Each section includes a brief description of the feature, the steps you need to take to enable or begin using the feature, any tips or considerations that you should keep in mind, and the resources available to help you.

UPGRADE/UPDATE TASKS

This section gives you information to help you plan, deploy and validate your upgrade to this release.

For Oracle ERP Cloud, we have published Oracle ERP Cloud: Performing Your Release 11 Upgrade on My Oracle Support.

This document includes a list of all Pre- and Post-Upgrade steps for ERP.

Included with these steps are a set of product-specific checklists to help you evaluate your upgrade readiness on a product-by-product basis. These checklists are helpful if you only use a small subset of the ERP products, as each checklist combines all upgrade steps into one product-specific section for you (including any common steps that would be relevant).

A sample ERP Upgrade Project Plan is also included for your use.

We frequently update this document so don’t forget to check back and get the latest information before you start your upgrade.

ENABLING ADDITIONAL DASHBOARDS

Project managers can now use the new Infolets available on the Project Management Dashboard to gain insight into their projects. However, you can now enable additional dashboards for more detailed project monitoring and tracking. Optionally enable the following dashboards in addition to the Project Management Dashboard:

• Use the Project Manager Dashboard to monitor the progress of work on projects, resource allocations, requests, and assignments.

• Use the Project Performance Dashboard to monitor the financial performance of your projects based on key performance indicators and performance measures.

STEPS TO ENABLE

Project application administrators must first create a sandbox, enable the features they’re interested in, and finally publish the sandbox.

To create a sandbox:

1. Sign in to Oracle Fusion Applications. 2. From the Global area, select Manage Sandboxes… from the Administration menu. 3. Click the New icon. 4. Enter a name for the sandbox and click Save and Close. 5. Click OK on the confirmation message. 6. Select the new sandbox row and click Set as Active. 7. Click Yes on the message to be taken to the Homepage.

To enable the additional dashboards:

1. From the Navigator, select Tools > Structure. 2. Expand the Projects folder.

3. Click the Project Manager Dashboard link. 4. From the Visible list, Select Yes.

5. Click Save and Close. 6. Repeat steps 3-5 for the Project Performance Dashboard. 7. To publish your sandbox, click the link on the name of your sandbox and then click More.

8. In the Sandbox Details window, click Publish. 9. Click OK on the message to be taken to the Homepage.

TIPS AND CONSIDERATIONS

• If project application administrators navigate to Tools > Structure without first activating a sandbox, click Edit on the Structure page. You're prompted to activate a sandbox.

Tip: If you're already in an active sandbox, then the Edit button doesn't appear on the Structure page.

• To disable a dashboard you enabled, you must first create and activate a new sandbox. The follow the steps to enable procedure and set Visible to No at step 4.

VIEWING PROJECT EXECUTION MANAGEMENT AND PROJECT FINANCIAL MANAGEMENT LINKS IN THE ACTIONS PANEL TAB

For Release 11, you must ensure that you update the implementation status for the Project Execution Management and Project Financial Management offerings, depending on whether you are using one or both of them. For upgrading customers, you need to revisit this status to ensure it is set properly. You can view the related links in the Project Management work area only if the Project Execution Management or Project Financial Management offerings are enabled and the implementation status is In Progress or Implemented.

STEPS TO ENABLE

Implementation administrators must enable the offering and set the status by following these steps:

1. Open the Setup and Maintenance work area. 2. Select the Project Execution Management offering. 3. In the Administration section, select Change Configuration from the Actions menu.

4. In the Configure: Project Execution Management page, click the link in the Implementation Status column for the Project Execution Management row.

5. Select either In Progress or Implemented.

6. Click Done. 7. Repeat steps 2-6 for the Project Financial Management offering.

TIPS AND CONSIDERATIONS

If you cannot see any Project Execution links in the Actions panel tab in the Project Management work area, then the first item to check is the implementation status for the Project Execution Management offering. If the status of the offering is in the Not Started implementation status, then the links will not appear.

