Make Changes to a Position and then Post

It is important to save your work frequently by clicking on “Preview Action” at the bottom of the page, then “Save” and “Confirm”. The system does not save automatically and will time you out after 10 minutes of inactivity!

Login to Jobs@UVA: https://jobs.virginia.edu/hr Use your Computing ID and your Netbadge login

Select “Begin New Action” on the left navigation Select “Class. & Univ. Staff (O&A, M&P) - Change an Existing Position”

Always use this option if using an existing position!

Search for the position by using the last name of the employee or by position number. Select “Search”

The easiest way to pull up the position is to enter the employee’s last name and then “Search”. If you need to use the position number, please use the “US Position Number” area. “US Position Number” = University Staff Position number (all numerical) “Position Number” refers to the Classified or Faculty position number (has a letter before numbers such as FP170 or L4028)

Verify the position is correct and select “Start Action”

Go tab-by-tab and update ALL information and fill out all sections. See details on the following pages. Note: the information in the Current Job Description tab will not change – it is a reference of the current position description. When you log into Jobs@ it will always default to this tab.

General Position Information tab

Be specific with what you are changing in the action (duties/responsibilities, working title, salary increase request, supervisor change, etc.)

Postings are worked through Kelley Tobler – include her as the “Contact Name” Remember to include all members in the chain of command for the position and UA-HR in the organizational user box.

The primary purpose statement should be a short, high level summary of the position. You can also pull from the job family page if needed: hr.virginia.edu/job.

Decisions made with/without supervisory guidance. Please remember these are DECISIONS, not duties.

Change working title if needed. The next few areas should not be modified – check with Kelley if you have any questions. All positions in University Advancement are Restricted. Answer = YES

Duties/Responsibilities tab

Enter all known responsibilities for the position, assigning percentages of time to each and if it is High, Average or Low importance.

Use present tense verbs. Identify each duty/responsibility as essential (E) or Additional (A) by adding the letter to

the end of the statement. Double check that all duties add up to 100%.

Click “edit” button to modify.

Click “Add New Entry” if a new responsibility needs to be added.

Qualifications tab This is one of the most important parts of this process. Really think about the qualifications you need for someone to fill this position. Making these decisions and clearly posting them will make the applicant pool stronger, easier to make decisions and ultimately hire the best person. Use the Job Family or Career Ladder information as a guide. (www.hr.virginia.edu/job)

Required Experience What is the minimum experience needed to assume the duties of this position? Give thought to what you want and NEED for your team at this time. Making this decision at the front end will make the recruitment and hiring processes easier. It will also control the pool – the narrower the experience will yield a smaller, more qualified pool – the broader opens it up and will yield a larger pool. As the hiring official, you need to review all applicants and verify that the applicant has the required minimum.

Required Knowledge/Skills/Abilities What are the competencies for this position? What soft-skills will the individual need to be successful in the role?

Posting tab This is the information that will go in the posting for applicants to see!

Posting Summary This is the information about the position that your applicant will see. The posting summary should be 3-4 paragraphs that describes the department, the position and describes your ideal candidate. This is your direct communication to potential candidates!

Required Applicant Documents Usually Cover Letter & Resume (The application has a section for references, so you do not need to select this option here).

Fill out Hiring Official Information Use drop downs for best description of the Reason for Posting and the Area of Interest. Posting for UVA employees only – YES/NO When should position be posted? Leave blank if ASAP – or enter a future date. Closing Date – usually “Open Until Filled”, but you can identify a date if needed.

After you have completed everything: Click “View Action Summary” on bottom of page. Then “Submit Action to Approver 1” and “Continue” and “Confirm”
