Buckets Make Organizing Your Contacts Easy

For a job search, try creating buckets that relate to the key people that may present your next job opportunity.

Suggested Buckets:I. Former Co-workers or Clients | reminder every 60 days II. Alumni | reminder every 30 daysIII. Recruiters or Corporate Representatives | reminder every 14

daysIV. Interviewers or Hot Job Leads | reminder every 7 days

One of the cornerstones to using Contactually is organizing your contacts into buckets. Buckets make it easy to sort the people in your network as well as designate how often you want to keep in touch with them.

Play the Bucket Game to get started with bucketing your top 100

contacts. This will get your network organized enough to begin

identifying key people to reach out to as you begin your job

search.

So, how will you make the most of this new relationship?

Let’s use this sample scenario to show you how Contactually helps during your job search.

How to Add a ContactAs you communicate with new people via email or social media, your contacts will update automatically. However, if you meet

someone in person and exchange business cards, it’s easy to add them into Contactually with the steps below.

1. Click Contacts on the top navigation menu

2. Click Add Contact in the right-hand navigation menu

3. Complete the Create Contact pop up window

*Remember to select a bucket that makes sense. In

this case, you should select “Corporate Reps”.

Now, it’s time to follow up with the rep.

Make this process an easy and consistent one by using email templates.

How to Create an Email TemplateEmail templates help you save time in between follow ups by not worrying about what to say every time you reach out. Better yet,

the dynamic fields will give your email a personal touch without the additional effort.

1. In the upper right-hand corner, click

your profile icon and select Settings.

2. In the left-hand navigation menu,

select Email Templates

3. In the right-hand corner, click Create

New Template

Attach your resume to make all your contacts have an updated copy.

How to Send a Follow Up EmailNow that you’ve created a new contact and drafted a personalized email template, it’s time to send your first follow up email.

1. On the Contacts tab, search for the Corporate

Representative’s name, Tracy Johnson.

2. Then, click her email address in the search results

to pull up the follow up email window.

3. In the Follow Up window, select the Initial

Contact Email template you just created.

4. Click the Send button and you’re done!

Create a Job Search PipelinePipelines are a way for you to track the status of your job search. By placing each job opportunity into a pipeline stage, you’ll clearly

know your next step and be reminded to complete it.

Suggested Pipeline Setup

1. Initial Contact

2. Informational Interview or Phone Screening

3. 1st In-Person Interview

4. 2nd In-Person Interview

5. References Checked

6. Got the Job!

Pipelines allow you to see where each job opportunity is

in the process. Better yet, the system will also remind

you to follow up based on each stage’s follow-up setting.

Tracy Johnson from Widgets Inc. replied to your email with a potential job opportunity. She wants set up a phone screening next Thursday.

This is the perfect time to create a “Deal” in your pipeline to make

sure you’re tracking and following up on this hot job. Create a Deal

Create a New Deal (aka Job Opportunity)Deals are perfect for tracking a job opportunity with a company that may have multiple people for you to stay in contact with.

Suggested Deal Setup

You want to track your progress towards landing a

specific job so try setting up a deal based on the

job opportunity and not the company.

1. Add/create the contacts you need to keep in

touch with for this opportunity.

2. Make the position and company the “name” of

the deal.

3. Place the deal in the appropriate stage in the

pipeline.

*Remember, the rep wants to have a phone

call next Thursday.

4. Use the value field to remember your target

market value salary for the job.
