New in This Release This section lists the enhancements to Meridio Records Management Version 5.3.

Enhancements to Meridio Search

The following enhancements have been made to Meridio Search:

■ Search experience has been improved. Basic search will return results for those documents or records whose content or title match the term specified. Advanced Search supports finer-grained search capability based on any field that has been indexed to IDOL. Pre-existing Advanced Search capability continues to be available under a new Research node in Meridio for Web Users.

■ Meridio Server has been extended to support Keyword searching.

■ Meridio Server has been extended to support Security Marking searching.

■ The display of Automatic Query Guidance (AQG) and Ideas Cloud within search results page can be controlled through configuration settings.

Enhancements to Meridio Server

The following enhancements have been made to Meridio Server:

■ Meridio Server has been updated to index location information to IDOL and to take advantage of other IDOL indexed data. This update improves performance of Search In searches and also improve those searches that can be serviced entirely by information indexed to IDOL.

■ Meridio Content Indexing can be configured to exclude previous versions from the content indexes. By default, Meridio indexes all versions.

■ Meridio Indexer can be configured to index ranked and flat Protective Marking information into IDOL.

■ By default, when content is submitted to Meridio it is indexed by Meridio Indexer before being submitted to Meridio Storage Management. This default behaviour can be adjusted through configuration.

■ Meridio Indexer can be configured to run in a re-index mode. In this mode, the Storage Agent does not remove files from UNC shares or local partitions.

■ Meridio Indexer can be configured to always apply full updates when supplying changes to the IDOL index.

■ Meridio Server has been extended to include an IDOL Index verification service.

■ Meridio LDAP Synchronisation removes the existing Meridio user account and adds a new Meridio account based on the LDAP DN, User Name, and Object GUID when a user account is detected where the User DN matches and User GUID does not match or where the User Name matches and User GUID does not match.

■ By default, LDAP Synchronisation fails if the application of LDAP Updates results in multiple user accounts with duplicate Login Names or Directory Names. Similarly for groups, LDAP Synchronisation fails if the application of LDAP Updates results in multiple group accounts with duplicate Directory Names. This default behaviour can be controlled so that the Meridio account in conflict can be updated, thus avoiding the conflict.

■ Problem accounts that cannot be evaluated with the detected Foreign Security Principal are logged and ignored.

■ With LDAP Synchronisation, users effective protective markings are a combination of those that are explicitly assigned to the user together with those that are implicitly assigned to the user through group membership.

■ Meridio LDAP Synchronisation has been updated to support communication via SSL. This is configurable from the Meridio Admin client.

■ Meridio Server has been updated to support the automatic creation of parts when a hybrid folder is created.

■ Meridio Server has been updated to integrate with Connector Framework Services (CFS). This enables storage to any product that supports the CFS Insert method.

Enhancements to Meridio Administration

The following enhancement has been made to Meridio Administration:

■ Meridio Administration has been enhanced to support Unified logon. When the Use Network Login check box is selected, Meridio Administration uses the Windows user credentials when communicating with Meridio Server.

Enhancements to Meridio for SharePoint 2003, 2007, and 2010

The following enhancements have been made to Meridio for SharePoint 2003, 2007, and 2010:

■ Meridio for Microsoft SharePoint 2010 is available. This delivers the same functionality that is currently available in Meridio for SharePoint 2007.

■ A nomenclature change has been made with “Protective Markings” now being presented as “Security Markings”. Additionally it is possible to rename Security Marking Categories and Definitions.

■ Custom property synchronisation has been extended to support the mapping of SharePoint fields to Meridio Protective Markings.

■ Support for multiple occurrences of external keywords is now available.

■ It is possible to create Physical Markers and associate a link to an NTFS file.

■ Meridio for SharePoint 2010 can be integrated with SharePoint 2010 Secure Store Service.

■ Meridio for Microsoft SharePoint 2010 and Meridio for Microsoft MOSS have been updated so that it is possible to declare a record into Meridio that was previously authored by a user that is no longer available through Active Directory.

Enhancements to Meridio SharePoint Utility ■ Meridio SharePoint Utility has been enhanced to facilitate the update of the

Meridio System name within Smart Shortcuts.

■ MeridioSPUtil has been extended to facilitate an additional parameter, SiteUrl. Where SiteUrl is provided, the utility processes the specified site collection.

■ Meridio SPS Utility has been updated to process sub sites (SPWebs) for the UpgradeDocLibDefaultLocation action.

Enhancements to Meridio for MOSS Enterprise Document Capture ■ Meridio Message Queue Distribution Service is available to distribute work

between multiple EDC servers, increasing throughput and improving scalability.

■ A nomenclature change has been made with “Protective Markings” now being presented as “Security Markings”. Additionally it is possible to rename Security Marking Categories and Definitions.

