinet do not affect the preset.

Setting the value to 30 means that only logs from 30 days ago or

less are shown. Increasing the value can affect performance since

there is a significantly greater amount of data being loaded.

UPDATE RATE (MS)

This is the time in milliseconds that the logs are updated. (Not to

be confused with the «Update interval» setting that controls the

synchronization engine.) This parameter controls how often the

interface checks for logs. NB! The value of the parameter must be

greater than the “Update interval” value, since no events will be

logged until a synchronization has been completed.

DELAY FILTERING (MS)

This is the number of milliseconds that the interface will wait to

perform a search between each keystroke in a search box. Each key

press changes the search string.

POSSIBLE COLORS

This is a list of possible colors that can be selected in the drop-down

box to select color for the keys in the GUI. Each color is described inn

the form: # AARRGGBB where # is mandatory, AA is a hex value that

indicates the skin treatment of the color (should always be FF for full

color), RR is the hex value for red, GG is the hex value for green, and

BB is the hex value for blue. This is known colloquially as RGB (red,

green, blue) and allows you to create 16.7 million colors. Hex values

range between 00 to FF, where 00 = 0 and FF = 255. 0-9 = 0-9, A =

10, B = 11, C = 12, D = 13, E = 14, F = 15

Colors in the list are separated by a semicolon.

The Keycontrol series (SC) is Creone’s smart system with electronic

key identification for monitoring and controlling each individual key. A

Keycontrol system can cover anything from a few keys up to several

thousand keys. It is easy to add more strips and key locations in your

cabinet and also more cabinets in the same system as needed. Up

to one hundred cabinets can be used in the same system.

The cabinet has a display with simple menus and search

functionality. The cabinets are equipped with battery backup systems

and alarms. Key cabinets are available in various models with a

maximum of 42, 84 and 224 keys in each cabinet.
