KEY PERFORMANCE INDICATOR FOR Project Management Information System

Performance Management Information SystemIntroduction

Key Performance Indicators allow Top project management to benchmark and measure- productivity, cost performance, cycle time, schedule performance and alignment with strategic business goals. As projects running under digital India program are very complex in nature so computer based Project Mnagement Information System would be used. -The primary goal of computer based information systems should be the processing of data generated by business operations. Project Management Information System (PMIS) should assemble, process , store , Retrieve , evaluate and Disseminate the information. PMIS should facilitate planning : PMIS improves the quality of plans by providing relevant information for sound decision making. PMIS change the larger amount of data in to summarized form and thus avoids the confusion which may arise when managers are flooded with detailed facts

Benefits

PMIS is a reporting tool that should provides quick access to summarized reports coming from all levels and departments. Some of the reports are:

1. Scheduled reports2. Key indicator report3. On Demand report4. Exception reports

PMIS should encourages decentralization: Decentralization of authority is possibly when there is a system for monitoring operations at lower levels

PMIS should bring Co -ordination: PMIS facilities integration of specialized activities by keeping each department aware of the problem and requirements of other departments. It connects all decision centers in the organization

PMIS should make control easier : PMIS serves as a link between managerial planning and control. It improves the ability of management to evaluate and improve performance

Key Result Areas and Key Performance Indicators

The PMIS can be used at two Key Result Areas: Project Management and Project Monitoring. At Project management KRA , the Key performance indicators are:

Articulation of Project schedule including activities, their duration, resource allocation, milestones and deliverables

Cost incurred per month Project completion time estimation

Page 2: PMIS

At Project monitoring KRA, the Key Performance Indicator will include:

Overrun of Planned Cost and Budget Delays in planned days of work Percentage of time missed in achieving milestones and deliverables Cost Variance of teams and processes

So it is expected that the information presented in PMIS should be understandable: Since information is already in a summarized form, it must be understood by the receiver so that he will interpret it correctly.

The information presented should be relevant: Information is good only if it is relevant. This means that it should be pertinent and meaningful to the decision maker and should be in his area of responsibility.

Information should be Timely: Information must be delivered at the right time and the right place to the right person. Premature information can become obsolete or be forgotten by the time it is actually needed.

Open Source Vs Proprietary PMIS tool

• Open Source– Advantages:

• Meeting the organization’s needs exactly• In-house developers are sensitive to the organizational culture

– Disadvantages:• High cost• Production schedule subject to long delays

• Proprietary PMIS tool– Advantages:

• Low cost• High quality• Vendor support• Immediate availability

- Disadvatageso Software often do not addresses the needs fully, necessitating

customizationo May need to pay for features which may not be needed