EFFECTIVELY MANAGE PROJECT LIFECYCLE

Quickly and efficiently perform day-to-day project management tasks, from planning, to scheduling, to costing and billing, by utilizing an enhanced Project Management Dashboard.

The dashboard has a next generation and simplified user interface which organizes analytics into infolets. This provides you with a clear insight into issues needing attention and makes project management more efficient and engaging.

ANALYZE OVER AND UNDERALLOCATED RESOURCES

Use the Team Allocation infolet to view weekly resource allocations with a visualization that indicates whether a resource is over or underallocated.

Resources are overallocated when they’re scheduled for work greater than 100% of their capacity, and underallocated when scheduled for work less than 80% of their capacity. Swipe the infolet to view allocations for 3 future 4-week time periods. You can also expand the infolet to get a grid-like visualization and track the weeks for which resources are over or underallocated.

To edit the threshold levels, project application administrators must first select the currency and set up the threshold levels using the Edit Threshold Levels button. This enhancement makes setting up currency based KPIs easy and intuitive.

• You can export cost transactions from Oracle Fusion Project Costing so they can be accounted in an external application.

• Using two new scheduled processes, you can export cost and cross-charge distributions for a selected business unit and period. The distribution lines are exported into a CSV file along with more than 80 project, task, and transaction attributes that can be used to create the accounting. The names of the processes are Extract Cost Distributions for External Accounting and Extract Cross-Charge Distributions for External Accounting.

• When you submit the processes, you can also choose to export original distributions, adjustment distributions, or all distributions. This is especially important if you’ve already accounted the original transactions and only want to account adjustments made in Oracle Fusion Project Costing. You can also choose to export only distributions that have never been extracted before, which helps ensure all transactions are exported and that they’re only exported once.

PROJECT FOUNDATION

Oracle Fusion Project Foundation includes common components that are shared across products within Oracle Fusion Project Portfolio Management. It includes the basic project plan structure and components such as resource breakdown structures, rate schedules, pricing, burdening, and cross-charge processing.

CALCULATE UNITS WHEN IMPORTING NEW RESOURCE ASSIGNMENTS IN MICROSOFT PROJECT

Allow Microsoft Project to calculate dates, work, or units during the import of new resource assignments from the financial project plan. For example, if you choose to calculate units, the dates and work are used in Microsoft Project to calculate the units.

Immediately after importing a new project or template into Microsoft Project, the schedule may not match the project plan in Oracle Fusion Project Control. These differences occur because Microsoft Project calculates the schedule using resource calendars and other options that aren’t available in Oracle Fusion Project Control. Scheduling is based on a relationship between dates, work, and units. Microsoft Project accepts two of these values during import and then calculates the third value in compliance with its scheduling rules.

In Release 11, you now have the option to import assignment dates and work while letting Microsoft Project calculate the units. This feature helps ensure that when you initially import a project or template, it’s as close as possible to the project or template in Oracle Fusion Project Control.

For example, as a project manager, you can create projects for sales opportunities with no financial impact from within the Project Management work area. MAINTAIN FINANCIAL TASKS IN A DETAILED PROJECT WORK PLAN

Create financial tasks in the project work plan and add detailed non-financial tasks for planning and scheduling purposes. Manage key financial task attributes, including specifying whether a task is billable and chargeable, while planning and scheduling the work on the project. Include financial tasks on work plan templates to accelerate project creation.

As you start planning your project, you start by building out the tasks required for your financial management purposes. For example, add tasks that you need for collecting costs, generating revenue, budgeting, and forecasting. Within the project plan, you can maintain key financial task attributes such as whether a task is billable or chargeable and specify the task numbers. Then you can optionally continue adding more granular tasks specifically to manage and schedule the project work.

If you know that you will always track a particular set of financial tasks in your project, you can add them to your work plan template.

