I. About Us Nelson Mechanical Design Inc. is Martha’s Vineyard leading “green” mechanical contractor. We take the utmost

pride in bringing our customers the top of the line mechanical systems for residential and small commercial estab-

lishments. We specialize in designing and installing mechanical systems including heating, cooling, ductless heat

pump systems, ducted heat pump systems, geothermal systems, water treatment systems, well water services, ven-

tilation systems and control systems for all of the systems listed above.

We have received multiple awards over the years for our emphasis on a “green” environment. Awards have includ-

ed 1st Place in “Most Innovative Design” and 2nd Place in “Best Residential Green Design” in the nationwide Green

Awards held at Greenbuild 2009 in Phoenix AZ.

II. Project Tracker

The list described below was made for you, our customer, so you can track the progress of your project. This process

starts after you first reach out to us regarding the system you are interested in.

Schedule your site visit: with the project manager. He/she will try and accommodate the cus-

tomer’s schedule.

Meet the customer: at the project site. (Go over options, problems we might run into, time

frames of project completion, goals, etc.)

Draft a quote: for the NMD recommended mechanical solution for your home.

Customer Reviews: the quote. Asks any questions regarding the quote. The project manager

will make revisions accordingly.

Quote Approval: pushes the project forward. Scheduling the installation is discussed. First

come, first serve.

Initial payment: after the initial payment is received, the equipment for that project is ordered

and the project is prepped.

Project Start: After equipment is received, technicians and installers will meet you on the date

and time agreed upon. Our project manager for this particular job will walk the technicians

and installers through the job to confirm clarity on the project.

Project Completion: After completion of the project, the project manager and the technicians

assigned to that job will walk through the results of the project with the customer to assure

cleanliness, correct locations, system operation and most importantly, customer satisfaction.

Customer Training: The project manager will walk you through the system (s) operation and all

of the controls/features with the system you have had installed.

Final Payment: After the customer is fully confident in controlling his/hers system. The final in-

voice will be sent out.

Hand-Off Package: After final payment is received, the project manager will give you the

“hand-off” package. This package will include: warranty certificates for all equipment that falls

under warranty, rebate information, and our service department package.

Paperwork Assistance: The project manager will thoroughly describe the meanings of every-

thing in the package and show you his/her recommended maintenance package for your

particular system. (it is recommended by NMD that the customer signs up for a maintenance

package, so it is not forgotten (maintenance is key to making your system last as long as possi-

ble).

Follow-Up: The project manager will then follow-up with the customer a couple weeks down

the road to answer any questions or concerns that may have arisen after a few weeks in oper-

ation. (At this point your rebate package should be underway)

What is a Ductless Mini-Split Heat Pump?

III. Overview Ductless Mini-Split Heat Pump’s are taking the HVAC industry by storm. They eliminate the need for sepa-

rate heating and cooling systems in homes as the two systems are merged into ONE highly efficient sys-

tem. The engineers who work for the large manufacturers have created a small reversing valve in the

outdoor units which reverse the flow of refrigerant depending on what the controller is calling for. This

gives you both heat and air conditioning in ONE small, compact system at the push of a single button!

IV. Models of Ductless Mini-Splits

Indoor Wall Mounted Units

Wall mounted units are the most common type of ductless indoor units we see. The top of these

units acts as the intake and takes in the ambient air from the area it is supplying. The air goes

through the unit and crosses a refrigerant coil (point of heat transfer). This is what heats/cools the

air being discharged from the unit. Before exiting the unit, the air passes through a washable filter,

making sure the air is as clean as it can get.

Indoor Floor Mounted Units Floor Mounted Units are the second most common ductless units we see. They act as alternatives for the wall-

mounted units. They are commonly placed in spaces with short ceilings or where there simply isn’t enough wall

space for a wall-mount. They fit perfectly under most windows and cover a great range of capacities. The theory

of heat transfer is the same as the wall units, with the only major difference being the aesthetic look and saving of

wall space.

Indoor Ceiling-Recessed Units The Ceiling-Recessed Units are unique in their own ways. The aesthetic feel for the units is much different

than that of the wall or floor units. The ceiling units save you wall space as they are installed flush with your

ceiling. They operate with the same theory as the other two model units, but the installation process is much

more tedious and can take a few days. These units are typically installed in remodels or new construction

projects.

