1 Introduction

1.1 Purpose

The purpose of this document is to be handled as a user guide for the Locken Smart Access (LSA) tool.

LSA is set up such that nominated company admins can support their teams using a web browser interface, in order to:

• Add users

• Edit Users

• Activate and deactivate users

• Add keys

• Assign keys

• Deactivate keys

• Check keys status

• Check the permit and activity dashboards for their own users and subcontractors

• provide first level support for their users using the MBNL MyLocken app

2 LSA Logon and Main page

2.1 LSA Logon

1. Enter the LSA url

Copy & paste this link to your browser: https://mbnlprod.lockensmartaccess.com

2. Enter username and password

Nominated LSA admins will be provided with access credentials to LSA. Admins logon to LSA through the MBNL F5 UAD Before being able to log on into Locken LSA, you must download and install Symactec VIP according to the provided instructions. Symantec VIP is used for 2-factor authentication Enter your F5 username and password Then, click on Logon.

The Security code is a 6 digits code generated by Symantec VIP. Open the Symantec VIP tool and enter the provided security code on the LSA screen.

the Security code will expire after 30 seconds of being generated, and a new one will be provided.

After completing the Log on information, you will be landed into the Locken Smart Access LSA Home page

• Deactivate an end user

3 End users

3.1 Add a new user

4. Press the down arrow to the right of the red man icon and then, select “End Users”

This option allows LSA admin to view, add or edit End Users.

5. The end user details page will be shown.

7. Next page will show end user details to be entered. Mandatory fields are marked with asterisk. The end user details required for this screen are Name, locken id, company, phone and role.

For “Name”, enter the person Firstname and Lastname

For the “locken id” you must enter the person email address. The email address must always be entered in lower case

Company name has to be selected from the drop down list. As well as being able to scroll down the list, you can also start typing the first letters of the value and the drop down will find the matching entries.

For the “phone”, enter the end user’s mobile phone number

Role has to be selected from the drop down list. Here you can also start entering the first letters of the value and the drop down will find the matching entries

8. When the user information has been completed, click on accept

The new user will be created.

3.2 Edit an existing user

1. Press the down arrow to the right of the red man icon and then, select “End Users”

This option allows LSA admin to view, add or edit End Users.

3. Search for the end User to be edited and then click on their name.

4. Click to select the user on the results list

5. Press on the small arrow to the right of “New” and select “Edit” from the resulting popup menu

6. The next LSA page will display the end user´s current details.

7. Edit the details as required and click “Accept”

The end user details will have been modified.

3.3 Deactivate a user

This option allows LSA admin to view, add or edit End Users.

4. Click to select the user on the results list

5. Press on the small arrow to the right of “New” and select “Deactivate” from the resulting popup menu

6. Press deactivate to confirm the deactivation on the popup message

7. On the main list of end users, the selected user will now show as deactivated.

When a user is deactivated, any keys assigned to that user will automatically be deactivated too and not be able to be updated.

8. To cancel an end user deactivation, highlight the user, then press the small arrow next to “New” and select “Cancel deactivation”

9. Press “Cancel Deactivation” on the pop up menu to confirm.

the user has been now reactivated and their assigned keys will be able to be updated again.

4 Locken keys

4.1 Add a new key

1. Press the down arrow to the right of the red man icon, select F9000 keys, and then choose List.

2. The Locken Key details page will be shown.

3. Select “New” to add a new Key.

4. Next page will display the Key details to be entered. Mandatory fields are marked with asterisk. The key details required for this screen are Name, profile, end user, company owning, atlas, serial number and deactivated status.

For name, enter the key name. It will be similar to G9L-1015 MB_Exxx

Profile has to be selected from the drop-down list. The profile is the amount of time that the key

remains on after each time it is validated via the app or web authorise. It will be typically 12 hours.

End User has to be selected from the drop-down list. As well as being able to scroll down the list, you can also start entering the first letters of the value and the drop down will find the matching entries.

Company name has to be selected from the drop-down list. Here you can also start entering the first letters of the value and the drop down will find the matching entries

Atlas has to be selected from the drop-down list.

Enter the Serial Number from the Locken key. Serial number is found on the top banner of the key

Finally, only select “deactivated” when required. Otherwise leave it blank

5. When the key information has been completed, click on accept

The key will be created.

4.2 Assign a key

1. Press the down arrow to the right of the red man icon, select F9000 keys, and then choose List.

2. The Locken Key details page will be shown.

3. Using the search toolbar, search for the key you want to assign.

On the search toolbar, you can use only the last 4 letters and digits. For example, if your reference is G9L-1015 MB_E601, you will use in the search bar: E601.

4. On the results list, click on the key that you want to assign.

5. Next page will display the Locken Key details. Click on the edit button

6. Edit window allows you to modify the Locken key details. For assigning the key, in the “end user” field select the end user that you want to assign the key to.

Before confirming, make sure the correct profile is selected for the key

7. Click on Accept.

The key will be assigned to the selected End User.

4.3 Unassign a key

1. Press the down arrow to the right of the red man icon, select F9000 keys, and then choose List.

6. Edit window allows you to modify the Locken key details. For unassigning the key, Remove the end user from the end user field.

To remove the end user, you can press on the small x next to the name.

