8.1 GFAX FIELD

The General Facts or (GFAX) field is an optional multiple item field containing supplementary information items. Such information is divided into two categories:

Other Service Information (OSI) - Service information, which is for notification only and may be processed by the receiver as desired. An OSI item does not require a reply from the airline.

Special Service Requests (SSR) - A special service, which is to be provided to the passenger and which requires immediate action by and/or confirmation reply from the receiving airline(s).

Abacus will transmit, via Teletype, SSR & OSI general facts to the OAL or HOST Non-Automated Offices involved in the itinerary.

The field Identifier for GFAX is “3”.

In a retrieved PNR, GFAX messages are listed under the heading GENERAL FACTS.

Each GFAX entry may have a maximum of 64 characters including spaces, 44 characters for OSI item. The characters and / should be avoided.

The Teletype messages for GFAX are created upon the creation of the PNR and regenerated whenever there is a change in itinerary.

A SSR Item is a special service, which is to be provided to the passenger and which requires immediate action by and/or confirmation reply from the receiving airline/s.

Service codes are standardized for use with most carriers. However, each carrier may have its own unique service code specifying a service that may be peculiar to that carrier only.

To request for a wheelchair for ALL segments for passenger 1.1:

Certain service codes allow for free text information to be sent to the carrier. The system will edit each SSR code to determine if free text information is allowed.

If you have not entered free text information when it is required, an advisory message is displayed to remind you of it.

If you have entered any free text information when it is not allowed, an advisory message is also displayed.

8.1.2.2 Other SSR Items

There may be instances when you can’t find any SSR codes applicable for your passenger’s request. This is when you will need to use the entry for other non-air SSR items.

Instances when you may use this entry would be to book a limousine not belonging to any specific car vendors, or to extend the shell life of the PNR for more than 48 hours after the last flown segment.

To specify other special service request:

Do not use name number selection with OTHS service code, as this may not be properly reflected in the carrier PNR. Instead include the name of the passenger in the free text field. If a segment association is required, include the board/off points, flight and class as shown.

8.1.3OTHER INFORMATION TO BE SENT

Effective from 1 Oct 1998, the US Department of Transportation will require a passenger manifest information on every flight segment operating to/from the United States for all passengers who are US citizens or residents.

Additional contact information classified as emergency contact for the passenger must be entered in the PNR.

This is done using:

If segment select is used, an error message will be displayed for the carrier that does not support passport data.

If all itinerary option is used, the passport number is sent once to all the carriers shown in the itinerary. No error response will be displayed for the carrier that does not support passport data.

Even though passport information can be appended to the PNR, the passenger must still show proper identification and all required travel documentation at time of boarding.

8.1.5UPDATE AND DELETE SSR ITEMS

To change any SSR items, you have to cancel the existing SSR items and replace with new SSR items.

If a SSR item is accidentally deleted, you should either rebook the same SSR item or send a message to the airline to advise the status of the SSR item.

8.1.5.1 Update SSR action Codes

Since all SSR items require action and reply from the airlines, there will be a need to update the reply codes that are received from the airlines either for acknowledgement or cancellation purposes.

The function identifier is the period symbol “.” , similar to the way you would update the air or non-air segments.

The Action Codes of Can be changed toSS XXHK XXKK HK or XX

Another way of updating the reply codes will be ending transaction of PNR with EW or EWR.

Upon receiving cancellation of air segment from carrier for status codes HX, UC, UN and NO, segment/name associated SSRs will be automatically cancelled by system.

8.1.5.2 Delete SSR Items

This entry is used mainly to remove the SSR items from the face of the PNR, a message is not sent to the airline. Agents should update the status as .XX to inform airline of the cancellation instead.

To delete an SSR item with a line number:

When a name change occurs, the new name will be associated with the SSR items in the PNR.

When a name deletion is made after a reducing a PNR, the SSR items associated with the deleted name will automatically disappear from the face of the PNR and filed to the history when an End Transaction is performed.

8.2 FREQUENT FLYER NUMBER

Entering the Frequent Traveller number in a PNR sends a Teletype message to participating carriers so that passengers may get mileage credit for bookings made through the system.

The function identifier is “FF”.

Frequent flyer number validation check by system (not at airline’s level) upon input by agent.

There are 2 tier levels of membership check:

1) Top tier – system checks frequent flyer number with surname and first initial of pax, example SQ KrisFlyer Elite.

2) Ordinary tier – system checks for valid frequent flyer number only, example SQ KrisFlyer.

8.3 SEAT MAP DISPLAY

Before specific seat reservations can be made to the airline, a seating display must be made.

You can display a seat map by Flight Number or Itinerary segment number.

Seat map display allows you to determine which seats are available and may be requested.

However, seat map requests are not valid on all carriers and the response may differ from carrier to carrier.

If the carrier does not support seat map displays, the system returns with the following message:

8.3.1DIRECT CONNECT SEAT MAP

When requesting a seat map using normal Abacus entries, the returned seat map will be in a standardized display for all carriers participating in the Direct Connect level of participation.

In addition, the legends are usually displayed together with the seat maps. Please refer to FTTL/DC/MAP for a list of seat map codes.