■ Record versioning of those Meridio Records that have been copied to a MOSS EDC enabled document library is supported.

■ Meridio for MOSS-EDC and ACL Synchronisation has been updated to map explicit MOSS permissions to Meridio.

Enhancements to Meridio for Enterprise Document Capture ■ Support has been introduced to allow distribution of work packages from a

single initiator to multiple EDC instances on remote machines. This load distribution architecture requires Microsoft Message Queuing.

■ Support has been introduced for the creation of various folder types. The 'createNonexistantLocations' configuration option has been extended to support the following values: all, none, containers, folders, containers, classes, folders.

■ For backward compatibility, 'true' and 'false' are considered synonyms for 'all' and 'none' respectively.

■ Security can be applied by rules in addition to security inherited from the destination location. If LockDown is not configured within Meridio Enterprise Capture rules, by default, Meridio Enterprise Capture has been updated to apply access control entries in the following priority order: Prohibit, Manage, Amend then Read.

■ Container ownership can be derived from the parent container when a new container is created.

■ A fingerprint for each proposed new version can be generated. If a proposed new version matches an existing Meridio content file, the proposed new version can be stored, discarded or treated as an error condition based on the non-persisted text property "meridio.duplicateaction".

■ Rules can take action on content that has been digitally signed.

■ Meridio EDC has been extended to support auto-categorisation.

■ The Document Lookup element can be used to search for a document in the system with a) a particular ID or b) a custom property with a specified value. A rule can then be constructed to look for documents found by the lookup and to add new versions to them through an 'update' action.

■ EDC Rules Composer will support date comparisons.

■ EDC Rules Composer will facilitate the allocation of multiple Protective Markings to documents and records.

■ Support has been added to enable Record Versioning.

■ Meridio EDC Generic Initiator has been updated to optionally process files in the order in which they have been created.

■ An IDOL Discovery Initiator is available for use with Meridio for Enterprise Document Capture. This initiator discovers items of interest from an IDOL index and secures these to Meridio as records.

Enhancements to Meridio for Web Users ■ Send as Link has been updated to support the use of Meridio Protocol

Handler. This will facilitate the creation of emails containing hyper links instead of plain text.

■ Support has been added to enable minor document versions to be promoted to major document versions during record declaration.

■ A nomenclature change has been made with “Protective Markings” now being presented as “Security Markings”. Additionally it is possible to rename Security Marking Categories and Definitions.

■ Fileplan Security inheritance is available for those documents that are copied or moved from a container to a Fileplan folder.

■ Support for multiple occurrences of external keywords is now available.

■ Support for multiple valued properties is now available.

■ Documents encrypted using AxCrypt can be viewed using Meridio for Web Users.

■ When an earlier record is presented within Search Results, Meridio Search will prompt the user to consider a later Record Version.

■ A Fileplan Folder or Personal Workspace Container can be configured to indicate the Filing Category. Any documents or records filed to the folder or container will be filed using the specified Filing Category.

■ Meridio Research, available under Administration, has been updated to facilitate sorting search results on multiple fields through the Customise Results page.

■ Meridio for Web Users has been updated so that it is possible for a user with the privilege to close and reopen folders or parts, to declare a record into a folder with manage access.

■ Meridio for Web Users can be configured to exclude additional stack trace information when an error is displayed.

Enhancements to Meridio for Microsoft Outlook ■ Meridio for Microsoft Outlook 2010 is available. This delivers the same

functionality that is currently available in Meridio for Microsoft Outlook 2007.

■ Addition of documents with required custom property values containing extended range characters is supported.

■ The original document from EAS will be secured to Meridio when an EAS stubbed document is encountered.

■ Support has been added to enable minor document versions to be promoted to major document versions during record declaration.

■ Support for multiple occurrences of external keywords is now available.

■ Support for multiple valued properties is now available.

■ A nomenclature change has been made with “Protective Markings” now being presented as “Security Markings”. Additionally it is possible to rename Security Marking Categories and Definitions.

■ Fileplan Security inheritance is available for those documents that are copied or moved from a container to a Fileplan folder.

■ Meridio for Microsoft Outlook Offline can be configured to synchronise a Meridio folder hierarchy as a set of Microsoft Exchange folders or PST folders.

■ The default permission presented when adding a new Access Control entry will be Read.

■ Read-only documents will be presented using Meridio for Desktop Applications when Meridio for Desktop Applications is installed on the client machine.

■ Addition of relationship information is now supported.

■ A Fileplan Folder or Personal Workspace Container can be configured to indicate the Filing Category. Any documents or records filed to the folder or container will be filed using the specified Filing Category.

Enhancements to Meridio for Desktop Applications ■ Search functionality has been removed.

■ Support has been added to enable minor document versions to be promoted to major document versions during record declaration.

