Job Title: Make Ready Operative/Domestic Assistant

Location:

Ambulance Stations across the Isle of Man, principally

Douglas Ambulance Station

Accountable to: Head of Ambulance Service

Reports to: Station Manager

Pay Band: Skill Zone 1 / Pay Band 2

JOB PURPOSE

The key function of the ‘Make Ready’ role is to ensure that service vehicles and stations meet the operational and clinical standards required.

To ensure service vehicles and designated station areas are clean, fully stocked (as appropriate) and essential equipment is in date and presented to a high standard.

To ensure the promotion of a positive image of the service in terms of appearance and cleanliness.

To ensure that the vehicles meet the required laid down standards.

The Make Ready Operative must not underestimate the important part they will play within the service by adhering to a successful Make Ready process especially in relation to ensuring vehicles are collected and delivered to the workshop and back to their operational location according to plan and in a timely manner with the minimum amount of disruption to Operations.

MAIN DUTIES & RESPONSIBILITIES

• Carry out decontamination cleaning to Infection Control standards. • Complete audit of cleaning processes to high standard.

• Conduct duties using the cleaning agents, materials and equipment as trained, having regard for COSHH Regulations and ensuring the Health and Safety aspects of all tasks are met.

• Carry out “Environmental Cleaning” of rooms/areas in accordance with the specifications laid

down in the Infection Control Policy or on the advice of members of the Infection Control Team, to ensure the thorough cleaning of rooms/ambulances and soft furnishings etc.

and control in all areas within their area of responsibility to ensure continued compliance of infection prevention and control. Adhere to the Infection Prevention and Control policy at all times, demonstrates and promotes responsible attitudes towards infection prevention and control.

• Ensure infection prevention and control audits are undertaken in their area of responsibility, as requested.

• Auditing ambulance service premises for Health and Safety and Fire Risk Assessment, reporting any areas of concern to the Station Manager and the estates services for action.

CLINICAL AND ASSOCIATED DUTIES • Ensure that all Service vehicles and equipment, at designated ambulance stations workshops,

and sluice areas are cleaned thoroughly and effectively to stringent clinical and policy

standards, to the agreed schedule and in a timely manner.

• Undertake these and other station cleaning schedule duties as instructed, this will include

kitchen, toilet and communal areas as per the procedures and policies set out within the department.

• To check that medical equipment is within service date and re-stock vehicles with supplies and

medical equipment as appropriate and when necessary as part of the make ready process.

• Monitor stock usage and cleaning consumables reorder as necessary utilising and documenting

this as per policy and procedures in place to manage efficient and cost-effective stock control.

• Provide a general transport and courier service within the service area as part of an Integrated

Logistics System on an ad hoc basis.

• Ensure the safe transit and security of all items that are transported including but not limited to stores.

PROFESSIONAL

• Aware of own and others role and responsibilities within the department in order to work as

an effective complementary part of the team.

• Be proactive in identifying and providing solutions to issues encountered within the role and

assist the department with continuously monitoring and improving its service level standard.

• Carry out any other duties commensurate with the post as directed.

• Use any equipment and devices necessary to carry out duties efficiently and to the agreed standard.

• At all times the post holder must consider the safety of the vehicle and the public reputation

of the Service and their behaviour and appearance must be such to ensure that they do not

act detrimentally as a representative of the service.

TRAINING, EDUCATION & RESEARCH

• Undertake clinical training as requested by the Ambulance Service senior management, this

may include e-learning and face to face training in subjects such as fire prevention, health and safety, infection prevention and control etc.

• Undertake vehicle familiarisation training for the service vehicles comprising cars, vans and ambulances.

PLANNING & ORGANISATIONAL SKILLS • Must be self-motivated and able to work alone managing own diary to ensure audits are

undertaken when due, premises are clean and tidy.

COMMUNICATION

• To maintain written/computerised records of vehicles and equipment cleaned on a daily basis and record as appropriate to establish a full history of vehicle compliance.

• Regularly communicate to Station Managers or other senior managers on aspects of the role.

