Step 1: What to do firstThe biggest question regarding the

reception is “where?” Before you can work on this question, however, you’ll need to know a couple of things: what style of wedding do you envision, and how big? Obviously, a casual, relaxed summer afternoon reception would require a completely different reception site than a formal, elegant winter evening reception – so clarify the type of wedding (and the time of year) you both desire first.

Once that’s been established, determine the rough guest list, including all interested parties: you and your groom, and each set of parents.

Of course, you’ll also need to consider your budget as well, as this will have great influence on the number of guests you can afford to have. Once you’ve made these critical decisions, it’s time to start looking for the ideal reception site. As with anything, the more time you have, the better – some choice reception sites get booked one to two years in advance, particularly for prime dates.

Step 2: Start the searchLocal bridal publications, the Internet,

wedding shows, married friends and the yellow pages are all good sources of potential reception sites. If you have no idea where to hold your reception, try hotels, banquet halls, restaurants, community centers and country clubs. Other less obvious options are country inns, historic homes or mansions, city parks, college or university facilities, art galleries, museums and boats. Each location offers its own unique style and ambiance.

There are two basic types of reception facilities: on-site and off-site. Most on-site locations provide the majority of services you will need for your reception: catering, beverages, tables, chairs, tableware, linens and serving staff, making this a very convenient option. The facilities normally charge on a per person basis, and have a minimum guest requirement. Such locations include hotels, private clubs and restaurants. Off-site locations offer the use of the facility only, providing no other services. You supply nearly everything yourself, paying a flat fee for the use of the site. The nice thing about off-site locations is the freedom to do everything your own way, and more choices – although this can also mean more work!

Narrow down your search by focusing on those sites that seem to best meet your needs, depending on your style, season and estimated guest count. Once you’ve selected some possibilities, it’s time to go on a road trip with your fiancé, maid of honor and/or Mom and check out the sites in person.

Step 3: Evaluating reception sitesNow the real work begins. Every site

offers advantages and disadvantages, and your job is to sift through all of the features of each site, to find the best one for your wedding – all while keeping your budget in mind. Here are some factors to consider:

Location. The reception site should be no more than a 30-minute drive away from the ceremony location. A longer drive than that is really asking too much of your guests! If the location is difficult to find, or will offer

special challenges to get there (say, located near a football stadium that has a home game on your wedding day) you should consider providing transportation for your guests from the ceremony site, and back to their cars after the reception.

Size and layout. Will everything happen in one big room, or in separate rooms for the cocktail hour, dinner, dancing? Will it comfortably hold the number of tables you’ll need, and will everyone dine in the same room? Is there room for a band or DJ, and for cocktail hour musicians, if you’re having them?

Privacy. If your venue does multiple events, find out if there are other bookings on the same day or time as yours. If so, ensure that there will be adequate privacy and separation for your celebration. There should also be ample time in between events to allow your caterer or other service people to set up or break down your party.

Parking. Make sure there is convenient, well-lighted, ample parking for your guests, and if not, find out if valet service is available.

Technical details. Whether you intend to have a DJ or a band, inquire about possible restrictions regarding the type, volume or duration of music. Be sure to confirm that there is an adequate power supply for speakers, mixers and amplifiers, or good acoustics for string and wind instruments. Some sites have built-in public-address systems which can be used for introductions and toasts. If your site of choice doesn’t offer this equipment, make sure your DJ or musicians can provide it.

Room décor. Most sites offer a neutral background to work with, but make sure the flooring, wall coverings and colors will work with the style and season of your wedding.

Services offered. Be clear, with each site visited, exactly what is and is not included. From catering and wait staff, to candles and chairs… get those details up front.

A note about outdoor receptionsIf you’re planning an outdoor

reception, it’s critical to have a back-up plan in case of inclement weather. Planning for an outdoor reception is usually much more work overall, because you have to provide for everything from the salad forks to the tents to the chairs, and you may need to change plans at the last minute due to the weather! For these reasons, it’s highly recommended that you use an experienced wedding coordinator if you want an outdoor reception – this will ease your workload, and your stress, immensely.

