A LETTER FROM THE CHAIR

I want to welcome you to the final edition of the MUSE Matters Magazine. Like other organizations, MUSE strives to ensure we embrace best practices in networking and communications to our membership. To that end, I want you to join me in saying goodbye to the MUSE Matters Magazine and give a hearty MUSE hello to our new MUSE Matters Blog! You can find the MUSE Matters blog at http://museweb.blogspot.com. Our first blog guest post is written by our current MUSE Past-Chair, Adnan Hamid, discussing Henry Mayo Newhall Memorial Hospital’s experience with their C/S 5.66 upgrade; a must-read for all MEDITECH C/S MUSE members. There are also other blog posts available now so take a look and get familiar. You may even want to put this address into your ‘favorites’ folder.

The 2013 International MUSE Conference was two months ago and yet it seems like yesterday. What an awesome event we had this year. The location, the weather, the education and networking with other facility and commercial members met and exceeded my expectations. I look forward to the International Conference and enjoy seeing my old familiar colleagues and meeting new friends as well. This year the educational opportunities were incredible. There is a summary of the MUSE International Conference education in this edition of the MUSE Matters Magazine, which includes evaluations, comments, photos and top-rated session.

MUSE is not just an International Conference; we provide year-round events and webinars to support your educational and networking needs. The MUSE Peer Groups have started meeting online within the webinar format with several meetings occurring in August. In September

I recently enjoyed a short family trip to Vancouver, BC (the trip was short; my family is regular-sized). Vancouver hosts an annual musical fireworks competition called the Celebration of Light. It is the largest offshore fireworks contest in the world. The multiple-day event attracts over one million spectators. It is estimates that the tourism dollars will generate almost $40 million.

Last year, the festival was awarded the "Best Festival in Canada" award from the Canadian Event Industry National Star awards. (Although, in Canada, the competition was likely a Polar Bear Swim and a Moose Jamboree.)

It is always gratifying to spend time with family, be entertained, and be outside. And a fireworks show is one of those life experiences that is much better witnessed live.

So that’s my longwinded introduction to develop a metaphor for future MUSE events. While we cannot commit to being outside, we can confirm educational – if not entertaining – live events.

Visit the MUSE website to learn about upcoming events. Like a fireworks display, MUSE guarantees enlightenment, excitement, and plenty of energy. Both types of experiences teach you to anticipate, look up, and enjoy the experience – good skills to add to your competency toolbox.

True especially for those of you planning a Big Bang implementation!

How will you apply what you learned at the conference?• I gained some valuable insight into CPOE processes at some specific educational sessions that I will be taking to our core team with suggestions for implementation.

• We received a lot of contacts from other hospitals that are willing to share their templates and how their 5.66 update went. I'm so proud that our hospital allows me to attend this conference.

• I made some connections with other hospitals in two areas of interest; MM/ORM case cost reduction & MIS User Access Process. Both are projects for the summer.

• Optimize our RXM Module to meet the needs of the clinicians in both inpatient and outpatient areas.

• The information gathered gives me the tools I need to continue a dialogue with MEDITECH about specific issues within the ED module.

• We were able to network with so many other organizations who are working toward stage 2 meaningful use and also ICD-10 and now have a network of contacts to help with questions and concerns in these areas.

• I also learned a non-paper way to manage our Phlebotomy & Autologous Donation appointments using a shared Microsoft Office 2010 Calendar (via session #1063).

• Best Practice ideas for MEDITECH 6 usage.

• I have already made changes to several document templates based on information gleaned at MUSE.

• I have already implemented one rule from another hospital and working with MEDITECH on another custom for Physician satisfaction.

• Use information to move a project forward that has been stalled. Also, incorporate information into upcoming training on 5.66 upgrade.

• I attended all of the offerings for EDM. Since we just loaded EDM in TEST, what I learned will be very helpful. I also made some contacts with others who have built and implemented EDM, and I will have some extra resources.

• I will take everything back to the appropriate individuals/departments in order to improve our Revenue Cycle Process from beginning to end.

• As CMIO, will alter implementation in future, as well as expectations.

• Help create IT strategy for next 3 years.

• I had already emailed back info during the conference that was exciting and wanted to update my co-workers about. Plus I plan to network with users that are having similar concerns.

• I will be able to create NPR Reports as a result of training received.

• We are in the process of deploying PCM II components and found many useful techniques and tricks to overcome challenges that we face that others have already figured out.

• Meaningful Use Stage 2 attestation projects involving Clinical Decision Support & measures.

• I am also exploring the PHA and LAB modules more for new functions that I learnt about in the educational sessions.

