Severe Weather GuidelinesIn the event of severe weather, cancelling programs may be in the best interest of our participants. The following guidelines will be used to determine cancellations:

Severe Cold Weather• Outdoor programs, Temperature of 0 degrees or less, including

wind chill.• Programs with transportation: Temperature of 0 degrees or less,

including wind chill.• All programs (including indoor): Snowstorm situations when

driving restrictions (winter storm or blizzard warning in which authorities have advised not going out unless necessary) and emergency accident plans (state and local police) are in effect.

Pick Up & Drop Off ConsiderationsPick ups and Drop offs may be late or early depending upon unforeseen reasons such as traffic or construction. Take this into consideration and provide the program supervisors with an accessible phone number where you can be reached if the return time should vary more than fifteen minutes.

Participant Illness GuidelinesTo prevent the spread of contagious illnesses, it is recommended that participants refrain from attending programs when any of the following conditions exist:• Fever of 100° or higher• Vomiting within the last 24 hours• Persistent diarrhea in conjunction with other symptoms• Contagious rash or a rash of unknown origin• Persistent cough and/or cold symptoms• “Pink eye” (conjunctivitis) or discharge from the eye• Symptoms of mumps, measles, chicken pox, strep throat, flu,

Impetigo, Coxsackie virus, head lice, mites, and ringworm• Runny nose with yellow or green discharge, which indicates

infection• Fatigue, due to illness, that will hinder participation and

enjoyment of the program. Please notify Northern Will County Special Recreation Associationn office if the participant contracts any contagious illness that will affect his/her attendance at the program. Participants should return to programs at the recommendation of the doctor, or, if not under a doctor’s care, when the symptoms have clearly passed.

Participant AttendanceNotify us if you are unable to attend a program or event. Please contact the NWCSRA office at (815) 407-1819 between the hours of 9am-5pm, Monday through Friday.

Contact PersonIf you have questions about a specific program, please feel free to get in touch with the contact person. That person is the most knowledgeable about specific programmatic questions.

Parent/Guardian Observation GuidelineWith your child’s best interest in mind, we ask that you get prior approval from Northern Will County Special Recreation Association staff before you visit or observe a program. Our staff always welcomes your questions, feedback, and input, but need to concentrate on the needs of the participants during program times. In addition, we have found that most individuals respond best to staff direction when parents are not present at programs. We appreciate your cooperation and understanding.

Atlanto-Axial Instability (AAI)Individuals with Down Syndrome are at risk of having a condition known as Atlanto-Axial Instability (AAI). This condition allows for the increased laxity of ligaments involving the top bones of the neck. In a number of individuals with Down Syndrome, the movement between the first and second cervical vertebrae is abnormally increased and may lead to pressure on the spinal cord. It is a Northern Will County Special Recreation Association requirement that any individual with Down Syndrome have a doctor’s written note on file stating the person is free of Atlanto-Axial Instability (AAI) in order to participate in certain programs. Please call Northern Will County Special Recreation Association at (815) 407-1819 for more information.

Program Cancellations Due To WeatherNorthern Will County Special Recreation Association attempts to hold programs whenever possible. However, inclement weather occasionally makes it difficult for staff and participants to travel to program locations. Northern Will County Special Recreation Association cancellation policies are as follows:• Northern Will County Special Recreation

Association staff look at all circumstances three hours prior to the starting time of the program or transportation route, to determine if the program should be cancelled. If the program is cancelled, program staff attempt to reach all participants by phone to inform them. You will only be called if the program is cancelled.

• Northern Will County Special Recreation Association attempts to extend programs to make up missed dates. Northern Will County Special Recreation Association will call/send a letter announcing program extensions.

Behavior ExpectationsNorthern Will County Special Recreation Association encourages and promotes the concept of fun for everyone. However, certain rules and guidelines have been established to ensure the safety and enjoyment for everyone. Participants, staff, volunteers and parents/guardians are expected to exhibit appropriate behavior at all times. Additional rules may be developed for particular programs andathletic leagues as deemed necessary by staff. Staff, participants, volunteers and parents/guardians shall:• Show respect to all participants, staff, volunteers and parents.• Abstain from using abusive or foul language.• Refrain from causing bodily harm to other participants, staff,

coaches, volunteers and parents/guardians.• Demonstrate respect to equipment, supplies, uniforms, and

facilities.• Represent NWCSRA in a manner that is consistent with the

goals, objectives and ethics of the association.A caring, positive approach will be utilized regarding the use ofdisciplinary methods. Additional or individual behavior management plans may be developed on the advice of parents, guardians, staff members, or other professionals. Northern Will County Special Recreation Association reserves the right to dismiss or suspend a participant if the above noted procedures are not adhered to, and/or, parent/guardian response to a problem situation is not attempted. Each situation will be evaluated individually and on its own merit.

Mandated ReportingNWCSRA staff are mandated by the State of Illinois to report to the DCFS hotline if they observe a situation that provides reasonable cause to suspect child abuse or neglect. Workers in certain professions, including recreational program personnel, has the above legal mandate; including all NWCSRA Staff. Staff are trained in signs & symptoms of abuse & neglect and the procedure for making a report.

Late Transportation Pick Up PolicyIn order to be fair to our participants and program leaders, NWCSRA has enacted a late pick-up policy and we would appreciate your cooperation in this matter. Many of our programs have more than one pick up location and if one person is late, it may disturb the schedule of others who are being picked up at another location. We request that you double-check the pick up time and be prompt.

We understand that circumstances do occur and we have built in a 10 minute grace period. If a parent/guardian is more than 10 minutes late the staff is obligated to leave the location to proceed to the next drop off location. It will be the responsibility of the parent/guardian to pick-up their child at the next drop off location or the NWCSRA office. Parents/Guardians should contact the cellular phone of the appropriate vehicle in which your child was riding to arrange for the pick-up.

Vehicle Mobile Phone NumbersParents/Guardians, if you are running late for a pick up or have an emergency, please use the following vehicle mobile phone numbers to contact staff in your participant’s program:

Willis (M191681) (630) 327-7902 #1Boris (M192184) (630) 327-7901 #2Nissan (Q502241) (630) 327-6918 #3Elk (M168587) (630) 327-7580 #4Adidas (M173297) (630) 417-8054 #5Henry (M186425) (630) 991-7483 #6

Inclusion ServicesNorthern Will County SRA understands that not every person with a disability needs to participate in special recreation programs. If you feel that a program offered by your park district/recreation department would better meet the needs of your child, teen or adult. Please understand that we will do our very best to provide an inclusion aide. However, because of staffing restrictions or due to notification, we are sometimes unable to guarantee an aide. Please register early so that there is plenty of time to secure the assistance that is needed.
