Skyward Family Access Online Enrollment Verification Guide for Parents Peoria Public Schools is excited to offer an online registration process as a pilot program for 2013-2014! We believe this process will not only improve efficiencies within the District, but it will also allow families to complete registration and enrollment information in the comfort of their own home or office, as well as allow everyone to transition to a more paperless environment! Starting on August 1 st , 2013, families of RETURNING students to Kellar Primary, Lindbergh Middle, Richwoods High and Roosevelt Magnet schools, will be able to login to Family Access and complete their Online Enrollment Verification for their student at that school. The online enrollment update will be open through the first day of school, August 19 th , 2013 and close at 4:00 p.m. Families of students who do not participate will be provided a hard copy enrollment packet on the first day of school and should be completed and returned by Friday, August 23 rd , 2013. At the end of this document, we have provided some Frequently Asked Questions that we believe may help you through the process if you need some extra guidance or have additional questions about other students at other schools. Online Enrollment Verification Guide for Parents

Peoria Public Schools is excited to offer an online registration process as a pilot program for 2013-2014! 3. Once you are logged in, you will notice a button in the middle of your screen allowing you to begin the

Online Enrollment Verification update process. Please note that this button will only be available between August 1st and August 19th. If you have additional questions about the process or information that you see in the Online Enrollment Verification, click on the “Online Enrollment Verification Questions/Comments?” link at the bottom of the screen to email your school clerical staff.

You have now started the Online Enrollment Verification Process. As you can see, there are several steps to the process, and most steps must be completed in order, before moving to the next step. Some schools have more steps than others depending on the information needed by each school.

4. Click on “Enrollment Form” to complete Step 1.

You will notice that some steps have gray buttons, while others are blue. The grayed out buttons indicate that you have not completed the prior step, which is a required step. The blue buttons are optional steps and are not required to complete the Online Enrollment Verification process.

5. The information on file for the returning student is displayed. To change the information, click on the “Request Changes to Student Information” or the button for the section that you wish to change.

Please note that some information is provided in a view-only mode, and cannot be changed by the parent/guardian during this process. For example, the address is shown to the parent/guardian so that you may know what is on file, however a change of address requires a visit to the school office to show proof of address (with utility bill or a notarized affidavit from your landlord).

6. A new window has opened to allow you to request the changes that are needed. For example, if you

would like to update your home phone number, place your cursor in the box to make the update. Once you have updated your phone number, click save, and the old phone number will remain in black text, while the new phone number will be listed below in red, indicating it is awaiting approval from District staff before the change is officially made. Once you have made all necessary changes, click on the “back” button to the right of the screen.

7. Click the “back” button again (located in the top right corner of the screen) once you have completed all

necessary section changes. This will take you back out to the main Online Enrollment Verification page, so that you may continue with the next step.

8. To move to Step 2, you must first click on the check box at the right of Step 1, indicating you have

completed that step of the process.

9. Continue with each step of the Online Enrollment Verification process, by clicking on the next step.

10. Complete the form.

11. Repeat instructional steps 9 & 10 to continue with the Online Enrollment Verification, until all

enrollment steps are complete, ending with the “Food Service and School Fee Payment” step. This step is optional and can be completed at anytime throughout the year (if needed) on Skyward Family Access. If you choose to skip this step, please move forward to instructional step 18 for directions on how to complete the online registration process.

Required fees include course fees for high school students, PE uniforms for high school students, student ID, and the student handbook for high school students. Certain fees are determined by courses in which students are enrolled. Food service payments can now also be included in this process. Optional fees vary from school to school, and may include publication fees, yearbook fee, activity pass fees, PTO dues, etc.

12. You will notice that Food Service and Fee Management payments can be made for multiple students in

the same transaction. The total in red on the right hand side is the amount owed for each area. To add in a payment, click on the “Update Payment Amount” button for each area of the desired student(s).

Families may pay for more than one student in a single transaction, even if the second student’s school is not participating in the Online Enrollment Verification pilot.

13. In the “Payment Amount” field, enter in the desired amount to be applied to the balance for the specific area & student. Click on “Update Cart” when completed.

14. Repeat Steps 5 and 6 for additional areas and/or students. Once you have completed these steps, you will notice that a subtotal shows for all students that you have included in the transaction. At the bottom of the screen, there is a total amount due. If this correct, click on the “Pay with Vendor” button.

15. A pop-up will appear –click Yes if you’d like to continue and be redirected to Revtrak’s website

16. Review the information displayed on the screen. If it’s correct, click on “Go to Checkout.”

17. To complete your transaction, follow the directions listed on the remaining screens by either logging in as a returning customer or setting up an account as a new customer.

18. Once you have completed fee and food service payments through Revtrac – OR – if you skipped the payment step in the Online Enrollment Verification process, check the last numbered step, indicating it has been completed.

19. You should now see that the Final Step has turned blue and will allow you to click on the large

“Complete Online Enrollment Verification for ‘student name’ for the 2013-2014 school year” button. Click on that button.

20. A message will display indicating that you have successfully completed Online Enrollment Verification

and that a District staff member will review the file. FREQUENTLY ASKED QUESTIONS Q: I have a student at one of the four pilot schools for online enrollment, as well as a student attending a non-pilot District 150

school. Do I still need to complete a registration packet for my second student at the non-pilot school? A: Yes. While some information will be updated for your student(s) at non-pilot schools as you complete the Online Enrollment

Verification for your student(s) at pilot schools, families will still be required to complete the full (hard-copy) registration packet at non-pilot schools. Peoria Public Schools still needs to receive a photo release form, network/internet usage agreement form and other documentation to keep on file for every student.

Q: Why can’t I change my address during the Online Enrollment Verification process? A: Peoria Public Schools requires parents/guardians to provide proof of address when making an address change. This process

requires parents/guardians to visit the school and provide a record of a recent utility bill with the new address. If a utility bill is not available, a notarized affidavit from the landlord must be provided stating that the family has a current lease at the new address and utilities are included as part of the rent, therefore a utility bill in the family’s name is not available.

Q: Who should I contact if I have questions regarding this process? A: A link is provided on the front page of Family Access (underneath the Online Enrollment Verification button that you click to

get started). “Online Enrollment Verification Questions/Comments” will allow you to send an email to your child’s school with any questions or concerns that you may have. A clerical staff member will respond to your question. You may also call the school.

Q: How long is the Online Enrollment Verification process open? A: The Online Enrollment Verification process opens on August 1st and closes on the first day of school, August 19th. If you do not

complete the process, a hard-copy registration packet will be sent home the first day of school.