7. Click on Accept.

the Key has been unassigned from the original End User and it is ready to be assigned to a new end user.

4.4 Deactivate a key

1. Press the down arrow to the right of the red man icon, select F9000 keys, and then choose List.

3. Using the search toolbar, search for the key you want to deactivate.

4. On the results list, select the key that you want to deactivate. the line turns pink and the “1 rows selected” appears

5. Select the small arrow next to “New” and select “Deactivate”.

6. Select “Deactivate” on the resulting pop up menu to confirm the key deactivation.

The key is now deactivated and will not be able to be updated using the MBNL MyLocken app

4.5 Check other status of a key

1. Press the down arrow to the right of the red man icon, select F9000 keys, and then choose List.

2. The Locken Key details page will be shown.

3. Look for the column “Bat Level” and check the status of the battery.

If the battery level is displayed as Low, battery of that key needs to be replaced.

4. Look for the column “Expiration” and check the expiration day of a key.

If the expiration of the key is in the past you will need to reauthorize the key.

5 Dashboards

5.1 Permits dashboard

1. Press the down arrow to the right of the plus icon, select Dashboard, and then Permit Dashboard.

2. Next page will show the Permit details list.

following details will be displayed for each permit:

• Site – name of the site on the permit

• REQ ID – REQ number of the permit

• CRQ ID – Change number of the permit

• Company – Company that raised the permit

• Scheduled Start Date – Date and time when the permit starts

• Scheduled End Date – Date and time when the permit ends

• Service Affecting – Indicates if the permit is service affecting or not

• Service Affecting Start – Date and time that service affecting was started

• Service Affecting End - Date and time that service affecting was ended

• Status – The current status of the permit

• Permit Opened – Date and time permit was opened

• Permit Closed – Date and time permit was closed

• Permit Closed By – End user that closed the permit

3. Use “Search”, or “Advanced Search”, to find a permit or a range of permits.

4. On “Advanced Search” page, you can search using a combination of multiple fields available, like Site or Status.

5. On the advanced search, you can also search by selecting calendar dates if needed, until you find the permit or permits.

5.2 Activity Dashboard

1. Press the down arrow to the right of the plus icon, select Dashboard, and then Permit Dashboard.

2. The Activity Dashboard will be displayed.

The Status column shows the details for each activity (book on, book off or climbing), on permits or

incidents, done by an end user. The following details will be displayed for each activity record:

• Name: Reference of the book on

• Permit No: Permit number used for the book on

• Incident No: Incident number used for the book on

• Site: Site booked on to

• MBNL Cell: MBNL ID of the site

• TMO Cell: TMO ID of the site

• User: End user booking on to the site

• Phone: Phone number of the end user used to book onto the site

• Customer Company: Company that raised the permit

• User Company: Company that the end user works for

• Time In: Date and time the user booked onto the site

• Time Out: Date and time the user booked onto the site

• Service Affecting: Indicates of the permit entered is service affecting

• Service Affecting Start: Date and time of when the user started service affecting

• Service Affecting End: Date and time of when the user ended service affecting

• Status: Current Status of the site access

• Emergency Activated Time: Date and time a user activated an emergency

• Out of Bounds: Indicates that the site is currently on the out of bounds list

• Alpha: Indicates that the site is currently on the Alpha list

3. Use “Search”, or “Advanced Search”, to find a record or a range of records. For example, to search for a specific permit, type the number into the search box.

4. On “Advanced Search” page, you can search using a combination of multiple fields available, like Site or Permit number.

5. On the advanced search, you can also search by selecting calendar dates if needed, until you find the permits or incidents you are looking for.

5.3 Managing workforce with activity dashboard

Locken LSA is a very useful tool for administrator to track the activity of the engineers of their own company and subcontractors working for their company.

The activity dashboard list shows any activity happening on site on chronological order. The most recent events (book on, book off, climbing) are shown at the top of the list

On activity dashboard page, LSA admins will be given with the list of activity events performed by the engineers of their company and their company subcontractors.

Activity dashboard provides daily information and contains records from midnight (00:00). At the end of the day, the daily records are archived.

Using the tools previously described on this manual, LSA admins can perform multiple actions to track the workforce activity and improve the usage of Locken solution in their company:

• Filtering the “book on” activities, LSA are given with the list on engineers on site, that have done book on, but not book off yet.

For filtering “book on” activities, admins can use the advanced search function, setting “status = book on”, or can sort the activity dashboard list by clicking on the “Status” (doing all the book on activities appear together)

Checking the “book on” activities first thing in the morning, LSA admins can identify engineers that did book on the previous day but didn´t do book off before leaving the site. Those engineers would be requested to do book off.

• Sorting the activity dashboard list by “Time in” field, LSA admins can check who are the engineers that are still booked on and have been on site for a longer time .

• Clicking on the “Name” column links, LSA admins are given with the details of the book on / book off activities.

Generally speaking, LSA can use activity dashboard functionality to get information of the activity of the engineers of their company and of their company subcontractors, according to their necessities by using:

• Filtering capabilities of “advanced search”, where the multiple fields available can be combined.

• Sorting the activity dashboard list, ascending or descending, by clicking on the top row of the column to be used as sorting criteria.
