• The system is currently locked for actions dated 7/1/2017 or later. Information will be sent out to the agencies as soon as we determine when to remove the lock, based on the budget.

• We must continue to monitor OM and PA PCRs in the event an across the board Legislative Increase (LI) is granted for 7/1/2017.

• Your BEST OM/PA representative will continue to send pending PCR reports to the designated agency contacts. Please let us know if you need assistance in canceling or moving any PCRs.

• Due to the July system lock, agencies must submit a ticket to BEST to have the insurance manually terminated for employees retiring effective August 1st

2017 or later. These tickets will go to the BEST Benefits Team.

• BEST will not process the PA retirement action; agencies are responsible for working the PA action once the July system lock is removed.

• Please include the following information on your ticket request to BEST:• Employee last name and PERNR• Projected last day worked• Retirement date

• Please check the wall date on IT0003 BEFORE submitting tickets for the wall to be lowered.

• We receive numerous tickets requesting the wall to be lowered, when it’s already set at a date prior to the requested date.

• The wall date can be reviewed in PA20 on IT0003.

• Enter using Infotype 416

• Monthly Payroll - Enter Data 6/1/2017 to 6/19/2017

• Biweekly Payroll - Enter Data 6/14/2017 to 6/21/2017

• Effective date 4/17/2017 for Infotype 416

• Based on salary as of 4/17/2017

• Subject to all taxes and retirement

• Can be deferred

• Results will show during payroll corrections on EE REM statements on 6/20 for MO and 6/23 for BW

• The State Health Plan has announced an upcoming Dependent Eligibility Verification Audit. This audit will focus on all subscribers with dependents under the age of 75 as of April 19, 2017.

• The audit will begin May 22, 2017.

• Members with dependents will receive a letter requesting to provide documentation of their dependents which will need to be provided by July 31, 2017. Failure to respond and produce the required documentation will result in termination of the dependents’ coverage under the Plan effective August 1, 2017.

• Members may submit their documentation three ways:• Online: By logging into eEnroll and uploading the required

documents into “My Document Center”

• Email: [email protected]

• Fax: 866-742-6444

• If your employees are either e-mailing or faxing their documentation, they must include their name, employing unit name, and member ID number with their submission. • Please note that it will take 7-10 business days after submission

before the Eligibility and Enrollment Center can confirm receipt of any faxed documents.

• If they are uploading their documents, they must log into eEnroll.

• Once they are logged into eEnroll, a message box will appear: “Dependent Verification Documentation Request”

• Then click GET STARTED.

• They will then be prompted to upload the required documentation within the Document Center.

• They will be able to provide a scanned copy of the document or take a photo with their smart phone and upload it directly to the Document Center.

• For more information regarding the process, you can visit the State Health Plan’s website. There will be a dedicated page for HBRs regarding this audit.

• Also, there will be a HBR Webinar that will focus on this Dependent Eligibility Verification Audit on May 17, 2017, from 2 to 3 p.m. You will also need to visit the SHP website to register.

• HBRs with questions regarding the audit can call the HBR Support line at 800-422-5249, create a case via One Place 365, or contact their Account Manager.

• Updating PCP information• Employees will be required to create a QLE to revise their PCP

information. There is no established QLE title for this; therefore any QLE can be used.

• SHP is working with Benefitfocus to determine a better process for PCP revisions.

• Over Age & Dually Enrolled Dependents:• When removing over age and dually enrolled dependents, Benefitfocus

must term the plan completely & then re-enroll the appropriate members back to the plan. This could cause continuation notices to be sent to the employee as it causes the appearance of a plan termination.

• Example: Employee has family coverage with spouse & 2 dependent children. One child is removed due to age (26) effective 4/1/17, but the employee is still covering the spouse and 2nd dependent child. The eEnroll history record would reflect a plan termination effective 3/31/17; with a new effective date with family coverage (employee, spouse, 1-child) beginning 4/1/17.

• If Agency HBRs receive questions from employees regarding the above, direct the employee to check their enrollment record in eEnroll for continued coverage & they can disregard the notice. The new effective date will be sent to all vendors.