Blocked seats indicated with an X on a seat map display are often being held for premium passengers (such as frequent travellers and full coach, Y class passengers only). If a blocked seat has been confirmed for a non-premium passenger booked in Y class and is changed to a discounted class of service, the message “Fare class no longer qualifies for seat- Reissue seat” will be displayed. This indicates that the original seat number has been cancelled and you must re-assign a new seat number for that segment(s).

If a carrier offers preferred seating for their frequent travellers, you can view the preferred seats by adding the frequent traveller field to the PNR prior to sending the request for the seat map.

If you attempt to display a smoking zone seat map when all legs of the segment are non-smoking, the non-smoking seat map with the words “NON-SMOKING FLIGHT” on the header will be displayed.

If the direct connect seat map becomes unavailable due to connection or session outages, the system will respond within 10 seconds with the following.

Direct Access seat map participants allow you to display live seat maps direct from the carrier’s database. As such, the seat maps are in the carrier system’s format and are not standardized.

Maximum of five segments can be assigned in a single entry using the commas.

If there is a schedule change on a segment, you are required to redisplay the PNR and re-request seats on the new flight.

Except for cancellations, there is no need to update the status of the PRS.

Seat requests require an equal number of names and seat requests. For example, if you have 2 passengers booked in the PNR but only request 1 seat -4GA/12A, the following message will be displayed:

8.5 REMARKS FIELD

The remarks field is used to store miscellaneous information in a PNR for local office reference.

It is NOT transmitted to non-automated host offices or other airlines.

Remarks serve several purposes within the PNR and it is generally a free flow field. These remarks can consist of address, account numbers, invoice numbers, PNR notes, billing and delivery information, commission levels, the form of payment, etc.

Modification and deletion of remarks are not stored in the history of the PNR, unless they are entered as historical remarks.

8.5.4HISTORICAL REMARKS

Use historical remarks when you need the system to record remarks deletion or changes in your PNR.

Hotel cancellation numbers or any cancellation for which a no show bill could be assessed should be documented in the historical remarks.

Historical remarks become a permanent part of the PNR history. Unlike other remarks entries, when deleted, historical remarks will be retained in the PNR history.

A PNR may be cloned or copied either in its entirety or by selected fields. The cloned PNR will be treated as a new PNR and when end-transacted, will be assigned its own record locator.

8.8 DIVIDE PNR

A PNR should be divided when one or more passengers in the PNR wish to change their reservations resulting in a different itinerary from the remaining members in the party.

The original record must be split into two PNRs, the itinerary changed for the divided party, necessary update made to any passenger data, and the record filed.

When a name is divided from a PNR, Abacus will perform a search for all SSR items associated with that name. These SSR items as well as any name-associated remarks will be automatically carried over to the new PNR from the original parent PNR.

All passenger data items, except for non-applicable SSR name select items will appear in the divided PNR. These items include phone fields, remarks, ticketing field and OSI items.

Those items that do not pertain to the new PNR must be deleted or changed.

Non-airline (auxiliary) segments will not appear in the divided PNR. They will remain in the original record.

A new file address will be assigned to the divided PNR at end transaction while the parent (original) PNR will retain the original record locator or file address.

Remarks indicating that the PNR has been divided will be automatically appended to both of the PNRs cross-referencing the file address of the other PNR and the date and time the PNRs were divided.

All married connections sell will remain unchanged for division transaction. The married indicators will still be appended in the divided PNR, parent and child PNR.

8.9 REDUCE PNR

A PNR should be reduced when one or more passengers in the PNR wish to completely cancel their reservations and the remaining passengers do not.

The reduce function will not take action on the passenger data fields. Thus the applicable names and any other passenger data that no longer apply to the PNR must be deleted.

The ignore function may be performed at any time prior to end transaction. This will return the PNR to its original form.

Existing flight segments may not be changed during a reduce function. However, new flights may be added to the PNR.

Special service requests and pre-reserved seats associated with the cancelled name will automatically be cancelled.

Name associated remarks will also be automatically cancelled with the deleted name item.

Although you are prohibited from name deletion, you may perform this function if a reduce transaction precedes it. When a discrepancy occurs, e.g. the itinerary party is reduced to 2 seats but the PNR reflects only single name item, you will be prohibited from adding a name item and prevented from going through the end transaction successfully.

Automated hotel and car segments cannot be reduced.

A separate entry must be made if car or hotel segments are to be reduced.

To decrease number in party for single segment in PNR:

To reduce number of pax, for air segments only.

If performed on retrieved PNR, use the normal reduction process, refer to 8.8.

Reduce number in party does not permit segment select.

The connectivity level will not be changed.

The following are the status codes which is valid for decrease number in party:DS, GK, GL, HN, IN, IK, LL, NN, SS, UN and UC.

8.9.3 INCREASE NUMBER IN PARTY (PRIOR TO 1ST END TRANSACTION)

To increase number in party:

ENTRY ,5 For single segment,5S2 For specific segment,5S1-4 For a range of segments,5S1-4/6 For a specific range or selection of

segments

To increase number of pax, for air segments only, prior to end of transaction.

If after increase number in party, there is insufficient inventory, the system will hold on to the original booked inventory.

The connectivity level may change especially for TA airlines.

The following are the status codes which is valid for increase number in party:DS, GK, GL, HN, LL, NN and SS.

For airline on Direct Access participation level, it is advisable to rebuild the PNR.

Example of increasing number in party for airline on Direct Access Participation level:
