Launching this new website has been a major undertaking as it required a complete overhaul of our Public / Front page as well as the Client / Back-end site. The Client side particular, has undergone vast changes, all designed to improve the client experience. In crafting the new website, we sought input from our team of very capable OAD consultants as well as from many of our valued clients. We are also in debt to our vendor / partner web development branding firm (SRH) as well as our internal web team headed up by the very talented Ellery Harrington. Our mission is, and will continue to be, to provide our valued clients with world-class assessment tools that will improve operational performance and reduce costly turnover for our clients. Launch of New OAD Website Welcome to the new OAD website! Launching this new website has been a major undertaking as it

required a complete overhaul of our Public / Front page as well as the Client / Back-end site. The Client

Kiosk Mode

• Allows administrators to enter in the bio data of an applicant

• Sends the survey to another device (iPad / laptop / smartphone)

• Often, this device could be in a conference / interview room

• To activate this feature, please contact the OAD Webmaster at [email protected]

Browse All Surveys

• Surveys can be sorted in ascending or descending order simply by clicking on the headers

• By default, surveys are sorted alphabetically by last name

• The applicant just has to confirm their name, read directions and take the survey

• By clicking ‘Date’, administrators can quickly see most recently completed surveys

• Sorting by Job Title / Job Code / Location can also be quite handy

Browse All Surveys – Selecting Multiple Surveys

• To select a survey simply ‘left click’ on the name desired

• In selecting multiple surveys, just ‘left click’ on the multiple desired names

• The entire row with then become highlighted (see below for example)

• By clicking on the navigation icons at the top of the screen, the administrator can perform the

following functions:

o The content of all highlighted surveys can be exported into Excel

o By selecting the ‘Print’ feature, administrators have the ability to print all highlighted

OAD survey reports or just the OAD graph pages at one time

o PDFs of all highlighted surveys can also be created at one time

o All selected surveys can also be emailed at one time and to multiple people (the

maximum limit has been increased to 20 surveys.)

o Survey Comparisons

� An OAD survey can now be compared to other OAD survey side by side

� Additionally, an OAD survey can also be compared to a JAQ side by side

� (See section ‘Browse All Surveys – Survey Comparison)

Browse All Surveys – Survey Comparison

• There are 3 ways to compare surveys side by side

• First, under ‘Browse All Surveys’ select a survey for comparison (the row will be highlighted)

• Click ‘Compare’ icon at top of page a select ‘Compare’

• Now select either ‘Search’ or ‘Browse’ and select the next survey for comparison

• Once selected, simply click on the ‘Compare’ icon and select ‘Compare Survey’ once again

• The Second option of comparing surveys is to double click on the name desired, opening the

survey report

• At the top right corner of the survey report page, select the ‘Compare’ icon and repeat the

above steps

• The Third and final way of comparing two surveys is to go the ‘Survey’ page and click on the

‘Compare Survey’ link on the left hand side of the navigation page (see figure below)

• Note that if multiple surveys are selected for comparison, they will all appear in a “Drop-Down”

menu. This feature makes it quick and easy to compare multiple surveys in quick succession

Browse All Surveys – Survey to JAQ Comparison

• There are 3 ways to compare a survey to a JAQ

• First, under ‘Browse All Surveys’ select a survey for comparison (the row will be highlighted)

• Click ‘Compare’ icon at top of page a select ‘Compare to JAQs’

• Now select either ‘Search’ or ‘Browse’ and select JAQ for comparison

• Once selected, simply click on the ‘Compare’ icon and select ‘Compare to JAQs’ once again

• The Second option of comparing a survey to a JAQ is to double click on the name desired,

opening the survey report

• At the top right corner of the survey report page, select the ‘Compare’ icon and repeat the

above steps

• The Third and final way of comparing a survey to a JAQ is by going to the ‘JAQs’ page and click

on the ‘Compare JAQs to Survey’ link on the left hand side of the navigation page (see figure

below)

• Once again, if multiple surveys are selected for comparison against a JAQ, the surveys will all

appear in a “Drop-Down” menu. This feature makes it quick and easy to compare multiple

surveys to a JAQ Benchmark in quick succession.

