Welcome back to another edition of our BAIT Series, which aims primarily toalign business with technology. This month we would do a brief coverage onEmail Automation…

Automating Email communication channels is one of the most effectivemethods for information flow in the business today. Newer technologies areevolving which makes automation task simpler and more effective. Today, asa strategy, the smartest companies are starting to setup automated emailingthat trigger off of a user’s actions. This is especially true, in finance /payment related tasks or activities.

Why? Because these automated emails are timely, personalized and hyper-relevant to the reader. As a result, they are opened more frequently anddrive your business.

An automated email is set up once and then automatically sent to aparticular individual when that person or activity meets a certain trigger asset.

To give you an example, let’s say you are running a business and you want tosend an email to somebody when they make payment. This email will senda “Payment Receipt” and “Thank you” mail for their payment. Now, it wouldbe a huge waste of your time to manually create and send an email to everyperson whenever they make this payment and that too repeatedly. Insteadyou could set up an automated “Thank You” email that gets sent whenevera person sends the payment and the same is being entered or recorded inyour Financial Accounting software (like Tally or any other ERP).

That’s the beauty of automation, you can set up the email once and then asmore people continue to meet the trigger you defined, the email willcontinue to be sent to them without you ever having to lift a finger. Itessentially ‘automates’ your marketing for you.

Payment Receipt & Thank You Email

This email goes out to everybody that make the payment for the product orservice they have utilised and are required to make payment. The mail couldcontains some basic information about their account, purchases made andany adjustments made towards the payment now transacted along with anote of thanks for the payment made.

The customers are happy to receive this information and thus improves thecustomer satisfaction level. It also serves as to reminder the customer onthe balance payment (if any) that needs to be accounted for.

The configuration is pretty simple. Such options are already available insome of the Financial ERP applications. In others, some tweaking orcustomisation may be required to activate the email automation, such thatonce the payment entry has been entered and saved in the application, thesystem will trigger an automated email, with pre-defined content, of coursepopulated with the customer specific detailing like customer name, product/ service, amount.

Tips for Effective Automated Email

Automated emails that you send need to be optimized in order to beeffective. Here are a few tips & resources to help you create effectiveautomated email:

Informative subject lines – Even though automated email are triggered offthe recipients’ actions, they still need to have good informative subject linesto ensure they convey the requirement information and of course getopened.Structure your email for scanners – Research shows people don’t reademails word for word and instead, they scan the email looking for elementsthat are of interest. So in order to get your message across you need tomake sure your automated email are structured for such scanners too.

Constant Improvement Measure – Keep aligning the contents to suit theever changing needs of the customer, thus to achieve customer satisfactionby such Thank You and informative mails.