Down to detailsAs with any wedding vendor, make

sure that all details are outlined in writing, and use a credit card whenever possible when making payments so that you have more protection in the unlikely event of a problem. You should feel very comfortable with your contact person, and feel that they respond in a timely and efficient manner to your questions and requests. OK, you’re busy. You want the cut and dry version of reception planning, and you want it now.

Before You BookAs you’re searching for wedding

locations, ask vendors about catering policies, alcohol policies, bad weather contingency plans, staffing availability, parking, decorating, deposits, refunds and insurance.• Book your wedding and reception site

as soon as you have set a date. To find your perfect site, call around. Ask for a description and a list of services: caterers, waiters, bartenders and parking valets. Make an appointment to tour promising prospects.

• Hotels, restaurants, private clubs and halls normally offer catering services, and may not allow you to use your own caterer.

• Make sure there is enough room for your guests, and electric voltage for your entertainment.

• If you’re going to decorate, ask about restrictions.

• Churches and temples may have policies regarding alcohol and other restrictions.

• For a garden wedding be sure you have enough room inside in case of bad weather.

at the PartY• You may want to ask several relatives

or close friends to act as hosts, greeting your guests, assisting with seating and maximizing the mingling.

• Designate a table for the wedding party and another table for both of the families. The bridal couple sits in the center of the table, maid of honor to the groom’s left, and best man to the bride’s right. Alternate men and women as space allows.

• Just before the meal is served to the wedding party, it is traditional for the best man to propose a toast. All rise, except the bride and groom. After the toast, the groom may reply. Any other toasts are then appropriate.

• Serve the meal or send people to the buffet in this order: bride, groom, maid of honor, best man, attendants, parents and then guests.

• Your first dance as husband and wife should feature your special song, usually something romantic. The floor should be empty of other guests. Then come the dances for the bride and her father, the groom and his mother, the bride and the groom’s father, the groom and the bride’s mother. Lastly, the wedding party joins in, then the guests.

• Traditionally, the bouquet and garter toss take place near the end. To keep your original bouquet, have the florist create a special arrangement to be thrown.

• If possible, invite all guests to both the ceremony and the reception. B

Shawn and I were friends before we started dating. It was Labor Day Weekend and I invited Shawn to join my family and I on a trip to the mountains, when last minute there was a change of plans and he was unable to come. I still ended up leaving for the weekend with all of my family to a place that I have been traveling to since I was a little girl and is very special to me. My mom owns a house with her eight sisters in their hometown of Wilcox which is tucked in the Allegheny mountains. It is a place where we can all be together as a family, share in memories, and create new ones. Shawn had been scheming with my mom the whole time and was planning on coming up to surprise me. I heard his truck pull into the gravel driveway on the Saturday of that weekend and was shocked to see him. On Sunday, we went out for a drive to the East Branch Dam and that’s when he proposed. I will never forget how special he made it for me.

Everything about our wedding was a personal or special touch from riding up the long driveway in the 1958 Chevy Apache, to the bagpiper. I knew that I wanted my bridesmaids to wear cowboy boots with their dresses when I first started planning but I did not want them to know about it. This was going to be their gift from me and I started to select a different pair of boots for each of them. I started looking for a venue shortly after our engagement because I knew that I wanted it to be unique. Brittland Estates was the first venue that we had visited and I was so eager to visit the four different properties that Brittland Estates has to offer. We loved the wide open country setting and all of the comforts of home that it had to offer. It meant so much to be able to stay in the homes with our families for the wedding weekend. It is such a welcoming and amazing location for a wedding and we would not have had it any other way. We selected twelve different kinds of pies to be made for our wedding which included; raspberry, strawberry rhubarb, apple, peanut butter, pumpkin, and pecan. Stepne Manor was the perfect location to be with our family and friends the night before the wedding.

