1. KYOCERA Net Manager Series General Overview

1.1. What is KYOCERA Net Manager Series?

KYOCERA Net Manager (KNM) is a simple and organized system for the monitoring and accounting of print and copy jobs. Additionally, it allows secure print, delayed print, automatic modification of print jobs, creating and exporting reports, user management of print jobs, print unification of various systems, and more.

Using the Print&Follow feature, the KNM system simplifies and accelerates all printing requirements of users. It is based on a database containing information on users, user groups, and printing devices. Based on this data, KNM allows system administrators to identify individual users on authorized printing devices and to monitor the volume and frequency of printing and copying. User identification is established when the user logs on to the terminal for the printing device through a valid identification method such as an ID card or a chip card.

Each user has access to the system via web browser and can control his or her own printing costs and print jobs. For system administrators and heads of departments, an accurate statistical report containing data on print volume and printing device utilization by individual users and group of users can be generated. This system has many advantages, whether it be for a small business, an enterprise, or an institution with an extensive organizational structure.

In addition to the coverage of all kind of accounting, printing and copying capabilities the Kyocera Net MangerPro includes built in comprehensive scanning and workflow features to increase user efficiency while strengthen customers document workflow processes at the same time.

Added value provided by Kyocera Net Manager (abstract)

The KNM system will offer a single point of administration to manage the customers printing and mfp fleet including setup of advanced workflow processes

The KNM system supports document confidentiality by allowing customers to safely print data sensitive documents by only specified users.

The KNM system provides printing convenience and efficiency by allowing customers to use any printer device that is ready to print.

The KNM system supports cost management by informing customers regularly about the number of printed pages and printing costs.

The KNM system supports comprehensive scanning and workflow features to increase user efficiency while strengthen customers document workflow processes at the same time. Dedicated scanning and workflow processes can be assigned to a user or group of users by offering an enormous potential of savings

Mobile printing include – Print documents from your mobile device by simply sending an email to the Kyocera Net Manager server. Kyocera Mobile print app integration for iOS and Android, offering advanced printing and scanning functionalities.

Kyocera Local Print Spooling allows authorized and authenticated printing in environments where there is no Kyocera Net Manager server in the local branch office - No print job will be spooled via a KYOCERA Net Manager server or leve the branch location.

1.5. Strength

1.5.1. Multi-vendor support

Since KNM supports multivendor environments, customers can use KNM even though the customer is using different printing systems. KNM will support accounting and direct print features to more than 1800 different devices of various manufacturers*. Whether you are looking to migrate to a single manufacturer based service or have the need for multiple copiers and printer systems, KNM will enable the customer printing device management, reporting, and processes to support a variety of configurations.

1.5.2. Integration with KYOCERA Technology

KNM is integrated with KYOCERA drivers, utilities and technologies. Since Kyocera develops both hardware and software, KNM is integrated with the Kyocera hardware and software seamlessly. For example, KNM‘s authentication status is reflected in the KX DRIVER. Starting with Kyocera Net Manager version 5.2 Kyocera Mobile print app integration will provide enhanced Mobile print and scanning support as a standard.

1.5.3. Kyocera Net Manager – AAA+ solution for Global projects

Since Kyocera will support this solution worldwide, this is the solution of choice for global business. The modular software will suite the entry level business from the up to enterprise Business across the Globe. In addition KNM can be easily customized to the specific need of a project.

*The External BOX option will be required to connect non Kyocera devices to allow other than accounting and direct printing functionalities.


2. KNM Functionality Overview


2.3. KX Driver Integration

The KX Driver integration plays an important role in three main components of the KNM system as follows.

2.3.1. User access control

User access control provides automatic configuration of the driver based on printing policies set for the user in KNM. The driver connects to the KNM server and retrieves the applicable policies for the user, and then adjusts the configuration accordingly.

Mobile printing can now be managed by KYOCERA Net Manager utilizing the Kyocera Mobile Print app’s*.