■ A nomenclature change has been made with “Protective Markings” now being presented as “Security Markings”. Additionally it is possible to rename Security Marking Categories and Definitions.

■ Security markings are applied before record ownership is released.

■ Fileplan Security inheritance is available for those documents that are copied or moved from a container to a Fileplan folder.

■ Meridio for Desktop Applications has been updated to optionally limit communication to a specific Meridio system.

■ Meridio for Desktop Applications has been updated to support Office 12 icons.

■ Meridio for Desktop Applications has been updated to present a read-only message when a document is opened from disc that is read-only.

■ Meridio for Desktop Applications has been enhanced to support the use of an administrative policy to change the Office 2007 default file format to the Office 97-2003 formats.

■ Meridio for Desktop Applications has been updated to optionally limit communication to a specific Meridio system.

■ Meridio for Desktop Applications has been updated to capture the Document Date when Save As is invoked for a Meridio document.

Enhancements to Meridio Link Manager ■ Meridio Link Manager has been updated to allow the user to choose to

open Microsoft Office documents as read-only where Meridio for Desktop Applications is not installed.

Enhancements to Autonomy Records DropZone ■ With Autonomy Records DropZone, a failed item is moved into a pre-

defined failed items location. When the underlying issue has been corrected, the failed item can be reprocessed by moving the failed item message file into the DropFolder.

Enhancements to Meridio Import/Export ■ Meridio Import/Export has been updated to support the export of a

snapshot of class information. A new "Fileplan" export option is available. When selected, this option presents a hierarchy of classes within the fileplan. All classes or a variety of classes can be selected for Export. This export of class information does not impact individual item scheduling.

■ Communication using HTTPS to Meridio Web Services is now supported.

Enhancements to HTML Preview ■ Meridio Server has been enhanced to facilitate the use of HTTPS for HTML

Preview. By default, HTML Preview uses HTTPS communication if the current Meridio SOAP HTTPS setting is enabled, otherwise HTTP communication is used.

Enhancements to Meridio Offline Synchroniser ■ Meridio Offline Synchroniser has been updated to present Settings using

individual tabs.

Enhancements to Meridio Manage In Place ■ Meridio Manage In Place has been updated to communicate with nested

IDOL DAHs.

■ Autonomy HTML Conversion is a server-side component that presents the content of files accessible from a URL. This viewing technique compliments Meridio Manage in Place functionality.

■ Meridio Manage In Place has been updated to take advantage of DAHStartState when a DAH is in use. MIPConfig CrawlMode can be set to one of the following values:

0 - updates documents with a fieldtext property and adds a restriction to the search (default).

1 - pages through the results (DAHStartState).

■ Meridio Manage In Place has been updated to integrate with Connector Framework Services. When an item is identified for Meridio Manage In Place, CFS places a hold on the item in its source repository. When the corresponding Meridio record is approved for disposal, this hold is released using CFS and the item in the source repository is optionally deleted. By default, on disposal, the item is not deleted from the source.

Enhancements to Meridio WebDAV ■ Meridio WebDav Server has been updated to browse nested hierarchies

that exceed Microsoft Windows path length restrictions by introducing support for shortcuts to folders (LNK). LNK shortcuts have limited capability as Delete, Move and Rename are prevented.

■ Meridio WebDAV has been updated to support filing of emails into Meridio via WebDAV using a Windows XP client operating system.

Enhancements to Autonomy Categorizers ■ Autonomy Categorizer for Microsoft Outlook supports the categorization

and association of metadata of emails that can later be discovered and managed with Meridio EDC IDOL Discovery.

■ Autonomy Categorizer for Microsoft Outlook Web Access supports the categorization and association of metadata of emails that can later be discovered and managed with Meridio EDC IDOL Discovery.

■ Autonomy Categorizer for MOSS-EDC supports the capture of user-specified category and metadata information during the File As Record/Document operation in Meridio for MOSS EDC.

■ Autonomy Categorizer for File System supports the categorization and association of metadata with Autonomy Records DropZone. Shell extensions exist for Icon, Tooltip and Context Menu in managed locations.

■ Meridio DropZone for Lotus Notes is an important component for those organisations that are looking for ways to remove the burden of record declaration from their users by providing a mechanism for Lotus Notes mail users to drag and drop content into the Meridio Fileplan for storage into Meridio using Meridio Enterprise Document Capture.

Enhancements to Autonomy DXL Launcher ■ Autonomy DXL Launcher is a client-side component that presents DXL files

using Lotus Notes.

Resolved Issues This section lists the resolved issues to Meridio Records Management Version 5.3.

Resolved Issues for Meridio Server ■ Meridio Indexer has been updated to index date information using

Universal Standard time format.

■ Meridio LDAP has been updated to accommodate group names that exceed 32 characters. Group names have an increased limit of 255 characters.