When friends and family give you a gift for your wedding, you naturally want to thank them. Here’s a guide to achieving a personal, yet dignified, tone and creating a beautiful expression or your thanks.

Use a system to keep track of every offering, one that links the name of the giver with the gift, and indicates which cards you have already sent. You may want to make a note of the gifts received on your guest list so all names and addresses are handy.

The perfect way to handle thank-you notes is to write them the moment gifts are received. But since this isn’t always practical, strive for a delay of no more than three months. Printed initial acknowledgements are acceptable when your wedding is large and the gift list long, but eventually, a hand-written thank you is still a must.

Most gifts are regarded as having been sent to the bride and, consequently, it is her duty to do the thanking. But it is always proper to refer to the groom’s use of the gift and his appreciation. The groom should write the note when the gift giver is a close friend or fairly unknown to his new wife.

Write the notes on white or pastel paper, perhaps with borders or a monogram. If you order monogrammed stationery, remember to have some made up with your maiden initials for notes that must be written before the wedding.

Always mention the specific gift that was given in the note. Let your natural warmth and friendliness pervade your writing, and you will have a note as unique as the selected gift you received. B

tone of the ceremony; romantic, sincere or something unique to you and your fiancé. Vocalists, instrumentalists, soloists, choral or congregational singing are usually very appropriate.

An evening reception will be livelier with a pianist or other instrumentalists during dinner and a live band or DJ later for dancing into the night.

To find the right musicians, call a number of booking agents who represent the kind of entertainment you want. Determine how many performers you need and if the ones you are hearing are the same ones that will play at your wedding. Find out if you can make requests, or if they play only preset arrangements. What will the performers wear? Will it be in keeping with the flavor of your reception? How often, and for how long, do they break? Are you charged a flat fee or an hourly rate? Can the length of time they play be extended, or is it carved in stone?

Make notes on all these important items, but the most important question is do you really like this group? Do you want to share them with others? Your good feelings about the group are probably the most important qualifier of all.

Book your entertainment as early as possible. The best will be booked well in advance, up to a year is not unusual. Finally, two weeks to a month before the wedding, confirm the date, location, time of set up, and when the performance should begin. B

With the main event just around the corner, it’s time to relax and celebrate! After the ceremony rehearsal most couples choose to spend some quality time with close family and friends during a rehearsal dinner. The details of how you do this – who, what, when, where – are up to you. Below are five steps to help you pull it all fabulously together.

#1 – Choose your partyThe first step is to decide on what kind of gathering you wish to have. Most couples stick with something a little less formal, since you will all be dressed to the nines the next day. But really, you can do anything you like that feeds the crowd and allows for a little mingling: a pig roast, a potluck, dinner at a restaurant, a cocktail and appetizer cruise, a picnic in a park or a cookout in your backyard. Brainstorm with your sweetie and choose your ideal party.

#2 – Clarify who’s payingHistorically, the groom’s parents picked up the tab for the rehearsal dinner, however, you can no longer make that assumption. So – as with all wedding elements – it’s critical to be clear up front exactly who is paying for what. And never, ever assume!

#3 – Make the guest listAnyone involved in the ceremony, and therefore, at the ceremony rehearsal, would of course be invited. This includes attendants, parents and other immediate family, readers and so on. It’s also customary to include any out-of-town guests, as they will have traveled some distance for your wedding. It also gives them the chance to meet more people before the wedding itself; you wouldn’t want them hanging out in their hotel room alone in an unfamiliar city.

#4 – Make them mingleOne of the main purposes of the rehearsal dinner is for the two families to get to know each other better and enjoy each other’s company. So, whatever you and your groom can do to help with that, the better. Consider strategically planned seating with place cards or nametags with brief descriptions like “Mary Jones, Bride’s College Roommate,” and any other needed introductions. The rehearsal dinner is also an ideal time to give your attendants their gifts.

