Scotland’s first modern hospice, St Columba’s Hospice first opened its doors in 1977. Over the years it has grown and evolved into an exemplary provider of specialist palliative care for

thousands of people with life-limiting illnesses in Edinburgh and the Lothians annually, while also providing support to their relatives and loved ones. We currently have the following opportunity to join the Hospice team:

This role will report to the Director of Finance and be responsible for the preparation of the monthly management accounts for the Hospice. It is a varied role and will include providing advice to budget holders across the Hospice, authorising payroll and payment runs, submitting VAT returns, preparing annual accounts, ensuring the operation of a strong financial control environment and managing 4 staff.

CCAB or CIMA qualified, you will have at least 4 years previous management accounts experience. We are seeking an enthusiastic, confident, flexible and hardworking individual who is also an excellent communicator, in both written and oral formats, to explain financial issues to non-finance managers and clinicians. You will need to be a positive role model in order to motivate your team to deliver change projects and automate processes. Strong analytical and excel skills will be essential. Experience in specific charities accounting regulations including VAT and Gift Aid would be an advantage

2. JOB PURPOSE

The Finance Manager reports to the Director of Finance and is responsible for the smooth running of the day to day financial operations of the Hospice. The Finance Manager is responsible for the management and development of the finance team and for ensuring a proactive service is provided by finance. This will involve the providing accurate, reliable and timely financial support, advice and reports to all budget holders, staff and stakeholders of the Hospice.

The Finance Manager will be responsible for ensuring a strong financial control environment and managing projects to automate processes to improve the efficiency of the finance function. The post holder will have experience of managing computerised finance systems and staff line management as well as extensive and detailed technical knowledge of financial legislation.

The Finance Manager will assist the Director of Finance with the development and delivery of the financial strategy and contribute to the Hospice’s strategic and business plans.

3. DIMENSIONS

This post supports the work of the Finance Department by providing an efficient service in relation to the processing of all payments and receipts. Income of £8.7M and expenditure of £8M per annum.

1. Day to day supervision of the finance function ensuring the accuracy and integrity of financial data (including sales, purchase and nominal ledgers) and security over bank receipts and payments.

2. Ensure the accurate processing of all monthly accounting entries for accruals, prepayments, fixed assets, inter-company transfers and ensure that all key balance sheet accounts are reconciled on a monthly basis.

3. Manage procedures to ensure the production of accurate and detailed monthly management accounts promptly each month for the Hospice and Trading company.

4. Preparation and analysis of the monthly management reports with supporting narrative on results to date for managers and budget holders. Investigate key variances in the management accounts and liaise with managers and budget holders where necessary to provide explanations and narrative on such variances.

5. Provide financial guidance to managers and budget holders in all relevant matters from coding issues, VAT, budget availability and general financial advice.

6. Manage the payroll function ensuring all data is submitted to the payroll bureau accurately & on time to ensure all staff are paid correctly. Authorise payments and deal with payroll queries from staff, HMRC and pension companies.

7. Submit the quarterly VAT returns for 3 companies and assist the Director of Finance with other external reporting

8. Management and development of the finance team including ongoing support and supervision, identify and address training needs and foster good team spirit and working.

9. Assist the Director of Finance in ensuring that financial plans, budgets, actual results and forecasts are prepared, analysed and reported in a competent, timely and professional manner.

10. Assist the Director of Finance with the preparation of the annual accounts and supporting documentation for the annual audit including liaison with the auditors etc.

11. Assist the Director of Finance to monitor the organisation’s banking arrangements and manage working capital, ensuring sufficient cash is available to meet the organisation’s needs.

12. Assisting budget holders with financial advice around leases and managing supplier contracts to ensure value for money e.g. landlord, office equipment.

13. Work closely with the Director of Finance to identify and develop new and improved systems, policies and procedures.

14. Any other duties as appropriate to the post.

8. ASSIGNMENT AND REVIEW OF WORK

The post holder is managerially accountable to the Director of Finance and is expected to make autonomous decisions on a daily basis including advice to operational and clinical staff regarding financial matters. The environment predetermines a number of the time-scales e.g. monthly and annual reporting cycles.

The post holder will be required to determine the priorities for their role and to manage their own workload to achieve daily, weekly and monthly deadlines.

The nature of the work will be a combination of routine, planned and timetabled tasks as well as ad hoc assignments.

Objectives will be agreed annually with the Director of Finance. The post holder is responsible for ensuring delivery of those objectives within the remit and obligations of the post. Formal appraisal review will take place annually and at mid-year. Update of objectives and review of progress will also take place through regular 1:1 meetings with the Director of Finance.

Will lead on automating processes and ensuring robust financial controls operate within the finance team and must be able to challenge the status quo.

Decisions will be made within broad departmental policies and procedures without reference to manager.

Majority of work will be self-directed and the post holder is expected to make autonomous decisions on a daily basis including advice to operational and clinical staff regarding financial matters.

Analysis and interpretation of financial and non-financial data, identifying errors and trends, providing advice as to where and why material variances are occurring.

Provides financial input into business cases for service change ensuring that the impact of the service change on all departments is accurately costed.

Required to provide forecasts on financial performance, identifying and quantifying risk as required, and provide a professional opinion.