MANAGE PROJECTS USING A REPRESENTATIONAL STATE TRANSFER (REST) SERVICE

Create and maintain projects from any third-party application using a Representational State Transfer (REST) web service. Create projects with a minimum set of attributes, such as a project name, start date, and project manager. Optionally specify a project template to manage the financial aspects of the project. Projects created without a project template are available for planning and scheduling, while projects with a template are also available for financial management purposes, such as tracking costs and generating invoices.

Using the REST web service, you can view, create, and update:

The Sprint Velocity graph charts the story points of achieved backlog items per sprint in Agile environments. It also calculates the average number of story points you can achieve in one sprint. The graph is most useful when you have consistent sprints and uniformly apply story point determination across all backlog items. The product backlog burnup chart represents the completion status of backlog items within sprints. The completed story points appear green, and the pending backlog items appear red. The dotted velocity trend line indicates the estimated time of completion. This helps in providing an Agile team a holistic idea of how much work can be taken per sprint.

Staff multiple labor resources on project tasks for quick project planning and to meet your project goals. Maintain short and crisp project plans by assigning multiple labor resources to tasks. Hover on the Resource column to quickly view all the resource assignments for a task. The primary resource for a task can report progress and propose new dates or effort needed to complete the task. Other resources assigned on the task can view the task details in read-only mode.

The new and updated user interface enables project managers to seamlessly view all the resource assignments for a task. After you assign a task to a resource, the primary resource can enter progress on tasks for themselves and the other resources assigned to the same task.

• When you add another resource to the task, the application obtains the resource’s allocation from the value defined on the Manage Project Resources page. The application distributes the effort across the resources in the ratio of their allocation on the project and then calculates the finish date and duration of the task based on new effort, allocation, and project calendar.

• The task dates determine when each resource is working on the task. If you need to have resources working on different dates, then you can create subtasks to divide the effort.

• If you remove a resource from a task, then the application redistributes the effort amongst the remaining resources and recalculates the finish date and duration of the task. If the task is already in progress, then the remaining effort is redistributed.

Product managers, product design managers, and product design engineers can create work items and monitor task progress without switching to the Project Management work area.

The tasks associated with a work item are now visible in Oracle Fusion Innovation Management and Oracle Fusion Product Development. Product managers can create a new task relationship or remove older ones on the relationship tables that appear on the pages for Proposal, Concept, Requirements Specification, and Item. You can see additional task details when you hover on the task.

AUTOMATICALLY UPDATE WORK ITEM VERSION REFERENCES

Automatically update draft work items to ensure that the work items are always associated with the latest version of a Concept, Proposal, or Requirements Specification. As the product manager creates new versions, the application automatically updates the version reference for the work item. All subsequent tracking of completion criteria will refer to the latest version.

The new enhancement ensures that the application always references the current version and doesn’t require manual monitoring.

When leveraging the Oracle Social Network, you can interact with other team members on specific deliverables. For example, in directed conversations you gather feedback from all stakeholders on the test plan. You write your test plan document, upload it to Oracle Social Network and start a conversation and ask for feedback by a specific date. After the deadline is reached, you can incorporate their feedback into the document, and then republish it.

Manage all work items for a project on a single page. In addition to managing work items in the context of a task, project managers can now edit work item associations and task completion rules for all project work items in the same location. The project manager can monitor the progress of each work item as the application automatically completes tasks based on activity in Oracle Fusion Innovation Management, Oracle Fusion Product Development, or Oracle Fusion Sourcing. Since the updates occur automatically instead of manual input for every change, more accuracy and efficiency is guaranteed.

On the Manage Work Items page, the project manager can see the connections between Oracle Fusion Innovation Management and Oracle Fusion Product Development integration points, dependencies on PLM events, current status of the PLM objects, status of the tasks, and the target completion date and person responsible. Leverage the latest enhancements when creating projects in Oracle Fusion Project Management from Microsoft Project. The integration supports multiple resources for lowest-level tasks in a project plan, validates the dependencies and constraints for milestones, and supports negative lag.