#5 – Fine tune the toastsTraditionally, the groom’s father toasts first at the rehearsal dinner, however, traditions continue to evolve and change! The rehearsal dinner is a more relaxed, informal atmosphere, so you can decide together, along with your families, who would like to speak and in what order. Often, the groom’s father will say a few words, followed by the bride’s father and then the bride and groom. Groomsmen, bridesmaids, mothers and other guests may also want to make a toast. Cheers! B

What Makes a Meal kosher?A special rabbi known as a Mashgiach

must be present to oversee the Kosher status of a menu at all times during the production and service of a Kosher event. All the equipment used to prepare and serve the meal must be appropriate for Kosher dairy or Kosher meat. Separate china, cooking utensils, pots and pans, cutting boards, even soaps, rags and dish racks must be used exclusively for Kosher meat and Kosher dairy. These pieces must never be used with any non-Kosher products such as pork or shellfish.

A professionally catered meal can be the crowning glory of your celebration, so choose your caterer with care.

If you’re renting a restaurant, hotel, yacht, or similar facility, you may have to use their catering service. Some facilities will include catering charges in the rental cost, and some won’t. Know the score before you book and always comparison shop.

Many good private catering companies will cater meals at any location. As you investigate these possibilities, determine what extras are included in their charges: table linens, plates, glasses, crystal, silverware and service pieces. While these are usually included, it is something you will want to confirm in advance, not find out on your wedding day.

An independent caterer can generally work within any reasonable, agreed-upon

budget. Determine your food budget by deciding how much you will spend on each person. Simply multiply the cost per person by the number of guests. Get in writing which menu and the number of guests your money will cover. Then mentally add an additional 10 percent for overage and 15 to 20 percent for a gratuity, if appropriate. Your caterer will know, from formulas and experience, how much of each item to allow per person.

In selecting a caterer, ask for referrals from people who’ve tasted the caterer’s fare and observed their professionalism at work. Many caterers offer a tasting consultation to allow you the opportunity to sample a variety of specialties, if this is available be sure and take advantage of it. B

After the wedding day, some of the most cherished moments of your marriage will be spent reminiscing with your spouse while looking at your wedding photographs. Therefore, it is of the utmost importance to find a professional photographer with the creative skills and techniques necessary to capture the beauty and joy of your wedding day on film.

Be certain to secure your photographer at least six months in advance however, twelve month’s notice is best. Your keenest evaluation takes place at the studio, where you can examine the photographer’s work and talk about your wedding. This is the time to discuss any special effects you have in mind and to determine the costs in order for you to plan your budget. Don’t forget to budget for additional prints you might want to give as gifts later. Agree on a firm figure for both the deposit and the final payment and pay both promptly.

You will need to establish a date when the proofs will be ready and how you will receive and pay for the finished work. Your photographer will probably keep your negatives, so make sure you agree to how long they will be saved.

I had just moved back from Florida and started going to the local gym, where I met Mike and we began to date. One day, Mike invited our parents and siblings over to our house. They were sitting on the couch and I was kneeling with our daughter on the floor. Mike knelt down very close to me as if he was going to kiss me and said, “would you like to be Mrs. Farris?”. Prior to this I was thinking why is everyone here on a Monday night? Our two year old daughter, Hailee, who has the most amazing spirit, twirled and clapped during the ceremony and commanded the dance floor during the reception. I used the seashells that we collected over the years for our center pieces. My veil was my best friend’s who got married two years before me, it was perfect for my dress and we didn’t change a thing. It’s great to look back at the pictures and know every person on a personal level made our day truly special. Our ceremony was at the pier of the Cape May-Lewes Ferry. Our daughter had a very cute pail of flowers to carry. The ferry has a cat that hangs out and of course it decided it wanted to be a part of our ceremony. It walked up the aisle and went right to our daughter’s flowers, she ran over to it and said “no kitty, these are Hailee’s flowers”. Everyone laughed and it may have been seen as something that went wrong, but looking back it is a great memory. The sea was our background and the Ferry was a unique wedding location. A learned lesson for me was planning your wedding by yourself using only online resources is not

