If someone told you the best way to improve the performance of your project team is to get them to be more emotional, you’d probably think they were crazy. But that’s what Jackie Barretta has been talking about all over the country. She draws from the latest research in neuroscience to make the case, and she’s been presenting the concept at many forums, including PMI Roundtables and the Education Presentation at the Portland Chapter Meeting in April. Emotion is a team sport. It, more than anything else, spells the difference between stellar and mediocre team performance. It spreads like wildfire, literally lighting up or dulling down each person’s brain, determining whether the group achieves its full potential or flounders in mediocrity. When you develop teams with optimal emotions, everyone performs at their peak. Their emotions literally light up their brains’ cognitive and perceptual centers. They take in and process more information, access more creative intuitive insights, and see possibilities they would otherwise miss. The most elite teams generate measurable emotional energy. Thanks to new discoveries in neuroscience, we now know that emotions operate independently of our logical minds and we can most effectively influence them by tackling them directly. Anyone can create and sustain the elite teams that get the results needed to thrive in business today, where we need to perform and innovate in increasingly complex operating environments. These results will never come from teams run as machines, but rather must come from strengthening individuals and their interactions. To do that you have to delve deeply into their psyches to stimulate and nurture the optimal emotional states that can accomplish more than all the management techniques they teach at the best business schools. Project managers can use the following techniques to boost the creativity and agility of their teams:: • Detect the most optimal emotional state and generate it in themselves • Energize primal emotional systems with proven somatic methods • Transform fear and negativity • Embed emotional savvy, including intuitive insight • Define the sort of purpose that activates the heart as well as the mind • Foster bonding through intense shared emotion About the Author Jackie Barretta spoke at the Portland PMI Chapter meeting in April, 2013. She studied the power of team emotions and developed award winning techniques during her 20+ years of leading elite Information Technology project teams, most recently as Chief Information Officer of Con-way, where she served for 15 years until 2011. Her work, based on the latest findings in neuroscience and a deep understanding of the psychology of group dynamics, has earned her and her teams many prestigious awards and has been featured in prominent publications, including Information Week, CIO and Fast Company. “Agile–Broadly” Coming to the Portland PMI StageManyChaptermembershavebeencallingformoreagile-relatededucationinarangeofforumsincludingthementoringprogram,roundtables,andvariousotherformsoffeedbacktoChapterleaders.ForthelastfewmonthsyourChaptervolunteershavebeenworkingonabigeventforJune:adynamic,audience-driveneducationalsessiononagile;apanelonthetopicof“Agile—Broadly,”andthreeworkshopsonagiletopicsallinthesameweek.

OneJune18th,Iwillbefacilitatingadinnermeetingpanelonthetopicof“Agile–Broadly”withpanelists,DianaLarsen,WardCunningham,AdamLight,JosephFlahiff,andLonnieWeaver-Anderson.ThispanelcomprisesagroupofindividualwithabroadarrayofagileandLeanexpertiseanddepthofexperiencegoingbackasfarasthedraftingoftheAgileManifestoitself.Thiswillbenotjustapaneldiscussionbutahighlyparticipativedialoguericheveningwiththeaudienceaboutagilepast,present,futureandadoptionstrengthsandchallenges.

Priortothedinnerpanel,thepanelistswillbeholdingaLeanCoffeeeventfortheeducationalsession.Thisisaone-hourtotalimmersionexperienceforthosewhoareinterestedinhowagileculturecanbedifferentthanotherkindsofprojectcultures.Theagendawillbeaudience-drivenandfastmoving.Weexpecttodeliveranhourofexperientiallearningthatwillalsodeliverthebenefitofgettingsomeoftheaudience’smostburningquestionsaboutagileanswered.

LeanCoffeestartedinSeattlein2009.JimBensonandJeremyLightsmithwantedtostartagroupthatwoulddiscussLeantechniquesinknowledgework–butdidn’twanttostartawholenewcumbersomeorganizationwithsteeringcommittees,speakers,andsuch.Theywantedagroupthatdidnotrelyonanythingotherthanpeopleshowingupandwantingtolearnorcreate.

Resources & ArticlesMarketing EQ: ‘Planet Clark Program’ Project StoryThePlanetClarkProgram(PCP)isaculminationofprojectsinitiatedbytheBuildingSafetyDivisionandEnergyEfficiencyServicesDepartmentofClarkCounty,Washington.Itsgoalistoengage,educateandinspirethebuildingindustryandcommunitieslocallyandnationallyonconservation,buildingbestpractices,environmentalresponsibility,energyefficiencyandwastereduction.In2011,ClarkCountyreceivedaprestigiousawardforindustrydevelopmentsandeducationfromInternationalCodeCouncil,placingtheminthenationalspotlight.

In2012,theannualInternationalCodeConferencewashostedinPortland,Oregon.Twomonthsbeforetheevent,ClarkCounty,WashingtonBuildingSafetyDivisionsecuredagranttosharethestoryofthe

PCPdevelopmentandoutcomeasamodelforotherbuildingdepartmentstofollow.

