    CHAPTER I: INTRODUCTION

    1.1The ThemeThe main idea of the project is to study and understand the processes in the examination

    department of BVBCET autonomous college. In the process of study, identifying if there are any

    bottlenecks in the process and providing solution to them. Also understanding the inter related

    activities to be performed to carry out the examination process.

    1.2IntroductionEvery process is unique in its own way. All the processes have their own inputs, differentactivities, procedures and plans to carry out the process and get the desired output. In this

    project an attempt is made to understand the BVBCET Autonomous Examination process. The

    study involves knowing the time taken by the activities of the process, understanding the

    precedence relationships of the activities.

    1.6Methodology1. Literature review:The review of the literature was done with respect to the origin of the word examination

    and history and Gantt chart.

    2. Collection of information:

    Collection of information was done through both primary data and secondary data, which is

    discussion with the staff of the examination department and BOEs of all the departments.

    3. Analysis of Data:

    After collecting the data, the analysis was done through plotting the Gantt chart and

    flowchart

    4. Findings:

    Finally, mentioning findings and few recommendations.

    5. Report writing.

    Writing the report which will contain the detail information regarding the study carried

    out.

    CHAPTER II: LITERATURE REVIEW

    2.1 Introduction

    Origin of the word examination

    In the late 14the century, the word originated from French word examination and Latin word

    examinationem, noun of action from examinare. Sense of test of knowledge is attested from

    1610s; shortened form exam first attested in 1848.

    Examination

    A test or an examination (exam) is an assessment intended to measure a test-

    taker's knowledge, skill, aptitude, physical fitness, or classification in many other topics

    (e.g., beliefs). A test may be administered orally, on paper, on a computer, or in a confined area

    that requires a test taker to physically perform a set of skills. Tests vary in style, rigor and

    requirements. For example, in a closed book test, a test taker is often required to rely upon

    memory to respond to specific items whereas in an open book test, a test taker may use one or

    more supplementary tools such as a reference book or calculator when responding to an item.

    A test may be administered formally or informally. An example of an informal test would be a

    reading test administered by a parent to a child. An example of a formal test would be a final

    examination administered by a teacher in a classroom. Formal testing often results in a grade or

    a test score. A test score may be interpreted with regards to a norm or criterion, or occasionally

    both. The norm may be established independently, or by statistical analysis of a large number

    of participants.

    A Gantt chart is a type of bar chart that illustrates a project schedule. Gantt charts illustrate the

    start and finish dates of the terminal elements and summary elements of a project. Terminal

    elements and summary elements comprise the work breakdown structure of the project. Some

    Gantt charts also show the dependency (i.e., precedence network) relationships between

    activities. Gantt charts can be used to show current schedule status.Gantt charts have become

    a common technique for representing the phases and activities of a project work breakdown

    structure (WBS), so they can be understood by a wide audience all over the world.

    CHAPTER III: ORGANISATION STUDY

    The B. V. Bhoomaraddi College of Engineering and Technology (BVBCET) was established in year

    1947, BVBCET has achieved an enviable status due to a strong emphasis on academic and

    technical excellence. From a modest beginning when the college offered only an

    Undergraduate program in civil engineering, the college has indeed come a long way. Currently

    college offers 12 UG and 8 PG programs affiliated Visvesvaraya Technological University,

    Belgaum and is recognized by AICTE, New Delhi and accredited by NBA. The faculty consists

    of extremely qualified and dedicated academicians whose commitment to education and

    scholarly activities has resulted into college gaining Autonomous Status from the University and

    UGC. The college has adopted Outcome Based Education (OBE) framework to align the

    curriculum to the needs of the industry and the society. Innovative pedagogical practices in the

    teaching learning processes form the academic eco system of the institution. The

    active involvement of faculty in research has led to the reorganization of 8 research centers by

    the University.

    BVBCET is undergoing an accelerated growth phase through autonomous mode of operation &

    is one of the twelve colleges in the state to enjoy the academic autonomy for both UG and PG

    programs. The college offers 12 under-graduate and 7 post graduate programs in various

    disciplines. 8 departments of the college are recognized as research centers to pursue doctoral

    studies. The faculty consists of qualified and dedicated academicians whose commitment to

    students has resulted in a number of accolades worldwide.

    CHAPTER IV: PROJECT TASK

    4.1 Introduction

    Examination process is mainly divided into 3 main stages. They are

    1. Pre examination2. Examination3. Post examination

    All the work takes place in a sequential order as planned by the panel of BOE and

    Chairman based on the plan of activities.

    4.2 Objectives

    To assess the examination process of BVBCET To identify and provide solution to the bottlenecks in the process

    4.2.1 Data Requirement Analysis

    To understand the autonomous examination process, procedures followed during the

    examination process, the plan of activities is necessary and the input sources are required.