effective if you are unfamiliar with the area and cannot travel often. My Dad was absolutely fabulous! After we picked the Cape May – Lewes Ferry, we realized that included in the price, Karen Pugh, was an event coordinator who helped a lot with the day of arrangements. To keep to our theme, our favors were mini white pails with salt water taffy and bracelets with our names and wedding date engraved. Our cake was three tiered with three different flavors, white with fresh strawberries and butter cream, red velvet with cream cheese, and spice with cream cheese. Something for everyone. We had so much fun. Looking back I can honestly say I wouldn’t change a thing.

If there are any special introductions to be made, make sure you review the correct pronunciation of the names and relay what the person’s relationship is to the bride and groom.

After the first dance of the bride and groom, it is common to play something upbeat and celebrating. Light dance tunes are generally played through dinner so your guests can relax and easily converse.

While not required, providing refreshments for your entertainer is a great way to keep her happy and energetic while she is working hard to make your reception a dancing success.

Lastly, make sure the contract covers all of the bases: the day, date and time of the event; address of the site; number of hours covered; overtime cost; total cost; and payment arrangements. But even if you book the Rolling Stones, they may not know New York, New York. A less obvious benefit of hiring an emcee is the personal touch he will impart to duties you won’t have to deal with.

A veteran wedding DJ will smoothly line up your wedding party and introduce them. He’ll arrange to have champagne poured before the toast and keep a jittery best man on an even and eloquent keel. He’ll emcee your cake-cutting and bouquet-throwing at the appropriate times. In short, he’ll keep the show running smoothly while you’re basking in the spotlight.

The key qualification is experience, not price. Most DJs cost less than the hors d’oeuvres, though they’re remembered far longer.

It’s not out of line to ask for references, though, he’ll certainly select satisfied clients. The best idea is to arrange a meeting. Michael and I met at work. We both work at the Gallery Mall in Baltimore. One morning when we were in the car Michael proposed. In the car! What a beautiful way to start a day. I wanted to find a place that was romantic and royal. That is how I felt planning our wedding. The Engineers Club was both of those for us. It was everything I desired in a venue. A special touch was when we exchanged our vows. They came straight from the heart. This was the beginning of forever and we let our hearts say it all. That was the best part of the day. Hearing those words and saying those words to one another. Our photographer, Trenique Artistry, was unbelievable. Trene captured all the special moments of our wedding day. Our theme was romantic, our décor was French and our favors were shot glasses. Now we can relive those memories in her beautiful work. At the beginning of the ceremony there was a small mix up with the seating. It is these small details that a good wedding planner will handle leaving you to enjoy your day with family and friends. If you don’t have a day of planner, get one. Now we are a blended family with our 3 children living the happily ever after.

• While you’re wearing the gown, use common sense. Protect it from moisture and mud, and lift the train above dirty floors. However, don’t be so cautious that you don’t enjoy yourself.

• Keep track of white beverage spills, such as white wines, champagne and soda. Left untreated, yellowing will occur.

• Consign your gown to the cleaners even if it seems in perfect shape after the wedding. Perspiration and other obscure stains will make their mark over time, and become embedded in a matter of weeks. Make sure the cleaner knows what caused any spots.

• Only mend tears when you’re sure the fabric can stand the strain.

• Store your gown carefully. Plastic bags seal in humidity and high temperatures, which cause mildew. Hangers stress sheer fabrics, such as lace, organza or marquisette.

• Invest in a dust-proof “heirloom box,” which preserves delicate beads and fabrics and retards wrinkling.

• Really paranoid? Try hermetic sealing, which protects the gown indefinitely.