Project Objective ThegoalofClarkCountywastocreateaninteractive,educationalandinspirationalexperiencefortheattendeesandbuildingcodeofficialsattheICCevent.Creatinga“funexperience”forattendeesreplicatedthecharacteristicsofthePlanetClarkprojectsandprogram.MarketingEQwasselectedforthisprojectduetopriorexperience.Weknewthecontentwell,sowewereinagoodpositiontore-craftmessagingtobuildingcodeofficials.

Project ChallengesTheprojectownerknewhewantedto“gobig”attheevent,butdidn’thaveaclearlydefinedprojectscope.Theinitialtasksincludedlogodevelopment,contentforroundtablediscussions,coordinationofboothactivities,advertisementsrelatedtosilversponsorshipandacquiringgive-awayitems.Everyweekthescopechangedduetotheclient’srequestforadditionalvolumeofwebvideos,thumbdrives,collateralmaterialandwebsitedevelopment.Inaddition,thesponsorshipstatuschangedfromsilvertogoldatthe11thhour,andwewererequiredtobuildadvertisements,bannersandfloormatswithonlyafewdaysbeforedeadline.

Wewereclearwiththeclientonthedateswhenwerequiredprojectreviewandapprovals.Inthefirsttwoweeks,itwastrickyduetoconflictingdemandsbytheprojectowners.Afterthat,weinsistedonatleasttwomeetingsinordertogaintractionandflushoutanyotherdetails.Wespentnearlythreehourstogetherineachmeeting,addressingseveraltasksandobtainingapproval,correctionsanddocumentrevisions.Othermeetingswereconductedthroughphonecalls,andinformationwasexchangedwithimpromptudiscussionsviatextmessagessothatnomatterwherewewere,everyonewaswellinformed.Wewerecarefultoplanoutmeetingswithasmuchadvancenoticeaspossibletomeetourgoals.

The MEQ Fast-track Approach Everythingwascontingentuponthelogodesignandcontentdevelopment.Theprojectownerwasbusyandwehadlimitedtimeforreview,whichwasthefirstchallenge.Inaddition,whilemuchoftheworktobeperformedfellwithinthescopeofourexpertise,servicessuchaslife-size“spider”stands,duplicationofdataontothumbdrives,videoeditingwithinteractivetoolsrequiredoutsourcing.Alloftheseactivities,whichwouldnormallybeperformedoverthreetofivemonths,requiredcompletionin45days.Duetothesizeandcomplexityoftheproject,MarketingEQwasforcedtoapproachtheprojectasifitwerealargemarketingfirm.

Everythingwedevelopedwasdependentonthelogo,whichwaseasilyatwotofourweekprocess.Wedidn’thavethatmuchtimesowelaunchedalogocontestwithaprizeforthebestdesign.Thisresultedinsubmissionsofmorethantwentydesignspecs.Thisprovedsuccessfulandwithinseveraldaystheclientfoundadesignwecouldquicklyrefine.Thispresentedhigh-riskbecausewehadnotworkedwithanyofthedesignersbefore.But,thegreaterriskwasthelossoftime.Plus,thelogodesignerwashiredtobeourprimarygraphicdesigner.Hecontributedinabigwaytomeetingprojecttimelines.

Tools for SuccessDespiteourmanyprojectchallenges,ourstandardprojectprocesswithtechnologytoolswasahugeadvantage.Alloftherequirements,tasksanddependencieswereeasilycapturedusinganExcelspreadsheet.Ourprojecthoursandtasksweretrackedthroughacloud-basedprojectmanagementprogramcalledTimeFox.LittletrainingwasrequiredforJill,mynewemployee.Shecouldeasilyselectaprojectandtasksandinitiateatimer.However,Jillwasnotfamiliarwithallofthemarketingnomenclaturewithinthefirm,andselectedthewrongtasksattimes.Thistookextratimeonmyparttoremedy.Lastly,weutilizedDropboxforcontent,imageandvideomanagement,filesharingandstorage.

Subjectmatterexpertisewascriticaltoourprojectsuccess.Jill’sbackgroundingreenbuildingandeventmanagementandmyexpertiseincreative,strategicplanningandvendormanagementalignedwellwiththeprojecttasks.Inaddition,wediscoveredaMarketingSpecialtyItemsSMEwhoconsolidatedproductorderssavingtimeandmoney.Shealsoensuredaqualityproductwithon-timedelivery.Allvendorsweworked-withwereexpertsandperformedaspromised.Theuseoflesseffectivevendorswouldhaveintroducedyetmorerisktotheproject.

Inthefinaltwoweeksbeforetheevent,wefocusedoureffortsonvideocompletionandwebsitedevelopment,bothlabor-intensiveprocesses.Weprovidedsoliddetailatthefrontend,andbecausealloftheotherproject-taskswerecompletedtotheclients’satisfaction,weweregivencompleteautonomytocompletetheremainingtaskswithouttheneedforclientapproval.Whilethevideoswerecompletedinadvanceoftheevent,thewebsitewentlivetwentyminutesafterthedoorstotheconventionopened.
