Document Imaging: MuniMetriX provides two levels of Document Imaging products. ImageFlow LITE is an entry-level Electronic Document Management System (EDMS) product that is based on our flagship product, Clerks Index. It has scanning, full-text search, and PDF creation. ImageFlow is our full-featured, cost effective EDMS. This comprehensive product suite has everything you need to go paperless! Web-based File Access: ImageSilo is our unique web-hosting model that allows you to upload your images to the web for anytime, anywhere web access to your documents. You can even add ultra-tight security to store non-public documents that need to be distributed outside of your network. Scanning Services: If you want the benefits of EDMS without the extra time investment of scanning, send your documents to us! Our trained scanning team can convert your paper files to digital and send them back on CD. Even better, we can upload them straight to ImageSilo for you to access over the web. Now that’s paperless that WORKS! Complaint Tracking: Constituency Contact and Response (CCAR) is a complaint tracking system that utilizes your technology and the internet to improve and streamline your agencies complaint tracking mechanism. In our last newsletter, we announced the creation of a new division of MuniMetriX called DocuMetriX to support the “non- government” marketplace. With the addition of this new division, we feel that MuniMetriX can better support and service both our long time existing government customers as well as new government customers while DocuMetriX can focus on the “commercial/private” marketplace for Electronic Document Management (EDM) solutions. We would like to announce that DocuMetriX recently signed an agreement with a large insurance company to be the sole provider of EDM products/services to their field force across North America. This agreement is the result of more than 12 months of testing, pilot programs, and negotiation between the two companies. The insurance company narrowed down their selection from an extensive list of providers to arrive at the ImageFlow/DocuMetriX solution as their sole selection. Obviously, we are very excited about this new customer and the future potential it will bring. The year is almost over; did you reach, or are you making progress reaching your 2004 goals? Computer Shortcut Basics

Keyboard shortcuts are very useful. As a matter of fact, they can help to make your computing life much more pleasant. They are available in most Windows programs, but finding them can be a tiresome task. Many, but not all, Windows programs share the same shortcuts.

• DELETE removes the file, text, or graphic that you have highlighted and sends it to the recycle bin.

• CTRL+S Saves the current file.

• CTRL+X Removes the current highlighted selection and places it in an area of the computer memory.

• CTRL+C Copies the current highlighted selection. It removes it from the document and places it in the clipboard.

• CTRL+V Pastes whatever is in the clipboard into the document at the current location of the cursor.

• CTRL+A Selects or highlights all of the text and/or objects in a document. This is handy when you want to move or copy everything in the current document.

• CTRL+P Prints the current document.

• CTRL+O Opens a new document. This is especially useful surfing the Web. In Netscape Navigator and newer versions of Internet Explorer, this will bring up a window where you can enter a Web address. (Older versions of Internet Explorer use CTRL+L instead of CTRL+O.

ImageFlow Lite

Q. While performing a Text Search in ImageFlow Lite, searching through the Doc Date range 01-01-2004 through 07-01-2004, I receive documents from 1984 in my results. Why?

A. When performing a date range search, by default, the Document Date is the Last

Modified Date of the document. Therefore, if you scan a set of minutes from 1984, when the minutes are saved as a PDF file, the Last Modified Date will become the current date. When the document is indexed into an ImageFlow Lite Project, the Doc Date index field is automatically populated with this Last Modified Date.

Q. How can I change it?

A. In Document Entry, open the Project or collection whose dates you want to

change. Highlight a document in the list and click the Properties button located in the lower left corner. The Properties window comes up allowing you to change the Doc Date to reflect the true date of the file.

Q. Can you scan and index maps and other single page photographs or

drawings with ImageFlow Lite? A. Yes. Using the default 1-2-3 workflow option, first scan your picture just like

you would a typed document or load the image file if it was scanned by a large-format scanner (image must be higher than 75 dpi or lower than 600 dpi).

Next, run step 2 to perform OCR recognition the image. If no text is found: in the Image Panel, change the green “graphic zone” box to a red “text zone” box by right-clicking the green box and selecting “Zone Type” – “Text”. Click Step 2 again and select to replace the currently recognized text. After the OCR recognition step is completed, cancel the proofreader box if it appears, and look for the text editor box. You may need to bring up the text editor box by clicking “View”, “Text Editor” on the menu bar. In the text editor, type keywords to describe the map/picture/drawing. This text will be unseen when viewing the image, but will be searchable by full text in ImageFlow Lite. Think of it as jotting down notes on the back side of a family photo. The last Step #3 is to save the document as a PDF like you would normally do, and index it into the proper ImageFlow Lite Project.

Q. I want to use ImageFlow Lite, but I cannot afford a desktop scanner in my

budget. We do however have a large multi-function copier that will scan. A. You can still use ImageFlow Lite. In fact we have several customers who use

ImageFlow Lite in this manner. Most large scanner/copiers can scan pages and save them as image files out on your network. You can simply import your scanned image from your network drive to ImageFlow Lite and process them into full text searchable files. and teasing each other with hints and clues about what they had bought. My younger daughter, Ginger, who was about eight years old, was unusually quiet. I noted she had only one small, flat bag with her after her shopping spree. I could see enough through the plastic bag to tell that she had bought candy bars - fifty-cent candy bars! I was so angry. What did you do with that twenty dollar bill I gave you? I wanted to yell at her, but I didn't say anything until we got home. I called her into my bedroom and closed the door, ready to be angry again when I asked her what she had done with the money. This is what she told me: "I was looking around, thinking of what to buy, and I stopped to read the little cards on one of the Salvation Army's 'Giving Trees.' One of the cards was for a little girl, four years old, and all she wanted for Christmas was a doll with clothes and a hairbrush. So I took the card off the tree and bought the doll and hairbrush for her and took it to the Salvation Army booth. "I only had enough money left to buy candy bars for us," Ginger continued. "But we have so much and she doesn't have anything." I never felt so rich as I did that day.

I was a single parent of four small children, working at a minimum-wage job. Money was always tight, but we had a roof over our heads, food on the table, clothes on our backs, and if not a lot, always enough. My kids told me that in those days they didn't know we were poor. They just thought Mom was cheap. I've always been glad about that. It was Christmas time, and although there wasn't' money for a lot of gifts, we planned to celebrate with church and family, parties and friends, drives downtown to see the Christmas lights, special dinners, and by decorating our home. But the big excitement for the kids was the fun of Christmas shopping at the mall. They talked and planned for weeks ahead of time, asking each other and their grandparents what they wanted for Christmas. I dreaded it. I had saved $120 for presents to be shared by all five of us. The big day arrived and we started out early. I gave each of the four kids a twenty dollar bill and reminded them to look for gifts about four dollars each. Then everyone scattered. We had two hours to shop; then we would meet back at the "Santa's workshop" display. Back in the car driving home, everyone was in high Christmas spirits, laughing