This allows quotas and credits to be applied to mobile device users.

o Printing based on the print queue that is selected by the user.

o Supports scanning feature

Allowing users to print from mobile device directly to KNM

2.6.2. Send to Me

From KNM ver.5.1, users are allowed to send Scan jobs to email automatically with Embedded Terminal Lite. Although Embedded Terminal (HyPAS application) can also be used, it is no longer necessary.

For devices supporting the HOME menu, it is possible to customize the HOME screen so that Send to Me (email) options appear on the screen. However, Send to Me folder options will not appear on the screen even after adding them to HOME screen.

From KNM ver.5.1, PIN code authentication is supported with Embedded Terminal Lite. Although Embedded Terminal (HyPAS application) can also be used, it is no longer necessary to perform the basic oprerations.

2.8. Job Archiving

Starting from version 5.1, KNM can capture every job the user processes on an MFP and prepare it for archiving by

a third party tool. A metafile is created along with each job archived. The following are the types of archiving

available.

Behavior

Print Archiving Uses Job preview feature. Copies PDF to archiving Folder and metadata using custom or default generator class

Copy Archiving Terminal sends each page being copied as PDF and metadata. When last page arrives, creates final metadata file.

Scan Archiving After scan profile is processed KNM copies the attachments to the archive folder and creates metadata file.

Fax Archiving Same as copy.

Note: Even so the archieving feature is free of charge the function needs to be enabled by a adding a special KNM Job Archieving license. This license may be not available in all Kyocera sales territories.


2.9. Remote Device Setup

Starting from version 5.1, Remote Setup allows for easy and convenient setup of device settings as well as

installation of HyPAS.

- Set up printer settings like SMTP server, SSL etc.

- Install the Embedded terminal (HyPAS application) on Kyocera devices

- Enable the Embedded Terminal Lite on Kyocera printers

Also the following operations also available in this feature.

- Manually invoke the Printer Setup for selected devices

- Automatically setup a printer when it is added to KNM via Printer Discovery feature

- Setup multiple devices in parallel to enhance performance

3.1.4. Print&Follow™

After a user sends a job to print, the job is processed by the system and stored on the server. After the user logs on a printing device, the job is sent to this printer device. Secure printing enables users to print from any designated printer on the network regardless of where the job was sent (also known as Print&Follow™ printing).

Below available methods to register the uses.

Swiping the new card to the reader, Entering the new credentials into the web interface, Sending the print job by LPR, Sending the print job by e-mail.


User access to the KNM system is available through a web browser. After logging in, the user’s profile and print jobs are displayed. The print jobs are separated into folders according to their status (printed, queued, etc.). Users can sort the jobs, pause them, delete them, or return them to the job list. Users can also access their own statistics such as print quota and credit balance information.

There are settings available for reloading account credit, displaying and managing devices, viewing and scheduling reports, and more. Privileges to access these settings can be assigned to specific users.

3.5.2. Devices

Users can manage their print jobs stored on the KNM server directly from the KNM Terminal after logging on any of connected devices. Simple ID card registration is also possible through the KNM Terminal.

3.5.3. Mobile Terminal

Users can manage print jobs stored on the KNM server from a mobile terminal without installing any software. User can access KNM Server through the Web Browser. Other user functions such as checking quota status, recharging credit, and unlocking the printer are also available in the mobile terminal. The mobile terminal runs on any mobile device that supports HTML5, which includes iOS, Android, and Windows mobile devices.


3.10. Job Archiving KNM can capture every job the user processes on an MFP and prepare it for archiving by a third party tool. A

3.11. Remote Device Setup Remote Setup allows for easy and convenient setup of device settings as well as installation of HyPAS. Supported models are described in 10.1. Function support model list. KNM automatically sets up printers to work with KNM

- Install the Embedded terminal(HyPAS application) on Kyocera devices

- Enable the Embedded Terminal Lite on Kyocera printers

- Restarting Kyocera devices automatically after remote printer setup. (From ver.5.2)
