Ship Management Processes? What do you mean...

Quality, Compliance

and Risk Assessment

Purchasing and

Inventory

Financial Planning

and Budgeting

Crew Management and Payroll

How is your business, your fleet doing?

What I really mean is...

Performance

Do you know? But the real question is...

Pressure is increasing

External pressures − Increasing amount of regulations and

requirements to comply with − Increased competition − Owners / Charterers / Customers being more

choosy and demanding

Digital Ship Singapore 2012 – Conference Monitoring Ship Management Processes with ICT

GL Maritime Software | 30.05.2012 | No. 5

Internal pressures − Cope with decreasing revenues and increasing

costs − More tasks to do with same / fewer people

Pressure is increasing

increase own competitiveness maximize profit in harder economic times know more about assets comply with increasing requirements

And it is becoming even more important to get ahead ...

So, the journey towards performance monitoring and performance-based ship management begins...

Stage 1: See no evil, hear no evil

Stage 2: Overcoming the

data disaster

Stage 3: Structured reporting

and analysis

As the saying goes...

You can’t manage what you don’t measure

Easier said than done!

Yes, there are lot of things to think about

1. Establish KPIs 2. Proper infrastructure and systems 3. Determine how to collect and process data 4. Determine how to monitor KPIs 5. Define means of reporting to external

stakeholders 6. Possibility for industry benchmarking

combining data from different departments / or companies

account for vessels sailing all over the world

report to different stakeholders (charterers, management, owners)

Which means there is a great need for easily accessible information

Digital Ship Singapore 2012 – Conference Monitoring Ship Management Processes with ICT

GL Maritime Software | 30.05.2012 | No. 11

… which is a great challenge

… with offices all over the world

… and vessels trading around the globe

It’s essential to collect, process, and manage information (flows) effectively!

Charterer Operator

• High availability • Low fuel costs • Environment

Wouldn’t it be nice to have fully automated monitoring and reporting of KPIs?

Ship Owner

Mgmt.

Units / Depts

• Unit specific KPIs - Technical mgmt. - Safety - Crew - Budget

performance • Full transparency

- Total fleet

Ship Manager

• Low OPEX • High safety & compliance • High availability • High asset conservation

• Selected KPIs − Benchmarking − Reputation − Win new customers

Charterer Operator

GL Maritime Software | 30.05.2012 | No. 13

What could a possible solution look like?

Good “fit” to our organization, its business objectives, its size

Standardize and automate the process of collecting data needed in KPIs

Automate the process of processing collected data and preparing statistics

Allow internal reporting and analysis – drill down back to source data – not just reporting statistics without a context

Allow external reporting, customized content for different stakeholders (again automated), or to a benchmarking portal

Allow comparability, e.g. with external benchmarks and industry figures

Overcoming problems of the past

We don’t even collect this data they’re asking us for

Ok, we collect it but in 10 different formats (unstandardized), stored in different software systems in different departments that don’t even talk to each other (the systems … maybe the departments too)

We’ve got 6 different PMS systems in place and it takes 2 people half a day to collect the information

This extensive manual post-processing / taking data from numerous sources and manually entering it into excel sheets leaves much room for error / manipulation

We don’t really have a good way to align systems and the ability to combine information from different (often proprietary) sources - Easily.

Digital Ship Singapore 2012 – Conference Monitoring Ship Management Processes with ICT

GL Maritime Software | 30.05.2012 | No. 15

Ship managers often have numerous technical ship management systems in place – “inherited” with vessels as they come into management

Inspections, Maintenance,

Repair, Overhaul

Purchasing & Logistics

Quality, Safety, Compliance

Finance, Controlling

Voyage Management

Chartering HR, Crewing

Which makes it very difficult to combine data to monitor fleet performance on an aggregated level!

Typical ship management applications support a process in the first place …

Conduct repair Request new spares

Inquire several suppliers Order spares Deliver spares

to vessel Receive invoice Check invoice and pay supplier

Stock below minimum

Stock refilled

Equipment defect

Repair job done

Items requested

Supplier quotes

Ordered items

Price per item

Delivery date

Delivered quantity

Payment date

Payment amount

...

… and by doing so, produce a lot of data and information...

GL Maritime Software | 30.05.2012 | No. 17

It’s easy to get lost in all this data – and it’s often difficult to use it effectively

Digital Ship Singapore 2012 – Conference Monitoring Ship Management Processes with ICT

GL Maritime Software | 30.05.2012 | No. 18

But aggregated, it can be combined into information that is highly relevant

In the past… Combining data from different systems for aggregated reports was tedious

+ +

Many hours of manual work: getting data out of each system individually, data preparation, combining data manually, etc.

Options for reporting, analyzing and decision support

• Top-level system: operational systems remain free and unimpeded

• Easier reporting on fleet / fleet group / vessel performance for internal fleet performance monitoring

• Analysis of costs, operations, and processes fleet-wide with drill-down back to source information

• Also easily generate reports with specific content for customers (owners) or other external stakeholders (charterers, vetting / inspectors etc.)

• Automate reporting processes – Significant time savings compared to manual preparation and data processing

Example: GL FleetAnalyzer

No information system yet to systematically collect and analyse all performance relevant information from ships

Simplify data collection, ship-to-shore reporting, and dissemination of data

Combine the right data collection and reporting methods, data processing

Vessel system Onshore Server Owner

Manager

Onboard recording of all Technical, Maintenance, and Performance related data

Analysis on shore - for the entire fleet

• automatic processing and dissemination of data to e.g. owner and manager with tailored content

The recipe for success

Define performance metrics that fit the individual organization

Structure and standardize data collection processes and information flows

And use ICT tools tailored for the shipping industry to …

• automate data processing (preparation of reports / statistics)

• combine data from numerous sources, bringing together data that was previously impossible to put into relation with each other

• exploit greater analysis capabilities both for strategic decision making and continuous improvement measures

• automate internal and external reporting
