Office 2016 new features This guide explores the new features on both the desktop and online version of Office 2016. The asterisk (*) indicates features that may need to be turned on by Office 365 team as they did not appear on my version of 2016.

Tell Me

Office 2016 has introduced a new Tell Me What You Want To Do feature that shows you the most commonly searched for commands and how to do them.

For example typing in ‘Share’ on the desktop version of Word, will direct you to a cloud storage area where you can share your files with colleagues.

The feature is available in Word, PowerPoint, Excel, Outlook, Project, Visio, and Access.

Insights

In Word, Outlook, Excel and PowerPoint when you right-click a word or phrase, you can search for more information by clicking Smart Lookup.

Insights will then appear in the app showing you definitions, images, and other related information from the search engine Bing. The Insights task pane is separated into two tabs:

Explore: examines the information associated with the selected text.

Define: displays the definition of the selected text.

Sharing

Quickly share your files by clicking the Share button in the top right hand corner.

There is also an option to create and share a link with a group of staff. To do this click the Share button and then click Get a sharing link at the bottom of the pane.

Versioning

View historical versions of files saved in Word, Excel and PowerPoint. To see a list of all previous versions click File and then History. The History panel will appear on the right hand side.

Real-Time Co-Authoring

Real-time co-authoring in Word 2016 allows multiple people to work simultaneously on the same document, whilst seeing what changes are being made by whom.

To work on a document collaboratively, save your file to OneDrive, OneDrive for Business or SharePoint Online. Click the Share button, located in the top right corner of the window.

You can choose to create an Edit or View-only link. If you choose View-only, then only you can make edits to the document. The colleagues you send the document to will receive an invitation email with a link to the document.

Skype integration*

The online version of Office 2016 features Skype voice and video integration with Word, Excel, PowerPoint, OneNote Online and Outlook.

Work collaboratively by co-authoring and having a conversation through instant messaging or video calling from within a file. When you log off and reopen the file, your messages also stay connected.

Power Query

Power Query allows you to pull in data from various sources. You can also share and manage queries as well as search data within your organisation. Data can be pulled from:

New Charts

Excel 2016 has 6 new charts to choose from including Treemap, Sunburst, Waterfall, Histogram, Pareto, and Box & Whisker.

Treemap: This chart provides a hierarchical view of your data, making it easy to see patterns. The tree branches are represented by rectangles and each sub-branch is shown as a smaller rectangle.

Sunburst: Ideal for displaying hierarchical data. Each level of the hierarchy is represented by one ring or circle with the innermost circle as the top of the hierarchy.

Waterfall: A waterfall chart shows the data in three categories; the total, positive numbers and negative numbers. Each category is differentiated by colours.

Histogram: A histogram chart looks very similar to a bar chart but each bar represents a range of values.

Pareto: A Pareto chart contains both data sorted in columns in descending order and a line representing the cumulative total percentage.

Box and Whisker: This chart type is commonly used in statistical analysis, as it shows the distribution of data into quartiles, highlighting the mean and outliers.

Power Map on Excel is a 3D data visualisation tool that is great for showcasing geographical information. You can map out geographical properties such as cities, states, counties, post codes, countries/regions, or longitudes and latitudes.