    4.2.2 Data Collection

    To collect the data both primary and secondary data collection method is used.

    Few documents containing the procedure of the examination process and Internet sources

    for the literature review are used for the report preparation.

    Flowchart.

    4.3 Limitations

    Some confidential matters are not revealed due to security reasons. There is a chance of getting incorrect information.

    CHAPTER V: EXAMINATION DEPARTMENT

    The examination department carries out all the wok related to the conduction of the

    examination. The work is divided into many activities and then carried out systematically. The

    department consists of Controller of Examinations (COE), Deputy Controller of Examinations,

    Board of Examiners, System Analyst, Assistant Instructor, Office Assistant, Typist and

    attendants.

    5.1 Roles and responsibilities

    Controller of the examination:

    COE has to perform following functions

    1. Arrange the question paper setting, scrutiny and printing for the semester end theory

    examinations.

    2. Identify the resources requirement for conduct of the semester end examinations.

    3. Arrange for conduct of semester end examination and central valuation under Autonomous

    status.

    4. Arrange for the preparation of result sheets and announcement of results.

    5. Correspondence with the University related to Examination Work.

    6. Students and stakeholders satisfaction.

    7. ISO related work pertaining to examination process.

    Deputy Controller of Examination:

    To assist the controller of examination in works related to conducting examinations anddischarge the following duties of Controller of Examination in his absence

    1. Indentify the resources requirement for conduct of the semester end examinations.

    2. Conduct of semester end examination and central valuation under Autonomous status.

    3. Preparation of result sheets and announcement of results

    4. Correspondence with the University related to Examination Work.

    5. Students and stakeholders satisfaction.

    6. ISO related work pertaining to examination process.

    7. Other responsibilities delegated by the Principal/Controller of the Examinations.

    System analyst:

    To assist the COE to carry-out the following activities:

    1. Entry of the CIE and SEE marks using the s/w (including Revaluation).

    2. Generating and printing of the consolidated department- wise Provisional Result Sheets,

    using the software

    3. Generating various other reports related to results as required by various stake holders like

    VTU, Principal, Dean Academics, COE etc

    4. Printing of provisional grade cards and marks cards

    5. Maintaining the backup of the data

    6. Up gradation and maintenance of related soft wares and hard wares

    Assistant instructor:

    To assist the COE to carry out the following activities:

    1. Arranging resources for the conduct of SEE theory examination.

    2. Planning for the seating arrangement of SEE.

    3. Preparing the list of invigilators and informing the same to respective faculty.

    4. Issuing/Collecting Revaluation and Challenge Valuation Forms.

    5. Preparing SEE exam related reports like subject wise Absentee list.

    Office Assistant:

    To assist the COE to carry out the following activities

    1. Procurement of the stationary for the conduct of SEE theory and practical examination

    2. Collecting faculty details from the department as well as panel of Examiners for BOE.

    3. Preparing and sending order letters for Question papers setting to Internal and External

    examiners

    4. Question paper scrutiny process

    5. Question paper typing process

    6. Preparing the time table for SEE

    7. Dispatch as well as maintenance of circulars related to examination section.

    8. Preparing and sending appointment order letters for valuation to internal and external and

    examiners.

    Typist:

    To assist the COE to carry out the following activities:

    1. Typing of question papers set by external examiners.

    2. Helping in the System Analyst, Assistant Instructor and Office Assistant in the jobs involving

    typing.

    CHAPTER VI EXAMINATION PROCESS

    6.1 Procedure of the examination process

    A senior faculty member will be appointed as COE by the academic council. The COE will

    perform the following functions

    1. Planning

    At BVBCET the planning activity begins with the announcement of term schedule by the dean

    academics. The COE will ensure the completion of all the activities like procurement of

    stationeries for the conduct of practical and theory SEE, issue of hall tickets to the candidates,

    generation of CIE sheets for practical and SEE, resources required for the conduct of theory SEE

    etc.

    2. Communications

    The COE will display all the examination related information at the prominent places. A

    complaint register will be maintained in the office of the COE and the same will be made known

    to the students. He will act upon valid complaints and record the action taken.

    Semester End Practical ExaminationsHODs of respective programs will arrange to conduct the semester end practical examinations

    as per the academic calendar issued by dean academic affairs. The COE will ensure thecollection of duly filled CIE sheets from the HODs of respective programs within the due dates.

    Semester End Theory ExaminationsThe theory examinations will be conducted as per the guidelines issued by dean academic

    affairs.

    3. Resources

    The COE will ensure the availability of the stationeries for the conduct of semester end theory

    and practical examinations, resource required for the conduct Semester End Theory

    Examinations and the central valuation. Chief coordinators, custodian, coordinators, coders,

    marks verifier are involved in the examination process.

