CHECKLIST

As you read this guide, you will see that there is a list of actions that you need to undertake prior to

commencement on your program of study. For your benefit, the list below has been prepared to assist you

with the actions:

1 INTRODUCTION

Firstly, congratulations on being offered a place of study at the University of Wollongong in Dubai (UOWD)!

Orientation and Induction is your opportunity to be introduced to the University, meet academic and administrative staff and interact with fellow students. To assist you with settling into the University, we have developed a program specifically for new students so you can:

- get to know your peers - find out about University life - find out more about your program and the subjects you will study - learn how to become a successful student - participate in extra-curricular activities - find out about the services/facilities that will help you with your studies and exams

4 TRAVELLING TO THE DUBAI CAMPUS

4.1 Location

The University of Wollongong in Dubai (UOWD) is located in the heart of Dubai’s vibrant education and training cluster, Dubai Knowledge Park. UOWD occupies Blocks 5, 14 and 15 of the Knowledge Park, which is in close proximity to the public transport hub adjacent to Dubai Internet City (DIC). Both metro and bus services can be accessed from the DIC interchange. UOWD operates a shuttle service to and from the University and the nearest metro station throughout the day.

4.3 Parking

Outside, all parking spaces in Knowledge Park are provided by the Roads and Transport Authority (RTA). For the Orientation and Induction event, basement carpark access (off Al Falak street or Al Ma’refa street) will be available on a first-come first-served basis. Please make sure to show your offer letter to TECOM Security staff at the gate. If spaces are full, you will be required to park on the street (paid parking).

4.4 2020 Campus – Coming soon!

2020 will be a momentous year for UOWD when we move into our new, dedicated 200,000 square foot campus building located in Knowledge Park. Featuring ultramodern facilities housed in an avant-garde architectural design, the new campus will enrich the University’s teaching approach, with flexible, technology-driven curricula that will match the skill need required for the future.

5 BEFORE YOU ARRIVE ON CAMPUS

In order to make the start of your studies at the University as easy and enjoyable as possible, we recommend that you do the following things before you arrive on campus to commence your studies. Further information on each of these will be detailed in this section.

5.1 Accept Offer of a place to study at UOWD

To secure your place, you must complete the ‘Acceptance Agreement’ in your Offer letter. This should be carried out as soon as possible after receiving your ‘Offer of Admission’ letter. For further information, please contact Student Recruitment and Admissions. Contact details on page 14.

5.2 Know your Financial Responsibilities All students are charged tuition fees, which may be paid by a sponsor or by personal contribution.

It is your responsibility to ensure that the required financial documentation etc. is in place prior to enrolment.

For further information on fees payment, please go to page 12.

5.3 Clear any Outstanding Conditions

If you have received a conditional offer, you will be required to clear any conditions you have before you can enrol as a student of the University. In exceptional circumstances, it may be possible to receive a ‘Post Enrolment Condition’ and this will be communicated to you by the Student Recruitment and Admissions Office and will be listed on your Offer Letter.

5.4 Check out your Orientation and Induction Schedule

You should refer to page 10 or 11 for more details about the events and activities held during this event. Please ensure you attend ALL sessions, at the allocated time. During this event, you will receive more specific program induction information from your Faculty/School, understand the services/facilities available to you and meet members of our Student Representative Council (SRC) who will be able to inform you about the extra-curricular activities taking place on campus.

5.5 Start process for Student Residence Visa (if required)

All students (except GCC nationals) must have a UAE Residence Visa to study at UOWD. The University will provide assistance and support to students who require a ‘Student Residence Visa’ to study at the University. You must obtain the student visa before entering the country if you are travelling from outside the UAE. Once you have been accepted or confirmed a place to study at UOWD, you will be sent information to apply for your visa. This should be completed and returned to us as soon as possible. Other documentation required is listed below: - Coloured Passport copy - 2 passport size photos - Receipt for visa and tuition fees (3 subjects for UG or 2 subjects for PG) for the semester

All paperwork should reach the University as soon as possible. As an indication, please send approximately 20 days prior to the start of the program or ASAP. Once all documentation has been submitted, the University will send you a scanned copy of your ‘Student Entry Permit’ for you to gain entry into the UAE. The Visa is valid for 12 months and renewable each year for students who continue to comply with our Visa Policy. If required, please request a copy from the Registrar’s Office. Prior to the approval of your ‘Student Residence Visa’, the Dubai Government requires you to take a medical test. Please note that you will not be able to commence classes without having the appropriate visa in place. For further information, click here.

5.6 Apply for Student Transport (if required)

The University provides a transport service to enable students to travel to and from UOWD. This service is dependent on demand and location of accommodation. Currently we offer transport services to and from the following areas:

- Qusais, Sharjah and Ajman - Abu Dhabi and Al Ain The service operates five days per week, Sunday – Thursday, and pick-up times vary depending on the number of students and the distance to campus. For further information, click here. The appropriate application should be submitted to the University, 20 days prior to the commencement of the program or as soon as possible, accompanied by the appropriate fee.