You can transfer tasks that are identified as financial tasks, containing information on whether they’re chargeable and billable. The enhanced integration helps you to migrate project plans, reduce risk, better manage project schedules, and use financial tasks. Prevalidations provide you with warnings during project export, for example, when your task notes are longer than 2000 characters or a milestone has duration greater than zero. Increase the productivity of project managers while managing project plans. You can:

• Use the Effort in Hours column to enter planning effort. • Leverage the enhanced scheduling business rules that enable the application to calculate

the task duration only when the task has a start and finish date. If the task has a dependency on a predecessor task, then the application calculates the start or finish date when the predecessor has the appropriate date present to drive the dependency.

• Use the task number to uniquely identify a task in the project. The application provides a default task number and you can choose to update it as needed.

You can easily search for change orders requiring attention and view the latest information at a glance. You can sort the change orders based on your search criteria and view all the pertinent details of the change order in a user-friendly layout.

The search results display change orders that meet the search criteria and facilitate quick action by focusing attention on critical information such as priority, total impact to cost and effort, and number of participants with pending work in each stage. When you’re associating a project task to a negotiation, you have the option to choose a task completion event. When this event occurs, the application automatically updates the task progress. These negotiation events are predefined.

Some task completion events are automatic. For example, if there is a “Publish negotiation” project task in the project plan for RFQ 123, then you can associate the completion of this task to the “Negotiation published” task completion event for RFQ 123. In the Negotiations work area, when you publish RFQ 123, the application marks the project task associated to this event as complete, setting the progress to 100% complete. Other task completion events such as “Collaboration team defined” are manual. When a project task is associated to this event and the collaboration team defined, you must select this project task and manually perform use the Complete Task action to mark this as complete from the Negotiation work area.

Add Project Resources to the Negotiation Team

TIPS AND CONSIDERATIONS

• If you amend a negotiation, then the application automatically associates all incomplete tasks to the new amendment. All completed tasks remain associated with the old negotiation.

• After you create project tasks to track key negotiation events, you assign labor resources to the tasks. Normally, these resources are also part of the collaboration team for that negotiation. On the negotiation, you can choose to quickly search and add project resources as collaboration team members. You must ensure that the project enterprise labor resources assigned to the tasks are also Human Capital Management (HCM) people.

• By tying a project tasks to corresponding negotiation events, you can track the project progress in real time. This reduces manual updating of the project plan progress which saves times and improves accuracy.

NOTIFY CHANGE ORDER PARTICIPANTS OF KEY EVENTS

Notify change order participants and owners at critical points in the lifecycle of a project change order. Inform change order participants when they’re assigned a role on the change order or if a change order is completed or canceled by the owner. Send notifications to change order owners when participants

complete their work on the change order such as when they complete the impact assessment or approve or reject the change order.

As a participant, you can choose to receive e-mail notifications for change orders when a change order moves to a stage where you have a role and are required to complete work. For example, if you’re added as an impact assessor you receive an e-mail notification informing you about this. The notification helps you plan your work and expedite the completion of this task in time.

Participants also get notifications when the owner cancels the change order or closes the change order upon completion. Any time the owner removes you as a participant from a certain role; you will be notified of the change.

As an owner, you can choose to receive e-mail notifications for change orders when various participants complete their work on a change order. For example, after an approver approves or rejects a change order, the owner receives an e-mail notification with this information. Similarly, when an impact assessor enters the impact of a change order, the owner receives an e-mail notification containing the impact details entered by the assessor. The notification also includes the impact of all other assessors on the change order to help the owner decide the required action to move the change order to the next stage and towards completion.

TRACK ACTIVE DATES FOR PROJECT ENTERPRISE RESOURCES

Track the dates for which each project enterprise labor resource is active and available for project assignments. The resource pool membership dates of the resource would be set within these dates.