• Communicate requirements for cleaning and associated equipment in order to prepare and raise orders for replacement.

MANAGERIAL/LEADERSHIP

• The candidate will essentially work under their own direction and allocate themselves tasks ensuring that audit compliance is adhered to.

CLINICAL GOVERNANCE

• Maintain good working relationships with all members of staff • Ensuring safe practice and quality service, that processes are adhered to and work is allocated

in order of prioritisation.

• Undertake regular monthly cleanliness audits on ambulances and create action plans, and work

to address the action plans to achieve the required standards.

• Raise any concerns of non-compliance with a Station Manager or more senior officer.

SYSTEMS & EQUIPMENT

• The checking of vehicles prior to use and notifying the Workshops of any defects or potential

defects to the vehicle, however insignificant they may seem, to the appropriate person

according to the policies and procedures of the department. • Assist Workshops by undertaking basic vehicle roadworthy checks as illustrated in the

operational check procedure which can be found in the Driver Manual.

• The use of pressure washing equipment to clean service vehicles.

• The use of battery chargers to ensure medical equipment is charged and ready for use.

DRIVING

• The collection and delivery of service vehicles according to planned events from ambulance stations to workshops and return in a timely manner, in order to facilitate the make ready

process. This will also include assisting clinicians with transferring items from vehicle to vehicle.

• The post holder will drive a vehicle in a manner that is within the law and the standards for

driving within the Service and be fully aware of health and safety requirements whilst

possessing the vehicle.

DECISIONS & JUDGEMENTS

• Ensure that all cleaning products and equipment are used properly, safety and as directed

under initial training for the role. • Using audit paperwork as a framework, work within scope to address any areas of non-

compliance with infection prevention and control, fire and Health and Safety matters

and refer any concerns/areas for action to the appropriate area/manager.

staff or other business of Manx Care. On no account must information relating to identifiable patients

be divulged to anyone other than authorised persons, for example, medical, nursing or other

professional staff, as appropriate, who are concerned directly with the care, diagnosis and /or

treatment of the patient. If you are in any doubt whatsoever as to the authority of a person or body

asking for information of this nature, you must seek advice from your manager. Similarly, no

information of a personal or confidential nature concerning individual members of staff should be

divulged to anyone without the proper authority having first been given. Failure to observe these rules

will be regarded by your employers as gross misconduct which could result in disciplinary action being

taken against you. In the case of information held on computer systems, you may be held personally

liable if you in any way knowingly contravene the appropriate terms of the Data Protection Act 2002.

Health & Safety/Security

PHYSICAL, MENTAL & EMOTIONAL DEMANDS OF THE JOB

AND WORKING CONDITIONS

Physical Effort

Staff will be required to move and handle ambulance equipment on a daily basis which may include repetitive

movements such as mopping, hovering. Staff will be required to stretch above shoulder height to clean ambulance interiors and check stock in overhead cupboards. Working conditions may be cramped such as

cleaning hard to reach areas of the cab of the ambulance and some cupboard areas. Kneeling or crouching on a variety of surfaces may be required. Will be required to move ambulances and service cars within premises

such as garage areas and also from one station to another if required.

Mental Effort

Working alone as part of a wider team will come into contact with various staff members and be required to update staff and communicate with them, regarding availability of equipment etc. May be required to drive the

vehicles in differing weather and traffic conditions. Work unsupervised and manage own workload to ensure

compliance with station and vehicle cleaning and re-stocking of vehicles and consumables. Staff will be expected to respond and adapt to instructions given to them by telephone or face to face which will necessitate them

adapting or altering their plans on a regular basis.

Working Conditions - Stations and vehicles

Frequent exposure to hazards on a daily basis that include: inclement weather, excessive temperatures, unpleasant smells/odours, unpleasant substances/non household waste. Infectious material, body fluids, dust,

dirt, contaminated work areas or equipment, working in isolation, driving, foul linen, risk of needle-stick injuries, chemical spills/hazardous substances.
