    Pictures in PowerPoint

    Indezine Feedback

Always good informationand products on thiswebsite. Well worth takingthe time to review.

    - An authentic visitortestimonial.

Is a picture is worth a thousand words ? Youprobably have heard this adage so oftenthat we decided not to repeat this phrasethroughout this book! Anyway, its debatablewhether this adage is true in all scenarios. And why not talk about other, different stuff

stuff that you may have not heard aboutbefore?

Well explore unconventional stuff aboutpictures in this book, so that everyone who

reads this book will learn something thatis new and useful! The books written in aconversational, chatty style almost likeI am talking to you in person so let mebegin by thanking you for your time!

Before we proceed further, we are not sounconventional so as to suggest that you

should not use pictures in your PowerPointslides. Nor are we conventional enough torecommend that you get a bunch of picturesand throw them on your slides to createsomething spectacular. That approach is akinto swallowing a bunch of vitamins togetherwith the belief that they will energize you!

Neither will your slides look spectacular, nor will you get energized!

Adding pictures is probably the lessimportant part of this whole exercise ofusing visuals in your slides. Theres morethan just clicking the Picture button withinPowerPoint!

You need to be careful almost meticulousabout other details related to pictures.

These include questioning yourself aboutthe source of the pictures, and whetheryou can legally use them? Thats the type ofissues we will explore.

I hope this small book is useful. Do sendyour feedback -- you can contact methrough my Indezine.com site, and youll

also nd me on Facebook and LinkedIn. Yourfeedback and suggestions will help improvethis book.

    Have an awesome day.

Using Pictures in PowerPointThe human brain uses a larger part of itsarea to store visual information ratherthan textual content. And thats possiblybecause a picture describes so muchmore than text.

Lets try a small exercise. Imagine a coldwinter morning and a cup of hot coffeethats steaming.

Now what did you imagine? Did you

store these exact words in your memory or could you see a cup of coffee?Could you see the steam? Im sure mostof you saw that cup of coffee and didnot care about my text book description. And thats OK because I already toldyou that our brains are better at visuallystoring information.

Thats the exact reason why youraudiences will love you when you showthem visual content and when I meanvisual content, I mean the wholeconcept of visuals from pictures toillustrations, and charts, diagrams, andall sorts of info-graphics. Even maps!

However thissmall bookis only aboutpictures thosevisuals thatyou click withyour cameras(includingcamera phones)! Some othertime, we will

explore theother visuals. Tobe precise, wewill only discussthe use ofpictures in your PowerPoint slides in this book.

We will look at where you can get pictures, how

you should use them, and why you should beaware of copyright issues. Finally, we will provideyou with a list of picture related tutorials andcontent available on Indezine and other sites.

We wish you have as much fun reading this smallbook as we had creating it!

Getting Pictures from Of ce.comThere is no dearth of sites providingroyalty-free pictures that can be usedin your PowerPoint presentations butnone of these provide the breadthof choices that you can nd at theMicrosoft Of ce site ( Of ce.co m).

Even better, all these pictures are freeto all licensed users of Microsoft Of ceprograms including PowerPoint. You candownload various types of clip media,

    including pictures:

Clip art: These are vector drawings often also known as illustrations, line drawings, clip art, etc.

Photos: These are the photographsclicked with cameras or in some

cases these could be bitmap graphics.PowerPoint typically calls these typesof graphics as pictures. These are thevisual types that we are focussing onwithin the rest of this book.

How you download the clip media contentfrom Of ce.com may differ depending uponwhether you are using Windows or Macoperating systems. Rather than explain thedifferent processes, we suggest you visit

Creative Commons on Flickr There are a number of sites that provideroyalty-free pictures that can be used inyour PowerPoint presentations one suchsite is Microsofts Of ce.com site that weexplored in the preceding section.

Additionally, there are also several othersites that provide free pictures. However, none of these resources can match theamazing variety of picture content you cannd at Flickr, a photo-sharing site from

    Yahoo!

Additionally, Flickr makes it easy for youto nd pictures that you can legally use inyour presentations since it lets you searchfor pictures within the Creative Commons license.