Project Components

The picture below is showing the connection of the outdoor heat pump to

the indoor unit. The units are connected by two refrigeration lines: liquid and

vapor. They are contained in the fortress seen above, along with the con-

densate drain line and the communication wire.

VI. Factors that Determine Size

Many factors must be looked at when determining the correct size of your HVAC system:

What areas of your home are you trying to cover? One bedroom? Multiple bedrooms? Commons areas? Entertain-

ment rooms?

What is the total area of the space you would like heated or cooled?

What year was your home built?

What type of insulation does your home have?

If you would like multiple rooms covered, are you interested in zoning each room individually or would you rather

put multiple rooms on one zone?

By answering these questions, we can successfully size your equipment without having to bring in an outside con

tractor to perform an energy calculation. Always make sure your system being installed is correctly sized, if not,

mechanical issues and even failures in the future could certainly occur.

Zoning your home gives you options. Do you want to run your entire home full bore 24/7 during the heating &

cooling seasons just to barely meet the temperature set point? Probably not. This is extremely cost inefficient.

By zoning, you can eliminate that wasted energy and control exactly what spaces are being heated and cooled

at all times; right from your smart phone or computer.

VIII. Manufacturer Breakdown

When shopping for anything in life, almost everyone can agree that for whatever you are shopping for you AL-

WAYS want to get the “best bang for your buck”. In the HVAC industry, consumer’s mindsets should be the same

but remain conscious as you may not always receive the BEST product for the cheapest price.

For Example, a Fujitsu or Daikin mini-split might be $1,000 cheaper than say a Mitsubishi BUT there are far more re

ports of those systems failing much earlier than a Mitsubishi mini-split. So….is the extra $1,000 worth it in the long

run? In my honest opinion, OF COURSE!

All data found on this chart is from the Mitsubishi, Daikin and Fujitsu Engineering Manuals.

IX. Our Choice For Manufacturer

When looking for a Mini-Split(s) for your home there are numerous factors that you must look at before signing off

on the contract to have your system installed…Not only do you need to make sure the system is sized correctly by

the contractor but you also need to make sure that your system will operate and satisfy your home on the warm-

est and coldest days of the year.

A lot of Manufacturers give you the “Rated Capacity” on the equipment submittal sheet which in short

terms means what energy (BTUs) the equipment puts out at a SELECTED ambient outdoor temperature

of the Manufacturer’s choice (Usually 40 degrees Fahrenheit for heating capacity & 80 degrees Fahren-

heit for cooling capacity ratings).

On the Vineyard, we have a very unpredictable weather variation so you need to make sure you know

what your equipment is going to operate at when we get the freezing cold winters or the extremely

hot summers. Nelson Mechanical has researched thoroughly to provide you the most accurate information

on three name brand Manufacturers for Mini-Splits. The table above shows three separate sizes of units from

the three different manufacturers.

By laying out the engineering information and comparing each system hand in hand, you will notice that

Mitsubishi BY FAR has the best overall characteristics that will satisfy the conditions that the Vineyard ex-

periences year in and year out. YES, Fujitsu may have a higher heating capacity at 5 degrees outdoor

temperature, but what about its cooling capacity at 90 degrees outdoor temperature? Not even close to

Mitsubishi! And what about Daikin? Well, I believe the chart above should tell you all you need to know

about the Daikin equipment. More expensive and not nearly as reliable as Mitsubishi or Fujitsu!

Don’t let contractors fool you into buying a very costly system that could very well not even operate sufficiently

enough to bring you the heating and the cooling your home needs!

Nelson Mechanical has made it our goal to offer our customers “options” from project start to finish. That being

said, we have added another financing opportunity to our repertoire.

We have collaborated with Greensky Financing. Greensky offers financing opportunities within minutes of

applying. We realize a brand new heating and cooling system can be very costly. The benefits of teaming up

XIII. Greensky Application Process

Nelson Mechanical is an Approved Merchant User. What does this mean? This means that if you decide to

go with one of our three financing options, you can get approved for the loan within minutes of applying.

Here are the steps to make it happen:

STEP 1: APPLY FOR CREDIT- Apply using the Greensky mobile app, website or simply call to get

approved (The number to call to get approved is : (866)-936-0602)

STEP 2: GET APPROVED- 85% of credit decisions are made instantly. Most other credit decisions

are made within fifteen minutes.