• I learned at great deal of information and tips to guide us on our CPOE implementation. Training tips, implementation successes and devices and software which supported the successes.

• Since I am a newcomer to MEDITECH, I appreciated hearing the other folks speak to some of the same experiences I was having. I also took some copious notes to use to help me in my MEDITECH responsibilities.

• overall fabulous!!! This was my first MUSE trip & I didn't know what to expect. I enjoyed meeting so many nice people who were experiencing the same roadblocks at our facility.

• The educational sessions alone were more than worth the expense for this conference. Being able to network with and learn from other facilities is one of most unique aspects of this conference. We're all there for the same purpose and it's to help each other.

• The MUSE conference was one of the most educational experiences that I have had in the last year. It gave me information regarding what my peers are doing in the MEDITECH system and validated much of what our organization is doing and how much we have accomplished.

• I was able to learn more from the first session I sat in at MUSE, than my entire last year of trying to network or talk with MEDITECH support. It is a must to attend MUSE if you are in health care informatics.

• was especially informative to me this year, due to the increased number of LAB-related sessions. In addition, thanks to both the Tuesday Training workshops and the location of this year's MUSE in Washington, DC, I learned how to capture historical data in an NPR Report AND learned more about the history of our nation! A win-win situation for my employer and for myself.

• This was one of the most engaging and effective conferences that I have been to. The fact that MEDITECH users/hospitals come together to share knowledge shows the diversity of the MEDITECH product.

How are Community Peer Groups different from regular Peer Groups? The Community Peer Groups are not module-focused. They can be multi-topic, or focus on one topic, rather than a module. Also, Community Peer Groups are structured geographically so that members can easily meet and connect with each other regularly.

Improving Registration and ED wait time is good for both hospitals and patientsNobody likes to wait for service. Especially when they are in pain or ill health. It is frustrating for patients to come to a physician clinic or hospital department, sign-in and sit there for 20-30 minutes before being attended by a registration staff, and then go visit the department where service will be provided.

Now imagine walking into a hospital or physician clinic and approaching an iPad touch-based kiosk. Here you can immediately do a master patient index (MPI) search with real-time access to MEDITECH or Clinic MPI, complete a new or existing registration, answer certain medical condition questions, and voilà; you are ready to receive service. This cost effective solution exists today, and progressive hospitals are actively evaluating the role kiosks can play in enhancing their patient experience and reducing cost of doing business.

Letʼs consider a few examples:In a busy physician clinic a kiosk is a great time saver, and a way to improve patient and process flow from the time a patient enters the clinic to the time they walk out. Whether facilitating quick check -in for an existing patient, or new patient registration with deep EMR integration to appointment scheduling, registration and patient condition/assessment, kiosks can transform any clinic workflow and save bundles in time and money for both front and back-end staff. The ability to conduct real-time eligibility so co-payment can be determined and collected before service (with the swipe of a credit card) is also possible. Previous balances can also be displayed and collected based on business rules.

In a hospital setting, patient process areas like registration, ED, Lab, Radiology and Surgery are always struggling with shortage of staff during peak times, which lead to both staff and patient frustration. A fast and efficient kiosk based check-in, or new registration, can be a great boon to patient satisfaction and reduced wait time. Attestation forms with signatures, image of driver’s license, patient picture and any other document can be easily captured by the patient as part of the self-registration process. The registration staff is provided

with a view of what the patient is doing to ensure accuracy and completeness of data/document capture while this process is taking place. A dashboard driven queue management system can track and display how many reg-istered patients are in the waiting room and waiting for service.

The New Generation of Intelligent Touch-Based SoftwareThere is a new generation of smart software that is leveraging kiosk technology, and goes beyond just ease-of-touch to collect data. This type of kiosk software is usually a component of a broader workflow driven, intelligent and rule-based software platform that is designed to take any area of a hospital and transform its data/ document collection process. So once a hospital has automated its registration and ED workflow, they can then move toward using the same underlining iPad driven technology to transform the work-flows of other mobile users like case managers, nurses, physicians, ancillary staff, etc.

Single sign-on with MEDITECH or hospital MS Active Directory.

Support for scheduled downtime. Patients can continue to register at the kiosk when MEDITECH is down.

Web-based pre-registration component for websites, for those patients who wish to pre-register before their visit.

Way finding maps to guide patients to location of service.

In conclusion, hospitals that are involved in process improvements, lean management, and other cost reduction and patient/staff enrichment methodologies can now look forward to improving their data/document capture capabilities by simply augmenting their EMR with this type of mobile platform.