So what exactly is Creative Commons? When Flickr members upload theirown pictures, they are provided with anoption to place them within the CreativeCommons license in broad terms thismeans that anyone can use these pictures

free of cost. If you use these pictures, you must still credit the photographer

in other cases you may or may not be

allowed to edit the pictures or use themin a commercial environment. You canunderstand these varied subsets within theCreative Commons license on the FlickrCreative Commons page.

Flickr web site note thatthe site may look differentwhen you visit now the

    home page looks different

    every day!

Heres how you search for CreativeCommons pictures within Flickr it helps ifyou are a Flickr member. Basic membershipis free and you can sign in with your existingYahoo! credentials. You then search for thepictures follow these steps to learn more:

Launch the Flickr site in your browser.Within the web page, locate the Searchhyperlink. At the time of writing thisbook, the Search option showed up as

a magnifying glass icon with a text boxon the top right (see the Flickr interfacescreen shot in the previous page).

Now, type in the keyword (orkeywords) you are looking for withinthe Search text box. Thereafter, click themagnifying glass icon, or just press the

Return / Enter key. This will bring up search results basedon your keywords, as shown in thescreen shot on this page. Note thatthe results you see now show all sorts

    1.

    2.

    3.

of pictures uploaded by Flickrmembers. Most of these are notpermitted for use by others andyou really should not use them inyour slides even if it looks easy toget them! You now need to lterthese search results to get picturesthat can be legally used.

To do that, click the AdvancedSearch hyperlink (highlighted inred within the screen shot on thispage).

    4.

This will open the Advanced Searchpage of Flickr site note that thekeyword we used in the previous step isstill retained within the Search box.

Scroll down this Advanced Search pageto nd the Creative Commons section,as shown highlighted in red within thescreenshot on this page.

Within this section youll nd three

    check-boxes:

Only search within CreativeCommons-licensed content: Thisrestricts your search to all picturesplaced within the Creative Commonslicense.

Find content to use commercially: This further restricts your searchto only bring up results that includepictures permitted to be usedcommercially.

Find content to modify, adapt, or

    5.

    6.

build upon: This again restricts yoursearch results to pictures that you canedit such as crop, work in an imageeditor like Photoshop, or even using thepicture edit options in PowerPoint.

Make sure to select one or three ofthese check-boxes based on your use ofthe pictures. Once done, click the largeSearch button.

Picture CopyrightsIts not always that you can get the rightpicture to use on your slides from Of ce.com or even using the Creative Commons

    subset at Flickr.

There will be times when you need tosource a picture from elsewhere. Its duringthese other times that you need to be extracareful about whether the pictures you areusing can be legally contained within yourslides.

Many people are quite happy searching forkeywords on Googles image search (andsimilar search options on sites such asimage searches on Bing and Yahoo!) theythen copy / paste the visual content theynd right into their slides!

Now that approach may work for an 8 yearold kid doing a school classroom project, and even in that scenario, it is debatable ifusing this option is ethical or not.

Most of the time though, the worstoffenders are presentation creators from

the corporate sphere, who follow theexact same procedure: copying / pasting thevisual content in their slides from Googles

image search results and thats certainlysomething that needs to be frowned upon!

The worst part is that many of thesedesigners dont believe they are breakingany copyright laws because most peoplebelieve that almost anything on the web isfree!

    Unfortunately, that is not true.

I know of one anecdote: the secretary forthe companys CEO inadvertently copied/ pasted pictures from a competitors website into the slides of the presentation thatthe CEO was delivering at an industryforum. And the same competitors were partof his audience that day!

I nd it dif cult to imagine that thesecretary could do something like that, andthe CEO never checked his or her slidesuntil he or she had to present them the

    15

sad part is that these occurrences happenmore frequently than we can imagine, andnot many people even get worried about

    such violation of copyrights!

Theres absolutely no excuse to not beworrying about copyrights these days, especially with the amount of free andlow priced visual content that is availablecopyright free these days. Even if thecontent was not free or low priced, the loss

of reputation and face resulting from suchcopyright violation is not something anycompany or professional can disregard.