For a resource created based on an HCM person, the project enterprise from date is set to the resource’s hire date when the resource is an employee. For contingent workers, the from date is set to the resource’s placement date.

UPDATE THE FINANCIAL PLAN AND PROGRESS FROM THE PROJECT PLAN

Create a detailed project plan to define and schedule project work. When the plan is ready, the project manager can update the financial plan and set the financial plan baseline from the summarized project plan information, including resources, effort, and task dates. As the project team reports progress, the project manager can choose to update the financial project plan and financial progress.

The reported progress (physical percent complete and start and finish dates) and resource assignments are reflected against higher level financial tasks. You can capture and optionally publish financial progress based on the information collected on the project plan. You can:

• Maintain a detailed work plan summarized for financial management. • Manage the schedule using the project plan. • Keep the financial project plan updated with data from the project plan. • Manage project finances and track project performance with the updated financial data.

Oracle Fusion Task Management lets organizations manage all work and related interactions in a consolidated place. Team members, challenged by the quantity of tasks they own, no longer have to track administrative and project work in different places since all tasks are managed and progressed in a single view.

QUICKLY UPDATE TASK PROGRESS

Mark a task as started or finished with a single click from the Team Member Dashboard. The dashboard is enhanced to present the list of tasks starting or finishing in the current week. You can choose to review all overdue or unscheduled tasks and use the task type to quickly filter tasks.

For example, team members can filter to see all of their tasks due this week on a particular project and then mark each task started or finished.

PROJECT RESOURCE MANAGEMENT

With Oracle Fusion Project Resource Management organizations can optimize the allocation and utilization of their most precious resource: their people. Innovative and intuitive tools let resource managers and project managers ensure that the best-fit resource is identified and placed on each and every project assignment, to the benefit of the organization, the project resource, and the end customer, whether it be for internal or external billable projects.

ACTIVATE RESOURCE POOL MEMBERSHIPS ON SPECIFIC DATES

Track resource and resource pool utilization by using date ranges for resource pool memberships. Calculate resource utilization in a specific resource pool for the dates that the resource is a member of the pool. When a resource manager searches for resources in a resource pool, only resources who are active as of the assignment start date will appear in the search results.

Application administrators can add resources to a resource pool and specify the date range the resource will be part of the pool. Resource pool memberships will always have a start date assigned to the membership, and can also have an end date. A resource can belong to multiple resource pools for non-overlapping date ranges. The membership dates must always be within the resource’s active dates as a project enterprise resource.

Utilization for a resource pool will take into consideration the dates the resource is part of the pool to report utilization for the pool.

Assign a default project staffing owner who is responsible for searching and evaluating labor resources to fulfill open resource requests for the project. The default staffing owner is automatically added to all resource requests for the project.

Use a Microsoft Excel template to create project resource assignments or update existing assignments using the file-based data loader. For example, you can use this approach during the initial data migration or when required if you capture assignment information in an external application. The file-based loader brings data from external applications to Oracle Fusion Project Resource Management. Initial data creation and ongoing updates are supported.

MONITOR RESOURCE ASSIGNMENTS ENDING SOON BY POOL OWNER

Monitor and maintain resource assignments that are ending soon on behalf of any resource pool owner from the Project Resources work area. You can filter resource assignments ending in the next 14 days by pool owner to enable others to assist the pool owner in assignment maintenance when the pool owner is not available.

For example, by default resource managers see their own resources, but if a resource manager is out of the office, another resource manager can easily step in and help out.

PROVIDE A SINGLE SOURCE OF ENTRY FOR ABSENCE MANAGEMENT EVENTS

Enter, review, and cancel absences in Oracle Fusion Absence Management and leverage this information in Oracle Fusion Project Portfolio Management. For example, when employees or contingent workers enter their upcoming absence in Oracle Fusion Absence Management, the absence is also considered when calculating the available capacity for people in Oracle Fusion Project Resource Management. Resource managers and project managers can view the absence in the resource's schedule and on the project calendar. Team members can see the absence on their calendar on the Team Member Dashboard.