From the start, our romance has been anything but boring and run-of-the-mill. Mark and I met on a dreary, rainy day in 2006, when he came into the company where I was working, to settle on the home he had just purchased. I immediately took notice of how attractive he was. All of us looked at each other, giggled and continued about our day. I got up from my desk and walked over to the Xerox machine. While standing at the copier, Mark walked by AGAIN. This time with his checkbook in hand, he approached me and said, “What’s your name? Should I make my check payable to you?” Mark left a hot pink Post-it on my computer screen with his phone number. The note read, “I would love to take you out to dinner to celebrate my new home.” Mark proposed to me in front of my family at a New Year’s Day celebration. Our décor featured an abundance of handpicked seashells from the Lewes shoreline, as well as white, teal, and turquoise draped tulle and bows. Our ceremony was held on the Finger Pier at the Cape May-Lewes Ferry terminal and our reception was on the M.V. Twin Capes and adjoining Lido deck and bar. We knew the views of the Delaware Bay and the sunset would provide a romantic and breathtaking backdrop for our reception. Our intent was to walk down the aisle to the theme song from Star Wars; however, Mother

Nature had a different plan in store for us. Mark and I, along with our twenty-two person bridal party, walked down the pier without music, but with umbrellas in hand. Both of us had our hearts set on an outdoor ceremony, so all our guests sat outside in the rain under umbrellas while we were married by one of our best friends. It definitely was not what we had planned; but in the end, it helped make our ceremony an even more unique and wonderful experience. Our friend concluded the ceremony by saying, “May the force be with you,” and then we exited the pier. All of our guests in aisle seats saluted us by holding up green light sabers. While waiting to board the M.V. Twin Capes, we had a pre-boarding cocktail reception which was to take place out of doors at the On the Rocks Bar and Grill adjacent to the pier. The food display was spectacular and delicious. An hour later we boarded the vessel for what turned out to be a most memorable three hour cruise. It may have rained during the day, but by early evening the sky cleared, and a double rainbow presented itself just for us. Our romance began in the rain, and our wedding took place in rain. Some say that rain is a sign of good luck for a marriage. It is certainly a family tradition. My parents were married on a rainy evening and my sister and her husband married on a rainy day. And now Mark and I . . .

Most people think of sunshine when they picture a wedding day, but not every day fits that mold. Luckily, something as joyful as a wedding can be sunny even on the dreariest of days. As long as you take advantage of what your season has to offer, all four can provide beautiful accents to your big day.

Spring weddings are always popular, in part because of the parallels between new life blooming in the gardens and the new life of a married couple. Using flower bulbs instead of full-grown flowers also add to that feeling. For a spring-themed centerpiece that doubles as a favor, have multiple small, pastel-colored vases and encourage your guests to bring one home. Seeds and tiny monogrammed flowerpots are also a fun favor!

You could also try bringing a little Easter to your reception by having lilies as centerpieces or hiding wedding favors, especially if there will be children present.

For summer weddings, try a slightly more informal approach to your meal by

offering the spread in picnic baskets or garden-party style! Mini picnic baskets or personalized blankets could then be given as a favor. Also, if you want to use bright, bold colors in your flowers or decorations, summer is the best time to do it.

A fall wedding has a more rustic feeling to it. Warm reds, oranges and yellows are best for decorations, and don’t be afraid to ditch some of the flowers for tasteful wheat stalks or gourds among the arrangements. A fun favor could be making homemade cider or jams with your initials on the jar for your guests to enjoy.

Many couples shy away from winter weddings, but it can actually be one of the most intimate seasons for a wedding because it provides such respite from the bitter cold. Deep purples, forest greens and ruby reds are perfect to set a cozy tone, while icy blues and silver show off winter’s sparkle. Cinnamon-scented pinecones with some holly or giant poinsettias make tasteful centerpieces.