STEP 3: GET FUNDED- The customer is immediately presented with an account # and a loan

agreement. The customer pays the Merchant (Nelson Mechanical Design INC) using the ac-

count #. Nelson Mechanical then processes the payment just like a credit card. No certificate of

completion or paperwork is required for funding.

XIV. Rebates from Who? There are two agencies that offer cash back rebates on air source heat pumps (mini-splits). Though the rebate

amounts vary per unit, if you choose Nelson Mechanical, we will make sure that your equipment qualifies for the

best rebates possible.

XV. Massachusetts Clean Energy Center Rebate Program MASS CEC is a state economic agency with goals to spread clean, green energy throughout the state of

Massachusetts.

Who qualifies for their rebates?

EVERYONE who installs a qualified product. MassCEC offers a base rebate of $625.00 per 12,000 BTU/hr.

How do I apply for my rebates?

Mass Clean Energy Center offers online submission only. The application URL is on the “References”

page on the back cover of this book.

When do I receive my rebate?

You will receive your rebates approximately 4-8 weeks after the rebate application is completed (Final

payment to Nelson Mechanical Design, Inc must be submitted prior to applying).

How do I get the information I need for the rebate?

The project manager for your project will hand you a rebate application with all of the information

needed to complete the form in its entirety.

MassCEC’s rebate program doesn’t stop at $625.00 per 12,000 BTU/hr. They offer financial brackets in which

if you qualify in one of the two brackets, you can receive nearly double the $625.00 per 12,000 BTU/hr. For

more information ask your Nelson Mechanical project manager or refer directly to the Mass CEC website.

The Massachusetts Save Rebate Program has the same intentions as the MassCEC program as their main

goal is to continue to keep the state of Massachusetts as the #1 state in the nation for energy efficiency.

The Mass Save program offers slightly different rebates. These rebates are strictly based off efficiency

ratings, not capacity. The efficiency ratings are broken down into two factors, SEER and HSPF ratings and

if your equipment qualifies under Mass Save ratings, then you earn money back!

Equipment Warranty Information

Notwithstanding the foregoing, if the System is installed in a residential single-family home by a MEUS DIA-

MOND CONTRACTOR and registered within 90 days from installation, the parts and compressor will be war-

ranted for a period of 12 years, to the original owner, so long as the original owner resides in the home. Spe-

cifically, if any parts and/or the compressor should prove defective due to improper workmanship and/or

material for a period of twelve (12) years from the date of installation, MEUS will replace any defective parts

or compressor without charge for the part or compressor. The replacement parts and/or compressor are war-

ranted for the remainder of the original 12-year warranty period. Parts and/or compressors used for replace-

ment may be of like kind and quality and may be new or remanufactured. Defective parts and/or compres-

sors must be made available to MEUS in exchange for the replacement parts and become the property of

MEUS.

XVII. Mitsubishi Diamond Dealer-Elite Warranty Information

XIX. Nelson Mechanical Warranty Information Our Company offers an industry standard 1 year parts and labor. If you have trouble with a part or

piece of equipment (that we have provided) within one year of install, we shall repair it without

charge on parts or labor. This does not include air and water filters or other items that need service

more frequently than one year’s time.

XVIII. Registration Process After the final payment for your project is received. The project manager for your project will register all

qualified equipment through the Manufacturer. The warranty certificate will be submitted to the cus-

tomer in the “hand-off” package.

XX. Our Service Team

At NMD, we take tremendous pride in our work as without high quality work, our operation and end goal of

being the best of the best when it comes to HVAC and plumbing would not be possible. That being said, we

urge our customers to treat their equipment properly and maintain it according to manufacturer specifica-

tions, as not taking care of your equipment properly can result in failure of equipment and in short terms, cost

you a lot more money than you ever intended on spending for your heating and cooling system.

XXI. Prevention Why fix something that isn’t broken ? Great question… Well when it comes to any equipment, whether it is your

car or your HVAC system, there are normal issues that occur with wear and tear over periods of time. Especially

XXII. Preventative Maintenance: Flat Rate Pricing To you, our valued customer, we have put together some simple flat rate pricing for the preven-

tative maintenance of your plumbing and HVAC systems in your home. We realize that some

customers want a brief check on all systems, while other customers need or require a visit that is

more concise. The packages below will cover this wide range of preferences. Houses that are

used seasonally may want maintenance done once a year. Homes with mechanical systems

that are active year-round should have their systems service twice a year. We focus on the

heating systems in the fall and cooling systems in the spring.