This feature means that Oracle Fusion Absence Management is the single entry source and used throughout Oracle Fusion Project Management, Oracle Fusion Task Management, and Oracle Fusion Resource Management. For example, when resources enter their upcoming summer vacation, available capacity calculations consider that time as unavailable.

SECURITY

1. Assign the Run Transfer Absence Records to Oracle Fusion Project Execution Process privilege (PJT_RUN_TRANSFER_ABSENCE_RECORDS_TO_ORACLE_FUSION_PROJECT_EXECUTION_PROCESS_PRIV) that rolls up to the resource manager job role to transfer records from Oracle Fusion Absence Management to Project Execution Management applications.

2. Assign the Time and Labor Administrator role to users who will set up this integration.

SET UP THE INTEGRATION

Setup tasks for this feature are available in the Workforce Deployment offering. You can use the predefined time consumer set Project Execution Management Set Only. A worker time processing profile called Project Execution Management Time Processing Profile is also predefined. You don’t need to perform additional setup steps to use this feature.

Worker Time Processing Setup Profile for Project Execution Management

CREATING YOUR OWN SETUP CRITERIA

You can define your own setup criteria to meet your specific business needs. If you choose to define your own setup criteria, then consider performing the following setup tasks:

1. Manage Time Layout Sets: Defines a group of layouts that determine which fields appear and in what order on the Time work area.

• Optionally, reuse a predefined layout set.

• If you create a new layout set, then you must include the Time Type field or absence management fields to store time entries for transfer to Oracle Fusion Project Execution Management.

2. Manage HCM Groups: Categorizes one or more workers either with condition criteria or by explicit inclusion or exclusion of the worker. Assign HCM Groups to time entry profiles to associate time layout sets with appropriate workers.

• Optionally, reuse a predefined HCM Group such as Projects Usage or Projects and Payroll Usage.

• If you create a new group to identify the universe of people that you want to include in the integration, then after you create the group return to the main page, select the group, and select the action to Refresh Group Membership. This action includes all the users in the new group you created.

3. Manage Worker Time Entry Profiles: Associates people from an HCM Group with a time entry profile.

• The predefined Projects and Payroll Time Entry Profile enables your workers to enter time for Oracle Fusion Project Costing, Project Execution Management applications, and payroll.

• Optionally, create your own profiles to use different groups or layout sets. Profiles enable you to configure the actions allowed to the workers on time cards such as create, view, edit, and delete.

4. Manage Time Consumer Sets: Specifies the consumers of time reporting data.

• Optionally, reuse a predefined time consumer set. • Create a new set to specify the appropriate time consumers -- Project Costing, Project

Execution Management, and Payroll. The time consumer set can transfer the project time entries to Oracle Fusion Project Costing and payroll time entries to Oracle Fusion Global Payroll. It also can transfers absence time entries to Project Execution Management.

• For Oracle Fusion Project Execution Management, the time category is automatically set to All Absence Entries.

5. Manage Worker Time Processing Profiles: Associates layout sets with workers to identify the time entry and calculation rules to run for time reported by those workers.

• Optionally, reuse a predefined worker time processing profile. • If you create a profile, then select one of the predefined or newly created time consumer

sets and then select the appropriate HCM group. • Ensure that the profile has the lowest profile number for the workers whose absences you

want to transfer. In other words, move the profile that you are creating to the top of the list on the Profile Priority train stop.

Tip: Override the worker time entry and processing profiles for a person by using the Troubleshoot option on the profiles.

TRANSFERRING PROJECT EXECUTION MANAGEMENT TIME DATA

Run the Initiate Absence Records Transfer to Oracle Fusion Project Execution process to retrieve absence time data.

To monitor and troubleshoot time data transfers, use the Time Management work area:

• View the time entries that failed during the transfer process in the Resolve Time Cards with Transfer Failures section of the Overview page.