Instead of bubbling champagne for the toast, why not embrace winter and raise a mug of hot chocolate or egg nog? It’s delicious and comforting in the cold.

If there will be kids at the reception, set up a table to make their own sparkling snowflakes to sprinkle on tables as decoration or as a souvenir for the kids! As for their parents, send them home with coffee mugs, spiced tea, or wintry-scented candles.

Our mutual friend was celebrating a birthday at Maynard’s on Lake Minnetonka in Minnesota where I met Scott. After a firm handshake and hours of conversation I knew I had met the one. The rest, as they say, is history. Scott created a diversion giving me a beautiful necklace as an early Valentine’s Day gift. We then went to the Nicollet Island Inn where we had a delicious dinner, fantastic wine, and great conversation. Scott made friends with the bartender who helped him stick to his next surprise by feeding me more champagne. Walking out of the Nicollet Island Inn, Scott’s next surprise was a carriage ride around St. Anthony Main where we saw the beautiful historic mansions of Minneapolis. Freezing cold from the numbing chill of the February winds, a walk in the park was the next logical thing to do, of course. Snow up to our knees, we found a cozy park bench where Scott proceeded to tell the real story of why he bought me the necklace. Realizing what was going on, I dazed out and didn’t hear half of the beautiful words Scott had said, forcing him to propose a second time with me focusing on what he was saying.

It was a small, intimate wedding with family and close friends. One of Scott’s best friends married us. We also had a guest book that was a tree and had everyone “leaf” their thumbprints and sign their names by the leaves on the tree. We married over a planned family vacation. We wanted an outdoor wedding but had to go to plan B because of heavy rain. In a way, this made it very special because we were supposed to take pictures together before the ceremony, but ended up not seeing each other until I walked down the aisle. The difficulty in having a destination wedding is that neither of us were there and we just had to trust that everything we chose was going to work out. We were extremely fortunate because we had amazing photographers, videographers, food, band, location, etc.! It was the beginning of a new beautiful chapter of our lives together. We were surrounded by the people we love and enjoyed every second of it.

You’ve been planning your dream wedding for months, but for your guests, the invitation is their first glimpse of what’s to come. It provides a clue to the event, and the level of formality, along with some indication of your wedding style. You’ll want an invite that matches… and so, let the search begin!

When to start - Like all wedding responsibilities, the earlier you start, the more time you have to search, thoroughly evaluate options, and handle any problems that arise. If possible, order the invitations and other wedding stationery six or more months before the wedding to give yourselves plenty of time to complete everything and leave breathing room for any unexpected problems, and mail the invitations six to eight weeks before the wedding. Let any out-of-town guests who would need to arrange flights and/or hotel rooms about the date as soon as you know it, either informally through conversation, or more formally with a save-the-date card mailed as early as possible.

All the parts - Wedding invitations are typically comprised of several components: There is the ceremony card announcing the details of the ceremony, the reception card with those details, the response card with its stamped, addressed return envelope, the map (optional), and the inner and outer envelopes. Some invitations combine these elements, such as including the reception information on the ceremony card, especially if it’s at the same place or immediately following. It’s also possible to simply eliminate some elements (such as the inner envelope), particularly for more informal styles.

whoever is officially hosting (read: paying for) the wedding is listed first on the invitations. Of course, you can work it out however you like with your families – this is where it would be very helpful to have an experienced professional to assist! Some couples today, who are paying for the majority of the expenses themselves, with help from their mixed and blended families, simply say “Mary Bride and John Groom, together with their families, request the honor of your presence at their marriage…” You could also do a search online to find invitation wording samples and discuss the options with your groom and respective families.

Assembling the pieces - The traditional way to put together an invite is as follows: start with the ceremony card on the bottom, put the reception card on top of it, and then put the response card with the unsealed return envelope and the map, if you’re using one, on the very top. Slide all items face up into the inner envelope. Do NOT seal the inner envelope, and slide it into the outer envelope with the addressee’s name facing the back flap so that it will be visible upon opening.

