Matrix Best Practice
Ensure you are using suitable keywords in content
Try not to be repetitive
Include informative details in the callout, description and keyword metadata fields.
These are used by search.
Funnelback indexes the following fields in order of priority so make sure you include
the right words to return on the internal site search:
1. Title
2. Keywords
3. Description
4. Content
Where related staff profiles are listed on the page, ensure there is an image on the
profile
Avoid PDFs, wherever possible
Avoid outbound links wherever possible, and particularly ones that don’t add value
to the page (e.g. linking off to corporate home pages, especially when these links
don’t qualify NTU’s relationship with the employer). Wherever possible, keep the
user on the page.
Check the URL of the page via the URLs tab. Ensure the URL is all lowercase,
hyphenated in‐between words and has no commas.

top left of the Matrix toolbar.

Navigate to the desired location you wish to insert the page.
4. Enter a page name, this will become the
page title of the page. This can be altered
at a later stage if required.

and location fields. These are marked with a red asterisk and are required fields.
5. Click the Select New Location button to
determine where the page will be stored.
6. Select the section you wish to
add the page to making sure it is
highlighted in blue. 7. Click Select.

Details Screen
Adding a Thumbnail Image
The related image field on the Details screen is used to add a thumbnail image that is used
when the page is added to a Landing page or featured content section of a page.

The Asset Finder will open. All content page images are stored in the content folder within
the Media Folder. The content folder is sub divided into folders of what the image is of e.g. a
campus image is stored in the campuses folder.
Navigate to – Media> Images> Content>
1. On the Details Screen click the blue Select
button in the Related Image field.

2. Select the image you
wish to use making sure it
is highlighted in blue. 3. Click Select.
Matrix only allows the related image field to be populated with an image
and greys out all other content preventing you from selecting it.
4. The Related Image field will now be
populated with your chosen image.
Click Save in the top right hand corner.

Content Screen
The content screen is where all the text and images etc you see on a content page are
placed. Content pages have no set style template meaning you can display images, text etc
in any order you want.
You add content to a page by the use of a boxes called content containers. By default the
system populates the content screen with one of these containers. In its basic form a
container acts as text box allowing you to type/ paste text in. However you can add a
specific template to these containers allowing them to display images, quotes, videos and
other attributes.

on the content can be merged to form one column.

Changing the Default Content Container
The content screen by default has a blank content container already embedded onto it. You
can use this as a basic text box or apply a specific template to it to turn it into a range of
different containers all with specific attributes.
1. To add a template the default content container
click the cog in the top left of the container.
3. A properties window will open.
Navigate to the template drop down
menu and select the desired template.

4. Click Set Properties
Click Save in the top right hand corner.
5. The container will then turn into the chosen template.
You can change the template again by clicking the cog
and repeating the above steps.

1. Highlight the text you want to add as link. Doing this will
make a quick launch toolbar appear.
2. Click on the Link icon
3. A sub box will appear containing a URL field. To create a
link to an external site paste the full URL into the field then
click the Insert Link button at the bottom of the box.
4. If your link is to an page within the NTU site click the
target icon. This will open the Asset Finder.

5. Navigate to your chosen page in the Asset Finder
making sure it is highlighted in blue.
6. Click the blue Select button
7. The URL field will now be populated with the content
ID of the page you selected. Click the Insert Link button
at the bottom of the box.

add as a PDF link.
2. Click the link icon from the toolbar
3. A sub box will appear containing a URL field. If you
know the content ID of the PDF you want to add type
this into the URL field. If not click the target icon.
Adding a PDF link to text
Whilst the use of PDF’s should be avoided, if it is necessary you add one in the same way as
you add a link to a piece of text. Please note all PDFs have to be pre‐uploaded to Matrix.

4. Navigate to your desired PDF and select it
making sure it is highlighted in blue.
5. Click Select.
6. The URL field will now be populated with the
content ID of the PDF you selected. Click the Insert
Link button at the bottom of the box.
All PDF’s are stored in the Media folder under Documents and are organised by what they
are used for and by school.
Click Save in the top right hand corner.

Creating a Text and Image Container

Creating a Text and Video Container
Before a video can be added to the course page it must first be checked by the video team
and uploaded to Wistia – our cloud based video server/ player. All video requests should be
sent to [email protected]. Once the video has been approved and uploaded
the video team will send you a Wistia link (which looks like below), you can then add to your
page.

Creating a Google Map Container
1. Depending on where you want the
container to appear click the ‘+’ symbol
above or below the default container.

Template drop down menu and select the desired
template – Google Map (#34565).

an NTU campus/ building click the

desired NTU building.
8. If the location is a non NTU site

or an address is not available you
can specify the Latitude and
Longitude co‐ordinates.

10. Open Google maps and navigate to the
location you wish to use. Left click on the map
which will drop a pin.
11. Dropping a pin will make the information box appear which
contains the longitude and latitude. Click on the co‐ordinates.
12. The co‐ordinates will then be applied to the
search box. Simply copy these and paste them into
the longitude and latitude fields in Matrix.

Adding an Accordion
An accordion is a tool for presenting a large amount of information in a small space. It works
by displaying headings that when clicked on expand to show more information. An
accordion comprises of a standard page (which we attach to an accordion container on the
content page) and a number of data records (headings which expand to reveal more info)
attached to this page.

determine where the accordion will be stored.

Adding a Gallery
A gallery can be added to a content page. The gallery is either static if only one image is
added or rotating if multiple images are added. The gallery consists of a number of images
that are linked from the media folder.