5.7 Apply for Student Accommodation (if required)

The University provides safe and comfortable student accommodation at Jebel Ali Gardens and Emirates Academy for Hospitality Management. For further information, click here. The appropriate application should be submitted to the University, 20 days prior to the commencement of the program or as soon as possible, accompanied by the appropriate fee.

6 WHEN YOU ARRIVE ON CAMPUS

Once you arrive; you should complete the following tasks prior to the commencement on your program of study:

- Submit original documentation in relation to your Student Residence Visa and attend the medical

test (if appropriate) - Attend orientation and induction events for new students - Complete enrolment process - Complete and submit any forms

6.1 Process your Student Residence Visa If the University will be supporting you with the processing of your Student Residence Visa, please

ensure that you visit the Registrar’s Office, within seven days of arrival in Dubai, to ensure that all documentation is complete. If all other documentation has been submitted prior to your arrival, you will only need to submit your original passport, original Student Entry Permit and 2 passport sized pictures.

Once this has been confirmed, you will be required to attend a government hospital or medical

clinic for a health check. The medical check is a blood test and chest X-ray for HIV (AIDS), Hepatitis B, Hepatitis C, Tuberculosis (TB), Leprosy, and Syphilis. If results come back positive for any of these conditions, it may be likely that you will be deported. The University will arrange for you to be taken to the hospital/clinic for these tests.

Following your approved medical test, your Student Residence Visa will be endorsed in your

passport. Please note that all Student Residence Visas are valid for one year, providing you continue to study full-time with the University.

6.2 Attend your Orientation and Induction Events

The University will be holding a series of mandatory orientation and induction sessions for new

students. Please note that students who attend all sessions will receive a ‘UOWD Welcome Pack’

from the University. For further information on the schedule of events, please refer to page 10 or

11.

6.3 Complete Student Enrolment with University At the commencement of studies, all students are required to enrol with the University. For further

information, please refer to the ‘Enrolment Process’ section within this handbook. 6.4 Complete and Return Forms You will be required to complete a Medical Form which you should complete and return to the

University as soon as possible. Completion of this form will enable us to inform the appropriate medical practitioner / counselor in the event of an emergency or to provide you support throughout your studies and exams. If you have already provided this information, there is no need to submit this form.

If required, you should complete and return applications forms for Student Transportation and

Accommodation (if required).

7 ENROLMENT PROCESS – SPRING 2020

All students are required to enrol with the University. This section is designed to help you find your way around the enrolment process. The Registrar’s Office has responsibility for the enrolment of students. Please refer to the contacts on page 14 for further details. 7.1 What is Enrolment?

Enrolment is the process through which students must: • agree to become a student of the University • formally sign up in confirmation of their agreement to abide by the University’s Policies, Rules

and Procedures, and to become liable for fee payments • check, update and confirm as correct, key personal information in their student record. • select and enrol in academic subjects There are three stages to the enrolment process for new students: • Stage 1 – Attend Academic Orientation (Pre-Enrolment Meeting) • Stage 2 - Fee Payment • Stage 3 - Online Enrolment and Enrolment Completion

7.2 When will Enrolment take place?

Enrolment for new students will take place on the following dates: Undergraduate Students - 23rd January Postgraduate Students - 22nd January It is important that you attend all sessions at the times specified for your program.

If you have any queries about the process, please contact the Registrar’s Office (contact details are on page 14). Please note that any student with an outstanding debt to the University from a previous semester or program will not be permitted to enrol until arrangements are made with the Finance Office to clear the debt. Prior to enrolment, commencement on the program will not be permitted.

7.3 Enrolment Process

All students are required to enrol with the University through our online enrolment facility. There are 3 main stages you need to complete before you are fully enrolled:

Stage 1 - Academic Orientation (Pre-Enrolment Meeting)

You must attend a pre-enrolment meeting within your Academic School in order to have your program of study and choice of subjects approved. The time and location of these meetings are listed on page 10 or 11. Each Faculty will host program-specific information sessions which will be your opportunity to meet with academic staff. The sessions will cover information about your program, subject outlines, expectations and ways in which you will use tools throughout your studies (eg. virtual learning environment - Moodle).

2 - Fee Payment

After your pre-enrolment meeting, you will be directed to the Finance Office to pay any outstanding tuition fees. Only if you have paid all your fees in full or submitted the appropriate financial documentation, you will be directed to the Library to carry out online enrolment (Stage 3). Staff will be available to answer any questions you may have.