Addressing advice - Street names, cities and states should be written without any abbreviations. To indicate both parties of a married couple, use both “Mr. and Mrs. Ronald Green.” When addressing an unmarried couple living together, use each of their full names: “Mr. Ronald Green and Miss Angela Thomson.” If every member of a family is invited, write “Mr. and Mrs. Ronald Green and Family.” If only the older children are included, their names are written below the parents’: “Miss Erin Green.” Adult children no longer living with their parents should receive their own invite. The average wedding costs nearly $18,000. A large portion of that must be prepaid. So it may seem to be stating the obvious when we say it is important to protect yourself against fraud, business failures and even honest mistakes.

Attention to detail can save you thousands of dollars by preventing disasters before they happen. Brides and grooms who elect to plan the wedding on their own should pay special attention to the following:

CatererRequest a sampling of the items on your menu. Confirm in writing that the same chef will prepare the food for your reception. Determine any additional charges such as cake cutting or corkage fees before you sign the contract.

EntertainmentAsk if the musicians are used to performing together as a group. If you get the chance to hear them play live, do so. The contract should list the musicians by name, state the number of hours included in the price (one hour for cocktails and four for the reception is standard) and detail potential overtime charges.

PhotographerMeet in person with the photographer you’re considering to make sure that you are comfortable with him or her. Specify the name of the photographer whose work you viewed in the contract, and make sure that same photographer will shoot your wedding. Get the delivery date for proofs and finished photos in writing.

DressBuying a gown usually requires a minimum lead-time of six months and a 50 percent deposit. Confirm delivery for a few months prior to the wedding to allow for the unexpected. Use the manufacturer’s size chart when ordering to avoid unnecessary alteration charges. Remember that it is normally easier to alter a dress that is too big than one that is too small.

FlowersInform your florist of the time of day and location for the ceremony and reception, so they can recommend flowers that will last throughout the festivities. A week prior to the wedding, confirm delivery time. A friend or family member should check that the flowers delivered on the wedding day are fresh and as ordered.

The locale - Choosing a location that’s close to where most of your guests live is an obvious, simple but effective way to limit unnecessary transportation, as is having the ceremony and reception in the same place. You may also wish to seek out sites that have made “going green” a priority, and are pro-active about reducing energy use and waste. Another green idea is to hold your ceremony in a location already dedicated to sustainability, such as parks, protected areas or museums. Finally, having an outdoor ceremony in a beautiful setting will remind you (and your guests) why you make environmentally responsible choices.

The food - Serve local, organic, seasonal cuisine, and include a vegetarian or vegan option. Ask your caterer about locally raised, organic meats and wild caught fish versus farmed. Before the wedding, research places to donate any leftover food, such as homeless shelters or soup kitchens.

The paper - Save trees by going high-tech: use a website to list directions, maps, accommodations and other details, and use email whenever possible. For the paper you do use, stick with 100% recycled and renewable cotton paper, and vegetable or soy inks, which use less energy to produce than petroleum-based inks.

The attire - Just say “NO!” to attire made in sweatshops and petroleum-based fabrics. Seek out wedding attire made with natural fabrics such as 100%

Here you can include charitable donations on your gift registry, donate a percentage of gift registry sales to your favorite charity, and make a charitable donation in your guests’ honor in lieu of wedding favors. When it comes to your wedding flowers, find a floral designer that uses local, organically grown, seasonal flowers, and repurpose the ceremony flowers for the reception to make fewer flowers go farther. (This is also nice for your budget!) The day after the wedding, donate the floral arrangements to places such as nursing homes, hospice centers or hospitals, so others can enjoy nature’s beauty and all those gorgeous flowers don’t end up in the trash!

The honeymoon - Certainly, staying close to home avoids those gas-guzzling airplanes, but if travel is in your future consider a “green hotel” – environmentally-friendly properties.
