Scheduling Across Orders

EXECUTIVE OVERVIEW Scheduling Across Orders functionality is available within the Order Organizer Find window, where there is a new tab for Scheduling. The Scheduling tab is used for finding lines to schedule across orders, and the Scheduling organizer window is used for performing scheduling actions on queried lines. This White paper addresses the functionality of Scheduling organizer in detail in various scenarios.

INTRODUCTION Scheduling Across Orders allows users to schedule lines and maintain scheduling attributes on lines from multiple orders. You can query lines across orders, for an item, Request Date, Schedule Date, etc. to view scheduling attributes, and perform any scheduling action.

Order Management’s Scheduling Across Orders integrates with Oracle API’s Global Order Promising scheduling functionality to provide accurate information to users about when a product can ship or arrive.

This paper describes in detail on the usage of Scheduling organizer in the following business examples:

Find out who has reserved items View all lines for a customer, i.e. what is scheduled or unscheduled? Query scheduled or unscheduled lines Query lines with the ATP override, and decide how to fulfill Query all lines for an item, sort by gross margin, and reserve lines with higher margins. Extend schedule date if expected supply is delayed

FUNCTIONAL ASPECTS Scheduling Across Orders functionality is available within the Order Organizer Find window in the new tab for Scheduling.

The Scheduling tab is used for finding lines to schedule across orders. The Scheduling organizer window is used for performing scheduling actions on queried lines. Users with the role of both Customer Service Representative (CSR) and Scheduler can work in either the regular tabs of the Order Organizer or in the Scheduling tab.

A profile option, OM: Scheduling Role, controls access to the Scheduling tab. From this tab it is possible to perform scheduling actions on lines across multiple orders.

The scheduling across orders functionality leverages the existing Order management functionalities such as

–Folders and sorting –Splitting lines – ship part now, part later –Multiselect and mass change –Honoring set functionality –Ability to send manual notifications –Reserve at subinventory level, or lot, revision etc (through Inv reservation form) –Change source type from internal to external

SET UP Profile option for Scheduling across order.

OM: Scheduling Role

The above profile option can have the following values.

CSR only: Order Organizer works as it does normally. Users cannot access the Scheduling tab of the Find window, and therefore cannot access the new Scheduling organizer window.

CSR and Scheduler: Users can go to any tab on the Find window – Orders, Lines, Scheduling, etc. If ‘Find’ is performed on the Scheduling tab, it will bring up the Scheduling organizer. One can open the sales order pad from the Scheduling organizer.

Scheduler only: Only the Scheduling tab on the Find window is enabled. The user can only access the Scheduling organizer. “Scheduler only” role cannot open the Sales Order form.

For security you should define a new menu for Scheduler Only users, which should not include access to the Sales Order Pad or Price List, etc. A “Scheduler Only” user should purely be a “Scheduler”. If someone needs to access the Scheduling organizer as well as Sales Order pad, then he/she should use the value “CSR and Scheduler”.

Description: Figure 1, displays the System Profiles Options setup window. This window enables users to set up the values at site or other levels based on the privileges for the scheduling role profile.

IMPORTANT FEATURES

There are five buttons on the Scheduling organizer window

1. Actions From the Actions Button, the following can be done.

Notifications: We can send manual notifications to either users or responsibilities. For example, if the schedule date is changed or if ATP is overridden then we can send a manual notification to a planner or scheduler.

Open Order: Users with the role of CSR and Scheduler can open the sales order window to view the complete context of the sales order line.

View Shipping Status: We can view the status of the sales order line & the delivery line.

2. Split Line. Users can split scheduled lines.

Line splits performed from the Scheduling organizer will be processed as system splits from a pricing perspective, as the split is due to scheduling and not a user requested split. All other constraints that apply to the user splits are still honored.

For those with the role of Scheduler only, Request Date and Ship To Fields will be disabled. The Split window will be unchanged for a CSR/Scheduler.

3. Availability Button. The users can check the Availability from the Scheduling organizer. Users will have visibility to see supply. If lines are being demanded or reserved, the view is not dynamic, but reservable and on hand quantities can be viewed from the Availability window. For example, we can save the reserved quantities, and then open the Availability window to see how many items are still reservable.

4. Reserve To reserve, we need to click either Reserve or the right mouse button or the Tools menu. We can also enter reserved quantity. To unreserve, we can manually remove the reserved quantity, or use the right mouse menu or the Tools menu.

5. Schedule To schedule, we need to either click Schedule or the right mouse menu or the Tools menu. We can also manually enter schedule dates. To unschedule, we can manually clear dates or use the right mouse menu or the Tools menu.

BUSINESS SCENARIOS.

To find who has reserved items This can be done based on the value in the field “Reserve Status” along with the Item for which the information is required. This can have either of two values “ Reserved” or “ Unreserved”. If “Reserved” is used, then even partially reserved lines are also included.

To view ‘Schedule Status” for all lines for a customer. This can be done based on the value in the filed “Schedule Status” along with the Customer name for whom the information is required. The “Schedule Status” can have either of two values “ Schedule” or “ Unschedule”. Query lines with the ATP override, and decide how to fulfill. This can be done based on the value for the field “ ATP Override”. The ATP Override field can have either of two values “ YES” or “ NO”. To perform ATP Override, check Override ATP on the line and enter a Schedule Date. Override ATP is available for update only if the OM: Authorized to Override ATP profile is set. Users who are Override ATP are responsible for finding available supply. This data can also be sorted based on the first three columns in the folder. Extend schedule date. In cases where the expected supply is delayed, it is possible to extend the schedule date for those items through the Scheduling organizer window.

Sorting Lines based on Gross margin. The gross margins fields are folder-enabled, so we have to use Folders to display them. There is a limitation with sorting, which is that we can sort on the first three fields. So we can use folders to move gross margin to be one of the first three fields, and then we can sort on it. We have to think through which attributes we want to display.

CONCLUSION Order Management’s Scheduling Across Orders integrates with Oracle APS’s Global Order Promising scheduling functionality to provide accurate information to users about when a product can ship or arrive.

Integration of this new feature in Order management provides enormous amount of flexibility for the users to deal with various operations related to scheduling from one single window.