3 - Online Enrolment and Enrolment Completion

It is envisaged that the online enrolment process will take approximately 20 minutes to complete. You will be asked to provide/confirm the following information:

- Student ID (found on any recent letter from us) and date of birth - Personal details (contact details, ethnicity, disability and visa information, where

relevant) - Passport and Visa details - Program and subject information - Fee information - Acceptance of University Policies, Rules and procedures

Following online enrolment, you will be required to complete an identity verification check and collect your Student ID Card. To ensure that the identity checks can be carried out, you must ensure that you attend the event with formal photographic identification (passport, driving licence etc). Following successful completion of the identity check and collection of your Student and Library ID card, you will be fully enrolled and will receive your enrolment confirmation, by email, to your personal email address. Please be aware that you will not be permitted to attend classes, take examinations etc. until you are fully enrolled with the University.

7.4 Post Enrolment Conditions

In some cases, enrolled students have a ‘post enrolment’ condition added to their record. Please be aware that these conditions must be cleared within the FIRST semester of study. Failure to do this will result in the termination of enrolment from the University.

7.5 Student and Library Card

All new students will be issued with a Student and Library Identity Card for the duration of their study – it is essential that this card is kept in a safe place. All students are advised that they are required to show their Student Identity Card to an authorised person on the following occasions:

- at an examination - for student election purposes - any events hosted by the University - for use of Library and Computing Services - on request by any officer of the University, including Security Patrol Officers - on any other occasion where a reasonable request is made.

7.6 Library Services

You will be automatically registered to use the Library following completion of the University Enrolment process. Your Student and Library Card acts as your Library borrower’s card. You may borrow from the Library the day after completion of the enrolment process. For further information on the Library, please refer to our ‘Student Handbook which you will receive in due course.

7.7 IT Services

You will normally gain access to IT facilities 24 hours after you are fully enrolled. Email and login details will appear on your enrolment confirmation letter, which is accessible at the end of online enrolment. For further information on computing, information systems and network facilities, please refer to our ‘Student Handbook’, which you will receive in due course.

7.8 Personal Data Information

The University of Wollongong in Dubai collects and manages personal information about all of its students, and has a range of legislative and ethical responsibilities in regard to maintaining the confidentiality of students’ personal information. These include, but are not limited to, responsibilities and/or requirements under United Arab Emirates (UAE) law, with the Ministry of Education–Higher Education Affairs and the University of Wollongong in Australia. The privacy of this information is a critical component of the University’s relationship with its students, and the University recognizes its responsibility to collect, manage, use, store and disclose personal data in adherence with legislative and other requirements. For further details, the Registrar’s Office can provide you with a copy of our Privacy and Confidentiality of Students Personal Information Policy.

10. YOUR FINANCIAL RESPONSIBILITIES

The following section of this guide will explain, in detail, your financial responsibilities while you are studying at University. Any questions relating to the information detailed below about financial matters should be directed to the Finance Office located on the ground floor, Block 15. Opening hours are Sunday to Thursday (0830 – 1830 hours). Contact Details and Further Information Finance Office 00 971 4 278 1830 [email protected] We must emphasise that there are serious consequences for non-payment of fees, including penalty charges, the withdrawal of facilities and withdrawal as a UOWD student. 10.1 Tuition Fees

Tuition fees must be paid before the start of each session according to the number of subjects taken. Tuition fees are charged according to their credit point weighting and the session in which the student is enrolled. The amount of fees to be paid depends on the fee payment plan opted by the student. Students can pay fees by cash, online, cheque or debit/credit card. Late payment of tuition fees will be subject to a financial penalty for each subject, per week. Payment methods are as follows:

Textbooks, photocopying, personal stationery items and other incidental costs are not included in the tuition fees. It is the responsibility of the student to pay fees on time. UOWD has teamed up with UAE Exchange, the global remittance and foreign exchange Company, to allow the payment of tuition fees through any of their outlets across the UAE. Students can take advantage of this easier and more convenient way to pay their fees by presenting their student ID number and depositing their fees in cash at any of the UAE Exchange branches across the Emirates. Please note that a transaction charge of AED 10 applies

10.2 Refunds and Transfers

UOWD has developed specific Fee and Refund Policies that it applies to all students. The relevant policies are available from the Finance Office.

10.3 Transfer of Fees to Next Session

Fees transfer is an automatic process based on the date when the student withdraws from the subject(s) via SOLS. In normal cases, there is no need to submit a fees transfer request form. There is no refund on transferred fees. Transferred fees must be used within the following two semesters from the date of withdrawal. In case of fee increases in subsequent semesters, students will be required to pay the applicable fees.

10.4 Refund of Fees

If a student believes he or she is eligible for a refund or partial refund of fees, (in accordance with the Fees policy), then the student must complete the relevant form and submit it to the Fees Office. The student will be required to attach a printout of their academic record, clearly

indicating the withdrawal dates of relevant subjects. Refunds will be made by cheque or bank transfer to the student. Cheques can be collected from the Fees Office 21 days from the day of approval of fee refund request. Any outstanding fees and charges shall be deducted from the fee refund. If a student feels there are genuine reasons for a refund or fees transfer after the normal deadline, the student may submit a written request to the Director, Corporate Services, outlining in full the reasons for the refund or transfer request. The Director, Corporate Services will review each request on a case-by-case basis.