    4. Conduct of examinations

    Semester End Examinations (SEE) Semester End Examinations (SEE) is conducted at the end of every semester as per the

    academic calendar issued by dean academic affairs.

    Semester End Examinations (SEE) for the even semesters is generally held during May-June and for odd semesters during December-January.

    For the benefit of the students with arrears in both odd and even semesters, theexaminations are conducted during supplementary semester after the even semester

    every year.

    To keep the identity of the candidate confidential the coding system is adopted. To speed up the entire process of valuation and processing of the results the central

    valuation is being followed.

    5. Announcement of results

    The COE will announce the results as per the schedule given in the academic calendar.

    6. Suggestions/Feedback/Complaints handling

    Once in fortnight the suggestion box is opened for suggestions. The team comprising of

    controller of examination, deputy controller and any other people identified by COE will openand record the suggestions/complaints made.

    Suitable actions will be initiated and same will be discussed in meetings. The compilation is

    done in the complaint register maintained in the office of COE.

    The Suggestions/Feedback/Complaints and the actions initiated thereon will be input for

    planning the examination process.

    6.3 Steps in Examination process

    Pre examination

    1. Release of COE of examination section (Based on COE issued by Academic section).

    2. Procurement of stationary (Exam answer booklets, Graph sheets, data hand books, hall ticket

    form, blank marks list etc)

    3. Building database: Preparing list of students (branch wise/semester wise/subject wise)

    4. To obtain list of examiners from BOE of departments for paper setting

    5. Issue of appointment orders for paper setting (as pert guidelines laid down by academic

    council)

    6. Scrutiny of question paper manuscripts (as per guidelines laid down by Academic council).

    7. Question printing, proof reading and storage

    9. Getting practical exam schedule from department BOE.

    10. Getting the practical batch list and practical time table from departments.

    11. Issue of appointment orders of internal/external practical examiners.

    superintendent to chief coordinator) on day to day basis.

    2. Getting the marks list of valued answer scripts from chief coordinator of valuation center.

    3. Data entry of theory marks, consolidation and verification.

    Post examination

    6.4 Formation of Board of Examiners (BOE)

    1. Members of BOE will be appointed for a period of one year.

    2. BOE will consist of a chairman and two faculty members of the department. Head of the

    Department (HOD) or a senior faculty member of the department may be appointed as theChairman of BOE.

    3. On request from Controller of Examinations (COE), HOD of an academic program will

    constitute the Board of Examiners (BOE) in consultation with faculty members of the

    department.

    4. In case the department has an additional postgraduate (PG) Program, one additional

    member must be appointed who is teaching that program.

    5. For the first year B.E program, there will be a separate BOE, headed by the first year

    coordinator and consisting of one faculty member for each of the Science departments

    (Physics, Chemistry and Mathematics).

    6. The first year B.E courses thought by engineering departments will come under the purview

    of the BOE of the respective department.

    7. The COE will appoint a Chairman and members of BOE of humanities courses of all programs

    and will be responsible for all humanities courses.

    8. The BOE is responsible for:

    Preparing a panel of external paper setters for each theory course taught by thedepartment.

    Preparing a panel of external valuators for each theory course taught by department.

    6.5 Guidelines for theory evaluation in semester end theory examination

    1. All faculty members teaching a theory course during the current semester are included in the

    panel of paper valuators.

    2. External members will be included in the panel of valuators as suggested by BOE (Board of

    Examiners).

    3. The valuation of one third of the courses of each academic program will be done by an

    external valuator. The course to be valued by an external valuator will be chosen by the COE by

    a random process and external examiner will be appointed by COE from the panel of valuators

    prepared by BOE.

    4. The answer scripts valued by the external valuators will be moderated by internal valuators.

    5. The valuation of two third of the theory course of each academic program will be done by

    internal valuators.

    6.The COE will make all effort to ensure that valuation by external valuators is done in time and

    does not delay the announcement of results in case valuation by external valuators is likely to

    delay the results, the COE can decide to forego the same.

    6.6 Valuation

    Valuation is one of the important processes in the examination process, so below are few

    aspects involved in the valuation process.

    A. Theory evaluation for B.E and B.Arch course program

    1. All answer scripts will be evaluated by the examiners appointed by the COE.

    2. A minimum of 10% of valued answer scripts will be reviewed by the reviewer for that course

    appointed by the COE. The assigned by the reviewer will be final.

    B. Revaluation for B.E and B.Arch course program

    1. Answer scripts will be revalued on written application by the student within the stipulated

    dates.

    2. Revaluation may preferably carried out by a valuator other than the first valuator.

    3. If the revaluation marks are less than original marks, then the original marks will be retained.

    4. If the revaluation marks are more than original marks and if the difference is less than 15, the

    average of the two valuations will be the final marks.

    5. If the difference is 15 or more, the answer scripts will be valued by the third valuator

    appointed by COE. The average of the marks of nearest two valuations will be the final marks.