Adding Images to a Gallery
Image galleries are created by linking the image from the media folder to the gallery (root)
page. Images remain in the media folder at all times.
1. The Asset Finder will open. Navigate to the media folder and
choose an image you wish to add to the gallery making sure it
is highlighted in blue.
2. Click select
1. Open the Asset Finder by clicking the Asset Finder button in the top right of
the screen.

3. The details screen of the image will appear. Click on the Linking tab.
3. The linking screen will appear. Click on the
New Location Link button.

add the image to and select it making sure it is highlighted in blue.
6. The system will show a brief confirmation message that the image
has been successfully linked to the desired root page.

To add more images to a gallery repeat the above steps.
6. The system will then update the links on the linking tab showing the new
link to the gallery page. Please note all links are automatically saved.
7. The image will now be visible next to the gallery. Please note although the image
next to the gallery it is not physically stored here, only linked from the media folder.

Changing the order of Images within a Gallery
1. Open the Asset Finder and navigate to the Gallery you want to
modify. Select making sure it is highlighted in blue.
2. Click Select
3. The details screen will appear. Click on the Linking tab.

5. To change the order of images click and hold the up/down arrow
icon to the left of the level and drag and drop it to its new location

Adding a Logo
Logos appear on the page in a logo bar that runs from left to right. Depending on the width
of the logo you will be able to populate 4‐5 logos across the page. Adding more logos than
this will result in the logos running over 2 lines.
Logos are linked to a logo (root) page from the media folder. Images remain in the media
folder at all times.

add the image to and select it making sure it is highlighted in blue.

To add more logos to a page repeat the above steps.
6. The system will then update the links on the linking tab showing the new
link to the gallery page. Please note all links are automatically saved.
7. The logo will now be visible next to the logo page. Please note although the logo image is next to
the logo page it is not physically stored here, only linked from the media folder.

Changing the order of Logos within a Logo Page
1. Open the Asset Finder and navigate to the Gallery you want to
modify. Select making sure it is highlighted in blue.

3. The details screen will appear. Click on the Linking tab.

5. To change the order of logos click and hold the up/down arrow
icon to the left of the level and drag and drop it to its new location

to the Template drop down menu and select

Changing the order of Content Containers
1. Click the up/ down arrow icon in the top right of any of the
content containers on the content page.
2. Click, hold and drag the up/ down arrow icon in the left of the
window to move containers around.
3. Click Save changes

Deleting a Content Container
The container will then be removed from the page.
1. To delete a container click the cog in the top left hand corner of
the container you wish to delete.
2. A confirmation window
will appear. Click on Confirm.

1. You can change a content container template at any point by clicking on
the cog icon in the top left hand corner of the content container.

Adding Anchor Bar Links
The anchor bar of a content page is populated with a number of quick links allowing users to
move to certain points on a page in one click. The anchor bar is optional on content pages
and only visible if the anchor name field at the bottom of a container has been populated.

1. Type text into the Anchor name field to display a link in the anchor bar. If you
do not require a link leave the field blank.

Adding Overview Text (Sub Heading)
Each content page must have the overview field populated with text. The overview text
appears on the preview under the page title and gives a short summary of what the page is
about. Please note the field has a 500 character limit and is for plain text only.

Adding Call to Action Buttons to a Content Page
You can add up to 5 call to action buttons to the side of a content page which link through
to specific pages. The button text is derived from the page title that the button links to. The
buttons should be used to highlight key pages found on other areas of the site that relate to
the content page. You can add any page type from hub, sub hub, landing and content page.
The Asset Finder will open. Navigate to the page you wish to use as a call to action button.

Adding a Related HTML Box
The right side of a content page can also be used to show HTML boxes. HTML boxes
comprise of an image and text in a coloured box. They work in a similar way to CTA buttons
offering a link to a page in another section of the site, but in a more visual way. You can add
a maximum of 2 HTML boxes to the right side of a content page.
Please note all HTML boxes have to be requested, designed and built for you. To request a
HTML box email [email protected] outlining your requirements.
The Asset Finder will open. Navigate to –
Centralised assets> HTML boxes> Double and single columns

Adding SEO/ Keyword Data to a Content Page
1. Untick Use default and enter a short description of the page. This field will
be displayed in Google search results.
2. Untick Use default and add key words to
make the content more discoverable in
searches. Please note only 1 word per field.
Click Save in the top right hand corner.
3. Untick Use default and add a call out summary – a short summary for
related information boxes on other pages such as tiled landing pages.

Specifying a Contact Name, Number and Email
At the side of a content page is the contact box showing by the general NTU contact
number. You can however specify a different contact name, number and email if you wish
by populating the contact section on the Metadata screen.
Click Save in the top right hand corner.
1. Untick use default and
enter a phone number.

enter a contact name.

Submitting a Content Page for Approval
1. From the Details screen go to the Status
section at the top of the screen and click the
Change drop down menu.
2. Click on the Apply for
Approval option.
The screen will change showing
an Add workflow comment box.
3. Add a comment detailing what you have done.
E.g. if it is a new content page put New content
page upload.
Click Save in the top right hand corner.

The page will now enter your schools QA/ the Central QA list where it will be checked and
made live or rejected requiring further changes. It if is rejected you will receive a notification
via email.
4. The screen will now show the status bar in purple and
the caption Pending Approval.
5. Once approved and live the Details screen will show the
status bar in green and the caption Live.