Browse All Surveys – Refresh Perceived Job Behaviors (PJBs)

• While Traits are relatively constant, Perceived Job Behaviors are very fluid

• Often times, an employee’s PJB is from their previous job

• To refresh an employee’s PJBs, just open their survey report

• At the top right of the page there is an icon called ‘Refresh PJBs’

• Once that has been selected, a new page will appear requesting the participant’s email address

• Now enter email address and click on ‘Refresh PJBs’

• The participant will receive an email invitation to complete what is essentially Section 2 of the

OAD survey

• A standard positioning statement will automatically populate in the email (see sample below)

o Administrators can customize the positioning statement through the OAD Administrator

o This can be requested under the ‘My Account’ / Email Templates tab

• Perceived Job Behaviors can be refreshed by sending individually or in bulk by using the ‘Send

Bulk Survey’ option - Note: Refreshed Perceived Job Behaviors will count as a Survey used.

Now Available in Español!

• The new OAD Website now features the OAD Survey and JAQ in Spanish

• The OAD Wordlist has been completely translated into Spanish

• In addition, the entire OAD Survey report is available in Spanish as well

• The Job Analysis Questionnaire (JAQ) has also been completely translated

• When administering a survey to a participant whose primary language is Spanish, just select

“Spanish” from the drop-down under the Survey Language section.

• Surveys that are taken in Spanish can be read in Spanish, U.S. English, or any other language that

are available from the drop-down menu

Send Bulk Surveys

• Under the ‘Survey’ section on the left hand side click on ‘Send Bulk Surveys’

• The administrator will be able to send unlimited surveys at once

• Administrators can upload their own Excel spreadsheet provided that it is in the exact same

format as shown below in Exhibit 10

• The surveys will automatically be sent through the OAD computer system

• The header ‘Language’ allows the administer to change the language or send multiple languages

to a single candidate

• The header ‘Template’ allows the administer to send the following templates

o OAD JAQ – English

o OAD Employee – English

o OAD Applicant – English

o Refresh Perceived Job Behaviors

• The templates can also be customized by going under the ‘My Account’ tab and sending a

request to the OAD Administer

Search by Typical Pattern

• Administrators have the ability to search by profile type

• Searches can be made on active surveys / archived surveys / or both active & archived surveys

• Administrators will have the ability to search for multiple survey types at once (i.e. Coordinator /

Variation of Coordinator, etc.)

• Searches can also be made by Applicant / Employee or both

No More ‘No Typical Pattern’

• All past and present surveys will now be labeled with a profile type

• Accordingly, all surveys can now be placed into one of the four quadrants of the LS Matrix

• Most of these newly named profiles are termed ‘Variation of ….’

• The Chameleon pattern (i.e. the straight line) will be located in the Expert Quadrant

This is great news for all who formerly had “NTP” profiles. Finally, these folks will be able to enjoy the

full rights and benefits as their named profile colleagues without the threat of deportation.

View Pending Surveys

• By clicking on the ‘View Pending Surveys’ tab, administrators can quickly see all survey

invitations that have been sent out but not yet completed

• By highlighting the surveys (left click) administrators have the option to re-send or cancel the

survey invitation

• Administrators will now have the option to view pending surveys that were sent under their

admin access or to view all pending surveys for that web account

• Note: Surveys are not deducted from the web account until the participant has completed the

survey

Settings

• Through this feature, administrators now have the ability to customize the header fields for

both OAD surveys and JAQs

Define Job Codes

• The 5 standard default Job Codes are

o Executive

o Manager

o Supervisor

o Sales

o Administrative Assistant

• The new website has expanded the number of user defined Job Codes from 9 to 20

• This expansion provides administrators a greater ability to refine searches by job types

• Note: In changing or updating existing job codes (1-9) it is important to take into consideration

that past job codes will update accordingly

Email Templates

• The positioning of OAD surveys and JAQs is very important

• OAD has provided standard default templates for the following:

o OAD JAQ

o OAD Employee

o OAD Applicant

o Refresh Perceived Job Behaviors

• Custom templates are now available by requesting one through the OAD Administrator

• OAD reserves the right to review the requested template in order to ensure the verbiage is

consistent with our standards and an accurate representation of the OAD tool

• To request a custom template, follow the steps provided below in Exhibit 11

• OAD’s Web-Team has now made it possible to both administer and take the OAD Survey from

anywhere one’s mobile device takes them
