Purchase Discounts - Import/Export
Reason for Development
To enable importing and exporting of Purchase discounts.
Benefit
Allows the update of purchase discounts from a single Excel spreadsheet across
different departments helping to improve consistency.
Summary
Purchase discounts are held on a central spreadsheet, allowing for regular imports as the
spreadsheet is updated. Updating the purchase discounts by importing the excel file will only
update or add new or existing purchase discounts, no discounts will be deleted - this is
because discount codes may be associated with part records.
Exports will allow existing purchase discounts against departments to be exported into an
Excel spreadsheet. This will show purchase discounts against specific suppliers.
Below is the format of the Import and the export. Columns C, D, E and F do not have column
titles to allow easier importing if other departments require the same discounts.
Rows that contain no supplier or purchase discount codes or negative values will not be
imported. The file will still upload and will report which lines were excluded allowing you to
amend and reimport the file.

Accounts
Sales Ledger - Internal Invoice Nominal
Reason for Development
Prior to this release, there has been no way to automatically pay off / clear a debtor value
produced from a Workshop or Parts invoice (such as an internal invoice) without the invoicing
user selecting an internal charge.
Benefit
Invoices can be automatically cleared into a nominal code held against the Sale
Ledger account, removing the need for an internal charge type and value to be
selected and entered by the invoicing user and gives the possibility of individual
operations set to be invoiced to different Sales Ledger Account to be cleared into different
nominal codes automatically. These nominal codes can be P+L or Balance sheet codes and if
Balance sheet, they can also take advantage of the Open Item posting functionality previously
added to the INTER invoicing process, making the tracking of balances relating to work such
as service plans easier than was previously possible.
Summary
A new parameter has been added to the Sales Ledger – Transaction Account amendment
screen, called ‘Internal Invoice Nominal’.
Specifying a nominal code here, willl cause invoices produced from the Parts and workshop
departments to clear the debt generate into the code set.
It is possible to set Standard or Open Item nominal codes, but in order to prevent imbalances
in certain codes you will not be able to select a bank, fixed asset, total or narrative code.
Additionally you are unable to set these nominals against a cash account or the INTER or
INTVM accounts. Cash accounts will always require a method of external payment ot be
specififed at the point of invoice and the internal charges process for INTER and internal cost
process for INTVM already exist to handle those special invoice cases. If not nominal code is
set against the account then the invoicing processes from Parts and workshop behave exactly
as those processes normally would on a credit acount.

Vehicles
Miscellaneous Cost - Import/Export
Reason for Development
Inputting Type of Sales Mappings for Sales and COS accounts on each Miscellaneous cost in a
given Vehicle branch can be a somewhat laborious task.
Benefit
The ability to export and import Miscellaneous Cost Type of Sale mappings provides
the ability to quickly enter these mappings from a spreadsheet. Existing mappings
can be exported from the same or another branch and imported after being updated,
using the same file layout, minimizing the work required to set these in each branch.
Summary
Within Vehicles – Parameters – Miscellaneous Cost you will see new Import and Export
buttons. These buttons will allow you to import/export miscellaneous cost Type of Sale
mappings into an Excel spreadsheet. When updating the export, removing values within the
COS or Sales account column will clear any mappings against Types of Sale.
The export will contain any existing Miscellaneous Cost Type of sale mappings and produce a
CSV file in with the following fields:
Miscellaneous Cost – The name of the Miscellaneous cost
Page 12 of 17 © 2016 Pinewood Technologies SA (Pty) Ltd
Type of Sale Group – The name of the Type of Sales Group the Type of Sale is allocated to
Type of Sale – The name of the type of sale to map codes for the miscellaneous cost
Sales Account – The Sales Nominal Code mapped for the miscellaneous cost / TOS
COS Account – The Cost of Sales Nominal Code mapped for the miscellaneous cost / TOS
The import option requires a file in the same format as the export. Multiple miscellaneous
cost mappings can be imported in a single file.
When importing a file, the process will check that the miscellaneous cost, Type of Sale Group
and Type of Sale exists and that the nominal set in the Sales and COS columns exist and are
active. The import window will display any errors and list the total number of rows in the file
along with the number that could be imported. Any errors found during the import will be
displayed in the middle section of the window.
Where a Miscellaneous cost is included in the file, but where no nominal code is set, Pinnacle
will remove the mappings for that miscellaneous cost/type of sale combination, providing a
convenient way to remove mappings that have previously been created in error or where a
miscellaneous cost is no longer required for a particular Type of Sale.

CRM
Host+ Defaults
Reason for Development
When a customer is created in Host+ via the IOS device, the default parameters used to add a
contact history are currently derived from the quick create parameters. This introduces issues
around the default next contact and inflexibility to define specific rules for Host+.
Benefit
This allows for specific defaults and rules to be set up for the customer creation
process via Host+
Summary
A new Host+ default parameter has been added to the Enquiry Defaults in CRM Parameters.
This will allow specific defaults to set for the creation of customer in Host+ IOS device only.
Other than using these values as defaults for the creation of a Contact History record, the
Contact Reason will also be used to determine sales opportunity creation and auto follow up
rules, as per the existing parameters.
To ensure there I no downtime, the existing quick create parameters will be copied across, so
there is no set up requirement.

Personal Video View Count
Reason for Development
Understanding the effectiveness of personal videos based on if they have been viewed and
how many times.
Benefit
By adding the video view counts in the existing video reports, sales executives and
sales managers can now see if the video has been viewed and how many times. This
will allow for the effective follow up process and also the general effectiveness of
personalised videos.
Summary
The ‘Views’ are visible from the personal video usage report and via CRM or Showroom, as
indicated below. The view count is based on the number of times the video page has been
downloaded.
