1. Financial Accounting

This chapter covers the requirements and the customisation details of the Financial Accounting Enterprise Structure. This includes configuration for setting up the enterprise structure and assigning organizational units to the structure defined.

1.1 Company Code

Company Code is the Organizational Unit of Financial Accounting for which a complete self-contained set of accounts can be drawn up for purposes of external reporting.

This includes recording of all relevant transactions and generating all supporting documents required for financial statements.

At each Company Code level Balance Sheet and Profit and Loss Account and all financial statements can be generated. Statements Required for Legal Reporting can be generated / balanced at Company Code level.

At each country level, Financial Reports need to be generated, when defining company codes, Country specific Company Codes need to be generated.

1.2 Credit Controlling Area

Credit Controlling Area is a Financial Accounting organizational unit to monitor the Credit Limit to Customers.

This organizational unit is either a single company code or, if credit control is performed across several company codes, multiple company codes. Credit information can be made available per customer within a credit control area.

1.3 Fiscal Year

Fiscal year represented to maintain the Accounting period as per the Financial Year of Organization. The financial period usually 12 months, for which the company produces financial statements and takes inventory, profit and loss, etc. A fiscal year need not correspond to the calendar year.

SAP support the Fiscal Year Calendar Year dependent or other than Calendar year also. In addition to the normal 12 Calendar month, SAP support additional 4 months to support and post the Book Closure, Audit and Year end entries.Fiscal Year Variant “V3 – Fiscal Year, 4 Special Period” can be used.

1.4 Posting Period Variant

The Financial Year of the organization is being splitted into different posting periods based on the Fiscal Year Variant. The transactions are being accumulated for reporting purposes each period wise. The transactions postings are controlled through Posting Period Variant. The Posting Period Variant maintained to allow the users, which period they can post the transaction and to which accounts. The following Posting Period Variants are required to control the posting period.

Arch will use Indian Rupees (INR) as the base currency. The Company will define all other currencies in relation to the Indian Rupees.

1.6 Chart of Accounts

Chart of Account contains list of General Ledger Accounts. A classification scheme consisting of a group of general ledger (G/L) accounts. A chart of accounts provides a framework for the recording of values to ensure an orderly rendering of accounting data. The G/L accounts it contains are used by one or more company codes.

For each G/L account, the chart of accounts contains the account number, the account name, and technical information.A chart of accounts must be assigned to each company code. This chart of accounts is the operative chart of accounts and is used in both financial accounting and cost accounting.

Chart of Account “1000 –Arch Group- Chart of Account” is to be defined to meet the requirements of Arch Pharmalabs Ltd. and Avon Organics Ltd. The same Chart of Account will be used for both the company codes i.e. 1000- Arch Pharmalabs Ltd. and 3000 – Avon Organics Ltd.

2. Controlling

2.1. Controlling Area

Controlling Areas is an organizational unit within a Organization. Controlling Areas is being used to represent a closed system for cost accounting purposes. Controlling Areas is used for internal reporting purposes. Multiple Company Codes can be used same Controlling Area, to have a uniform Costing Systems in place. All the company codes in the controlling area must use one Chart of Accounts and Fiscal Year Variant.

Controlling Area “1000- Arch - Standard Hierarchy” are to be used for all Company Codes

2.2. Operating Concern

Operating Concern will be used to analyze reports in Profitability Segments. It can be analyzed how costs and revenues are organized. One or more controlling areas are assigned to an operating concern.

2.3. Financial Management Area

The Funds Management Area is the organizational unit within an organization, used to represent a closed system for funds management, budgeting, and budget execution. The Funds Management Area also contains attributes or settings that impact master data and/or transactions within the FM Area. FM Area is linked to Company Code and Controlling area, which will enable integration with



all other organizational units within an enterprise. Funds Management within an Enterprise is controlled through Master Data called (a) Funds Centers and (b) Commitment Items.

Funds Center represents the organizational areas of responsibility for budgetary monitoring and reporting. It is linked to Cost Center. Funds Center identifies where in the organization revenue, expense, and budget are managed, reported, and controlled. Budget is assigned to Funds Centers and postings can be controlled against this budget based on the linking of other organizational objects. Funds Center usually represents the lowest levels of the organization where management responsibility exists.

Commitment Item represents budget classification. It is used to reflect the type of revenue and expenditure being budgeted and also to detail balances in FM. Commitment Items are linked to revenue and expense general ledger accounts, as well as primary and secondary cost elements. Additionally, Commitment Items may be created for specific budgetary and carry forward needs. Commitment Item identifies the business transaction for which budget is consumed.

Essentially commitment items will get mapped to General Ledger Account(s) or group of GL Accounts based on nature of Expenditure. Commitment hierarchies are maintained in the preparation of commitment items for the grouping of commitment items of similar nature and reporting purpose.

2.4. Profit Centre Accounting

Profit centre accounting helps management to analyse the profitability position of each and every profit centre for decision making purposes. All the revenues are posted statistically to profit centres and costs are also posted to profit centres through the assigned cost centres, there by providing the profitability at each profit centre level.At each Profit Center level Balance Sheet and Profit and Loss Account can be generated

In Plant Maintenance, a distinction is made between the organizational units "planning plant" and "maintenance plant".

Maintenance plant is the organization in which technical objects and main work centers can be maintained

In a Planning plant, maintenance task lists are defined for the respective maintenance plants, material planning is carried out on the basis of bills of material in task lists and orders, maintenance plans are managed and scheduled, maintenance notifications are created and maintenance orders can be handled.