• Monitor time data transfer processes that failed or terminated abruptly in the Incomplete Time Transfer Processes section of the Overview page.

o The project application administrator notifies the time and labor administrator of any failed process. The time and labor administrator resets the status to Unprocessed for the time data that didn't transfer successfully.

o The transfer process retrieves the unprocessed time data the next time that the project administrator runs it.

TIPS AND CONSIDERATIONS

1. Absences in a submitted status are eligible for transfer. 2. Continue to use the My Calendar page on the Team Member Dashboard to enter non-absence

events such as meetings and training. 3. When you transfer absences, the process generates a report that shows the parameters used,

and number of records read, created, withdrawn, or with errors.

RESERVE RESOURCES FOR PROJECT ASSIGNMENTS

Plan and reserve project resources early in the project planning lifecycle. The Reserved assignment status indicates that a resource is soft-booked on the project. The resource's available capacity and schedule reflect the reserved assignment. When the time is right to fully commit the resource, either the resource manager or the project manager can confirm the assignment.

Resource managers and project managers can plan for and reserve project resources early in the project planning process. For example, the contract to deliver services to a customer may not be signed yet, but the opportunity is far enough advanced to start finding resources to staff on the project. The reserved status on an assignment indicates an agreement between a resource manager and project manager that

specific resources are soft-booked on the project. Resources’ available capacity will take into account the reserved assignments. These reserved assignments will show in the resource’s schedule. Resource managers or project managers can confirm the resource to the project when project planning is finalized and work is ready to start.

RESOURCE MANAGEMENT USABILITY ENHANCEMENTS

Streamline the management of your resources with a set of enhancements to increase your efficiency.

• Use the new top resources view. When evaluating resources for a request, resource managers can immediately focus in on the top five scoring candidates based on the requested criteria. They can compare various attributes about these resources and assign the best fit.

• Adjust the resource’s hours per day on a project and submit the changes for review and approval.

• Filter open project resource requests by staffing owner on the resource manager's dashboard to provide a more focused view of requests owned by a resource manager.

• Stay informed when a resource's assigned hours exceed the resource's capacity hours when you reserve or confirm a resource on a project or update the resource's assignment schedule.

• View resource organization when evaluating resource for a project resource request. • Search for project resource requests by project owning organization. • Help resources prepare for the upcoming work and travel requirements with notifications

sent to the resource when they’re reserved or confirmed for a project assignment.

In addition, workflow is enhanced to enable project application administrators to configure the workflow participants that approve a resource for an assignment and receive FYI notifications about the resource proposal and approval. In addition, resources are notified when they’re reserved or confirmed for a project assignment.

• The enhanced usability feature for workflow is not automatically available. The option to use workflow must be selected in setup to use the workflow feature. To enable workflow, set your preferences in Manage Project Resource Management Implementation Options. To specifically enable resource assignment approval workflow, enable the option Notify requester when a resource is proposed to fulfill a project resource request.

When implementing project resource management, you can determine if you want to use workflow to route resource approvals for project resource requests. If you use workflow, you should consider the following:

• Which participants will receive the workflow to approve proposed resources? • Are there any specific business rules or conditions needed to determine which participants

should receive approval workflow? For example, if the duration of the assignment is longer than 10 days, the resource’s line manager must approve.

There are a few items to note when implementing this workflow:

• Workflow participants must be set up as project enterprise resources. • If workflow participants are not project managers or are not provisioned with the Resource

Manager or Project Execution security roles, then you can create a custom application role with the Manage Project Resource Requests privilege to assign to the participants.

Oracle Fusion Project Integration Gateway brings together world-class financial project management from Oracle Fusion Project Portfolio Management and best in-class project execution in an optimized end-to-end enterprise project and portfolio management process. The result is a fully integrated and automated solution, which not only provides a single source of project truth, but also enables users to work in their tool of choice.