Mini-Split & Ductless Systems

Option B – Mini Split Indoor Unit Deep Cleaning: $120.00/Head

• If your indoor coil looks dirty when you remove the washable filter, it may be

time for a cleaning.

• Protection of your wall, floors, and furniture with specialized cleaning kit.

• Coil cleaning with environmentally safe cleaning solution.

• Addition of condensate drainage system sanitizing tablets.

Price good for high wall units. Other style units are subject to an additional

charge of $60.00/unit.

Option A must be done in conjunction with this package.

Option C – Mini Split Outdoor Unit Deep Cleaning: $120.00/Unit

• If you can see dirt and debris in the fins of the outdoor unit, it may be time for

a cleaning.

• Spray and wash outdoor unit coils with environmentally safe cleaning solu-

tion.

• Rodent prevention measures.

• Prune any foliage that has grown in around the unit.

• Clean electrical compartment to protect control boards and other electrical de-

vices.

Option A must be done in conjunction with this package.

Option A – Mini Split Quick Check: $230.00

Visual inspection of indoor units for damage, leaks, cleanliness.

Visual inspection of outdoor units for damage, leaks, cleanliness.

Replace batteries in all wireless controllers plus price of batteries.

Clean washable filters.

Check for correct operation by measuring the discharge and return air tem-

perature on the indoor unit.

• Test for the correct operation of HVAC systems.

• Replace batteries in all thermostats.

• Replace air filters.

Good for up to two systems.

Parts such as air filters and batteries not included.

Option B – HVAC Indoor Unit Service $120.00/Unit

• Equipment such as air handlers, furnaces, boilers, ERVs/HRVs, humidifiers,

dehumidifiers.

• Check control wiring.

• Clean condensate drainage systems.

• Clean cooling/heating coils.

• Test burner operation.

• Test zoning operation.

Option A must be done in conjunction with this package.

Parts such as humidifier pads, humidifier water filters, cleaning products,

sanitizer tablets, etc. are not included.

Option C – HVAC Outdoor Unit Service $120.00/Unit

• Equipment such as heat pumps or air conditioning condensers.

• Check control wiring.

• Clean refrigeration coil.

• Rodent prevention measures.

• Prune any foliage that has grown in around the unit.

• Clean electrical compartment to protect control boards and other electrical de-

vices.

• Test for correct operation.

Option A must be done in conjunction with this package.

Plumbing Winterization & Turn-On

Option A – Plumbing Quick Check $230

• Mobilization

• Survey all plumbing equipment for leaks and correct operation.

• Drain down/turn on up to three fixtures i.e. outside shower, hose bibb, irriga-

tion main.

Add food grade antifreeze for trap protection (cost of antifreeze not included).

Option C – Hot Water Heater Service $230.00/unit

• Check for correct operation.

• Tankless hot water heaters: flush heat exchanger.

• Electric tank type: check thermostats and elements.

• Propane fired: clean burner chamber, check flue piping.

Price is in conjunction with Option A, otherwise normal mobilization charges

may apply.

Does not include the cost of consumables and parts such as tankless cleaning

solution, electric elements, thermostats, etc.

Water Treatment, Service & Maintenance

Option A – Water Treatment Quick Check $345.00

• Water quality test for iron, PH, manganese, and hardness.

• Check for correct settings on water treatment heads.

• Check for motor operation.

• Check for leaks.

• Check for pistons to be freely turning.

• Run backwash cycle and check for correct operation.

Option B – Control Valve Rebuild $286.00/Head

• Put water treatment head into bypass.

• Remove head and disassemble.

• Install new seals, spacers, and piston (parts included).

• Lubricate all moving parts with manufacturer approved lubricant.

• “Top off” calcite if applicable (cost of calcite not included).

• Reassemble heads and put the head back into service.

• Put the system into backwash and check for correct operation.

• Must be in conjunction with Option A.

Option C – Re-bed Media Tanks $731.00/Tank

• Test water quality before and after water treatment plant to confirm effective-

ness.

• Put system into bypass.

• Remove control valve head.

• Remove tank from the residence or building.

• Wash and rinse out tanks.

• Re-bed with new media (gravel and Smart-Blend, media included for a 1.5 cu.

ft. tank, larger tanks may have additional media charges)

• Reassemble tank and head.

• Put system back into operation.

• Place system into backwash.

• Retest for water quality.

• Confirm setting and correct operation of the system.