    However, if one of the three marks falls exactly mid way between the other two, then the

    higher two marks will be taken for averaging.

    6. There is a provision for refund of 50% of the revaluation fee to the student, if the marks are

    improved by 15 or more (out of 100) during revaluation provided the candidate passes in that

    course.

    C. Make Examination

    1. Answer scripts of the makeup examination will be evaluated by two examiners and the

    average of the two valuations will be the final marks.

    2. There is no provision for revaluation.

    6.8 Input, process and outputs

    The faculty details (Internal) are obtained and then the BOE panel is formed. Final student

    list is prepared with the help of the registered student list and the list of students who have

    withdrawn from the registration. We can also obtain the makeup examination student list from

    the dean academic. Then the results are presented in academic council meeting and approval is

    got by the academic council.

    External faculty details are collected from all the HODs then the BOE panel is formed.

    Each department will give the list containing 5 external examiners name for each course,

    among which randomly an examiner is selected for question paper setting and valuation. The

    answer papers and marks lists are required to conduct the SEE of practical.

    After the registered students have filled the form and examination form, the final student list is

    prepared. Then the batch list is got by the HODs of all departments and SEE practical is

    conducted.

    From the previous result the database of higher semester is updated and updated students

    list is got.

    The list of faculty both internal and external is obtained and then the panel of examiners is

    formed. Later the external examiners are sent the syllabus copy, course details etc.

    Based on the stock on hand the requirements list is prepared. Later the purchase order is given

    then the follow up is done for the procurement of examination stationary. The stationery mainy

    includes Exam answer booklets, Graph sheets, data hand books, hall ticket form, blank marks

    list etc.

    Every semester has an academic calendar and even the SEE examinations time table isannounced.

    Based on the approved remuneration chart the payments are made to the examiners of SEE

    practical, SEE examination and valuation of the answer scripts.

    6.10 BOTTLENECKS

    Receiving question papers from the external examiners takes longer duration Non availability of the valuators at the specified time Arranging for the external examiners for evaluation process might have some issues

    related to getting them on time

    More idle time between the valuation process and the decoding process Inadequate and improper student data

    Sometimes evaluators might not turn up on time to the valuation process. External valuators

    might not turn up on specified date of valuation which might hamper the scheduled time of

    valuation process and lead to delay in the valuation process.

    After valuation the answer scripts are passed on to the custodian and then later sent for

    decoding so it consumes time and leads to process delay.

    Usually on the first day of evaluation process each examiners has to valuate only 30 answer

    scripts, the next day it might extend to any number. So till all the bundle of one batch of

    students papers are evaluated till then even the evaluated answer scripts are kept idle with the

    custodian.

    At times during the examination a students number may be missed out due late registration,

    withdrawal of courses, late admission which results in improper data.

    CHAPTER VII: SOLUTIONS AND SUGGESTIONS

    6.1 Solutions

    Regular follow up with the external examiner for getting the question papersmanuscript.

    The valuators are to be given proper notice of the timing of valuation process, andimmediate follow up has to be done if the valuators do not turn up.

    There are 5 external examiners for each course and one among them is selectedrandomly for the valuation process. So it can be extended to 7 members so that we

    have more choice to select between them and non availability of one might not affect

    the process. But still some delay has to be faced if any issues.

    Soon after the evaluation of the first set of answer scripts can be sent to the decodingprocess instead of waiting for all the answer scripts and keeping them idle under the

    custodian.

    Before the seating arrangement is done the list of students attending the examinationshas to be checked again to confirm that none of the student is missed out

    CHAPTER VIII: CONCLUSION

    7.1 Summary of the work done

    The projects main objective was to assess the autonomous examination process of BVBCET and

    then find out if there are any bottlenecks in the process, also provide solution.

    The whole examination process was studied with the help of the staff members of the

    examination block. Some of the inputs were got through interaction and interviews with the

    BOEs of each department. Even the bottlenecks were known during the interviews with the

    BOEs. Later a complete examination flowchart was put also a Gantt chart of the plan of

    activities for the even semester was built.

    7.2 Findings

    Best practices of Autonomous examination process are:

    1. Examiners are the one who have taught the subject, so students have the benefit of doubt.

    2. As it is an autonomous college the availability of the examiners (internal) is good.

    3. Most of the work is done in the specified time.

    4. The faculties for question paper setting or valuation are chosen based on the specialization.

    5. Variations in valuation can be done as per the norms.

    7.3 Conclusion

    BVBCET Autonomous has a good examination process with systematic approach to carry out

    the examination activities and all the activities are sub divided, as work break down will help in

    proper execution of the process. Most of the activities are carried out as per the specified time.

    This is done through the prior planning of the activities before a particular semester begins with

    the help of academic calendar. Issues if any are handled well by the concerned authorities.
