WELCOME BACKThe RDS Venue would like to welcome you back, we are open

for business. Like many of you, we have had to stop and

revaluate how we host your events. Whilst we adapted our

offering – with new virtual studios, we know that meeting in

person at actual events is still incredibly important for business,

that human connection, that bond.

THE RDS VENUEWith 22,000sqm of hall space and extensive outdoor areas, the RDS Venue has the capacity and space to hold your event in this new world of social distancing. We have worked on enhanced safety measures adhering to Government guidelines. A dedicated and experienced event team want to reassure you, give you piece of mind so that you can adapt and safely run your event in our venue.

The safety of our clients, staff, stakeholders and the public are our priority.

Read through this booklet to understand how the RDS Venue has adapted to social distancing and the measures we have in place. We have offered some guidance to you our customers on considerations you need to think about when planning an event in this new environment.

A SUPPLY OF SOCIAL DISTANCING REMINDER SIGNS WILL BE AVAILABLE FOR EVENTS

A CAPACITY MONITORING SYSTEM IS AVAILABLE IN HALLS TO ENSURE HALL CAPACITY IS NOT EXCEEDED

ORGANISERS WILL HAVE ACCESS TO CCTV OF HALLS TO MONITOR CROWD DENSITY AND TRAFFIC FLOW

DEDICATED HALL STAFF TRAINED IN COVID-19 PROTOCOLS

PERSPEX SCREENS HAVE BEEN INSTALLED AT TICKET BOXES AND IN ORGANISER’S OFFICES

ACCESS TO CROWD CONTROL BARRIERS FOR QUEUING

ACCESS TO RDS TRAINED COVID-19 WORKER REPRESENTATIVES, PRE/DURING & POST EVENT

SOCIAL DISTANCING MEASURES

ALL HALLS AND MEETING SPACES WILL BE CLEANED AND FOGGED IN BETWEEN EVENTS

HAND SANITIZING STATIONS WILL BE LOCATED AT ENTRANCES AND BATHROOMS. DISPOSABLE HAND TOWELS WILL ALSO BE AVAILABLE IN ALL BATHROOMS

ADDITIONAL CLEANING AND DISINFECTING OF ALL REGULARLY TOUCHED AREAS DURING EVENTS

THE RDS CAN PROVIDE EVENT ORGANISERS WITH A DESIGNATED ISOLATION ROOM WITHIN THE VENUE

SIGNAGE WILL BE IN PLACE ACROSS THE VENUE TO REMIND PEOPLE OF PHYSICAL DISTANCING AND THE IMPORTANCE OF HAND HYGIENE

DRINKS RECEPTIONS AND BARS WILL BE DELIVERED BY TRAY SERVICE TO REDUCE QUEUING

FINGER FOOD AND CANAPÉ SELECTIONS WILL BE SERVED ON INDIVIDUAL PLATES

FOOD WILL BE PLATED FOR GUESTS AT BUFFET COUNTERS BY THE RDS HOSPITALITY TEAM

OUR VIRTUAL BROADCAST STUDIOS & LIVE EVENT SPACES CONTAIN A HD BROADCAST QUALITY MULTI CAMERA SET UP WITH A SPACIOUS STAGE AREA, STUDIO LIGHTING AND A CUSTOMISABLE WIDE LED BACKDROP

THE VIDEO CONFERENCING SYSTEM CAN SUPPORT REMOTE PRESENTERS IN ANY LOCATION IN THE WORLD VIA STARLEAF AND COMPATIBLE WITH BLUEJEANS, WEBEX, ZOOM AND MANY MORE VIDEO CONFERENCING SYSTEMS INCLUDING POLYCOM, CISCO AND TANDBERG SYSTEMS

THE PURPOSE BUILT STUDIOS HAVE THE CAPABILITY TO HOST HYBRID EVENTS, WHERE A LOCAL LIVE AUDIENCE AND A REMOTE AUDIENCE ANYWHERE IN THE WORLD CAN INTERACT, ENGAGE AND ATTEND THE SAME EVENT.

ENSURE YOUR ATTENDEES ARE AWARE OF THE CURRENT HSE RECOMMENDATIONS. SUGGEST SENDING HSE GUIDELINES OUT TO ATTENDEES IN ADVANCE AND FOLLOW PHYSICAL DISTANCE AT ALL TIMES

ADD A COVID-19 RESPONSE SECTION TO YOUR OVERALL EVENT MANAGEMENT PLAN