INTEGRATE P6 EPPM WITH PROJECT FINANCIAL MANAGEMENT

We are now extending support to integrate P6 EPPM with Oracle Project Portfolio Management Cloud. Before this release, the integration of P6 EPPM was supported only for on-premise Oracle Fusion Project Portfolio Management solution. Integrating P6 EPPM with Oracle Project Portfolio Management Cloud gives the same functional solution that is provided with the integration with on-premise Project Financial Management.

This integration enables you to create projects and manage the financial activities for your projects in Project Financial Management while performing the detailed planning, resource loading, and scheduling for your projects in P6 EPPM.

a. Install Link to Oracle Fusion Projects

The Install Link to Oracle Fusion Projects setup step informs users that the link to Project Financial Management needs to be set up in Primavera P6 Enterprise Project Portfolio Management.

b. Create User to Configure Primavera P6 Integration

The setup link Create User to Configure Primavera P6 Integration takes you to Oracle Identity Management where you can create a new user for Oracle Fusion applications. Share this user with the Primavera P6 administrator to register the user in the Primavera P6 application.

c. Register Primavera P6 Enterprise Project Portfolio Management

Register the Primavera P6 URL using the setup page Register Primavera P6 Enterprise Project Portfolio Management.

d. Manage Integration Options

Project integration options defined in the Manage Integration Options user interface determine how Project Financial Management interacts with P6 EPPM.

1. Navigate to the Setup and Maintenance work area. 2. Search for the task: Register Primavera P6 Enterprise Project Portfolio Management. 3. Select the hyperlink for the task name to navigate to the Register Primavera P6 Enterprise

Project Portfolio Management page. 4. Register the Primavera P6 URL. Also specify the Primavera P6 Enterprise Project Portfolio

Management user name and password which will be sent when exporting data from Project Financial Management to Primavera P6. This user name and password provides access to the Primavera P6 web services.

5. Click Save and Close.

Manage Integration Options page

1. Navigate to the Setup and Maintenance work area. 2. Search for the task: Manage Integration Options. 3. Select the hyperlink for the task name to navigate to the Manage Integration Options page.

4. Defining the integration definition information. This information includes the integration name, business unit, project unit, and the integration language.

NOTE: The name "PJGP6_Pimavera1" will appear in the choice list for Integration name after you complete the Register Primavera P6 Enterprise Project Portfolio Management Setup Detail step.

5. Select the business unit that owns the projects to be integrated with P6 EPPM. The ledger currency for the business unit is displayed on the page and becomes the currency in which currency amounts are exported to and imported from P6 EPPM.

6. Select the project unit that owns the projects to be integrated with P6 EPPM. 7. Select the language for the integration. Any translated text is exported to and imported from P6

EPPM in this language. 8. Select the planning resource breakdown structure which is the source for the resources that will

be exported. Select a planning resource breakdown structure that is owned by the selected project unit and is centrally controlled. All integrated projects must use this planning resource breakdown structure as the primary planning resource breakdown structure.

9. In the Calendar Type field, select either the accounting calendar or the project accounting calendar. Periods from the selected calendar are exported to Primavera and are used for all planning purpose. All integrated projects import planned amounts and export actual amounts for periods in this calendar.

10. In the Resource Rates details region, optionally specify a resource class rate schedule to be used to calculate rates when actual rates are not found otherwise.

11. Specify a burden schedule to send burdened rates instead of raw cost rates to P6 EPPM. 12. Click Save and Close.

TIPS AND CONSIDERATIONS

• This functionality is applicable to both on cloud and on premise implementations of Oracle Fusion Project Portfolio Management.

• After you run integration processing for a business unit and project unit combination, you can’t change the project resource breakdown structure for the integration.

• You can also create new resources in P6 EPPM and assign them to tasks. However, these resources will be exclusive to P6 EPPM. All resource assignments created for these new resources in P6 EPPM, will be created against the generic resource classes when the assignments are imported back to Project Financial Management. These generic resource classes are Labor, Equipment, Material, and Financial Resources.