■ Meridio Server has been updated so that ACL cascade and Keyword cascade applies updates to items when a change is required. When the item is already aligned with the parent folder, no change is required. Corresponding re-index instructions are generated only when a document update is applied. A cascade action is performed as a single bulk operation, thus improving overall performance.

Resolved Issues for Meridio for SharePoint ■ By default, Keep Link to Record is checked in the Document Library

Location Selection page. Using SharePoint Central Administration, this default can be modified.

■ Meridio for SharePoint 2003 and Meridio for SharePoint 2007 have been updated to support both filtering and sorting within the Meridio Fileplan.

■ Meridio for SharePoint 2003 has been updated so that items are listed in decreasing order of modified date within Bulk Declare.

■ Meridio for SharePoint 2003 as been updated so that content for Smart Shortcuts is retrieved using Remote Content Server when Remote Content Server has been configured.

■ Meridio for SharePoint 2007/2010 has been updated so that the title for expired content is set.

Resolved Issues for Meridio for Enterprise Document Capture ■ Non-persisted text properties are no longer restricted to 255 characters.

■ Meridio for EDC has been updated so that connection failures due to expiration are automatically resolved.

■ Meridio Email Import Wizard has been enhanced to extract messages recursively from sub folders.

■ Meridio Message Queue Distribution Service should be installed to control the processing order of MOSS ACL updates to Meridio through Enterprise Document Capture (EDC). Depending on the number of active EDC threads it is possible to encounter a situation where two or more ACL updates are being updated by EDC simultaneously for the same document. The order in which the ACL updates are applied is not guaranteed without the use of the Meridio Message Queue Distribution Service.

Resolved Issues for Meridio for Web Users ■ Meridio for Web Users has been updated to support TIFF image viewing.

■ Meridio for Web Users has been updated so terms that could be stemmed are highlighted as anticipated.

■ Meridio for Web Users has been updated so that the list of items associated with a hold can be accessed efficiently.

Resolved Issues for Meridio for Microsoft Outlook ■ Content is downloaded once from Meridio during a double-click operation

on a Microsoft Office document.

■ The document presented in the Preview pane automatically refreshes when it has been updated using Meridio for Desktop Applications.

■ Meridio Searching Backward Compatibility Web Service has been enhanced to support connections from Meridio for Microsoft Outlook without prompting for credentials.

■ Meridio Insert Link has been updated to present the appropriate document icons for Microsoft Office 2003 documents and to preserve the previously selected Meridio System.

■ Microsoft Project documents are presented using Microsoft Project when the Meridio Launch menu option is selected or when the document is opened by double-clicking.

■ An email can be captured to a category that has been chosen by the user.

Resolved Issues for Meridio for Desktop Applications ■ Open and Save Meridio dialog boxes display content alphabetically.

■ At most, one line of text from Office 2007 documents will be extracted as the Meridio document title during auto-capture.

■ Microsoft Word documents no longer become read only when Microsoft Excel documents are launched.

■ Meridio for Microsoft Word 2007 has been updated so that the default format used when saving documents into Meridio with the Save As menu option are consistent with the default format used when locally saving documents using Microsoft Word.

■ Meridio for Microsoft PowerPoint has been enhanced to recognise PowerPoint 2007 templates as a file type that can be managed by Meridio for Microsoft PowerPoint.

■ Meridio for Microsoft Excel 2007 has been updated to include macros when saving.

Resolved Issues for HTML Preview ■ Several updates have been made to improve HTML Preview rendering.

Resolved Issues for Meridio Offline Synchroniser ■ Meridio Offline Synchroniser has been updated to handle the lack of

network connectivity on start-up.

Resolved Issues for Meridio Remote Content Server ■ Meridio Remote Content Server has been updated so that the pre-delivery

service has a reduced memory consumption footprint.

Resolved Issues for Meridio Manage In Place ■ Meridio Manage In Place has been updated to support reconfiguration of

Enterprise IDOL contact information. Content to be managed in place, discovered using a different MIPConfig entry, results in a new MIPLink entry. This could result in duplicate MIP entries for a given AutnReference. The duplicates co-exist for a period of time, until the MIPDeIndex service removes them.

Resolved Issues for Meridio Reporting ■ The following Meridio Reports have been updated to take into

consideration that disposal schedules can be reused within many disposal schedule chains:

– EffectiveDisposalInstructionsForPeriod

– EffectiveDisposalScheduleChainsForPeriod

– EffectiveDisposalSchedulesForPeriod

■ Meridio Reporting Services has been updated to refresh view information when new Custom Properties are added to Meridio.

Resolved Issues for Meridio WebDAV ■ Meridio WebDAV Server has been updated to support Folder names and

Document names with trailing spaces or dots by appending the Meridio directive. The presence of the Meridio directive allows these ambiguous names to be fully resolved.

Documentation Updates The product documentation was not updated for this release.
